PRODUCTION MANAGER
Before The Show
· The Production Manager is in overall charge of the production. They work very closely with the Director and report to the committee.
· They need to initiate (in consultation with the Director) and attend all production meetings as chairperson.
· They need to be present at every rehearsal.
· Ensure that actors and crew receive the rehearsal schedule and are updated with any changes.
· Set up any alternative rehearsal venues, in conjunction with the Director.
· The PM is responsible for arranging crews and staff required by HODs (heads of department) and to appoint any HODs not already appointed by the Director or Repertory committee.
· Call initial budget setting meetings with HODs and Director.
· Set up initial meeting with Theatre Royal Manager (currently Eliane Pollack) to discuss marketing requirements, ticketing, arrange theatre hire & ticketing contracts, promotional activities and any FOH issues or needs. This may be ongoing.
· Be aware of promotional photoshoot, marketing, show programme & pre-show promotions such as Billboards that are required (these can be delegated to a Marketing person).
· Arrange any workshops or additional training that cast or crew may be required to attend (in conjunction with Director) eg; voice workshop, Theatre Royal crew certification.
· Assess risks (both on and offstage) and update/complete a production Risk Assessment document to be given to the Theatre Royal Technical Manager (currently JR). Copy given to Director/SM.
· Report progress/issues back to the Director and committee meetings.
· Control a docket system for purchasing (in conjunction with Director).
· Have an overview of the show’s requirements and HOD tasks and obtain regular progress reports from HODs.
· The above should be entered into a flowchart/timeline of required tasks and completion dates.
· Have all cast and crew contact details and be available to take calls/texts from cast and crew members if they cannot attend a rehearsal or show for personal reasons.
· Ensure that cast and crew contact lists are collated and given to the people who need them.
During the Show
· Must be available so the Stage Manager can contact re any issues or problems.
· Keep in regular communication with all HODs especially FOH (Front of House) to make sure the show is running smoothly.
· Keep the Director and committee aware of any potential financial or personnel issues during the run of show.
· Ensure that there are adequate crew/cast supplies of tea, coffee, sugar and milk backstage.
· Organise or delegate the final night buffet.
· Organise thank you cards or letters to crew/sponsors/donors where required (in conjunction with Director).
· Organise pack out with HODs.
· Call and chair a debrief meeting so that any problems encountered during the show have been dealt with. Can be done as part of pack-out.
· Debrief the Repertory committee.
