1. Set up and Maintain Work Systems

The second part of the assessment will require you to set up and maintain work systems. This will involve:

developing systems to support user needs

developing instructions and guidelines for carrying out daily activities according to compliance requirements

reviewing and adapting systems as necessary on a regular basis

All templates required to complete this part of the assessment are provided in this workbook.

Instructions are provided for you on the following pages to guide you in completing each task.

1.1 Develop Work Systems

From your initial meeting with Miko Sataway from Case Study Task 1.4 in Workbook A, you have been tasked to help him develop two (2) work systems, one (1) for banking and one (1) for handling the bills.

Read the instructions carefully before proceeding.Steps to take:

1. Locate the System Info Sheet on the following pages. Use this to document the systems you will develop for Miko and your reviews of these systems.

You must submit a total of two (2) System Info Sheets, one (1) for each system you will be developing in this task.

2. Develop one (1) system for banking and one (1) system for handling the bills for the client.

Each system developed must:

Comply with at least one (1) legislative requirement related to your responsibilities as an accountant or bookkeeper.

Cite this legislative requirement on the Description section of the System Info Sheet and provide a short explanation as to how your system complies with it.

A different compliance requirement must be cited for each system.

include instructions and guidelines for carrying out daily activities relevant to the system according to compliance requirements.

These must be written following these guidelines:

o Include enough detail to help users understand the text.

o Use simple terminology and plain language.

o Ensure that the instructions are in a logical sequence and appropriate text type for conveying the information.

1.2 Review and Adapt Systems on a Regular Basis

After submitting the two (2) System Info Sheets to Miko, Miko has approved the systems developed and has adapted the systems in his business.

Read the instructions carefully before proceeding.Steps to take:

1. Locate the Work Systems Review template on the following pages. Use this to document your reviews of and improvements to the work systems you have developed for Miko.

2. Review the two (2) systems you have developed for Miko.

You must review both systems a total of three (3) times, with each review conducted three (3) days after the last review.

Conduct each review by emailing Miko using the simulated email forms below:

Use the subject ‘[First/Second/Third] Review of Banking and Bill Handling Systems.’

Upon sending each simulated email, you will receive a response from Google Forms.

Take a screenshot of each Google Forms email and attach it in the spaces provided in the Work Systems Review template. Your screenshot must clearly show the date and time you received the email.

Record the outcomes of each review in the Work Systems Review template.

3. If any areas for improvement are identified during the review, at least one (1) improvement that can be done to address it.

4. Amend the System Info Sheet for each work system you developed according to the improvements you identified.
