Job DescriptionJob Title: Project Assistant
Status of Post: Full Time (35hrs per week) - Fixed term until August 2021
Reporting to: Management Committee of Superstars Club
Salary: £18,000 per annum pro rata (Workplace pension provided)
Introduction
Superstars Club – Empowering Young People Project, has secured three years funding from The Big Lottery to deliver a user-led project focussed on training and development, job skills, life skills, employment opportunities and social and leisure activities for young people with learning disabilities.
Superstars has demonstrable track record of progression. From an initial position of one club per month to their current provision of four clubs per week plus a social enterprise café open five days per week. An assembly contract with a local engineering firm is developing and growing in capacity. Our vision and ambition is to expand and develop the provision of life changing and life enhancing opportunities by empowering people with learning and physical disabilities to take the lead. In the past year we were delighted to receive The Queen’s Award for Voluntary Service and achieved the highest number of votes in the UK in the Big Lottery People’s Projects. This is an exciting opportunity for an experienced Project Assistant to deliver a programme of activities in Cookstown targeting young people with learning disabilities, empowering them to make decisions, and engaging and motivating them
to be fully involved in all aspects of planning and delivering this project. A key element in this project will be liaising with a Steering Group made up from the young people themselves ensuring that they are given the opportunity to shape how it is planned and implemented.
Summary of Role
The Project Assistant will assist the project coordinator in all aspects of work. You will have to have a sleeve’s up approach and a real passion to work with people with learning difficulties empowering them to be fully engaged in all aspects of the project. The project assistant will work very closely with the project coordinator as well as the Chairperson, Treasurer and Management committee of Superstars Club. There will be a lot of admin required, from creating spreadsheets, attendance records and filing.This is an interesting and varied role, so the post holder will need to have a flexible approach to work and project delivery and be able to attend evening and weekend activities as required.You will also be required to work one evening a week.
Duties and Responsibilities
Key Area: Project Management & Coordination
To be second point of contact for the coordination and delivery of this project, the focus of which will be providing interesting and diverse opportunities for young people with learning disabilities across the Cookstown and wider Mid Ulster areas. To liaise with the young people's steering group to take forward issues that are important to them including the organisation of new activities and the delivery of any training and personal development opportunities required. These ideas are all shared with the project coordinator. To assist the P/C in maintaining accurate financial records and managing the project budget. To help the P/C to ensure delivery of appropriate employability training programmes using external providers where applicable or using In house trainers and all other training and development activities associated with the delivery of this programme. Coming up with ideas driven by the Steering Group and sharing with the P/C Assisting the P/C to ensure a high-quality programme of sports, drama, dance & leisure activities for the young people involved in the club. To work in partnership with other local service providers/charity groups, schools, colleges in recruiting participants in the programme and in building the profile of the organisation. Being prepared for and meeting with external and internal stakeholders.
Key Area: Performance & Monitoring Drawing up weekly/monthly timelines clearly showing all the training classes / social and leisure activities. To assist with the collection, collating and monitoring of project information to ensure that delivery targets are being. Helping to prepare monthly progress and financial reports for presentation to Steering Group and Management Committee of Superstars Club. Ability to manage correspondence and file and sort accordingly, as well as manage all associated admin duties.
Key Area: Marketing & Communications To pro-actively manage effective communication and promotion to build relationships with potential and existing participants and volunteers through a range of media; including newsletters, press releases, social media, website, email and other formats to maximise participation, gain community support and positive press coverage. To organise and promote project events as and when required and to increase the profile of Superstars Club to ensure that membership grows To have a good sound knowledge of Microsoft software. Being able to create spreadsheets / posters / advertisements etc Answering telephone calls and possesses excellent written and verbal communication. Create and maintain attendance registers for any training and clubs.
Key Area: Volunteering Assisting the P/C to ensure adequate supervisory cover is always available during club activities. Having open communication with all volunteers and being approachable to them..
Additional Responsibilities To apply for funding where applicable to implement new projects and complete the necessary returns and evaluations when required. To help ensure AccessNI checks are up to date of in line with the group’s Safeguarding policy. To create, review and update, risk assessments for all project activities in line with H&S policy and ensure project delivery partners submit risk assessments for their activities. To comply with the data security requirements and procedures at all times and process data in line with the current Data Protection Act. To be prepared to carry out work in the evenings as required.

It should be noted that the post holder will be required to be flexible to the changing needs of the organisation and as such undertake tasks and responsibilities not specifically listed here but which are relevant to the smooth running of the project and Superstars Club. This will include general office and administrative tasks and all aspects of service delivery as directed by the management committee.
