JOB DESCRIPTION

JOB TITLE: Swingbridge VOLUNTEER Coordinator

REPORTING TO: Development Manager

BASED: Home

HOURS: c18 hours per week worked flexibly. £10.20 per hour

Overall purpose:

To provide support to the Volunteers on the Swingbridge Programme

Duties and Responsibilities:

Recruitment and induction of volunteers

Make first contact with potential new volunteers and signpost them to either Swingbridge 1 or 2 or both.

Ensure volunteers receive volunteer packs, attend a SCT induction session, complete appropriate paperwork and are introduced to DutyMan

Ensure that new volunteers receive appropriate training and induction to the boats and, in conjunction with steering group, link with more experienced volunteer for mentoring.

Training and development of volunteers

As part of the Training Group, ensure that all volunteers have access to appropriate opportunities for training and development

Ensure an up to date training record is kept for each volunteer and that volunteers undertake refresher training as appropriate

Co-ordinate the planning and delivery of training sessions, including first aid training, with training group.

Availability of crews/environmental volunteers

Ensure sufficient volunteers with appropriate skills/training are available to meet programme demands for SB1 and SB2

Maintain contact with the volunteer base

Tracking and record keeping

Ensure appropriate systems are in place and updated to include: volunteer training and development volunteer spreadsheet volunteer rotas contact details collection of data to report against SCT annual targets and Swingbridge Business plan KPI’s

Promotion of Swingbridge Trips

Monitor overall trip level and promote trips to community groups and other users, supported by additional staff resources (eg bookings/administration post, Swingbridge volunteers and marketing group)

Boat maintenance

Ensure boats are maintained to an appropriate standard, liaising with maintenance group Ensure certification up to date and operational standards met

General

Act as the first point of contact for volunteers With the Chief Executive, HR Manager, Environmental Trainer, co-ordinate the bi-annual volunteer

meetings Support Swingbridge Steering Group by co-ordinating meeting dates, contributing updates and and

keeping minutes. Attend/support other Swingbridge/SCT meetings as required

PERSON SPECIFICATION

ESSENTIAL DESIRABLE

Education Training and Work Qualifications

Good standard of general education, both numerate and literate.

Experience of organising meetings, keeping minutes and organising social events.

Knowledge

Good standard of computer literacy. Experienced with Microsoft office (especially Excel, Word and outlook) and able to input data.

Knowledge of training and accreditation, particularly OCN (Open College Network) accreditation and the NCBA (National Community Boats Association).

Skills and Abilities

Excellent telephone manner

Able to communicate clearly both face-to-face and in writing with a range of potential clients, volunteers and colleagues

Organised; able to record and report on data in an accurate and timely manner.

Numerate; confident with working out costs for bookings and preparing invoices.

Relevant Experience

Sound administrative experience Experience of working in a charity and with vulnerable people.

Experience of working with volunteers. Experience of managing volunteers.

Marketing experience: letter writing, phone calls, proof reading marketing materials.

Experience of keeping training records. Awareness of Surrey Care Trust and the Swingbridge programme’s aims and values.

Other Requirements

Willing to travel throughout the County; Car driver with a current valid driving licence
