‘15–’16 Assessment Plan WEAVE Data Entry Guide 1 This document is designed to outline the basic processes needed to login to WEAVE and enter the Academic Assessment Plan. This is not intended to be the final answer to all questions related to WEAVE usage. Context-sensitive help can be achieved in WEAVE at any time by clicking on the “Help” icon and selecting “Help for this Page.” Additionally, the Quick Start Guide and Tutorials are helpful if you need additional assistance. This document is designed to outline the basic processes needed to login to WEAVE and enter the Academic Assessment Plan. This is not intended to be the final answer to all questions related to WEAVE usage.

Context-sensitive help can be achieved in WEAVE at any time by clicking on the “Help” icon and selecting “Help for this Page.” Additionally, the Quick Start Guide and Tutorials are helpful if you need additional assistance. I.   Logging In a.   Go to: app.weaveonline.com b.   If requested, enter “OKBU” in the Abbreviation box and click “Continue”

c.   Type in you ID, which is your OBU e-mail, and a customized password. i.   If you cannot remember your password, try the reset function.

1.   When you click “Reset Password” it will send you a temporary password to login.

2.   You will immediately have to change your password. Although WEAVE does not specify the rules on the password change screen, your password must have: “Minimum 8 characters - Maximum 32, requires Mixed-case, requires one-or-more Numbers, requires one-or-more non-alphabetic/non-numeric characters.”

ii.   If you cannot gain access, contact Nancy Deichman or Spence Spencer and we will check your account settings.

II.   Selecting the Cycle and Program a.   Using the dropdown menu icon, select the appropriate year range for the data to

be entered or modified. b.   Also select the program you desire to work in. You should only see programs to

which you have been assigned responsibility. If you do not see a program you need access to contact Nancy Deichman.

III.   Mission a.   Use the “Assessment” tab near the top of the screen to select “Mission/Purpose”

b.   Click “Edit” toward the lower left corner of the screen to open the editing feature.

c.   Make necessary changes.

d.   If you have revised the mission, select the current cycle (the one for which the change was made) from the “Established in Cycle.” This ensures that previous cycles are not changed.

e.   Click “Save”

IV.   Removing Goals a.   Since Goals will not be used in ’15-’16, though they were in previous years it will

be necessary to deactivate them. b.   Click on “Goals” in the “Assessment” menu near the top of the screen.

c.   You will then see a screen that looks something like this, with Goals, SLOs, and Measures all listed on a page.

d.   Click on the pad and pencil icon next to the Goal to edit the item:

e.   Select “2014-2015” from the “Active through Cycle” dropdown. f.   Select “No” in the “Show in this Cycle?” radio button. g.   Click “Save.”

h.   Repeat for all the goals.

V.   Modifying SLOs a.   Select “Outcomes/Objectives” from the “Assessment” tab in WEAVE.

b.   You will then see a screen that looks something like this, with Goals, SLOs, and

Measures all listed on a page.

c.   Click on the pad and paper icon next to the SLO you will be editing. Or, click “Add” to make a new SLO.

d.   You should see a screen that looks something like this:

e.   Fill in the following blanks or check the following boxes: i.   Condensed Description – A few words that give the gist of the SLO for

quick review. ii.   Description – This is the text of the SLO that defines what the desired

learning outcome is. iii.   Student Learning? – Click the radio button for “Yes”

f.   You can skip the “Associations” section. g.   Scroll down until you see the following remaining options:

h.   For “Entry Status,” Click the “Final” radio button. i.   Ensure “Active through Cycle” has “Keep Active” selected. j.   Click “Save.”

VI.   Measures and Targets: a.   If you are coming directly from the SLO edits, you should have returned to a

screen that looks something like this. (If not, select “Measures and Findings” from the “Assessment” tab at the top of the screen.

b.   Click the pad and paper icon next to the measure that you need to edit. Or click “Add Measure” to add a new one.

c.   You should see a screen that looks something like this:

d.   If you are creating a new measure, you will have to select the type of measure it is. For SLOs, you should be relying on Academic Direct Measures. Use your best judgement as to which is the best category, but don’t stress about it. (We can change it if necessary.)

f.   Type in a condensed description that gives the gist of the assignment (e.g., capstone project, HIS4526 Paper, Senior Portfolio, etc.).

g.   Enter a description of the assignment that provides the following details: i.   Assignment/Artifact description. (May be copied and pasted from a

syllabus, or edited down from the same). ii.   What course(s) it will be collected in/from.

iii.   How it will be assessed. (Rubric, faculty jury, recital board, etc.)

h.   Next, identify which SLO(s) the measure will support. i.   NOTE: Each SLO must be supported by at least one measure, but one measure

may support more than one SLO.

j.   Ensure “Active through Cycle” is “Keep Active” k.   Select “Final” for “Entry Status” l.   Click “Save.”

VII.   Editing or Creating Targets a.   If you are not coming from the previous section, then:

i.   Select “Measures and Findings” from the “Assessment” tab at the top of the screen.

ii.   Then click the triangle button next to the measure the target you will be creating or editing will support.

b.   If you are moving on from the previous section, you should see a screen that looks something like this:

c.   Next you will click “Edit Target” or “Add Target” depending on the desired operation.

d.   Enter the details of the target: i.   [Percentage] of students will achieve a [performance level] or better.

e.   Select “Final” from “Entry Status.” f.   Click “Save”

VIII.   WEAVE has additional features that are not discussed here. The intent of this guide is

to help individuals navigate through the Academic Assessment Plan entry or editing process. Further guidance will be provided at a future date. However, most of the operations in WEAVE are fairly intuitive if the user is patient.
