WELCOME TO VILNA SCHOOL!!

Dear Parents,

The Vilna School community extends a warm welcome. You play a major role in your child’s life and his/her opportunities to learn and we hope this handbook will help establish a strong cooperative relationship to support the education of your children.

Teachers here welcome contact with you so please feel free to contact the school at any time regarding school policies, your children’s progress, or thoughts about educational. Report card conferences are also a regular feature of the school year.

Monthly newsletters are sent home with the youngest member of each family the last Thursday of each month to keep you up to date on events in school. We have also enclosed a yearly calendar for your convenience. These documents are also available on the school website at www.aspenview.org/ vilna . For people wishing to have articles published in the newsletter, the deadline is the last Monday of each month.

Should your child, or you have a special concern or grievance, please contact the teacher(s) concerned. Parents or guardians may call Vilna School at 636-3651 and request a return call to arrange a meeting with the teacher(s) concerned. Most matters can be resolved at this level. Should this fail a meeting with the student, parent, teacher and principal can be arranged.

“It may not be the toughest situation a person will face in life, but being a student is challenging.For many students, the most important decisions at school are often social in nature: who to be friends with and what to do with one’s spare time. The importance placed on these matters is so overwhelming that the real reason for going to school can become obscure. Make no mistake – students go to school to learn. This is sometimes instilled, but more often hammered into reluctant students until the meaning is lost. Only when a student begins to have an idea of what career he or she wants does education become truly relevant.”

1. BE PUNCTUAL ~ Punctuality applies to arriving in class on time. Teachers dislike interruptions because students shift their focus to the student arriving late. Punctuality also applies to handing in assignments on time. Teachers often deduct marks for assignments that are handed in late.

2. ASK QUESTIONS ~ Although students hear this in class, few students heed the advice. Just remember, it’s likely that many other students don’t understand everything about the topic. Students should get into the habit of asking questions about the topic and related topics.

3. REVIEW MATERIAL EVERYDAY ~ This is one of the most constructive habits that a student can adopt because reviewing material reduces the pressure of surprise quizzes, classroom discussions and exams and reinforces learning. The review need not take hours; simply reviewing material covered that day is beneficial.

4. REST AND EAT ~ Everyone needs a good night’s sleep and to eat properly every day. A tired and hungry student does not concentrate on his or her studies. The key is to get adequate rest on a regular basis. (This varies according to the person, but it is generally agreed by health practitioners that an adolescent needs 8 to 123 hours of sleep per night.) It is unwise to sleep for 14 hours a night on weekends and then revert to six hours during the week this throws a person’s circadian rhythms (sleeping pattern) out of whack while playing havoc with one’s metabolism. Well rested and well-fed students have less trouble getting out of bed in the morning, absorbing material and staying awake in class.

5. ORGANIZATION ~ This subject covers many things, but the important points are “name everything” (with date and appropriate title) and “remember assignments” Most schools sell organizers, which are practical for recording assignments and their due dates.

6. PRIORTIZE ~ Now here’s a challenge! This calls on students to review what is due and to gauge how much time will be needed to get the work done It’s wise to plan ahead. Students who have plans for the weekend should do extra work during the week. Students need to look at the big picture.

7. DEVELOP A POSITIVE ATTITUDE ~ There is more than one way to have a positive attitude. Students don’t have to be all smiles and cheer nor do they have to like all their teachers or fellow students, but they still need to show respect and consideration for each other.

GENERAL INFORMATION

ACADEMIC PROBATIONStudents who are failing courses due to poor attendance or lack of effort will attend a meeting with their teacher, administration and parents to create an academic support plan. If unsuccessful with this plan, alternative education support and delivery will be discussed with parents.

ACCIDENTSIn case of injury, the circumstances must be reported immediately to the teacher or supervisor in charge of the activity or to the office. If the injury is serious enough to warrant medical attention, the school will

contact the parent or guardian where possible. The teacher or supervisor in charge will complete a written report. All school property is covered by public liability insurance. Claim forms are available, on request, in the school office.

ADMINISTERING MEDICATIONAspen View Policy IHCD is summarized below:a) Requests to administer medications to students during school hours shall be in writing, using

the forms available at the school.b) No employee shall administer medication unless condition #1 has been met.c) All medications shall be kept in a secure location.d) The principal shall keep a record on all medications administered.e) The parent shall advise the principal immediately, in writing, of any changes in medication or

medication scheduling.f) Students who bring medicine to school for self-medication are responsible for secure storage

and administration of these medications.

APPEALS PROCESSStudents who are not satisfied with their grades and can show just cause may appeal to the teacher to review the mark. If this fails, he may appeal to the principal at which time a meeting of the teacher, student, parent and principal will be arranged to review the case. Supplemental exams may be written for Diploma Examinations in January, June or August. This process may also be applied where a student wishes to appeal discipline matters in a Conduct Report.

BackgroundRegular school attendance contributes significantly to academic success; consequently, monitoring of attendance is vital and must represent a cooperative endeavor of the students, parents, teachers, counselors and school administrators.

Procedures1. Regular attendance of students under the age of sixteen is compulsory. The attendance of students

over this age must comply with the guidelines and procedures established by the principal and approved by the Superintendent.

2. Attendance data will be included on each student’s report card and included in his/her permanent cumulative file.

3. School procedures will conform with legislative and regulatory requirements and be consistent with procedures outlined in 4.1 to 4.5 below.

4. Responsibilities for student attendance will be shared by the following parties:

Students will maintain regular class attendance; and In the event of an absence, students will be required to provide an explanation of the reason for the absence.

Parents or Guardians will be expected to encourage their children to maintain regular school attendance. In the event of an absence, the parents will be responsible for providing an explanation for the child’s absence.

Teacher responsibilities for student attendance will require: Maintenance of accurate student attendance records; 330-2 Communication with parents; Regular reporting to school administrators of student absences both explained and unexplained; Reporting to school administrators any suspected cases of students involved in truancy while on field

trip(s) or extracurricular activities; such notification to be supplied as required in school procedures.

School Administrators responsibilities for student attendance will include: The development of school student attendance procedures as outlined in this administrative

procedure. The distribution, collection, and record keeping of attendance forms. Expediting, as necessary, referrals to the school counselors and/or the Division’s Attendance Officer. The establishment and execution of appropriate communications (verbal and written) between the

school and the home regarding attendance and attendance problems.

Inexcusable Absences

Students under 16 years of age are required by law to attend school. Parents of students missing school without valid excuses will be contacted by our school family liaison to assist having the student return to school. The school Family Liaison Worker is responsible for checking with classroom teacher regularly to monitor student attendance.

The following procedure is in place:

1. Prolonged unexcused absence of 3 days for elementary students and 5 days for Jr/Sr high school students will result in a phone call home and/or home visit.

2. Should we be unable to reach you or have no success in our attempts to have your child return to school, we will send a registered letter to you asking for you to come to school for a meeting to discuss your child’s attendance issue in person.

3. If attendance concerns continue we would enter into an Attendance Contract. 4. Should these attempts fail we will send a letter to the Truancy board who will then deal with the

matter.

The staff at Vilna School firmly believes that there is a direct relationship between the habits of prompt and regular attendance at school and student achievement. Staff encourages these habits by carefully checking attendance throughout the day.

Please call if your child will be absentStaff also relies on the cooperation of you, the parents to inform us at school if your child will be absent or late on a given day, please contact the school office to inform the school that you authorize the absence. This information will greatly assist controlling inexcusable absences among students. Inexcusable absences will be considered a disciplinary matter and will be dealt with according to the School Act.

Call-out SystemTo better assist parents in knowing if their child is in class on a particular day, Vilna school has implemented an electronic call out system that will automatically call students home number if that student is marked unexcused for one of more of their classes that day.

Checking out of classStudents, who are required to leave class for medical or dental appointments or for any other legitimate purpose, will first check at the office. It is important that the school be informed if a student will be leaving regular classes. Students must have parental permission (phone/note) to check-out of class. Parents are required to sign in and sign out students when they bring them to school after the school day starts and if they are picking them up for appointments etc.

Signing out ProceduresStudents must be 18 years of age to sign themselves out, or if not 18 years of age, we must have some form of parent permission such as a note or phone call. Guardians can only sign out students under their direct care unless the school has been informed in writing by another child’s parents they are giving permission for their child to leave with named person.

Prolonged AbsencesDuring periods of prolonged absence, parents are requested to contact their child’s teacher, in order to pick up homework assignments. Although the school will make every effort to assist those who have a lengthy absence, the ultimate responsibility for catching up rests with the student.

Attendance Contract Parents and/or students with a pattern of inexcusable and extended student absences may be asked to enter into an Attendance Contract. The contract will clearly outline school expectations for student attendance and a plan of action to support regular student attendance.

BUSSINGMorning Arrival – School buses are expected to arrive at the school no earlier than 8:30 am. There is no staff supervision for students prior to 8:30am.Afternoon Departure (Regular Day) – Students are dismissed at 3:20pm. School buses should depart no earlier than 3:28 pm.

Rules of ConductThe majority of students who attend Vilna School must ride the bus. Students have a responsibility to behave in a reasonable fashion while on the bus and are under the direct supervision of the driver. Aspen View Regional Division has set out the following rules of conduct:

1. Students have a right to ride on the bus to and from their school in a safe and quiet manner.2. Students can carry on quiet conversations with other students in their assigned seated area.3. Students may, with the driver’s permission, eat on the bus. 4. Students are expected to place garbage in the garbage basket.5. Students may play their radios or tape recorders, if they use earplugs or headphones.6. Students will be assigned to a seat by the driver, and will sit in their assigned seat when riding. 7. Skate blades and other hard or sharp objects must be covered by protective guards or transported in

an appropriate case.8. Students are expected to be on time for loading and discharge.9. Students are expected to exhibit behavior that would be acceptable in a classroom.10. Students are expected to enter the school immediately upon arrival to school.

Inform Bus DriversStudents who wish to ride on a bus other than their regular one must bring a note from their parent/guardian, which is initialed by administration. Any students who do not plan to return home on the regular bus must inform the driver in advance. This avoids the problem of a lengthy wait during the bus loading times.

Transportation SafetyAlthough flashing red lights are no longer required within the Village of Vilna. In the interest of student safety, school busses are expected to depart in an orderly manner. Overtaking parked school busses in front of Vilna School is not an approved action. Parents picking up their children are asked to use the parking lot to prevent possible accidents when crossing the street.

DRESS CODEAt Vilna School we believe it is important that students dress appropriately for success at school. Clothing and appearance need to be appropriate for school, which is our working and learning environment.

Clothing needs to be appropriate and not distracting, suggestive or offensive to others. Clothing, jewelry or headwear may not include logos, sayings or images that promote the use of

drugs or alcohol or display inappropriate language, sexual innuendo, violence or racial slurs. Summer wear such as halter-tops, tube tops, spaghetti strap shirts, “muscle shirts” or other beach

clothing is not appropriate for school wear. Tops should go to the waist and skirts, shorts, “skorts” and necklines will be appropriate. Bare midriff and/or underwear should not be showing. Straps for shirts should fit the “2 fingers wide” guideline.

These guidelines apply for all school functions and events.

Students, who are not dressed appropriately for school, will be asked to cover up with a sweater or t-shirt provided by staff and/or return home to change into appropriate clothing. We request that parents support the school actions by having your children dress appropriately for school. PE classes require students to wear shorts or sweat pants, shirts, socks and running shoes for safety and hygienic reasons. Students are required to wear shoes at school inside and outside.

FIELD TRIPSFrom time to time throughout the year, classes may be involved in field trips. During such trips, the organizing teacher(s) are in charge, and determine student eligibility, subject to administrative approval. In some cases funds are raised by the class (through food sales, etc.) to help defray the costs of the excursion. All money raised in this way is considered a joint contribution by the class members and is applied equally to those students participating in the trip.

FIRE DRILLS and LOCK DOWNS

Fire DrillsFire drills are conducted during the school year with the cooperation of the local volunteer fire department. At the fire alarm signal, every person in the school is expected to leave the building. Fire drills are very important exercises in ensuring the safety of our students by providing practice in safely exiting the building. Each teacher will inform all classes of proper evacuation routes and procedures, early in the school year.

Students are expected to remain familiar with these routes and procedures and are expected to behave in an orderly manner and comply with procedures during all fire drills.

Lock DownsLock downs are conducted during the school year with the cooperation of the RCMP. Lock downs are very important exercises in ensuring the safety of our students by providing practice in what to do during a lock down. Each teacher will inform all classes of lock down procedures. Students are expected to behave in an orderly manner and comply with procedures during all lock downs. Parents will be informed when we have lock downs through notes that will go home with elementary students as well as a phone message through our call out system.

INCLEMENT WEATHER The school remains open on all scheduled school days, regardless of weather conditions. Parents, who send their child to school, are responsible for ensuring that the child is adequately clothed for the existing weather conditions. Those who decide to keep their child home are responsible for ensuring that the child does additional homework, so that the child does not fall behind those who attend school. Local radio stations will be informed when a decision has been made that the buses in an attendance area will not operate. When individual bus drivers make this decision for a particular bus, it is the operator’s responsibility to notify the parents affected. During periods of poor weather conditions, parents should anticipate the possibility of early dismissal to facilitate safe transportation and make arrangements beforehand so that their child does not arrive home unable to enter.

LIBRARYLibrary books are normally loaned for a period of one week. If books have not been returned or renewed within 13 school days, library privileges may be removed. Primary students, however, must return books every library period. When books are not returned or are damaged beyond repair, the student responsible is assessed the original value of the book.

LEAVING SCHOOL GROUNDSStudents are to remain on school property at all times between 8:30 a.m. and 3:20 p.m. From a legal perspective all students are the responsibility of the school during these hours – it is an impossibility to supervise students who leave school grounds unsupervised. Students in kindergarten to grade six will not be allowed to leave school grounds unless under special circumstances. Students in grades 7 require parental permission for up-town lunch privileges. Students in grades 7 thru 9 will be allowed to leave school grounds at lunchtime under teacher or staff supervision. Grades 10-12 (excluding lunch time) require parental permission to leave school grounds and they are expected to report formally to the School Office prior to doing so.

Parents notify schoolIf parents of grades 8 to 12 students do not want their child to leave at lunchtime, they are expected to communicate this with their child and to the school. If students get in trouble during lunchtime off school property, they will lose the privilege to leave at lunchtime for a specified period of time (circumstances pending).

Parents come to the office for your childParents are expected to report to the school Office to meet their child prior to the child leaving the school and for signing their child in after the school day has started.

STUDENT ASSESSMENT AND REPORTING

Parent PortalAspen View parents and students are encouraged to use PowerSchool to keep up to date with grades and assessment, school information, attendance reports and more. PowerSchool is a web-based home-to-school collaboration system linking parents, students and schools with real-time information via the internet. Students and parents can also get up-to-date information on assignment and test scores, class marks and other assessment information. Users can opt in to receive notification of new information by email or text message. In addition, PowerSchool allows parents the convenience of paying school fees online, including resource fees, transportation fees and miscellaneous school fees such as yearbook, grad, sports teams, etc.

Setting up a PowerSchool account is quick and easy. All you need is internet access, and the student’s Access ID and password (mailed home at the beginning of the school year, or available from the student’s school office).

PowerSchool can be accessed through any school or division website in the homepage ‘For Students/Parents’ dropdown menu. A video walkthrough of the PowerSchool account setup process is available here. In addition, you can download the free PowerSchool app from the Apple App Store or Google Play. Any questions regarding PowerSchool can be directed to your school office.

Report CardsReport cards are sent home with the student twice each year normally in January and June with interim reports in November and April. While these reports mark important stages in the student’s progress, they are not intended to replace parental monitoring of the student’s work or direct contact with the student’s teacher. Grade teachers in consultation with the principal and the parent/guardian make promotions. If the promotion status of a child is in question, parents/guardians will be contacted by the end of April.

External/Internal AssessmentsProvincial Achievement Tests are conducted in grades 6 and 9. Teachers may use these results as part of the student’s final mark (10%-15%) at teacher discretion. Diploma Examinations are written in selected grade 12 subjects and determine 50% of the student’s final mark in that subject.

Standardized achievement tests (eg Woodcock Johnson, Fountas and Pinell) may be conducted for students in grades 1-9 to assess for Literacy and numeracy levels of achievement. All students in grade 1-8 are assessed for Literacy using the Fountas and Pinnell Benchmark assessment 2-3 times per year. A certified psychologist carries out assessments of students who have learning, behavioural or other special needs on a contract basis only after parental permission has been obtained. Services for students identified with special needs are provided from teacher aide support in the regular classroom, pullout support, technology support, modified curriculum, etc. so as to help the students reach their potential.

AWARDSRecognition of achievement in academics and athletics is an important part of the school year. The Vilna School community demonstrates our appreciation for their performance and commemorates achievement by presenting students with awards for excellence. Our awards ceremony is held at the end of June each year with athletic awards recognized in mid-June. Medal the student who achieves the highest academic average in grade 12. To be eligible, the student must have completed a minimum of four 30 level courses in the year. The marks used to determine the award will be those obtained on school final exams in all courses the student completed in the school year.

RESIDENT OF ALBERTATo be considered a resident of Alberta for scholarship purposes, the applicant must be a Canadian Citizen, or Landed Immigrant of Canada, and either their parents live in Alberta or Alberta is the last place the applicant spent one year outside of school. This definition is common for most of the scholarships.

STUDENT RECORDSParents/Guardians are entitled to access to their child’s cumulative, discipline and psychological assessment records as well as Individual Program Plans subject to Section 18 of the School Act. They can be viewed by making an appointment with the school secretary or the principal. Discipline files are destroyed when the student progresses to a new division (beginning grades 4, 7 and 10).

When a student transfers, only the ELECTRONIC cumulative record is forwarded to the receiving school. Personal information will not be released to any other individuals or agencies other than legal guardians with the exception of basic information required by Aspen View Vision #19 or Alberta Learning.

Information will be released in accordance within the guidelines set out in the Freedom of Information and Protection of Privacy Act.

The total sum charged for resource fees shall not exceed $300.00 per family/year. The school requires payment of school fees prior to October 31st of each school year. Phone calls and letters will be addressed to parents concerning outstanding school fees in the months of November and December. The school will endeavor to meet parent requests and needs and will accept arrangements to allow payment by monthly installments.

SCHOOL LOCKERS/LOCKSLockers are the property of Aspen View Schools, and at no time become the property of a student. Therefore, students may not write on, hang pictures in, or damage the lockers in any way. If lockers are damaged or defaced by the student, then the student will be responsible for any cleaning, repair work or replacement costs. Cleaning or repair costs (invoiced by the maintenance department) may be charged to the student.

School lockers will be rented or available on the condition that the school reserves the right to search and repossess the locker at any time without notice. The principal will publish the locker policy, including the provision that lockers are subject to searches without notice under the direction of the principal. It is desirable that students be present when their lockers are searched.

LocksSchool combination locks may be rented annually at the rate of $1.00. These locks can be opened with a master key, which only the principal, the school secretary and the head custodian possess. Except in extraordinary circumstances, only the principal or vice principal may open such a lock in current use by a student. Where such circumstances, occur, a written report stating the lock and locker opened and the reason for such action will be submitted to the principal within the school day.

VOLUNTEERSThere are many opportunities for parents to participate as volunteers and become more involved in the life and work of the school. A volunteer checklist and package is available through the school office for parents who would like to volunteer. Note that volunteers are required to have a yearly criminal record check and must fill out a volunteer application form. Please see our front office for the forms.

Parent VolunteersVolunteers assist in the classroom, library and office. They assist on field trips and with special school events. Volunteers help make our learning environment vibrant and positive. The goals of our Volunteer Program are:

VIDEO SURVEILLANCEVilna school is equipped with video surveillance in accordance with Administrative Procedure 181. Vilna School believes that the use of video camera surveillance will assist in protecting the safety of students and their environment and aid in the detection of vandalism. Your child may be videotaped on our cameras.

Guidelines & Procedures

A sign indicating the school is supported with video monitoring equipment to assist in protecting the safety of students, their environment and aid in the detection of vandalism is displayed outside of the school office entrance.

The principal or staff shall view the video storage media when a problem has occurred or when inappropriate behavior is suspected.

Parents may be asked to view the video in the presence of the principal or staff. Video storage media will be erased unless the principal requires the video for discipline procedures.

VISITORS TO THE SCHOOLIn order to ensure the safety of all students in the school, all visitors are requested to report directly to the office for a visitors pass. A non-parent/guardian wishing to see a student at school is to check with administration.

Visiting students are not allowed at Vilna School. Bus drivers are discouraged from picking up such students in the morning and transporting them to school.

WAIVERS AND PERMISSION FORMS

Posting and Publishing Student Work Parents/Guardians need only to sign the forms for the Freedom of Information and Protection of Privacy Act (FOIP) if you don’t want to allow student work or pictures to be displayed in the school or school related such as newsletters, yearbook, or local papers. ELEMENTARY PROGRAM

Before SchoolDoors are open at 8:30 a.m. Buses arrive between 8:30 and 8:40am. Students from the village or those who are dropped off at school before 8:30 a.m. will wait by their lockers for their teachers.

EntrancesThere are two entrances to elementary wing; the east entrance is for use by grades 4 and 5 and the south west entrance is used by grades K, 1, 2 and 3. Student outdoor footwear is stored in trays at each foyer. Grade 6 students enter through the main doors. Their indoor shoes are kept in their lockers.

Indoor FootwearParents are required to provide their children with an extra pair of ‘indoor only’ footwear. The intent of this policy is for safety reasons during PE classes and in the event of an emergency. It also helps reduce the grit and mud which inevitably enters on outdoor footwear, thereby keeping our school cleaner and reducing damage to the floors.

Lost And FoundA box is located in the Agora. Parents are encouraged to look through the box periodically. Items not collected are donated to Good Will in December and June.

OutdoorsPrimary and elementary students are assigned the use of the yard on the north side of the school. Students may not leave the school grounds without teacher permission during the day unless they go home for lunch or are accompanied by a parent/guardian. (Students who do leave on their own become the responsibility of their parents until they return to school.) Snowballs are not permitted on school grounds.

Outdoor ClothingWhen weather becomes questionable with respect to health and safety, parents are expected to make the initial decision whether or not to send their child to school. Whether the children walk to school or ride the bus, they should be dressed well enough to withstand the weather for an extended period of time. While at school, children are expected to be outdoors during the recess and lunch breaks unless the supervising teacher determines that the temperature or wind chill is too severe. Please ensure that your child is properly clothed for comfortable outdoor play.

Head Lice Prevention

Once per month routine head check are done on all elementary children in school. Teachers will be presented with a list of affected students and the list is handed into the office.

Parents/guardians of affected children will be notified via telephone by the vice principal who will recommend the child be treated prior to returning to school.

A letter supplied by the Health Unit is also set home to all students in the class where head lice and/or nits were found.

The child will be re-checked when they return to school.

JUNIOR HIGH PROGAM

HomeworkSuccess in junior high school requires that students not only complete assigned work but also study on a regular daily basis. A notebook for listing assignments, tests and study plans is an essential part of a secondary student’s equipment.

Option Classes Junior high students will have the opportunity to take option classes each semester.

Promotions (Pass To Next Grade Level)Students and parents will receive regular reports of student progress in November, January, April and June. In addition teachers may provide periodic progress reports. Such factors include achievement, ability, age, emotional development, and social and physical maturity. A student should achieve a 50% average in the four academic core subjects of Social Studies, Language Arts, Mathematics and Science. The importance of parent-teacher interviews and other lines of communication in this respect cannot be overemphasized.

SENIOR HIGH PROGRAM

Graduation RequirementsGraduation ceremonies are held the last weekend in May for the Grade 12 students who meet the academic requirements listed below. The celebration includes convocation exercises and a banquet for the students and their families. Aspen View Policy prohibits the use of alcohol.

In order for students to be eligible to participate in the graduation exercises:1. Students must be in a position to meet graduation requirements by the beginning of May (High

School Diploma or Certificate of Achievement). Students can become ineligible to participate in graduation exercises if they do not continue to meet the graduation requirements.

2. Students must participate in fundraising activities sponsored by the Grad Class to participate in the banquet activities.

CreditsCredit values represents at least 25 hours of instructional time. A course, which is taught for 80 minutes per day for a semester, or 40 minutes per day for the whole year, is given a value of 5 credits. A course taught for 80 minutes per day for 3 days per week for a semester, or 40 minutes per day for a whole year is valued at 3 credits. This time-credit system applies to individualized programs as well.

Credit load is a full year program usually consisting of a total of 35-40 credits (1400-1600 minutes per week). Where a student’s absence from class puts his/her eligibility for credits at risk, the parents and/or students are notified by letter. If this problem persists, the student may be withdrawn from the class and receive no credits for the course.Academic standing - A student who has achieved a mark of 50% or higher in a given course is eligible to take the next high school course in that sequence, e.g., English 10-20-30 or Mathematics 10-20-30. In Vilna School a student must have 35 credits in order to register in grade 11 and 70 credits to register in grade 12. Students must be registered in 75% of their course load as a student of Vilna School.

Study PeriodAll students up to and including Grade 11 are required to enroll in a full timetable of classes. Grade 12 students are required to enroll in a minimum course load of 75%. If a student has a study period then the student must spend the time in the library, designated classroom, or off school property. Students are encouraged to make effective and efficient use of this time by studying, doing homework or working on school projects.

INDIVIDUALIZED PROGRAMThe following programs will be offered to students who demonstrate maturity and responsibility. This privilege will be removed from the individual if it is abused. All students participating in these programs will be assigned to the Virtual room. All correspondence courses must be completed in 1 semester.

Work Experience 15/25/35The work experience program is available to grade 10 thru 12 students. It consists of placing students at workstations within the community. This activity familiarizes the students with the world of work and gives them an opportunity to explore various careers. Supervision and evaluation is done by both the work experience coordinator and the workstation supervisor. See Work Experience Handbook.

Green Certificate ProgramStudents may work on a farm, including the family farm for credits. This program must be registered for through the school. Green Certificate courses will require a payment of $350 before the course is given out. This amount will be refunded upon completion of the course.

Registered Apprenticeship Program (Rap)Students spend part of their time in school and part in industry as registered apprentices in one of Alberta’s 52 designated trades. Students enrolled in RAP courses are considered full-time high school students and registered apprentices. The hours that the student spends at work with a certified journeyman are credited toward apprenticeship.

Correspondence ClassesAspen View Schools will be offering Virtual School to all Senior High students. Students registering in all courses through correspondence must have the approval of the Principal and will be expected to complete their work in the Virtual room. A $100 deposit is required before any Aspen View correspondence course will

be ordered. For any correspondence courses other than from Aspen View will require a 50% deposit. This money will be refunded upon successful completion of the course.

Special ProjectsSpecial Projects Credits are designed to encourage individualization of instruction and as such they have two major functions1. To encourage and assist the students in becoming involved in the selection, planning and organization

of their own programs in specific areas.2. To encourage the students in pursuing activities in which they have considerable interest but which are

not within the scope of the regular curriculum. See Special Projects Handbook.

Video Conferencing ClassesIn order to facilitate the offering and availability of classes to students, it may at times be necessary to offer classes through video conferencing when class enrolments have small numbers. These classes will have a live teacher leading them; however, that teacher may or may not be in the room with them, but at another school.

CAREER AND TECHNOLOGY STUDIES (CTS) COURSES

Philosophy The CTS program is designed to develop skills that senior high school students can apply in their daily lives when preparing for entry into the workplace or for further learning opportunities. Through the CTS program, students are provided with opportunities to personalize their learning, identify and explore their interests, manage transitions and build partnerships while developing basic competencies. The strands are:

The Off-Campus school operates 5 days a week from Monday to Friday following regular school hours.

TransportationStudents ride the same buses as the regular students but get dropped off and picked up at the Off-Campus school.

CurriculumThe Off-Campus school offers the same courses as the main campus. The main difference is how those courses are delivered, which is for the most part module work that requires the students to work more independently. However, we do have two teachers to help the students with their work.

Transition ProgramAs an alternative to repeated suspension and/or expulsion, VOCA also functions as part of a transition program where students (Gr 7-12) at risk of extended suspension or expulsion can refocus, study and be supported.

Off-Campus Students are Vilna StudentsA student attending the Off-Campus is still considered a Vilna student with many, but not all of the same privileges. For example, many on our senior boys basketball team this year were made up of students from the Off Campus school. Also, we include the Off-campus students on field trips when applicable. Off-Campus students also come over to use the fitness room, have PE, and some for CTS classes.

If I choose the Off-Campus do I need to stay there?Not necessarily. We have had a few students who started at the Off-Campus and proved themselves through their work ethic and attendance that they were ready to attend the regular school and have done well over there. On the other hand, a student who enrolls at the regular school, but then struggles either with attendance or other issues may be recommended for the Off-Campus.

Student AccountabilityStudents MUST be accountable and responsible for their behaviour. It is possible for every student, regardless of his/her history, to become a positive and productive citizen of Vilna School. It is the goal of the staff at Vilna School to encourage every student to attain this high standard of responsibility for his/her actions.

RelationshipsDeveloping relationships with students is key to supporting student struggling with inappropriate behaviours. Consequences will still happen, but the emphasis is an empathetic one geared towards teaching virtues and personal growth as opposed to punitive. It is the intent of the staff to have students consider their responses in advance of their actions. This will assist in the development of positive citizenship in the students.

AdministrationMajor infractions are referred to administration. An investigation of the infraction/s which has occurred will be conducted by an administrator. It is our intent to involve parents/guardians in this process wherever possible. The consequence levied to the student will be decided based upon the following conditions:

1. The precipitating events and information elicited from student/s, peer and staff observation2. The child’s intentions3. The personality, history and temperament of the child4. What actually happened5. The damage or hurt caused by the misbehavior or rule violation.

Parental Consultation and Information: In the event of a serious infraction occurring, the administration will inform the parent by phone wherever possible, and a follow-up letter may be sent designating the problem and the resulting consequence.

2. Students shall:2.1. Be diligent in pursuing their studies;2.2. Attend school regularly and punctually;2.3. Vilna School Expectations/Rules Strive to achieve your personal best in schoolwork. Arrive to class on time. Participate in all learning activities and complete all homework assignments. Behave in a manner that respects the rights of others. Be ready to learn by getting enough sleep, eat proper meals and show up at school and to classes

every day, on time. Cooperate with other students, teachers and parents in creating and maintaining a learning

environment conducive to learning. To the extent possible at your grade level, be involved in decisions affecting your program of studies. No energy drinks inside school. No gang wear or colors including hats and bandanas. Stay in building at break times (except lunch time) Breaks are 5 minutes. For grades 8-12 students, if parents do not want their students to go up town at lunch they are to

notify us. Where students are neglecting their responsibilities to the detriment of others, their behavior is evaluated according to the Vilna School Discipline Policy.

Electronic DevicesI-pods or other electronic devices such as cell phones are allowed at the discretion of each individual classroom teacher. Students who fail to comply with the standards/expectations of teachers will lose the privilege of having their electronic device out within the classroom or school. Lost or stolen I-pods and other electronic devices are the responsibility of the student.

Smoking Reduction PolicyBy law, students under the age of 18 are not allowed to smoke in public/visible areas. School Division policy prohibits smoking on school board premises. Vilna School policy states that smoking and/or chewing tobacco products are prohibited on school property, school buses and during any school sponsored events and trips.

Any student known to be smoking or using chew on school property (including school buses) will receive a 1 day out of school suspension. Jr. High students using tobacco or chew anywhere within the vicinity of the school during the course of a school day will immediately move to step three.

Step One - First Offense: One full lunch detention with mandatory completion of prevention education document(s), via self-

directed learning and follow up interview with member of the counseling team

Step Two - Second Offence: One full lunch detention with mandatory completion of prevention education document(s), via self-

directed learning and follow up interview with member of the counseling team

Step Three - Third Offense: (Starting point for Jr. High) One full lunch detention with mandatory completion of prevention education document follow up

interview with member of the counseling team and contract Letter and/or phone call to parent/guardian.

Step Four - Fourth Offense: 1/2 day in-school suspension and/or referral to counseling team and/or circle process Referral to Addictions Counselor (i.e. AHS or NAADAP) Possible conference between student, administrator and parent/guardian to discuss further

consequences for subsequent offenses.

Step Five - Fifth Offense: Return to Step 1 and repeat.

At any time a referral to an Addictions Counselor can be made. Smoking transgressions will be handled by administration.

Drugs and AlcoholStudents who participate in drugs or alcohol activity during school hours will be referred to the Restorative Justice Program to find what actions can be taken to repair harm and parents or guardian will be contacted and informed further. Circumstances pending, a suspension from 1-5 days may still result. (Trafficking, distribution, bootlegging will result in a recommendation to the board for expulsion on 1st offence)

Vandalism/Damage to School PropertyAny student who vandalizes or damages school property may be asked to clean up or repair damaged equipment/structures, may be billed for the cost of the repair and may face suspension from school for up to (5 days) circumstances pending. Criminal charges may result in more serious cases.

Leaving school without Permission/Walking homeWhen students in grade 8 or older leave school without permission and choose to walk home on their own,

the guardian will be called immediately and informed their child has chosen to leave school without permission and is walking home. If guardians cannot be contacted, the RCMP will be called to inform them a student is walking along the highway. Students in grade 7 or younger who leave the school campus will be followed and the student will be returned to school. The guardian may be requested to pick up their child, or the student may serve the time they missed in-school suspension.

Lunch DetentionsGr. 1-5 students with lunch detentions (LD) will be handled by elementary staff in the elementary wing. Gr. 6-9 students may serve lunch detentions with the homeroom teacher who administered it or in the designated room. Students in grade 10-12 will be sent to an assigned room. The teacher needs to let the staff, responsible for that room, know which student is serving an LD and for how long.

In-School SuspensionsIn-school suspensions will be served in a supervised area in the school or a different classroom in some cases for younger students. The student will serve recess and lunch breaks in the same, supervised areas.

Out Of School SuspensionsOut of school suspensions will be served at home or at a place of the parent’s choosing. A suspension prohibits the student, who is suspended, from attending any school sponsored activity such as sports, dances, or meetings; from riding the school bus; or from being on school property. This ban is in effect twenty-four hours a day (including week-ends) for as long as the suspension is in effect. Students who ignore these conditions will be sent home, may have additional time added to present suspension and may be charged with trespassing.

SearchesIf suspected of wrongdoing, a student may be directed to empty pockets, knapsack, purse, etc. However, physical searches are not to be carried out by school personnel. If, in the opinion of the principal, a physical search should be conducted, the police shall be contacted.

Locker SearchesAny registered student may be provided with a locker and the school reserves the right to search and repossess the locker at any time without notice. Such searches must take place in the presence of the principal or his designate and preferably the student to whom the locker has been assigned. See Administrative procedure 352 on Interrogation and searches for more information

Bullying is an act of aggression causing embarrassment, pain or discomfort to another. It can take a number of forms: physical, verbal, gesture, extortion and exclusion It is an abuse of power It can be planned and organized or it may be impulsive Individuals or groups may be involved.

What do we do to prevent bullying at school?As a School Community, we will report all cases of bullying and will speak up, even at risk to ourselves. The right to be treated with respect by one’s peers is the most comprehensive of rights and the rights many of us in civilized society value most. Bullying will not be tolerated at our school.

Parents are asked to watch for signs of distress in your child, i.e. unwillingness to attend school; missing equipment, damaged clothes, etc.take an active interest in your child’s social life and acquaintances’encourage your child to tell their teacher and /or a staff member.inform the school if bullying is suspectedcommunicate with your child that parental involvement, if necessary, is appropriate for the situation

Students are asked to

refuse to be involved in any bullying situation. If you are present when bullying occurs:a) if appropriate tell the bully to stop; andb) report the incident and help break down the code of secrecyc) speak out against it

Staff are asked to be role models in word and action at all timesbe observant of signs of distress or suspected incidents of bullyingmake efforts to remove occasions for bullying by active supervisiontake steps to help victims and remove sources of distress without placing the victim at further riskreport suspected incidents to the appropriate staff member such as homeroom/class teacher, and/or administrator.

Incidents of bullying are dealt with immediately and firmly. A bullying prevention contract is part of our school registration package that must be signed by parents and students at the beginning of each school year. Vilna School has an active Virtues program and staff dedicated to supporting positive student behavior. Additional programming is brought in throughout the year to teach virtues education. Every student has the right to feel safe at school and Vilna school is committed to ensuring a safe and supportive environment for optimal learning for all students. To ensure students are clear about what bullying is, the impact of bullying and the consequences the following policy is in effect:

regarding bullying or victims of bullying, power point presentation on bullying or victims of bullying, restitution, alternative programming including classes at the Vilna Outreach Program and/or community school service.

Step Five - Fifth Offense: One full lunch detention with mandatory completion of bully prevention form (to be kept on file till

June) and follow up interview with member of the counseling team. Parent meeting (possible expulsion) Referral to counseling team for circle process intervention. Consequences could include referrals to

outside sources, a change in school programing including classes at the Vilna Off Campus Academy, a modified school week, alternative measures, behavior contract, additional supports at school, restitution, community service, suspension, possible expulsion and referral to the RCMP for consideration of criminal charges. At any level of intervention, the RCMP may be contacted depending on the circumstances and severity of the incident.
