Job Title: Administration and Accounts Officer

Report: General Manager, Regional Eye Center (REC)

Key Relations: General Manager Nurse Manager Lead Ophthalmologist REC Support Staff REC Receptionist

Location: Honiara, Solomon Islands

1.0 General Function & Role of the Position

The appointee will perform the role of Administration and Accounts Officer supporting the operational management of the Regional Eye Center (REC). The incumbent will assist the GM in managing receptionists and support staff at the Regional Eye Center as well as performing administrative, clerical and accounting tasks.

The appointee will also be responsible for regular maintenance of the REC accounts and the management of the accounting system and payroll.

2.0 General Accounts

Administer and maintain the REC accounts (book-keeping, petty cash) Prepare monthly financial reports for the REC in accordance with FHFNZ

requirements and in close consultation with the General Manager. Manage payroll and monthly payments Reconcile REC program accounts Maintain an orderly filing system for REC accounts Maintain an updated asset register for the REC Provide financial input for the REC annual report Assist in the procurement of general office supplies to ensure that they are available at

all times Provide clerical support to the General Manager regarding the payment of bills Ensure that all accounting operations are in compliance with Solomon Islands

Legislation

3.0 General Administrative Support

Asset and stock management- including stock monitoring, procurement, sales and distribution. In collaboration with the Nurse Manager ensure that sufficient stock is maintained at all times. Liaise with suppliers.

Maintain and procure general office supplies, ensure they are available at all times. Liaise with suppliers.

Provide administrative support to the General Manager Maintain an orderly filing system for REC operations Perform other duties as required from time to time

4.0 Daily Operational Tasks

Supervise Receptionists on a day to day basis Assist the GM in obtaining visa’s/work permits for expatriate staff or students Assist the General Manager in managing travel and accommodation for staff, students

and visitors Manage cleaning and security staff on a day to day basis Ensure REC building is maintained and organize servicing when applicable.

5.0 Other Responsibilities

Maintain a close working relationship with the General Manager Support all data base activity Process leave applications and maintain updated leave records

6.0 Essential Skills and Experience Ability to work consistently under pressure and maybe required to work after hours

from time to time Need to be computer literate in Microsoft word and excel applications The applicant must have proficient knowledge of and experience with accounting

software (MYOB, Xero or similar) and payroll processing. At least 2-3 years’ experience in an administration and/or accounting role Ability to work well within a team Strong verbal and written communication. Honest, trustworthy, respectful and hardworking

7.0 Qualifications A relevant Certificate, Diploma or Degree in Accounting and/or a related tertiary

qualification
