CREDITOR (VENDOR) PAYMENTS WWW.GLOBALBAKE.COM PAGE 1 VENDOR PAYMENTS A Vendor can be paid as part of a batch payment or by a single, one-off payment. BATCH PAYMENTS This is a way to pay multiple vendors in one payment. 1. From the base GlobalBake menu select Vendors > Batch Payments. 2. Enter the Payment Due date. This will select all approved invoices with a due date up to the payment due date entered. .e.g. The invoice is due 29/05/2011 (Sunday). Note: By ticking the box, it limits the invoices to only invoices due on that particular day. 3. Enter the Payment Date e.g. the actual day the invoice is being paid. e.g. 27/05/2011 (Friday) 4. Select the Payment method (D/Credit, Cheque, Cash, C/Card, D/Debit). This will limit the list of Vendors to those with that payment type. 5. Enter a Reference. This appears in the GlobalBake cashbook transaction. If the payment method is Cheque, this will be the cheque number. 6. Select the bank account to make the payment from. 7. Print a Pre-Report. To preview report, tick Preview. This report shows all invoices by vendor that are due to be paid by the Payment Due date. If you tick Summary you will get the total due for each vendor, not a list of invoices. 8. “Edit Totals” allows the amount to pay vendors to be edited. Enter the amount you are going to pay in the Limit column, as shown in red below. e.g. the full amount will be paid to Bobs Butchery and Farmer Brown. Canterbury Baking Suppliers will receive $500 part payment and Ernest Adams will receive no payment. Note: If you exit from the Batch Payments form after editing the amounts, the new amounts will not be saved. Click OK or you will need to re-enter them.

VENDOR PAYMENTS

A Vendor can be paid as part of a batch payment or by a single, one-off payment.

BATCH PAYMENTS

This is a way to pay multiple vendors in one payment.

1. From the base GlobalBake menu select Vendors > Batch Payments.

2. Enter the Payment Due date. This will select all approved invoices with a duedate up to the payment due date entered. .e.g. The invoice is due 29/05/2011(Sunday). Note: By ticking the box, it limits the invoices to only invoices due onthat particular day.

3. Enter the Payment Date e.g. the actual day the invoice is being paid. e.g.27/05/2011 (Friday)

4. Select the Payment method (D/Credit, Cheque, Cash, C/Card, D/Debit). Thiswill limit the list of Vendors to those with that payment type.

5. Enter a Reference. This appears in the GlobalBake cashbook transaction. If thepayment method is Cheque, this will be the cheque number.

6. Select the bank account to make the payment from.7. Print a Pre-Report. To preview report, tick Preview. This report shows all

9. “Edit Inv’s” (invoices) allows you to display the invoices and change thepayment terms. Click on the plus next to the vendor to display the invoices.Double click on the relevant invoice and change the Payment Due date or theamount. If a user has access to the approved field on the invoice thenunapproved invoices show in the list with a red background (but don't show intotal or reports)

Right click on an invoice to approve or unapprove as required.

10. Once you are satisfied with the Pre Report, click “Pay”. This creates thecashbook transaction and automatically allocates the payments. To display thecashbook transaction, double-click on the transaction in the window. On thedisplayed cashbook transaction you can print remittance advice or export thefile to your banking program as shown in black.

PAYMENT FOR SINGLE VENDOR

This can be done use the Pay button on the vendor or by manually entering a VendorPayment.

PAY BUTTON

1. From the base GlobalBake menu select Vendors > Vendor File.2. Select and Display the relevant vendor.3. Click “Pay” as shown in red.

4. The new form is very similar to the batch payment formEnter the Payment Due date. This will select all approved invoices with a duedate up to the payment due date entered. .e.g. The invoice is due 29/05/2011(Sunday). Note: By ticking the box, it limits the invoices to only invoices due onthat particular day.

Any amounts due by the Payment due date are listed in the window, selectedthe ones you want to pay (press ctrl key to select multiple invoices).Note: You can only fully pay an invoice from here and it does not take you tothe cashbook transaction.

9. Click “Pay”. This creates the cashbook transaction and automatically allocatesthe payments.

MANUAL PAYMENT

There are two ways to make a manual payment, either through the vendor or throughthe cashbook. It may seem more obvious to use the Vendor Payment, but it is actuallyeasier to use a Cashbook Vendor as you don’t have to manually create the cashbooktransaction.

Vendor Payment1. From the base GlobalBake menu select Vendors > Vendor Payment.2. Click “Add”.3. Enter Vendor, Date, Payment and Ref. (reference) and Discount if appropriate.

4. Now you need to enter the Cashbook transaction that this payment belongs on.You may need to create it first if there are no appropriate transactions. In theexample below, the transactions dated 26/05 and 27/05 are cheques for othervendors and cannot be used to add this payment to. The transactions dated11/05 or earlier are also incorrect to use as the date of the payment is 26/05,so a new cashbook transaction needs to be added by clicking “Add”.

5. Click “Save and Exit”.6. Enter the allocations. See the document "Allocate Vendor Payment" for more

information.7. Click “Exit”.

Cashbook Vendor1. From the base GlobalBake menu select Ledger > Cashbook All.2. Click “Add”.3. Select Cashbook Vendors and click “OK”.

4. Enter the date, then any of Name of Other Party, Mts, Particulars, Code, BankReference and Memo. When the transaction has been reconciled, then Date andPage No in the Bank Statement section will be automatically entered.

5. Click on the first empty line in the table.6. Enter Vendor, payment amount and discount if any. You can enter a comment

in the box under discount if required.

7. Click “Save and Exit”.8. Enter the allocations. See the document "Allocate Vendor Payment" for more

information.9. Click “Exit”.
