Outlook 2013 Quick Start Quick Start Guide Email Folders Using Quick Steps Managing Email Mark as Read/Unread: Hover over the leſt hand side of the email message unl a blue rectangle appears. Click on the blue rectangle to mark the message as Unread. NOTE: An unread message will have a blue vercal bar to the leſt of the message and the message header will be bold. Delete a Message: Hover over the email located in the mes- sage list. Press the red (Delete) buon to delete the message. Reply, Reply All, Forward: Open the email message so that you can read the mail contents in the reading pane. Press the “Reply”, “Reply All”, or “Forward” buon located at the top of the email message. Search for Emails Search for emails by typing in the email keyword into the “Search Inbox” box located at the top of the email list view. Use the dropdown box to select which folders or mailboxes to search. Create Folders: You can create a new email folder by right-clicking on any folder in the leſt-hand side folder toolbar, then selecng New Folder. Rename a Folder: Right click on the folder you wish to rename, then select “Rename Folder”. Move Folders: You can move a folder to a different locaon by selecng the folder, then drag and drop the folder to the new locaon. Move Emails into Folders: Simply select the email you would like to move, then drag and drop the email into the new folder locaon. You can also right-click on the message, select “Move”, then select your desired fold- er from the list. Use email Quick Steps, located in the top toolbar, to quickly reply to emails, move emails into folders, and create Outlook calendar appointments. Simply select a message, then click the appropriate Quick Step buon to perform that acon. To cre- ate a new Quick Step, click the Create New buon. Email Signatures To create or edit email signatures, click the New Email buon, to start a new message. Click the Signature buon, then select Signatures to manage your signatures. Press the New buon to create a new signature. Type your signa- ture message into the text box below. Click the Save buon to save your signature. You can create as many signatures as you would like. To select a default signa- ture for all of your emails, select your signature choice in the box located in the right-hand side of the signatures window.

Email Folders Using Quick Steps Managing Email

Mark as Read/Unread: Hover over the left hand side of the

email message until a blue rectangle appears. Click on the

Delete a Message: Hover over the email located in the mes-

sage list. Press the red (Delete) button to delete the

message.

Reply, Reply All, Forward: Open the email message so that

you can read the mail contents in the reading pane. Press the

“Reply”, “Reply All”, or “Forward” button located at the top

of the email message.

Search for Emails

Search for emails by typing in the email keyword into the “Search

Inbox” box located at the top of the email list view. Use the

dropdown box to select which folders or mailboxes to search.

Create Folders: You can create a new email folder by

right-clicking on any folder in the left-hand side folder

toolbar, then selecting New Folder.

Rename a Folder: Right click on the folder you wish to

rename, then select “Rename Folder”.

Move Folders: You can move a folder to a different

location by selecting the folder, then drag and drop the

folder to the new location.

Move Emails into Folders: Simply select the email you

would like to move, then drag and drop the email into

the new folder location. You can also right-click on the

message, select “Move”, then select your desired fold-

er from the list.

New Email

Press the New Email button, located in the upper left-hand

corner of the screen, to start a new message. Click the To:

button to add contacts to your email message. Press the

Attach File button to add attachments to your message.

Click the Signature button to add a custom made signature

to your email message. Press the Send button to send your

email message.

Quick Steps help you quickly perform regular email manage-

ment tasks, like sending an email into a commonly used folder.

Use email Quick Steps, located in the top toolbar, to quickly

reply to emails, move emails into folders, and create Outlook

calendar appointments. Simply select a message, then click the

appropriate Quick Step button to perform that action. To cre-

ate a new Quick Step, click the Create New button.

Email Signatures

To create or edit email signatures, click the New Email button,

to start a new message. Click the Signature button, then

select Signatures to manage your signatures. Press the

New button to create a new signature. Type your signa-

ture message into the text box below. Click the Save

button to save your signature. You can create as many

signatures as you would like. To select a default signa-

ture for all of your emails, select your signature choice in

the box located in the right-hand side of the signatures

window.

View other Calendars Right-click on “My Calendars”, located in the left-hand side

toolbar, select Add Calendar, then select “From Address Book” or

“From Room List”. Locate your user or room to add them to your

calendar list. Check the box of the calendar you wish to view In

the left-hand side calendar view toolbar. NOTE: You may have to

ask the user for permissions to view their calendar. Please see the

section on “Calendar Permissions” in this guide for more infor-

mation.

Calendar Permissions

From Calendar view, press the Calendar Permissions button

located in the top toolbar. Click the Add button to add a

user to your calendar view. Select the new user, then set

their permissions by clicking the Permissions Level drop-

down box or selecting their individual read/write/delete/

other permissions from the radial buttons below. Click the

OK button to save your changes.

New Meeting

Press the “New Meeting” button located in the top toolbar. Click

the TO: button to add attendees to your meeting. Press the

Rooms button to select your meeting room. Set the meeting

start and end date/time. Set your reminder by using the drop-

down box located in the top toolbar. Press the “Recurrence”

button if this is a recurring meeting. Press the Send button to send

your meeting invitation. NOTE: Use the “Scheduling Assistant”

button to view open dates and times for users and rooms.

Outlook People (Contacts)

Select “People” from the bottom Outlook toolbar to view

your Outlook contacts. Select a contact from the contact

list to view the contacts details. Click the Edit button, locat-

ed in the right-hand side of the contact window, to edit the

contact information. Click the (Mail) button to quickly

send an email to that contact.
