Chapter 1 Introduction

The Merge Referral Portal (MRP) application provides online, real-time, secure access to both current and historical patient reports and images, patient and appointment status, and emergency access for hospital or clinic office collaboration or in an emergency situation.

The portal functions as a point of access for referring physicians and staff. It is designed to assist hospitals and imaging centers reduce operating costs while accelerating communication with the referral base.

WARNING: The Merge Referral Portal is not cleared for diagnostic review when used on a mobile device.

This guide describes how to do the following:

• Log on and off the portal and reset your password, see “Getting Started” on page 5.

• Use the navigation buttons, see “Navigating the Portal” on page 9.

• Use the Dashboard, see “Dashboard and Widgets” on page 27.

• View and print reports, see “Viewing Reports” on page 55.

Key features of the Merge Referral Portal application include:

• Compact, low-maintenance application that runs entirely within a browser

• Requires no download or installation

• Intuitive user interface that requires little or no training

• Immediate and reliable access to images and reports

• Lossy (8:1 compression ratio) and lossless (full resolution) image support

• Secure transmission of images over the Internet using HTTPS

• Scalability that is vital for enterprise networks and multi-site systems

• Requires no consumables such as film or disks to send images

• User/group management controls ensure only those authorized can view images

Indications for Use

The Merge Referral Portal application provides referring physicians and other medical professionals with online access to patient reports, medical images, and appointment status, and emergency access for hospital or clinic office collaborations or for access in emergency situations.

Safety Precautions

This section contains a list of safety precautions that you must be aware of when using the Merge Referral Portal application.

Repetitive Strain Injury

As with all computer systems, there is a risk of repetitive strain injury if the workstation is used excessively. Repetitive strain injury can include symptoms such as eyestrain, backache, and so on.

WARNING: Excessive use of the workstation may result in repetitive strain injury.

Introduction

Image Compression

It is possible to misinterpret JPEG (i.e., lossy compressed) images due to the loss of information from the image. To avoid misinterpretation, for all JPEG images, the application displays the image compression and its quality in the Review toolbar (e.g., JPEG (Q=80).

Date and Number Format

On the client workstations, the date and number format displayed in the Study and Viewer windows reflect the configuration used by the Merge Referral Portal server and not the configuration used by the client workstation.

NOTE: The Merge Referral Portal application assumes US date and time formatting. For more information about the date and number format, contact your Portal Administrator.

Magnetic Interference

The images displayed on the workstation’s monitor(s) can be distorted by strong magnetic fields; therefore, the workstation should be positioned outside the 5 Gauss (0.5 mT) magnetic fringe field.

CAUTION: Position the workstation outside the 5 Gauss (0.5 mT) magnetic fringe field.

Computer Virus Protection

Computer viruses can prevent the application from working properly. We recommend you protect the workstation with anti-virus software. Contact your System Administrator for further details.

CAUTION: It is recommended that you install anti-virus software on your workstation.

About This Guide

This guide assumes that you are familiar with the basic operation of personal computers, such as how to turn them on, how to use the mouse, and how to work in the Microsoft Windows Operating System environment (such as opening and closing windows, using a browser and understanding Windows terminology).

NOTE: Cross-references in blue text are hyperlinks.

This guide uses screen captures to illustrate various steps and procedures. The screen captures serve as examples only and may differ from what you see on your monitor.

Notes, Cautions, and Warnings

Chapter 2 Getting Started

This chapter describes how to log on to the Merge Referral Portal application and how to change your password. Before you can access the application, a Practice or System Administrator must create a user account and send you the login information. For details on creating user accounts, refer to the Merge Referral Portal Administrator’s Guide.

NOTE: Users may also log on to the portal from their Web site with an embedded login that bypasses the portal Log In page after the user account has been authenticated.

Logging On to the Portal

This section describes how to access and log on to the Merge Referral Portal application using your user name and password. The first time you log on to the application, you are prompted to change your temporary password. Your user name and a temporary password are provided to you by the System Administrator.

To log on to the application

1. Open a Web browser and in the address bar type http://hostname/Portal.Web where hostname is the host name or IP address of the Merge Referral Portal Web server.

2. Type your user name and password in their respective fields. If you have forgotten your password, see “Forgotten Passwords” on page 7.

3. If you are logging on to the application for the first time, you must change your temporary password. Do the following:

• In the New Password and Confirm Password fields, type a new password. The strength of the password depends on the settings defined by your System Administrator.

• Click Submit.

4. After you log on to the application, the dashboard opens. The features available to you depend on the permissions set by your Practice or System Administrator. Refer to the appropriate chapters in this guide for instructions.

Changing Your Password

You can change your password at any time through the Profile page.

To change your password

1. From the Merge Referral Portal navigation bar, click Profile. The Profile page opens.

2. Click Change Password. The Change Password page opens.

3. In the Change Password page, do the following:

• In the Current Password field, type your current password.

• In the New Password and Confirm Password fields, type a new password. The strength of the password depends on the settings defined by your System Administrator.

• Click Submit.

Password Standards

Password standards are set by the System Administrator and include:

• Character length — minimum number of alphanumeric and non-alphanumeric (such as #%&*) characters required.

• Case sensitivity — passwords are case sensitive.

NOTE: The password characteristics and expiration period are displayed on the Change Password page.

Forgotten Passwords

If you have forgotten your password, click Forgot Password? Click Here. In the Email field, type the email address associated with your account and click Submit. The application emails you a temporary password. After you successfully log on to the application with your temporary password, you are prompted to change your password.

Expired Passwords

If your password has passed the expiration date, you are prompted to change your password. You must enter the password twice and both fields must match for the new password to be accepted.

After the system confirms the successful password change, click OK to return to your home page.

Logging Off

For security reasons, you should always log off from the portal when you are finished using the system. Click the Log Out button on the navigation bar in the portal to log out. You are returned to the Log In page. Close the browser window to exit the portal.

NOTE: After ten minutes of inactivity you are automatically logged off from the portal. System Administrators can modify this time limit.

Chapter 3 Navigating the Portal

After successfully logging on to the portal, you are directed to your home page, as configured in your user account. The portal’s navigation bar displays links to the most used functions of the portal and the name of the user account logged on to the portal. The name displayed on the navigation bar is the user’s display name configured through their profile. The functionality of each link in the navigation bar is described in this section.

NOTE: The buttons displayed in your navigation bar depend on the permissions defined for your account.

Home

The Home page contains customizable images and messages created by the System Administrator (at the system level) or the Practice Administrator (at the practice level).

NOTE: You can change your home page to display the Dashboard, the Recent Reports page, or the Active Referrals page instead of the default home page (see “Updating Your Profile” on page 15).

Dashboard

The Dashboard page displays the most recent information that is available to the referring practice. This page opens when you log on to the portal for the first time. For more information, see “Dashboard and Widgets” on page 27.

Accessing Image Viewers

MRP can be configured to use the iConnect Access image viewer and/or the Merge PACS viewer to open and review images. For instructions on using the iConnect Access image viewer, refer to the iConnect Access User’s Guide. For information on using the Merge PACS image viewer, refer to the Merge PACS Workstation Advanced User’s Guide.

NOTE: To obtain a copy of the iConnect Access User’s Guide or the Merge PACS Workstation Advanced User’s Guide, please contact your System Administrator.

Image availability is indicated as follows:

• A green check mark means that associated images are available.

• A red X means that images are not currently available or that MRP has not yet been notified that images are available in PACS.

NOTE: Referring Physicians can now launch a study from a camera with a red indicator (and no longer have to wait for image availability to enable the green indicator) when the study is available in PACS and MRP has yet to be notified that the study is available.

NOTE: When attempting to launch a study from a camera with a red indicator, you may encounter a message indicating “No studies that match the search criteria could be found”. This message means that the study was not found in PACS, although MRP made an attempt to launch the study. You should close the image viewer in MRP to return to the previous screen.

If the System Administrator has enabled the Display View Image for each Viewer option for your user account, then the widget displays two sets of icons for each exam, enabling you choose whether to open the exam in the iConnect Access Viewer ( ) or the Merge PACS Viewer ( ). If only one icon is displayed, the exam opens in either the iConnect Access Viewer or the Merge PACS Viewer (as configured by the System Administrator). If there are no icons, then image viewer access has been denied.

NOTE: The Merge PACS Viewer is supported on Windows only. As a result, the Merge PACS Viewer is not supported on the iPad.

NOTE: For the best user experience, Windows XP users should use browsers Chrome or Firefox. The use of Internet Explorer 8 is not recommended.

Navigating the Portal

You can change the compression by selecting the desired setting from the Compression drop-down list. The “Lossless Images” setting selected in the deployment tool is the default (lossless if enabled, lossy if disabled). If the setting is changed, the selection is preserved for the current session.

To close the Image Viewer, click the x at the top right of the browser. You are returned to your previous location on the portal. If you have changed the compression or have navigated directly to the Image Viewer by cutting and pasting the URL into the address bar, you are returned to the Dashboard.

Active Referrals

The Active Referrals page displays all active exam orders. Completed reports are not displayed on the Active Referrals page.

The number of records displayed is limited by an upper bound set by the System Administrator. Pagination is enabled if the returned sets of information are larger than an individual page. To sort the contents of the Active Referrals page, click any of the following column headers:

• Priority — Exam priority as defined in the RIS.

• Last Name, First Name, Date of Birth.

• Modality — Type of modality as stored in the RIS.

• Procedure — Description of the procedure as stored in the Radiology Information System (RIS).

• Accession or Order # — Unique examination accession or order number generated by the Radiology Information System (RIS). It is used by the RIS system to track the radiology order, scan, and report.

• Exam Date — Procedure appointment date.

• StudyUID — Unique study identification number used as an alternative to accession number.

• Physician — Referring physician.

• Location — Location of the procedure as stored in the RIS.

• Status — Status of the active referral in the RIS as defined for the Merge Referral Portal.

• Images — Camera icons indicate whether images are available for the exam. See “Accessing Image Viewers”.

The Recent Reports page displays a full page view of all of the reports for the selected date range. The application provides four default search ranges to filter the reports: Yesterday; One Week; Two Weeks; and 30 Days. To specify a custom search range, use the calendar filter.

You can also view the Recent Reports page by clicking the Maximize button from the Recent Reports widget. Reports are returned when you click Submit after selecting the date range. Results are filtered by the selected Practice Affiliation or the Referring Physician.

The Batch Print button enables you to print reports for the specified date range. The batch printing option requires Adobe® Acrobat® Reader because the batch reports are rendered as PDF files.

NOTE: The number of reports per request for batch printing is limited by the value set by the Portal Administrator.

The number of results returned per page is limited to an upper limit that is set by the System Administrator. Pagination is enabled if your search criteria return more than the page limit. To sort the contents of the Recent Reports page, click any of the following columns:

• Priority — Exam priority as defined in the RIS.

• Last Name — Patient’s last name.

• First Name — Patient’s first name.

• Date of Birth — Patient’s birthdate.

• Modality — Type of modality as stored in the RIS.

• Procedure — Description of the procedure as stored in the RIS.

• Accession # — Unique examination accession number generated by the Radiology Information System (RIS). It is used by the RIS system to track the radiology order, scan, and report.

• Exam Date — Procedure appointment date as stored in the RIS.

• StudyUID — Unique study identification number used as an alternative to accession number.

• Physician — Referring physician.

• Location — Location of the procedure as stored in the RIS.

• Radiologist — Radiologist responsible for the radiology order, scan, or report.

• Report — Click View Report to return the report to the portal window (see “Viewing Reports” on page 55).

• Images — A camera icon indicates an image availability for the exam. For more information, see Images on page 12.

• Return Appointment — Toggles between “Add” and “Remove” to add or remove the report on the “Today’s Appointments” widget for the referring physician. Clicking Add requires you to select an appointment date and time (see “Today’s Appointments” on page 37).

Portal Administration

The Portal Admin button enables System Administrators to customize the portal’s messages, and emails. It also enables System Administrators to create and manage users accounts. Refer to the Merge Referral Portal Administrator’s Guide for more information. For Practice Administrators, the button is labeled Practice Admin. Practice Administrators can only create and manage user accounts for their practice.

Online Ordering

The Online Ordering page is used to submit orders to the RIS and to populate the Orders to Schedule work list. For details, see “Ordering Exams Online” on page 59.

Updating Your Profile

This section describes how to manage your account settings.

To edit your profile

1. In the Merge Referral Portal navigation bar, click Profile.

2. On the Profile page, update any of the following fields:

• User Delegate — If your user account allows user delegation, you may identify a delegate. For more information, see "Identifying Delegates" on page 16.

• Image Viewer Configuration — Select the image viewer(s) to use when viewing study images. Options include:

• Use iConnect Access Viewer — If selected, the exam is opened in the iConnect Access Viewer (if available and configured).

• Use Merge PACS Viewer — If selected, the exam is opened in the Merge PACS Viewer (if available and configured).

NOTE: For a viewer to be available to the MRP application, either iConnect Access and/or Merge PACS must be installed and properly configured.

• Display View Image for each Viewer — If selected and both viewer options are selected, the Active Referrals widget displays two sets of icons for each exam, enabling you choose whether to open the exam in the iConnect Access Viewer (the left icon) or the Merge PACS Viewer (the right icon). If selected and one viewer option is selected, then the Active Referrals widget displays one icon, which opens the specified viewer. If Display View Image for each Viewer option is not selected and both viewer options are selected, then the icon opens the iConnect Access Viewer.

• Email Notification — Enables you to add or edit email addresses to which notifications are sent. For more information, see "Configuring Patient Search Preferences" on page 20.

• SMS Notification — Enables you to configure SMS notifications. Fore more information, see "Configuring SMS Notifications" on page 18.

• Widget Page Size — Set the number of records to display in each widget on the dashboard. The upper limit of records to display is set by the System Administrator.

• Home Page — Identify the page that is first displayed when you log on to the application.

• Hide Key Images On PDF Reports — If you select this option, Key Images are not displayed on PDF reports.

3. To change your password, see “Changing Your Password” on page 6.

4. To configure the patient search parameters, click Configure Patient Search. In the page that opens, select the fields that you want to appear in the Patient Search page.

NOTE: The availability of the configure patient search function depends on the user account settings defined by the System Administrator.

5. Click Submit.

Identifying Delegates

If your account has been configured to enable you to identify delegates, you can delegate your exams and studies to another physician or practice that is defined within the system.

Delegation is restricted to users for whom Allow Access Delegation is enabled within their user profile. If this feature is not enabled for your account, contact your System Administrator.

To identify delegates

1. Open your profile page.

2. Search for the delegate by clicking Find next to the User Delegate field. You can use the wildcard % when performing the search.

3. Select the delegate from the search results. The user’s name appears in the User Delegate field.

To remove delegates

1. Open your profile page.

2. Select Remove this delegate.

3. Click Submit to save your changes.

Configuring Email Notifications

The following procedure describes how to configure one or more email addresses to receive email notifications for specific events.

To configure email notifications

1. In the Email Notification group box, click Add Email. The Email Notification group box appears as follows:

4. The Email Notification Actions box enables you to identify the events that generate an email notification:

• Critical Report Findings — External systems, such as RIS or PACS, can notify referring physicians via email or SMS that critical findings exist. Once received, the referring physician can indicate acknowledgement or non-understanding of critical results. These acknowledgements can be passed to external systems (RIS or PACS). Critical results and related activities are captured for audit purposes.

• Report Completion — The radiology exam report for a referred patient is ready for review.

• Significant Report Findings — The radiology exam report findings are not negative and contain significant findings.

• Appointment Cancelled — An appointment has been cancelled.

NOTE: For information on configuring and enabling email notification actions, see the Merge Referral Portal Installation Guide.

5. If you want to remove an existing email notification, select Remove this email notification. The deletion is made after you click Submit.

6. You can optionally configure another email address by clicking Add Email again.

7. Click Submit to save the configuration.

NOTE: If you change the email address for notifications in the user profile, the new email address will receive all the messages for the reports that have not yet been reviewed.

Configuring SMS Notifications

The following procedure describes how to configure one or more cell phone numbers to receive SMS notifications for specific events.

NOTE: Users with trial Twilio accounts will encounter restricted functionality, such as no audit logging and limited error messaging. Users are encouraged to have a valid, registered Twilio account when sending anything other than test SMS messages. Contact your administrator if you have questions about your version of Twilio.

Configuring Patient Search Preferences

The following procedure describes how to select the parameters that are available to you when you perform a patient search.

To configure patient search

1. Open your profile page.

2. Click Configure Patient Search. The Patient Search Screen Configuration screen opens.

NOTE: If the System Administrator has restricted access to the Patient Search Screen Configuration page, this option will not be available.

3. Select the fields that you want to include on the Patient Search screen. You can specify a minimum number of characters that will be accepted for name searches.

4. Click Submit to save your changes.

Configuring the Online Ordering Screen

If your System Administrator has configured your user account to enable you to modify the online ordering screen, you may perform the following procedure to include or omit the fields that appear on the Online Ordering screen.

System Administrators are limited to searches with a scope of Audit.

To search for patients

• My Patients — Only available for physicians and includes all patient records referred by the Referring Physician who is logged on to the portal. The filter also includes records that are configured in the RIS to send reports to a Courtesy Copy physician.

• My Practice Affiliation — Only allows for searches of patient exams ordered from a location with a Practice Affiliation in which the physician user is associated with or that the user has been granted access to (all other users).

• Emergency/Referral — Requires security restrictions to enable search (see “Emergency/Referral Searches” on page 25).

• Audit — Available for Portal Administrators only. Refer to the Merge Referral Portal Administrator’s Guide.

Emergency/Referral Searches

Emergency/referral searches require an exact match of the patient’s first and last name and date of birth. Users must have assigned security permissions to perform a search of the entire patient database (provided the user accepts a privacy admission statement). This acceptance is included in the auditing process.

NOTE: If the System Administrator has restricted access to the Emergency Search feature, this option will not be available.

Requirements for emergency/referral searches include the following:

• Reason for Access — Select “Emergency Care for Patient” or “Patient was Referred to Office” as a reason for access to a patient’s record in the RIS.

• Do you have the patient’s signature for release on file? — Select the Yes or No.

• HIPAA Warning — Click OK to accept the HIPAA Warning message to populate the search results. This message is configurable by System Administrators.

Chapter 4 Dashboard and Widgets

The Dashboard displays widgets that provide an “at a glance” view of recent or predetermined patient or practice information. Links to exam reports and images are available when applicable.

Default Displays on Widgets

By default, the widget displays on the Dashboard are as follows:

• Five rows of records are displayed per widget. You can change this display through your profile (see “Updating Your Profile” on page 15).

• The number of records available is shown on the bottom of the widget box.

• Tool tips are available when hovering over the widget title.

• The following buttons are available on the widgets:

Refresh — Forces a manual update of the selected widget’s data.

Minimize — Minimizes the widget to just the header display. Click the button again to restore the widget view.

Maximize — Maximizes the widget to a full window in the portal and expands the data. Data varies by widget (see “Available Widgets” on page 30).

Settings/Close —

Settings — Enables you to configure the number of records displayed per widget and/or the number of days prior for which to display the records. These configurations vary per widget.

Close — Removes the widget from the Dashboard and saves the new Dashboard layout.

• Paging Arrows — If more records are available than shown in the standard view, use the forward and back arrows to page through the list.

• On many of the widgets, clicking the patient’s name returns the patient’s report to the portal. This function is specific to the widget (see “Viewing Reports” on page 55).

• Clicking the camera icon opens to the study’s associated images in either the iConnect Access Viewer or the Merge PACS Viewer. For more information on camera icons, refer to “Accessing Image Viewers” on page 10.

• Clicking the Maximize button displays the full page view and expands the data. Each widget has its own set of expanded data when the widget is maximized.

• Clicking the down arrow next to the patient’s name displays the data for the widget drawer.

• Placing the cursor in the white area of a patient row (or over the patient’s name) displays the patient’s date of birth, the modality, and the procedure.

NOTE: If multiple users share an iPad, it is recommended that the browser history and cookies be cleared before each user logs on.

Widget Management Tools

The Dashboard page contains four management tools that enable you to customize the look and functionality of the Dashboard.

• Add Widget — Select the widget that you want to add to the Dashboard and click Add.

• Restore Default Layout — Restores the Dashboard to the default configuration.

• Add Column — Adds a column to the right of the existing columns on the Dashboard to a maximum of five columns.

• Remove Column — Removes a column from the right side of the page.

NOTE: Widget boxes are resized to accommodate the addition or removal of columns. You can manually resize the widget from the right or bottom edge of the widget box.

Exam Priority Your patient’s exams with a high-priority status. See “Exam Priority” on page 40.

Critical Results Exams/studies with critical results. The system displays radiologist callback information to the referring physician in cases where critical results exist. A user interface is provided through which the referring physician can indicate acknowledgement of critical results event. See “Critical Results” on page 46

Incomplete Radiology Appointments

Today’s Appointments

The Today’s Appointments widget displays the physician’s appointment schedule for the current date. This widget is populated from the Recent Reports page. This widget may be empty if there are no appointments scheduled.

NOTE: There is no “Settings” option for this widget to set the number of days back to view reports.

Patient records are removed from the Today’s Appointments widget by one of the following ways:

• The date for the selection has expired.

• The patient is removed from the appointment list. This action removes the patient from the widget for all portal users. The change is applied when the page is refreshed.

PreCertification

The PreCertification widget displays exams that require precertification approval. This widget displays the authorization status as defined by the RIS. It also displays a user defined range of all exams awaiting approval.

The patient’s name links to the widget drawer so you can add the precertification number and enter an expiration date for the precertification approval. You can also display the patient’s drawer at the same time by clicking the arrow next to the patient’s name. To close the PreCertification box, click the patient’s name again.

NOTE: When you click Submit, the PreCertification fields are no longer available for this patient. The patient is removed from the widget once the authorization is verified in the RIS or if the record falls outside of the user’s setting for the number of days to display the information.

When using the Merge RIS application, the precertification data populates the Comment field of the Eligibility Work Queue. The application displays the authorization number and expiration date. It also displays the date, time and name of the user who entered the information in the portal.

Addenda

Addenda to patient reports are automatically updated within the portal upon confirmation of the radiologist’s signature. Each addendum is displayed in the report below the original report content.

NOTE: The addenda for several widgets do not appear when viewed on the iPad because swiping is not available. However, you can click the Print PDF button to open the report in the default PDF viewer, which allows you to swipe to view multiple pages.

Prior Study List

If a report exists for a patient’s prior exam(s), the Priors button is enabled on the patient’s report. Click Priors to display a list of the patient’s prior exams and associated image sets sorted most recent to oldest reports.

NOTE: The list of prior exams for a report does not display cancelled exams as the referrer only wants to see actual reports for priors. However, cancelled exams are displayed in a patient search so the referrer knows the complete patient history.

Viewing Reports

The Priors selection dialog box contains the following data:

View Images Button

If you have access rights to view images, the View Images button is enabled on the patient report. Click View Images to launch the Image Viewer in the portal (refer to the iConnect Access User’s Guide.

Printing PDF

Reports are viewable and printable in PDF format. Click Print PDF to open the report in Adobe Acrobat Reader.

NOTE: An Adobe PDF Reader is required to print the PDF report. You may need to manually install one on your computer.

The display of client logos is supported in the PDF view of reports. The supported browsers for this feature are Internet Explorer 9, Chrome, and Firefox. This feature is not supported for Internet Explorer 8. For Internet Explorer 8, an HTML rendering of the report is displayed.

Chapter 6 Ordering Exams Online

This chapter describes how to create online orders for radiological procedures. You can create orders for new or existing patients. All of the form fields have corresponding fields in the RIS and information entered on the form is reflected at the RIS patient or encounter level.

NOTE: The availability of the online ordering feature depends on the user account settings defined by the System Administrator.

NOTE: The fields that are displayed in this page are defined by the System Administrator. As a result, the Online Ordering page in your instance of the application may not appear exactly as displayed in this chapter.

NOTE: Staff members can submit online orders for physicians. When the Physician logs in to MRP the order can be viewed in the Outstanding Orders widget. The physician reviews the order and signs it, being accountable for the information submitted. For more information, see “Outstanding Orders” on page 52.

To submit an order online

1. Click Online Ordering. The Online Ordering page opens.

2. Do one of the following:

• Search for the patient record. See “Searching for Patients” on page 61.

• Manually record the patient information in the Patient Information group box.

3. If necessary, you can change the referring physician or change the physician to whom the results are sent.

4. You can add one or more physicians to whom results are sent. See “Referring Physician Information” on page 62.

5. In the Primary Insurance group box, record the patient’s insurance information. To specify another insurance carrier, click Add Insurance Carrier. A blank insurance group box opens. For more information, see “Primary Insurance” on page 63.

6. In the Procedure group box, identify one or more procedures. See “Procedures” on page 64.

7. Click Submit to submit the online request. You are now required to digitally sign the order. See “Signing Online Orders Electronically” on page 65.

Ordering Exams Online

Searching for Patients

You can search for patients by name and date of birth or by social security number (SSN).

For non-SSN enabled searches, if multiple matching records are returned, the patient’s address is displayed to help you identify the proper record to use for the order. Exact matches are automatically loaded on to the Online Order form. If no matches are returned, the patient information must be entered as a new patient.

For SSN-enabled patient searches, an exact match must be returned to populate the Patient Information section of the Online Ordering form. If the exact SSN match is not found, the patient information must be entered as a new patient.

To order exams for existing patients

1. On the Online Ordering page, click Patient Find. The Patient Find dialog opens.

2. Do one of the following:

• Type the exact first and last name, the patient’s date of birth (mm/dd/yyyy) and optionally, the patient’s gender.

• Type the patient’s social security number.

NOTE: If SSN search is enabled, it is the only required field. If SSN search is not enabled, all the fields except Gender are required.

3. Click Search. The application displays all matching patient records.

4. Select the patient for the online ordering procedure by clicking Add in the search results.

Referring Physician Information

The following procedure describes how to add one or more referring physicians to the online order and optionally identify the individual(s) to whom results are to be sent.

To complete the Referring Physician fields

1. From the Referring Physician drop-down list, select the referring physician.

NOTE: Non-physician users can select any physician for their Practice Affiliation. For physicians, the referring physician selection is restricted to themselves.

2. From the Send Results To drop-down list, select the office location to which the reports should be sent.

3. Click Add CC Physician to add one or more physicians needing a copy of the report, if applicable. The CC Referring Physicians section is displayed.

NOTE: Up to three physicians to receive a courtesy copy of the report can be included in the request.

4. Click Find to search the RIS database to populate the CC Referring Physician field. The search criteria must be a minimum of two characters in the First and Last Name fields, with the second character typically being the wildcard character (%).

5. In the Send Results To field, select the office location to which the courtesy reports should be sent.

6. Click Remove to remove the courtesy copy selection for the referring physician from the request, if applicable.

Primary Insurance

Enter the primary insurance information for the patient and click Add Insurance Carrier to display an additional section if you need to enter secondary or tertiary insurance carriers.

To record insurance information

1. In the top portion of the group box, record patient’s primary insurer information.

2. Identify the cardholder of the primary insurance in the Insured Information group box.

3. If the patient possesses secondary coverage, click Add Insurance Carrier. Another group box appears, enabling you to identify the patient’s secondary coverage and cardholder information.

Procedures

Up to ten procedures may be ordered per online request.

To order one or more procedures

1. Select the priority for the order.

2. Select the reason for the order. The list displays the available reasons for the order.

3. Select the modality, as defined in the RIS. You must select the modality to populate the procedure and location selection boxes.

4. Select the procedure. The list displays the available exams for the modality selected. The procedure selection may be further limited by the location selected in the next step.

5. Select the location. The list displays the locations available to perform the selected procedure.

6. Type the chief complaint that describes why the selected procedure is required.

NOTE: The Primary PreCert fields are insurance-specific but are entered for the procedure to which the authorization is assigned.

7. To include pre authorization information for the procedure, complete the following fields:

• Enter the primary precertification number

• Select the expiration date from the date picker

• Enter comments, if applicable

8. Click Add Procedure. Repeat the previous steps to include additional procedures on the request, if applicable.

9. Click Submit. Any missing information required for the request is flagged and must be supplied before the request can be successfully ordered. When an order is submitted successfully, an order confirmation page is returned for the requester to review and confirm the order.

NOTE: Based on your user account configuration, if you have manually entered patient information, you may see the following message:

“This order for a new patient will be sent using email. Please click Sign/Submit button to proceed with this order.”

For more information, see your Administrator.

10. Do one or more of the following:

• If your account is configured to allow electronic signatures for online orders, see “Signing Online Orders Electronically” on page 65.

• Click Print if you want to print the order confirmation page. A print preview dialog displays.

• Click Edit if you need to make changes to the order. Edits made to the request at this time will require that the order be resubmitted and reconfirmed.

Orders may be cancelled at this time. When an order is cancelled, all form data is lost. To add orders, click Online Ordering again and repeat the steps outlined in the procedure described in this chapter.

Signing Online Orders Electronically

The MRP application enables users to sign online orders electronically. When this feature is enabled, the Order Confirmation page includes a Sign button. The electronic signing process requires you to re-enter your user name and password. If this feature is not available, contact your System Administrator to enable this feature for your account.
