User Manual SAP Web Viewer
1 Introduction
For SAP-based installations, user may use the SAP Web Viewer in order to access documents that are
archived in SAPERION. A login into the SAPERION Web Client is not necessary.
The SAP Web Viewer is based on the SAPERION Web Client so that the installation is equivalent to
the Web Client. If you have installed the SAP Web Viewer and have made the appropriate configuration
in SAP, you can activate the SAP Web Viewer by selecting a SAP document and using the command
"Display".
This manual describes the function of the SAP Web Viewer.
2 The SAP Web Viewer
2.1 User Interface
The SAP Web Viewer provides a toolbar with file, annotation, and graphic editing commands to make
the application easier to use. The viewer allows you to display or not display the toolbar buttons on the
top of the screen.

The user interface of the SAP Web Viewer can be configured according to your requirements. Normally,
following components are available:

+ The editing area is positioned in the center of the viewer. Here, the currently selected page of a
document is shown for editing.
+ Via the main menu including the toolbar file functions can be called up.
+ Via the annotation toolbar (on the left side of the viewer) the annotation functions are available.
+ In the preview area single pages of the currently opened document can be selected for editing.
+ With a click on the [SAP Notes] button the SAP notes editor opens. Here, you have several functions
for editing SAP notes.
+ Below the editing area, the status bar offers information about the currently opened document.
+ In the "Structure" area, single document parts can be selected.
i At the first start on your computer the applet of the Java instance starts and possibly additional
data must be retrieved from the server. This process may take some time, but is a nonrecurring
action. Afterwards these information are saved at the Client. After the start phase the document
is called up from the server and will be displayed.
2.1.1 Viewer Toolbar
To view the toolbar buttons, select VIEW > TOOLBAR from the main menu. When the toolbar buttons
are displayed, "Toolbar" displays with a check in the "View" menu.

+ When you select the [Magnifier] and [Pan] tool buttons from the toolbar, the button is pressed in to
indicate that it is active. The button’s function stays active as long as the button is pressed in.
+ When a feature is not relevant for the image that you are working on, the button is grayed out. For
example, if you are working with a one page image, the [Next Page] and [Previous Page] buttons
are grayed out.
The following table lists the functions of each icon:

2.1.2 Annotations Toolbar
The annotations toolbar displays buttons that you can use to draw annotations. Alternatively you can
select corresponding commands from the "Annotation" menu.
The following table lists the functions of each icon:

2.1.3 Status Bar
The status bar displays following information:
+ The page number for the document displayed
+ The percentage that the document is magnified
+ The dimensions of the document
+ The file name of the document

To select a different page in the status bar, enter the page number or select the [Next page] or [Previous
page] button.
To select a specific percentage of magnification, enter the percentage on the status bar.
To view the status bar, select VIEW > STATUS BAR from the main menu. When the status bar is displayed,
"Status bar" displays with a check in the "View" menu.
2.1.4 Thumbnails
The thumbnails panel at the right of the screen gives you the option to display images and documents
stored on your server as thumbnails. To work with an image or document in SAP Web Viewer, click on
the thumbnail.

To view the thumbnails panel, select VIEW > THUMBNAILS from the main menu. When the thumbnails
panel is displayed, "Thumbnails" displays with a check in the "View" menu.
2.1.5 Information
At the right bottom of your web browser window the current date and time is displayed. Additionally
the information button is offered. Clicking on it a dialog which contains information about the currently
viewed document and your viewer version opens.

The "Information" dialog contains the following entries:
+ current SAP Viewer version
+ Document-ID
+ Archive (DDC) in which the currrently opened document is saved
+ Viewer Applet version

In this chapter you will learn about how to work with the SAP Web Viewer.
3.1 Using the "File" Menu

3.1.1 Reload Document
You can reload the document to view it as it was before you modified it.
3.1 Using the "File" Menu

To reload the document, select FILE > RELOAD DOCUMENT from the main menu. SAP Web Viewer
reloads in the current window.
3.1.2 Save Document
To save the document that is opened in the current window, select FILE > SAVE AS from the main menu.
3.1.3 Print
You can print to any resolution supported by your printer. Printing is compatible with any industrial or
commercial printer that is supported by your operating system.
i If you are experiencing problems trying to print, check that you have the latest printer driver
installed.
Proceed as follows to print images:
1. From the menu, select FILE > PRINT to display the "Print" dialog.

2. In the "Name" field select the printer where you want the document to print.
3. In the "Print range" section, select by activating the corresponding radiobutton "All",
"Pages" or "Selection".
4. In the "Copies" field, select the number of copies that you want to print.
5. Click [OK] to print the document.
3.1.4 Information about the Document
You can view information about images, such as file name, color depth, resolution, pages and file format
by using the "Info" tool.
To view image properties, select FILE > INFO from the main menu.

3.1.5 Next Page
To advance to the next page of a multi-page file, select FILE > NEXT PAGE from the main menu or click
the [Next page] button in the toolbar.
i The [Next page] button is grayed out for one page documents.
3.1.6 Previous Page
To move back to the previous page of a multi-page file, select FILE > PREVIOUS PAGE from the main
menu or click the [Previous page] button.
You can also use the shortcut key SHIFT-P to view the previous last page.
i The [Previous page] button is grayed out for one page documents.
3.2 Using the "Orient" Menu

3.2.1 Rotate
! Contrary to modified resp. added annotations, the rotation will not be saved in the document.
So that during the renewed opening of the document you will find the original view but with the
added or modified annotation.
+ To rotate an image clockwise, select ORIENT > ROTATE > CW from the main menu and select the
degree that you want the image rotated clockwise.
3.2 Using the "Orient" Menu

+ To rotate an image counter clockwise, select ORIENT > ROTATE > CCW from the main menu and
select the degree that you want the image rotated counter clockwise.
+ To rotate the image any angle, select ORIENT > ROTATE > ANY ANGLE from the main menu. Enter
the number of degrees that you want to rotate the image and select [OK].
+ To rotate all pages clockwise 90 degrees, select ORIENT > ROTATE > ALL PAGES > CW 90 DEG
from the main menu.
+ To rotate all pages counter clockwise 90 degrees, select ORIENT > ROTATE > ALL PAGES > CCW
90 DEG from the main menu.
+ To rotate all pages 180 degrees, select ORIENT > ROTATE > ALL PAGES > 180 DEG from the main
menu.
i If you rotate a document by any angle that is not divisible by 90 degrees, the document will shrink
to fit within the current page size.
3.2.2 Fit to
You can display the full width of images by horizontally scaling them to fit by using the "Fit to window"
tool.
+ To display images at their full width, select ORIENT > FIT TO > WINDOW from the main menu.
You can display images to match the window size. Images are resized to display in the full window and
maintain their height and width ratio.
+ To display images using the full window size, select ORIENT > FIT TO > WINDOW from the main
menu.
3.2.3 Flip
! Contrary to modified resp. added annotations, the horizontal and vertical flip will not be saved
in the document. So that during the renewed opening of the document you will find the original
view but with the added or modified annotation.
+ To rotate an image horizontal axis, select ORIENT > FLIP > HORIZONTAL from the main menu.
+ To rotate an image on its vertical axis, select ORIENT > FLIP > VERTICAL from the main menu.
3.2.4 Zoom
Zoom In
You can use the "Zoom in" tool to magnify the size of images as they appear in the editing window.
Only the level of magnification used to view the image is changed. You cannot select a specific area to
enlarge. The "Zoom in" tool affects the entire image. To enlarge a specific area, select the [Magnifier]
button (see below).

To magnify the size of an image, select one of the following commands:
+ ORIENT > ZOOM > IN from the main menu
+ ORIENT > ZOOM and select the magnification
+ Keyboard [+] key.
+ [Zoom in] button in the toolbar
Zoom Out
You can reduce the size of images as they appear in the editing window by using the "Zoom out" tool.
Only the level of magnification used to view the image is changed. You cannot select a specific area to
minimize. The "Zoom out" tool affects the entire image.
To reduce the size of an image, select one of the commands:
+ Select ORIENT > ZOOM > OUT from the main menu.
+ Select ORIENT > ZOOM and select the magnification.
+ Select the keyboard [-] key.
+ Click the [Zoom out] button.
Zoom "Rubber Band"
You can use the "Zoom rubber band" tool to magnify the image and display a required section. The
"Zoom rubber band" tool affects the entire image.
To enlarge and select a required section p, proceed as follows:
1. Select one of the following commands:
+ ORIENT > ZOOM > RUBBER BAND in the main menu
+ [Zoom Rubber Band] in the toolbar
2. Then mark the required section on the image while holding the left mouse key. The entire
image will be enlarged, but only the selected section is displayed.
3.2.5 Magnifier
By means of the "Magnifier" menu or [Magnifier] button it is possible to zoom in on a particular area
of focus in the image.
While moving the mouse pointer, the magnifier window will also move with the image data inside the
magnifier window refreshing automatically.

To magnify parts of an image, proceed as follows:
1. Select ORIENT > MAGNIFIER from the main menu, click the [Magnifier] button or select
Shift+M. The magnifier window with the magnified area is displayed in the center of the
image.
i When you select the [Magnifier] button, the button is pressed in to
indicate that the magnifier window is active. The magnifier window
now stays active as long as the [Magnifier] button is selected.
2. Drag the magnifier window over different sections of the image while keeping the left
mouse key pressed to view the area that you want to magnify.
i If necessary, resize the magnifier window by dragging the window's
borders.
3. Click the [Magnifier] button or any other tool when you have finished using the magnifier
window and no longer want to display it on the screen.
The magnifier window is deactivated when another tool or operation is selected. The
[Magnifier] button will no longer displayed as pressed in to indicate that the magnifier
window is not active.
3.2.6 "Zoom Pop" Fenster
To select the zoom pop window, select ORIENT > ZOOM POP WINDOW from the main menu.

3.2.7 Pan
To select the "Pan" feature, first activate the "Zoom in" tool and then select ORIENT > PAN from the
main menu or select alternatively the [Pan] button. The viewer allows you to pan by dragging your mouse
over the image.
3.3 Annotations
3.3.1 Types of Annotations
The SAP Web Viewer is offering different methods for making up text and attaching notes and comments
to images. These annotations can be in text or graphic format.
+ Text annotations allow you attach comments.
+ Graphic annotations allow you to visually mark areas. These annotations include - depending on
the configuration by your administrator - rectangles, ellipses, polygons, arrows and lines.
You can place annotations anywhere on images. There are several options that tailor the annotations
to a particularly style or format.
! We recommend not to create annotations that extend beyond the page boundary because
unexpected behavior may result.
3.3.2 Selecting Default Properties
In the "Global Annotations Properties" dialog you can configure the font and color for annotations.
These options are helpful to make your annotations identifiable from the colors in your images. You
can also specify different colors or styles for each type of annotation. The options selected apply to the
current and subsequent annotations of the same type within the image. They do not apply retroactively
to prior annotations.

i Please note that annotations can be modified at any time by the user (see chapter "Modifying
Annotations" below).
To set global annotation properties, proceed as follows:
1. Select ANNOTATIONS > DEFAULT PROPERTIES from the main menu. The "Global
Annotations Properties" dialog opens.

2. Following options are available:
Properties Options
Option Description
Font Sets font attributes for text annotations.
Line Sets the thickness of the line.
Foreground color Changes the color for the following objects: Fill-in
color for rectangles, ellipses, and polygons. High-
light color for highlighted rectangles. Sets the text
color in Post-it, text, and cloud annotations.
Background color Changes the fill color for post-it notes.
3. After you have set the properties according your requirements, click the [OK] button to
save your settings.
3.3.3 Creating Annotations
To create annotations, select the "Annotations" menu and the annotation that you want to create as
specified below. Alternatively, you may also use the "Annotation" toolbar.
! Please note, that you need to save each single annotation when you create multiple annotations
on a multi-page document.

By default, the "Repeat annotation mode" exist for creating annotations. This means that you can select
an annotation button and you can repeatedly create annotations of that type without pressing the
annotation button again.

3.3.3.1 Creating an Arrow Annotation
1. To create an arrow annotation, select ANNOTATIONS > ARROW from the "Annotations"
menu or click alternatively the [Arrow] button in the annotation toolbar.
2. Left-click on the image where you want to start the arrow.
3. While holding down the left mouse button, drag the mouse over the area in which to add
the object.
4. Release the mouse button to add the object.
5. Save the modification that have been applied to the image.
3.3.3.2 Creating a Text Marker Annotation
1. To create a text marker annotation (highlighted rectangle), select ANNOTATIONS >
HIGHLIGHTED RECTANGLE from the "Annotations" menu or click alternatively the [Text
marker] button in the annotation toolbar.
2. Left-click on the image where you want to start the highlighted rectangle.
3. While holding down the left mouse button, drag the mouse over the area in which to add
the highlighted rectangle.
4. Release the mouse button when the highlighted rectangle is complete.
5. Save the modification that have been applied to the image.
3.3.3.3 Creating a Post-It Note Annotation
1. To create a post-it note annotation, select ANNOTATIONS > POST-IT NOTE from the
"Annotations" menu or click alternatively the [Post-It Note] button in the annotation
toolbar.
2. Left-click on the image where you want to start the post-it note.
3. While holding down the left mouse button, drag the mouse over the area in which to add
the post-it note.
4. Release the mouse button to add the note.
5. Add the text for the note and save the applied annotation.
3.3.4 Modifying Annotations
Right-clicking on an annotation object brings up the corresponding context menu that you can use to
select different properties of an annotation object.

Each option is detailed below.
3.3.4.1 Deleting Annotations
To delete annotations, proceed as follows:
1. Select the annotation that you wish to delete.
2. Right-click the annotation to open the context menu.
3. Select the "Delete" command in the context menu so that the annotation will be deleted.
4. Save the modification that have been applied to the annotation.
3.3.4.2 Editing Post-it Annotations
To edit post-it annotations, proceed as follows:
1. Select the annotation that you wish to edit.
2. Right-click the annotation to open the context menu.
3. Select the "Edit text" command in the context menu.
4. Edit the text as necessary.
5. Save the modification that have been applied to the annotation.
3.3.4.3 Moving Annotations
To move annotations, proceed as follows:
1. Select the annotation that you wish to move.
2. Right-click the annotation to open the corresponding context menu.

3. Select the "Move" command in the context menu and position the cursor where you want
the new location.
4. Drag the annotation to the new position.
5. Save the modification that have been applied to the annotation.
3.3.4.4 Resizing Annotations
To resize annotations, proceed as follows:
1. Select the annotation that you wish to resize.
2. Right-click the annotation to open the context menu.
3. Select the "Resize" command in the context menu. The annotation will have a box with
handles.
4. Click on one of the boxes at the outside edge of the object and drag to resize.
5. Release the mouse button when the object is the desired size.
6. Save the modification that have been applied to the annotation.
3.3.4.5 Changing Annotation Options
To change font, line weight, or color of the annotation objects, proceed as follows:
1. Select the annotation that you wish to change.
2. Right-click the annotation to open the corresponding context menu.
3. Select the "Properties" command. The "Annotation Properties" dialog opens.
4. For lines and rectangles, you can edit the line weight (width). The color options allow you
to edit the foreground and background color of the annotation object.
5. To close the "Annotation Properties" dialog, select the [OK] button to save the changes
that you made or select the [Cancel] button to cancel the operation without making any
changes.
3.3.5 Toggle Annotation Visibility
To hide/ display all existing annotations on an image, select ANNOTATIONS > TOGGLE ANNOTATION
VISIBILITY.
3.4 Using the "Preferences" Menu

This feature has no affect to the document when you save it while hiding annotations.

3.4.1 Ruler
You can enable the ruler to keep track of where you are in an image. The ruler helps you to line up an
exact position in an image. You can use the horizontal and vertical rulers simultaneously. The horizontal
and vertical rulers can also be selected separately to allow you to view one or both. Once the rulers are
visible, they can be added, moved, and also removed.
Adding or Moving a Horizontal Ruler
1. To add or move a horizontal ruler, select PREFERENCES > RULER >ADD/ MOVE >
HORIZONTAL from the main menu.
2. Drag your left mouse key over the image.
3. Let go of the mouse key when positioned in the proper location.
Adding or Moving a Vertical Ruler
1. To add a vertical ruler, select PREFERENCES > RULER > ADD/ MOVE > VERTICAL from
the main menu.
2. Drag your left mouse key over the image.
3. Let go of the mouse key when positioned in the proper location.
Adding or Moving Both Rulers
1. To view both the vertical and horizontal rulers, select PREFERENCES > RULER > ADD/
MOVE > BOTH from the main menu.
2. Drag your left mouse key over the image.
3. Let go of the mouse key when positioned in the proper location.
Removing the Vertical, Horizontal, or Both Rulers
+ To remove the horizontal ruler, select PREFERENCES > RULER > REMOVE > HORIZONTAL from
the main menu.
+ To remove the vertical ruler, select PREFERENCES > RULER > REMOVE > VERTICAL from the main
menu.

+ To remove both rulers, select PREFERENCES > RULER > REMOVE > BOTH from the main menu.
3.4.2 Anti-Alias
You can increase or decrease the visible jagged edges of images. Anti-aliasing is a software technique
used to diminish ‘step-like’ lines that should be smooth. Anti-aliasing surrounds stair steps with
intermediate shades of gray or gray scaling for 1-bit images, or color for color images. This process is
a useful way to fill in text.
i Even though anti-aliasing may make images less clear, it reduces the jagged appearance of lines.

+ You can alias images by using the "Anti-alias" tool. To turn aliasing on, select PREFERENCES >
ANTI ALIAS > ON from the main menu.
+ To turn aliasing off, select PREFERENCES > ANTI ALIAS > OFF from the main menu.
3.5 Using the "Help" Menu
3.5.1 About
Via the "About" menu you can call up the "About SAP Web Viewer" dialog that provides information
about SAP Web Viewer.
To view the "About SAP Web Viewer" pop up window, select HELP > ABOUT from the main menu.
i You need to have a document loaded in order to view help or the about box.
3.5.2 Help
The "Help" menu displays the online help about SAP Web Viewer.
To view online help, select HELP > HELP from the main menu.

3.6 SAP Notes Functions
In the SAP Web Viewer you have the facility of displaying and editing SAP notes.
1. Mark in the result list the SAP document and click the command "Edit" in the context
menu. The SAP Web Viewer opens.
2. In order to read or add a note click the [SAP Notes] button on the right hand side. A reading
and editing area opens.

3. The input editor for SAP notes consists of two sections:
Already existing notes can be read in the upper area. The lower field serves to enter notes.
+ Confirm the note you have entered with the [OK] button. The current user and the
entry date is saved with the note and will be displayed.
+ With the [Cancel] button you can delete your entry and close the input field.
+ With the [Print] button you can print all existing notes.
