AccessAccess• Now for one of the easiest programs to

use… AccessAccess• Access is a program that lets you create a

DATABASE• A DATABASE is a collection of data such

as name, address, medical info. etc.Examples:Examples:

We register you each lesson, this data is stored in a DATABASEYour name and address is also in the DATABASE…


• Start ACCESSACCESS• Click on the CREATE A NEW

FILE option• Select the BLANK

DATABASE option

• You will be asked a name for the database, call it FRIENDS

• Click [Create]

• Make sure TABLES is highlighted

• Now double click on CREATE TABLE IN DESIGN VIEW

• Now enter the following:

DATA TYPE – click in there and select from the drop down like this:

• Then click on [YES][YES] to save this table

• Now give this table a name – call it PEOPLE

• Click on [OK]

• Then click on [YES][YES]



• You have now created a TABLE called PEOPLE

• This table is where all your friends names and other data will be kept…

• Now we need to make a FORM to let us type your friend’s names and other data into the database…

• Then double click on CREATE FORM BY USING WIZARD

• Click this double arrow to move all of the “fields” from the left window to the right window…


Access – step 2Access – step 2• Now work through the rest of the wizard… click [NEXT]

Then enter some details!

Click this to add a new friend

Click here to close the form

You can double click this to re-open the form



• A DATABASE can let us search for data

• Find a friend

• Find friends in a particular year

• Find friends who like “formula 1”

• And so on…

• Double click on CREATE QUERY USING WIZARD

• Click here to select everything

• Then click [NEXT] • Call this query find friend then click here then click [FINISH]



• Type this in here (you must use the square brackets)

• Then close this by clicking here

• Click on [YES] to save what you have just done



• Now double click here

• You will be asked this

• Enter the first name of the person you want to find

• Click [OK]

• You will see the results like this



• Have a go yourself!

• Can you make a new query for:

• Finding friends who like a particular sport?

• Finding friends who are in a particular year?
