A Guide to Completing Panel and Board Marks Templates 2017-18 What do I Need Before I Start? List of all students studying the programme. A Guide to Completing Panel and Board Marks Templates 2017-18

What do I Need Before I Start?

List of all students studying the programme. This must include their full name and University of Plymouth (UoP) registration number. If you require a report of students enrolled on a programme please e-mail [email protected]

The programme structure. The relevant Module Records (MRs) i.e.- the Programme Quality Handbook. The board marks from last academic year to enable you to refer to the level 4

aggregate and “best of” level 4 aggregate for your current level 5 students. The board marks from the last two academic years for the level 4 and 5 marks

for any honours degree student who started their programme from 2014 onwards.

The results lists from last year for reference. Identify any students who may be repeating this academic year or who were

required to complete an extended referral.

Note: This guide can be used whether producing marks spreadsheets for Foundation Degrees, HNCs or Honours Degrees. The templates have been set-up similar to previous years in that there is one workbook which contains the relevant panel mark, board mark and student transcript templates. We would recommend completing the template for stage one students first.

Please note: for any shared modules i.e. the module is delivered across more than one programme, all students enrolled on and studying the same module must be listed in the same panel paper in order that the

subject assessment panel can appropriately consider the standards of assessment in the module. There should not be more than one panel paper per module. You may therefore, need to have board marks for more than one programme contained within a workbook.

Subject Assessment Panel Templates

Open up the relevant stage one panel and board marks template whether it be for a Foundation Degree, HNC or Honours Degree Programme and save this onto the preferred work area on your computer, i.e. desktop, shared drive etc.

When you look at the module spreadsheets for the first time, you will notice that there are zeros under the module aggregate mark heading. We have provided 100 rows per panel paper (i.e. sufficient space to list the module marks for 100 students) in the hope that this will accommodate even the largest number of students studying on a module. If you have a module which is being studied by more students than this, please e-mail [email protected] for assistance.

Along the bottom of the excel workbook are a number of tabs. As a default each has been set-up with 30 Subject Assessment Panel paper templates;

Repeating Students- students who are repeating modules this academic year, must only be listed on the panel papers for modules that they have actually repeated this academic year. Any modules that have been previously achieved must not be included as these marks have already been confirmed.

Extended Referrals- any students who were granted an extended referral in a module at last September’s Referred Award Assessment Board must also be included on the relevant panel marks spreadsheet for the module in which they were granted the extended referral. This module should then also be included on the student’s board paper. Please note that the module in which the student was granted an extended referral last academic year will need to be excluded from the student’s level 4 aggregate when transferring this to the student’s board paper for this academic year. The level 4 aggregate will then need to be re-calculated to be based on e.g. 100 credits i.e.- the modules achieved last academic year. This will also be the same for any honours degree students who are granted an extended referral for a level 5 module.

If deleting rows from any of the panel marks tables, it is vital to ensure that these are deleted at the bottom of the table to prevent corruption of the formulas which have been set-up.

[email protected] for assistance. If you have a module(s) which comprises of pass/fail elements,

separate panel and board marks templates have been produced to encompass this scenario. Generally the majority of pass/fail elements relate to the practical element within a module. We have set-up one panel paper within the template for a module which uses this form of assessment (tab 1- module 1 PF). If you have more than one module within the programme(s) that uses this form of assessment, you will need to create additional panel papers. To do this, please follow the instructions overleaf to create additional Subject Assessment Panel spreadsheets.

Elements of assessment in the panel papers are referred to by their UoP definition as follows:

Coursework – C1Examination – E1In-class test – T1Practical – P1

Each panel paper template has been set with default elements i.e. C1 and E1 or C1, E1 and T1. If your module comprises of elements that are different to the default on the templates:

o Change the headings in the relevant columns in row 16 on the spreadsheets

o Amend accordingly in the “Weightings” table

If your programme has more than 10 modules which comprise of the same element(s) you will need to set-up more Subject Assessment Panel spreadsheets;

Right click on the relevant module tab. Select “Move or copy” Tick “Create a copy” Select the desired location of the copied Click “OK” This will create a further copy of the Subject Assessment Panel

spreadsheet. Repeat the above steps as many times as required until you have the

correct number of spreadsheets for your programme. Save this change.

Any Subject Assessment Panel spreadsheets that are not required please need to be deleted;

Right click on the relevant Subject Assessment Panel tab Select “Delete” Save this change

Each Subject Assessment Panel spreadsheet is labelled Module 1, Module 2 etc. These must be re-labelled using the correct Module Code:

Double click on the relevant module tab at the bottom of the screen Type in the Module Code and then click anywhere in the document. Repeat this for each module.

You need to populate each of your module templates with the following information;

Partner name Subject Panel i.e.- business, technology, arts etc. Date of Subject Assessment Panel meeting. Module Title. UoP Module Code. Credit value of the module. Module Leader’s name.

At the top of the module spreadsheet you need to complete the Weightings Table to show how the module is assessed i.e. if it is 50% C1 and 50% E1. This will enable the module aggregates to be calculated without the need to enter/ amend any formulas. If you are unsure of a module’s weighting please refer to the MR. Please only enter numbers and not the “%” sign, i.e. for a module assessed 75% C1 and 25% E1 you would enter 75 and 25 in the Weightings Table

Start inputting the student information into the panel templates, you will need to enter the following information;

The students’ UoP registration numbers. Please note that it must not be the student’s Partner Institution registration number. If you require a report of students enrolled on a programme please e-mail [email protected]

The students’ surnames and their forenames (these must be removed for the Subject Assessment Panel meeting)

If you do not require all of the rows already set-up to list the students studying the module, simply select the surplus row(s) and right click and select delete. Please ensure that rows are deleted from the bottom of the spreadsheet to prevent the corruption of the formulas.

Repeat as many times as required. Repeat this for each module spreadsheet.

It is strongly recommended that you save all changes as you populate the spreadsheet to prevent the loss of any data.

You are now ready to start entering the students’ marks for the elements; Enter the mark the student achieved under the relevant element(s)

heading e.g. coursework, exam, in-class test or practical. For modules that have a pass/fail element enter ‘P’ if the assessment has been achieved and ‘F’ if the assessment has been failed. This will automatically update the result column.

Enter the attempt number of the module. Please do not manually enter marks into the module mark column as

this will automatically calculate It is strongly recommended that you save all changes as you

populate the spreadsheet to prevent the loss of any data.

If a student does not submit/sit for any element of the module; Enter 0.00 for the element which they did not submit/sit Enter DN (did not present) in the notes column and which element they

did not submit/sit e.g. DN C1, DN E1 Please note: any student who has interrupted or withdrawn from their

studies should only be listed against the module(s) that they are deemed to have attempted. UoP regulations state,

Students who want to withdraw from a module must tell the Faculty Office in writing before 50% of the teaching on the module has been completed.

If a student does not tell the Faculty Office in writing that they want to withdraw from a module before 50% of the teaching on that module has been completed, and then does not complete the module, they will have failed the module.

A student who wants to interrupt their studies should be aware that they will also be withdrawing from any modules on which they are enrolled at that time. Students should be aware that if they interrupt their studies after 50% of teaching on the module has been completed, this will count as an attempt at that module, and their module marks will be capped at the pass mark when they return unless they can demonstrate valid extenuating circumstances.

Any module therefore, not deemed to have been attempted should not be included in the student’s profile.

If a student is repeating a module as a second or third attempt the student’s element mark(s) will need to be capped at 40% and entered under the relevant element(s) heading(s). The actual mark that they achieved for the

relevant element(s) should still be recorded, however, this should be entered in the notes column e.g. C1 65.5%, E1 52.00%

Once you have entered all of the students’ marks you will notice that all of the Module Statistics, Mean and Standard Deviation will have been automatically calculated

When considering the panel marks at the Subject Assessment Panel meeting, all marks should be considered in order of highest module mark to lowest module mark. At present you will see that the students are listed as they were entered, therefore, the spreadsheet will need to be sorted to reflect the student with the highest module mark down to the lowest module mark. Filters have been set-up to do this;

Click on the filter button within the module mark cell. Select “Sort largest to smallest” at the top of the drop down box. The data will be sorted in descending module mark order. Repeat this

for each module spreadsheet. Save this once each module spreadsheet has been populated.

Once all marks have been entered and sorted, the papers need to be anonymised prior to the Subject Assessment Panel meeting. To do this either delete the names of the students or change the font colour in those columns to white

The steps above need to be repeated in order to produce the panel templates for all level 5 modules and level 6 modules in the case of Honours Degree programmes.

Board Marks Templates

Following the introduction of the “new” degree classification method please be aware that we have now separated the template guidance into a section for producing board marks papers for Foundation Degree, HNC, HND and Cert HE programmes and another section for Honours Degree programmes. We would strongly advise first completing the board marks template for stage one students.

Stage One- Foundation Degree, HNC, HND and Cert HE Students

As explained above, the templates have been set-up similar to previous years in that there is one workbook which will contain the panel marks, board marks and student transcripts. Therefore, in order to locate the board marks template for stage one students you will need to locate the relevant tabs along the bottom of the workbook. Within the board marks tab, we have set-up 50 individual marks templates.

You will notice that there are two board mark tabs which have been set-up. Irrespective of which board marks tab you use formulas have been set-up in the two templates which means that once the following information has been entered for the first student this will carry through to all of the individual board marks templates;

Partner Name Academic Year Programme Title- please note that this must be the correct approved

title and including whether it is correctly an FdA, FdSc, BA (Hons), BSc (Hons), HND or HNC . Please refer to the programme handbook if you are unsure or contact AP.

Date of Award Assessment Board

You will need to choose the appropriate board marks tab depending on the following;

- ‘Students Same Modules’. This tab can be used if all students studying the programme are studying all the same modules. You will see that when you open the tab a zero is listed under the following headings on the board papers- module codes, titles, credits and level. This is because formulas have been set up that once this information has been entered in the first student’s board paper this information will then carry through to all of the board papers for the students enrolled on the programme.

- ‘Students Different Modules’. This tab will need to be used if you have a programme where students study different modules e.g. due to the choice of optional modules. In this situation it is not possible to set-up

formulas to cascade the information through the templates and therefore, module codes, module titles, credit value and level of the module will need to be entered manually.

You will then need to enter the; Student’s UoP registration number and not the student’s Partner

Institution number. If you require a report of students enrolled on a programme please e-mail [email protected]

Student’s full forename and surname (please note that the students should be listed in alphabetical order of surname on the board marks);

Once you have completed the above for each student enrolled on the programme, there may be some surplus marks templates. Please delete these as they are not will be required and will prevent unnecessary paper from being printed and wasted. To delete any surplus board papers,

Highlight the relevant rows. Click the right hand mouse button Select delete.

To determine how many individual rows a student may need, refer to your stage one programme structure and count up how many modules a student is required to complete for stage one of the programme. Please take care if the programme also includes optional modules. Each board marks template has hopefully been set-up with more rows than will be required for the programme. It may be that you will not require this many rows and therefore, some can be deleted.

To delete any surplus rows, highlight the relevant rows, click the right hand mouse button and select delete.

If you do not have sufficient rows to list all students studying the module simply right click and select insert. Repeat as many times as required. Important note: when inserting additional rows this needs to be done from the bottom of the table so that distortion of the formulas does not occur.

You are now ready to start inputting the following information into the board marks templates;

Marks information for your students. If you have any students who have been given APL for a module(s) please refer to the instructions on page 17.

Attempt number of the module Whether the student has achieved or not achieved the module. Any notes (particularly to show the actual mark for elements which

may be capped if a student is repeating a module)

Entering the module code, module title, credit value of the module, students marks and notes/ attempt can be done using either of two methods;

1) You can simply copy and paste the information from each of the panel templates into each of the students’ board marks. When pasting the marks you will need to ‘paste values’ (123 icon when you right click). Note of caution: please take care if the programme contains optional modules as students may be studying different modules.

2) Use an Excel formula. To do this;

Enter an = in the cell on the board marks template you want to populate.

Click on the relevant cell in the panel marks template. Press enter. When you refer back to the board marks template you should find that

the relevant information has been populated.

Important- it is vital that whichever method you use that you ensure the correct information is being transferred for the correct student as otherwise it may result in students being awarded the wrong mark and ultimately, the incorrect award.

Ensure that the panel marks have been sorted highest module aggregate mark to lowest module aggregate prior to transferring the marks into the board marks templates using this method. By sorting the panel marks after, it will mean that the incorrect mark has been transposed for the incorrect student.

The advantage of using the second method is that should any marks be altered at the subject assessment panel meeting this will automatically be updated on the board marks and consequently the relevant aggregates.

Step 1

Type an = sign in the first row under the aggregate mark column.

Step 2

Click on the appropriate cell on the subject assessment panel marks. The line around the edge of the cell will change to dashes and push enter. When you refer back to the board marks you will find that the appropriate cell has been populated.

If a student has valid extenuating circumstances for a module this will need to be entered manually on an individual basis. If the student has valid extenuating circumstances then a ‘Y’ should be entered in the valid extenuating circumstances column against the relevant module to reflect this. Please do not enter ‘N’ if a student does not have extenuating circumstances.

The total level 4 credits will now calculate automatically for each student.

A student’s “best of” level 4 credits. This has to be manually calculated and is relatively straightforward if all of the modules are either all 20 or 20 and 10 credits. We have provided Partners with a calculator tool in the form of an Excel spreadsheet to assist when calculating a student’s “best of” level 4 aggregate. Please take care to double check the credit value of a module as not all modules are 20 credits in value.

There are however two scenarios which lead to difficulties;

if a student’s level 4 module profile comprises of 15 or 30 credit modules, UoP has considered this on a statistical basis and as a consequence in these situations the student would have their level 4 aggregate calculated on either the "best of" 70 or 75 credits.  From the statistical modelling that was undertaken, no benefit in terms of the award achieved was found for students to have their award based on the "best of" 90 credits. 

if a student has achieved the same mark for two modules.  In such instances, the following calculation will take place;

The marks need to be ranked in descending percentage mark order followed by descending module credit value as follows;

You will note from the above that PHY007 is above STAT008 due to its greater credit value.

Calculation 2

The modules used for the calculation will be from the calculation that actually returns the closest to 80 credits without exceeding 80. From the examples above, calculation 1 shows a “best of” 70 credits whereas calculation two enables you to achieve a “best of” 80 credits and it is therefore, the second that would be used when calculating this student’s “best of” level 4 aggregate.

Please note: the level 4 “best of” aggregate needs to be shown to six decimal places and will need to be manually entered. This aggregate will then be carried through the templates year on year.

In the notes column you must enter if the student is compensated for a module. Please enter CP in the notes column and ensure that the module result column shows “A” for achieved.

You should have noticed that as you transferred the students’ marks using either the copy & paste or excel formula method outlined above, that the level 4 aggregate will have been calculated automatically as formulas have been set-up to do so.

Following your pre subject assessment panel and award board meeting you can then enter the suggested decision for each student. This will simply need to be typed in next to the result.

Stage Two- Foundation Degree, HNC, HND and Cert HE Students

The templates for stage two students can be set-up in a similar manner as outlined above.

The level 4 aggregate needs to be entered in the box underneath the marks table rather than in the table as in previous years.

This needs to be taken from last year’s board marks. The number of level 4 credits achieved previously needs to be listed in

the total level 4 credits achieved box underneath the marks table. The number of level 4 credits included in the calculation also needs to

be entered in the relevant box underneath the marks table

Using the instructions above you will need to;

Populate the Partner Name, date of award assessment board, programme title, UoP registration number, student’s full forename and surname.

Delete any surplus board marks templates. Add and delete any rows within the board marks as required. As before, it is

vital to ensure that any additional rows are added to the bottom of the board marks table.

Input the various module codes, module titles, credit values of the modules, students’ marks, attempt number of the module, whether the module is achieved or not achieved and any notes using either the copy and paste or excel formula method detailed above.

Enter in the notes column if a student is being compensated for a module and if a module is compensated the module result column will need to be amended to show the module as being achieved.

If a student has valid extenuating circumstances for a module this will need to be entered manually on an individual basis. If the student has valid extenuating circumstances then a ‘Y’ should be entered in the valid extenuating circumstances column against the relevant module to reflect this. Please do not enter ‘N’ if a student does not have extenuating circumstances.

As before, you should have noticed that as you transferred the students’ marks using either the copy and paste or excel formula method outlined above, that the level 5 aggregate will have been calculated automatically as formulas have been set-up to do so. The overall programme mark, level 5 credits achieved and level 5 credits included in calculation will also automatically populate due to formulae being set up I the relevant cells.

Following your pre subject assessment panel and award board meeting you can then enter the suggested decision for each student. This will then simply need to be typed in next to the result.

At the subject assessment panel meeting an External Examiner can ask for marks to be amended where there were inconsistencies of marking but all scripts in the ‘disputed category’ have to be reviewed appropriately. If the marks are changed this will need amending on the panel and board papers. If you used the cut and paste method to transfer marks from the subject assessment panel templates to the award board spreadsheets then you will need to update both manually. If you used the Excel formula method, if you amend the marks on the subject assessment panel template this should automatically update the students’ board marks and corresponding aggregates.

Honours Degree Programmes

As you will be aware students who commenced their level 4 studies with University of Plymouth

(UoP) from September 2014 onwards will have their honours degree classification based on the following method;

- 10% of their “best” 80 level 4 credits- 30% of their level 5 credits

- 60% of their level 6 credits

Any student who commenced their study prior to 2014 will have their degree classification based on the "old" method of 30% of their level 5 marks and 70% of their level 6 marks. 

Following the above change in UoP regulations, summer 2016 was the first time in which honours degree students were classified using the "new" degree classification method. 

Stage One and Stage Two Students

The guidance provided above for completing board marks templates for Foundation Degree, HNC, HND or Cert HE students can be used for completing the templates for stage one and stage two honours degree students. Due to the introduction of the “new” degree classification method detailed above the templates however, require the following additional information;

Stage Two- the level 5 aggregate in the top right hand corner of the stage two templates will calculate to six decimal places automatically as this figure will be required for the purposes of calculating the student’s overall programme aggregate in stage three. You will note that the level 5 aggregate shown underneath the student’s marks table will show to two decimal places as this is the requirement of the award assessment board.

Stage 3 Students

Prior to completing the board marks templates for stage three students you will need to ascertain which degree classification method which student will have their honours degree based on. AP is in the process of running student reports and will be in contact with each Partner to advise them accordingly. If you have any queries regarding the correct degree classification method to be applied to which student please e-mail [email protected]

Four separate board marks tabs have been set-up on the honours degree templates similar to stage one and stage two honours degree students in the case of;

- ‘Students Same Modules’. This tab can be used if all students studying the programme are studying all the same modules. You will see that when you open the tab a zero is listed under the following headings on the board papers- module codes, titles, credits and level. This is because formulas have been set up that once this information has been

entered in the first student’s board paper this information will then carry through to all of the board papers for the students enrolled on the programme.

In this situation it is not possible to set-up formulas to cascade the information through the templates and therefore, module codes, module titles, credit value and level of the module will need to be entered manually.

However, there are tabs for students pre 2014 i.e. their honours degree will be classified using the “old” degree classification method.

For students who will have their degree based on the new degree classification method please note;

The level 4 “best of” aggregate will need to be manually entered using the six decimal place aggregate previously calculated. For any stage three students this academic year this will need to be re-calculated as any previous documentation will have only shown the aggregate to two decimal places.

The actual level 4 aggregate will need to be manually entered and is based on the student’s complete 120 credits to two decimal places.

The level 5 aggregate will need to be manually entered using the six decimal place aggregate that was previously calculated. For any stage three students this academic year this will need to be re-calculated as any previous documentation will have only shown the aggregate to two decimal places.

The student’s overall programme aggregate will be automatically calculated to two decimal places.

Part Time Programmes

The majority of programmes within AP that are approved to be delivered part time are delivered over three years. Separate templates have been set-up for years two and three of a part-time programme. The same templates can be used for year one of a three year part-time programme as you would for a full-time programme. Some students are admitted on to programme with Accreditation of Prior Learning (APL), which is either, as general credit with no module marks or, specific credit with module marks. This decision will have been made at the point of admission on to the programme and is not a decision made by the Award Assessment Board

If a student has specific APL for a module, therefore, has marks for a module(s), enter the marks and result for that module(s) on the board paper as per the guidance on the previous pages and ensure “APL” is entered for information in the notes column.

If a student has general APL for a module, therefore, has no marks for a module(s), take the following steps:

Enter the module marks, credit level etc for the modules the student has actually studied and been given marks for as per the guidance on the previous pages

In the notes column enter “APL for xx credits” for the total number of credits the student has been awarded APL

The level aggregate will then be calculated correctly based on the credits for which the student actually has marks

The total level credits achieved will need to be manually calculated to include the APL credits

Short Course and CPD Students

Some Partner Institution will offer short course and CPD programmes using modules from existing UoP approved programmes. In these instances, short course and CPD students should be listed on the same panel marks spreadsheets as the Foundation Degree students in order for the standard of assessment of the module to be considered at the subject assessment panel meeting.

These students will however, need to be listed on a separate board marks template as they will have studied fewer modules. To facilitate this, separate short course and CPD worksheets have been set-up within the work book. The templates will need to be populated as before with the following information;

Populate the Partner name, date of award assessment board, programme title, student’s UoP registration number, student’s full forename and surname.

Delete any rows within the board marks as required. Input the various module codes, module titles, credit values of the modules,

students’ marks, attempt number, whether the module is achieved or not achieved and any notes using either the copy and paste or Excel formula method detailed previously.

If a student has valid extenuating circumstances for a module this will need to be entered manually on an individual basis. If the student has valid extenuating circumstances then a ‘Y’ should be entered in the valid extenuating circumstances column against the relevant module to reflect this. Please do not enter ‘N’ if a student does not have extenuating circumstances.

The templates have all be pre-populated with formulas in order to calculate either the short course or CPD aggregate.

If you deliver any stand-alone CPD or short course programmes, separate templates have been set-up for these programmes but can be populated using the instructions above.

Referred Award Assessment Boards

As explained in the panel and board guidance notes, only one Partner Institution referred award board needs to be held however, there is no need to hold a subject assessment panel meeting. At the referred award assessment board only referred students need to be considered. Therefore, following submission of any referred work you will need to update the students’ marks accordingly in preparation for the referred award assessment board.

Before making any updates we would strongly suggest making a second copy of the summer panel and board marks spreadsheet that you set-up for the programme so that you still retain a definitive summer version and re-name this as the referred award assessment board marks for the programme.

Locate the relevant students who were referred and will be considered at the referred award assessment board. As from September 2013 onwards any students referred as a second or third attempt will have their marks capped at element rather than module level therefore, making it feasible that if a module comprises of two elements and a student is only referred in one element i.e. the examination, their module aggregate mark will therefore, be above the 40% pass mark. For these students you will need to;

Refer back to the relevant subject assessment panel template and enter the capped mark of 40% for the relevant element in place of the mark obtained in the summer. If the student is therefore, only referred in the one element this will recalculate the module aggregate mark for you.

If you have used the Excel formula method in the summer for transferring your panel marks into your board papers this should automatically update the student’s board paper for you. If you however, used the cut and paste method then please note that you will need to update the student’s board paper accordingly.

Enter the actual mark that the student has obtained for the referred work in the notes column of the board paper.

Any students Update the “best of” level 4 aggregate for any students referred in level 4 modules over the summer.

Update the attempt number for the module if the student was referred as a second or third attempt.

Any student who is referred over the summer but does not submit referral work will be deemed to have not submitted, please note that the student does not retain the mark they achieved in the summer and their board marks must be updated accordingly. Therefore, in this instance the mark obtained from the summer must be removed from the student’s board paper for both the element(s) and module and DN entered in the notes column. Please remember to leave the number of credits and level in the spreadsheet for the module to ensure that the aggregate calculations still work accordingly.

If a student had valid extenuating circumstances recorded for the summer award board, the ‘Y’ must now be deleted to prevent confusion at the referred award board meeting. Similarly if a student now has valid extenuating circumstances for the referred period these must be entered onto the referred board marks.
