Graduate School fall commencement highlight To conclude the year-long celebration of its centennial. the Graduate School pre­miered a chamber music composition, When You and I 1rere Young. at its fall com­mencement ceremony on December~- ~005. The piece was also perfom1ed at a special preview concert on November 30.

The Graduate School commissioned the piece by Dr. Yoon-Hee Hwang. who received her PhD in music composition from the University of Minnesota in 1992. Exit interview reminder As spring term approaches, many students are making their graduation plans. If a student took out any kind of student loan at any time while attending the University, that student's plans should include scheduling an exit interview.

Depending on the student an exit interview may take the fon11 of an in-person interview. or the student may go through a web process with their lender. If a student received a Perkins student loan, a health profession or nursing student loan. or a university trust fund loan. he or she must do an exit interview v.ith Student Financial Collections (SFC). Most professional schools will set up dates where SFC will come to their school to do the exits in a group setting.

Undergraduates and graduate students (except professional school students) should go to Grad Fest in Coffman Union on either March ~9 or March 30. If a student received a loan from the Direct Loan program, they should attend the exit interviews mentioned above. or complete an exit online through the Direct Loan Servicing Center's website.

People Soft 8. 9 update As promised, the Office of Enrolled Student Services will continue to provide updates regarding this sun1mer's conversion to PeopleSoft version 8.9. Here are the latest de\ elopments:

• Student Records menu items and processes have been self-assigned to Office of the Registrar Info Tech staff for testing functionality and modifications. • Critical Student Records processes have been identified so modifications to sup­pmt these functions can be completed in a timely fashion. • The new version with modifications and data should be available for testing by January 17. •System changes in progress and close to completed will be in production as soon as possible: additional requests will be put on hold until after the upgrade.

Stay tw1ed for more information in upcoming Record issues.

Transcript changes Changes were made to the student transc1ipt on January 3 to accurately reflect at­tempted credit totals. For courses \Vith catalog numbers greater than 1000. the tem1 and cum totals in the attempted column. will add up units taken instead of academic progress units. This was already the case for courses with catalog numbers less than 1000. For example. the thesis credit course MUS 8333 has units taken 1.00 and academic progress units 6.00. Before our change. the course was displaying as 1.00 and the tenn and cum totals v.ere adding in the academic progress units 6.00. After our change. the course will still display as 1.00 and the term and cum totals will add in 1.00 instead of 6.00. This change will not affect certification: it is only a change to the transcript.

Also, Courses taken under the audit grading basis will display as blank credits in the attempted column. TI1ey were previously displaying the unit taken amount.

Graduate School invites proposals for innovation in graduate education The Graduate School invites proposals fiJr improving the quality of graduate education. and the quality ofthe graduate student experience. at the University of \1innesota. This initiative follows the exploration of three Graduate School priorities at the School's Centennial Symposium held this past October: increasing access to graduate education for underrepresented groups: promoting innovations in the design of graduate education to produce excellent student experiences and outcomes: and developing institutional policies and practices that facilitate interdisciplinary teaching. research. and training in graduate education. Proposals may address any aspect of graduate education that would benefit from innovation and change. hut preference will be g:iwn to ideas that advance these three priorities. Subdivision 3. gives the l;niversity Board of Regents authority to allow classes and other nents to be held on caucus night. ecor Judith Shalaby says farewell to the U After 35 years at the University (over 30 years in the Office of the Registrar). senior editor Judith Shalaby is retiring.

Judith worked tor many years with the paper copy of the Twin Cities Class Schedule (and provided support for the Duluth Class Schedule). and with various registration publications. tuition, and torms. She often joked that the Class Schedule was the "glamour'' publication of the University. printed as it was on newsprint with little embellishment.

Judith has enjoyed the changes and challenges that came about first with desktop publishing and later with the Web. Housed for the last seven years in Coffey Hall. she will especially miss the beauty of the St. Paul campus (including watching the raptors being exercised on the lawn) and her colleagues in the St. Paul and Minne­apolis offices.

She is looking forward to more time for reading. listening to baroque opera. bird watching. and quilting. "The Office of the Registrar has been a great place to work. but it is time for me to try new things and time for a person with new ideas in my position:· she said.

Come wish Judith best wishes for her retirement on March 29th. from I -4 p.m. in 110 Coffey Hall.

Most in-progress work requests for the cunent version have been completed. and OIT programmers are on track for getting current modifications into the new version in time for testing.

Student Records trainers are beginning to offer informal sessions to show the new menu structure and search pages: featured sessions \\ill be included in future issues of The Record as well as via the SA-Live listserv.

Look for continued updates in The Record: information about preview sessions and other training infonnation will be sent to all PeopleSoft users as it becomes avail­able.

New faces in One Stop On February 15. Carin Anderson began her new duties as the Veteran Certifica­tion Coordinator in One Stop Student Sen-ices. Carin received a Bachelor of Science deb-rree from the University of Wisconsin. River Falls. in Organization­al Communication. Carin is a veteran and was on active duty with the Wis­consin National Guard during Opera­tion Iraqi Freedom. Rollerblading and running marathons are a few of Carin's hobbies.

Canie Zastrow has moved within One Stop Student Services to the Assistant to the Director position. Previously, Carrie worked as a One Stop CoLmselor. She is also heavily involved in the Department of Educational Policy and Administra­tion as the President of the Educational PoHcy and Administration Student Association. Canie is completing her Master's degree in Comparative and Intemational Development Education.

Typically. these students have been admitted for a future semester or are considering applying to a graduate program and want to take classes that will transfer once admitted. Updating department web sites with accurate Dean's List information ln spring 2005. the minimum gpa for the Dean·s Ust was changed to 3.666 to better align \Yith transcript information. In addition. the Dean's List policy will now reflect what has been understood practice regarding "N'" grades. Specifically. students earn­ing a grade of .. N .. are ineligible for the Dean ·s List.

In an effort to better assist students who appeal for medical reasons, the Committee collaborated with Boynton Health Services· Medical Director to create a fom1 that is useful for both students and their physicians.

The Medical Supplement fon11 asks a student's physician to specifically describe the medical condition of the student: this addition will help eliminate any inferences the Committee would have to make involving the studenfs health. The Tuition Refund Appeal form is now two pages (two-sided when obtained in person) to include the Medical Supplement form.

The University of Minnesota. Twin Cities otfers students the right to appeal tuition charges should they feel their discontinuation of classes was a result of tmforeseen circumstances beyond their control: the Tuition Refund Appeal form facilitates the appeal process. The revised Tuition Refund Appeal form is available on the One Stop website at< http://onestop.umn.edu/onestopifom1s.html> and in hard copy at any One Stop Student Services Center.

Reminder: turn in grades on time Before you know it. the sun will set on another spring semester. The Office of the Registrar needs your help stressing the importance oftuming grades in on time.

The University of Minnesota ·s Final Exam Policy states. "'Final grades shall be submitted to the Registrar no later than three business days following the date of the scheduled final examination (whether or not there is actually a final examination for the course)."

Failure to tum in grades in accordance with this policy can negatively affect a student's financial aid. athletic eligibility and graduation. to name a fe\v.

One Stop initiatives for veterans One Stop Student Services has imple­mented several new initiatives designed to assist Veterans vvho are returning to school.

A checklist has been created to assist retw11ing Veterans from the moment they come to One Stop W1til they receive their service money.

A series of Veterans-specific \vebpages have also been created: these pages can be foW1d on the One Stop website at <http://onestop.unm.edu/onestop/ Registration/Veterans_ Certification. html>.

ecor Resource 25 update: use of R2S expands to in­dude all TC department classrooms On May 31. Craig Swan. Vice Provost and Dean of Undergraduate Education and Teny Bock. Associate Vice President Academic Health Center. emailed Deans. Di­rectors, and Depatiment Heads announcing the expansion of the Resouce 25 (R25) initiative to include scheduling of all depatiment classrooms (use code 120) on the Twin Cities Campus (see http://www.classroom.unm.edu!index.asp?sid=l20 ). The deadline for implementation of the initiative is the beginning of fall 2006. Depart­ments are also encouraged to use R25 to schedule other types of instructional space (labs. seminar rooms. etc) in addition to their depmimental classrooms.

The Office of Classroom Management's R25 Department Rollout began as a limited pilot program. The rollout has now grown to include 32 departments in 12 colleges on the Twin Cities campus. Benefits of using R25 include its on-line interface with the People Soft student information system; the prevention of double booking in de­partment spaces: the availability of depm1ment web viewers that provide a graphical display of a classroom schedule: and the ability to monitor department room assign­ment efficiency by using a common space measurement system.

Depat1ments retain autonomy and responsibility for scheduling these departmental spaces while gaining the benefits of using a proven system. Scheduling will provide training and support to department users. R25 can be used by both Mac and PC us­ers.

Tra~king of high school prep requirements Trackmg of students High School Prep requirements is currently done using stu­dents' APAS reports and is triggered by active High School Prep student groups in PeopleSoft. A request has been made to create a rep011 of students who have completed High School Prep requirements; this would allovv the student group that triggers a particular High School Prep requirement to be inactivated once it is com­pleted. removing the requirement from the student's A PAS report.

When resources are available in Information Management Systems (IMS) and ASR. a report will be created tor colleges and campuses to identify \vho those students are. Until that time. ASR. will inactivate those High School Prep student groups that have been completed for Tv.in Cities campus students; this will be done after grades are posted for each semester. Important financial aid information Two new grant programs will be op­erational for the 2006-07 award year: The Academic Competitiveness Grant pro!,rram (ACG) and the National "Sci­ence and Mathematics Access to Retain Talent Grant .. program (SMART). Both programs require eligible students to be U.S. citizens, enrolled full-time. and Pel! Grant recipients.

ACG is available to first and second year students enrolled in a two or four­year degree program. Eligible students must have completed a rigorous second­ary school program of study; eligible programs must meet at least one oftbe following criteria: state designated high school program: successful completion of AP or JB courses and tests: success­ful completion of specified curriculum. Specified curriculum includes all of the following:

• 4 years of English: • 3 years of math: • 3 years of science: • 3 years social sciences: • 2 years foreign language

For the first year of eligibility. the student must not have been previously enrolled in degree-seeking program of undergraduate education. For the second year. the student must have a GPA of at least 3.0. Grant funding is $750 for the first year and $1.300 for the second year.

SMART is available to third and fourth year students enrolled in a four year degree program. Eligible students must be majors in science, computer science, technology. math or certain designated foreign languages. Students must also have a cumulative GPA of at least 3.0. Grant funding is $4.000 for each year.

New faces in Academic Support Resources Casandra Horner-Rish comes to Academic Support Resources· Office of Classroom Management as a Departmental R25 Coordinator in the Scheduling area. Her resposibilities include: assisting with the initiaive to incorporate all departments migra­tional process to R25 for scheduling, co-facilitate ~5 training. assist in monitoring training coverage and assess R25 training sessions and affiliated applications for further development. Casandra joins us from the University of California. Los Angeles (UCLA) in Wesnvood. California where she supervised the Directory Services Unit within Communication Technology Ser­vices (CTS ). among other duties. Prior to joining UCLA. Casandra vvorked for Southwestern Bell Communications. lnc. (SBC l for thirteen years as a senior small business representative. project team member and leader of various projects. Casandra holds a master's degree in organizational management from the University of Pheonix and a bachelor's degree in speech communica­tion from California State University. Northridge.

Anya NortonjoinedAcademic Support Resources· Office of Classroom Management in March as a Student Support Services Assistant in the Facilities area. Currently, Anya helps organize facilities and is also creating a projects website. Before work­ing for Facilities. Anya worked in Scheduling for nine months. She has also worked for Office of Financial Aid & Registrar at the University of Minnesota. Duluth. and the Association of British Orchestras in London. Any a holds a bachelor's degree in marketing from the University of Minnesota. Duluth.

Jennifer Selander joined Academic Support Resources in June as a One Stop Counselor. Previously. Jennifer worked in the College of Education and Human Development. as well as the Office of Student Finance. She is excited to return to Academic Support Resources in her new position. Jennifer has a bachelor's degree in Sociology from the University of Minnesota, Twin Cities.

Kasi Williamson joined Academic Support Resources in July as a communications coordinator. She is the primary contact for the tuition and fees information distributed by Academic Support Resources and serves as the editor for the ptintable policy PDF in addition to other publications. Kasi (pronmmced Kaysee) was most recently the managing editor for Speakeasy. a national literary magazine published by The Loft Literary Center in Minneapolis. Kasi holds a bachelor's degree in English and music from Quincy University, as \Veil as a master's degree in English from Loyola University. Chicago.
