Project Meeting, Monday of 18th March 2019

Start of the meeting and official welcomeAt the very beginning, prof. dr. Vera Petrović, Director of The School of electrical and Computer Engineering of Applied studies in Belgrade (VISER), welcomed the participants of the meeting. After the welcoming words a short retrospective on the project events, film named Partnership and Friendship, was shown to the participants.

After introduction by the host institution of the meeting, the use of newly purchased equipment was demonstrated by directly connecting UPKM and VISER HDTV studios. Professors and students form UPKM addressed participants of the meeting at VISER from their HDTV studio in Kosovska Mitrovica and talked about benefits form the project and how the new equipment has been put in use at UPKM.

Project progress report presented by WP leaders: realisation of WP2, WP3/4, WP5, WP6, WP7, WP8 and WP9

Brief overview of completed and uncompleted activities has been presented by WP leaders. Detailed discussion on uncompleted activities and documents has been performed in the next sessions of the meeting.

1. Progress report from the WP1 leader (partner from University of Ljubljana):All activates in WP1 have been completed and published.

2. Progress report from the WP2 leader (partner from University of Pristina in K. Mitrovica):- For activities 2.1 and 2.2 reports were sent by all WB institutions except UNIBI.- For activity 2.3 the individual reports were sent by UPKM, HTPSZ and VISER.

Other HEIs, namely SINGI, UNIBL and UNIBI did not have this activity. The explanation of this decision was sent to WP2 leader.

- For activity 2.5 all partners sent individual reports. UNIBI has not completed yet this activity, however a plan for realization of this activity has been provided.

- For activity 2.6 all partners have sent reports except UNIBI.- Activities 2.7 and 2.8 were completed and approved at previous meetings.

3. Progress report from the WP3/4 leader (partner from VSB-Technical University of Ostrava):- For activities 3.1, 3.2, 3.3, 4.1, 4.2 and 4.3 all institutions have sent individual

reports and the leader consolidated reports. - For activity 3.4 and 4.4 the proof of printing curricula needs to be documented.

As proof that book of curricula has a printed (paper) version, the partners need to send photos of printed book of curricula to the leader of WP3/4.

- For activities 5.1 and 5.2 the statistics on enrolment to academic master studies

and vocational master and specialist studies was presented. - For activity 5.3 it was reported that all 6 institutions have enrolled students and

are implementing studies.- For activity 5.4 and 5.5. statistics has been presented. Student mobility at UNIBI

will be agreed during the meeting. It was requested that all institutions check the statistics data.

- For activity 5.6 the information on student internship is missing for SINGI and UNIBI.

- For activity 5.7 statistics has been presented

5. Progress report from the WP6 leader (partner from Higher Technical Professional School in Zvečan) about the completeness and quality of deliverables:- WP1: finalized and approved.- In WP2 the last two deliverables are approved, still missing some reports. All

reports should be sent as soon as possible in order to form consolidated reports.- WP3 and WP4: still waiting for the final deliverables D3.4 and D4.4.- WP5: statistics data is to be checked once again, completed and approved.- WP6: all meetings were held and meetings minutes are available.- WP7: Expected consolidated reports.- WP8: Expected consolidated reports. Still need to be approved.- WP9: All meetings were held and meeting minutes are available. FR is to be

delivered after the official closing the project and all activities have been completed.

- The leaders of WP are to send uncompleted documents to QB by e-mail.

6. Progress report from the WP7 leader (partner from University of Bihac):- Activity 7.1: Promotion on internal meetings in partner institutions has been

almost completed, waiting for the final promotion to be accomplished tomorrow in VISER.

- Activity 7.2 Promotion on Web site & social networks continuously performed. - Activity 7.3 Production of promotional material has been accomplished- Activity 7.4. The report of promotions of the project in WB HEIs is completed.

7. Progress report from the WP8 leader (partner School of Electrical and Computer Engineering of Applied Studies in Belgrade):- 8.1 Scanned copies of accreditations and licenses of new academic and

vocational master study programs in the field of DBBT (in domestic language and officially translated in English) has been sent by all partners. Consolidated report to be completed.

- 8.2 Creation of academic sustainability plan and 8.3 Creation of financial sustainability plan realized as one ‘Academic and Financial’ sustainability plan.

- Signing the long-term cooperation agreements between HEIs and all relevant stakeholders done by all partners. Consolidated report with summarization of all reports in English to be completed.

- Ensuring the support of the relevant government bodies done. Consolidated report to be done.

8. Progress report on WP9 presented by the coordinator:- 9.1 and 9.2: Regular project meetings held

- 9.3 Development of guidelines on the project management and reporting was

completed and approved.- 9.5. Producing the project Interim Report done- 9.6 Producing the project Final Report to be done. All partners need to send their

comments on the draft proposed by coordinator back to the coordinator.

Discussion about closing of un-closed documentsIn this session the completeness of all deliverables were discussed in details.

Deliverables WP1

Based on the WP6 (Quality) leader, the final versions of deliverables should have the uniform form: either with links to the presentations from the events in references (like web links) or with presentations and relevant documents embedded in MS word documents.During the review of existing deliverables published on the project web site, it was detected that some of them could not be opened (probably because of web attacks to the project website). The owners of presentations/reports who sent those documents to be uploaded on the project web site were asked to provide again copies of missing documents in order to be updated links on the project website.

D1.5 and D1.6 – the WP leader, prof. Matevž Pogačnik to consolidate reports on all meetings and trainings.

Deliverables WP2

D2.1 and D2.2 - the copies of inventory books, where the new equipment is purchased, are collected. Currently missing for UPKM (for second part of equipment purchase) and for UNBI. The UNBI representative stated that the inventory books are updated in UNBI once a year at the end of calendar year, so the inventory commission cannot be formed now. It is agreed that instead of copies from inventory books, the handover document about the equipment receiving can be sent to WP leader by 1st of April 2019

D2.3 – The justification of not purchasing literature for UNBI, UNBL, SINGI to be sent to WP leader by 1st of April 2019

D2.4 – The activity ‘Training of the staff to use equipment’ to be executed by UNBI and sent to WP leader by 1st of April 2019

D2.5 - The activity ‘Set up of DBBT laboratory’ to be executed by UNBI and sent to WP leader by 1 st of April 2019

D3.2 - Missing document about teachers’ competencies from UNBI, UNBI should send this report to the WP leader by 1.4.2019.

Deliverables WP5

D5.1 Academic > template of enrolment, the report about second generation enrolment of SINGI is missing (English version). To be sent to WP leader until 1st of April 2019

D5.2 Approved

D5.3 Ostrava report’s about lecturing to VISER and SINGI to be merged, because two almost identical individual reports from SINGI and VISER exist in the D5.3.

The students from new generation of UNBI should go to training to UL on 3rd and 4th of April 2019. Prof. Matevž Pogacnik from UL should send report on students’ training by 5 th of April 2019 to WP leader.

D5.4 - UPKM should submit the grades of the first generation of students enrolled to DBBT study program by 1.4.2019. There are no grades for UNBI students because the exams start at June.

D5.5 Approved

D5.6 Missing data of UNBI students’ internships, UNBI to send report about internship by 1 st of April 2019.

D5.7 UNBI to send report about Lectures by experts from business by 1st of April 2019.

Deliverables WP6

D6.1. – All MoM of QB are set to the project website,

D6.2 - Quality plan is approved a long time ago

D6.3 - Report of External Financial Control will be provided by the selected audit company after the audit check. For now, all institutions to update appropriate financial documentation on the administration portal of the project website

The financial reports (in Excel) must be submitted after 14th of April 2019. (it is the last day of the project when any project related payment can be executed).

D6.4 – The internal evaluation of the quality of proposed curricula is performed and two documents about evaluation are generated and published. The QB will update the document by adding the summary about the quality of the project in general.

D9.5 – The comments and updates on the draft narrative part of the final report sent by the coordinator to be send back to the coordinator by 1.4.2019.

The next two meetings held on the first day of the project meetings are: Steering Committee and Quality Board meetings. The separate minutes from the afore-mentioned meetings are prepared.

On the beginning of the second day of the project meetings, the film about the partners in project consortium and project meetings held - Partnership and Friendship – is presented.

Discussion about closing of un-closed documents

The coordinator has presented to the meeting participants the uploaded un-closed documents on the internal part of the project web-site:

- All drafts of WP2 deliverables are uploaded to the internal WP2 webpage- The newer versions of D3.2 and D4.2 are uploaded to the internal WP3 and WP4

webpages- All draft versions of WP5 draft deliverables except D5.6 are uploaded to the internal

WP5 webpage- All QB meeting minutes are copied from the meetings’ webpages to the internal WP6

webpage- The WP7 leader should send the drafts of WP7 documents to be uploaded to the

internal WP7 webpage- The WP8 leader should send the drafts of WP8 documents to be uploaded to the

internal WP8 webpage- The PMC and SC meeting minutes are also copied from the meetings’ webpages to

the internal WP9 webpage- The webpage about meeting in Tartu (that was disappeared upon web attack on the

project website) is re-generated

All meeting participants were asked to send missing reports ASAP.WP leaders should upload newer – pre-final versions of deliverables to the internal part of the project website and inform WP6 leader and coordinator about uploading.

In the next sessions were PMC meeting and promotion on internal meetings in partner institutions. The minutes are generated in separate documents.
