By determining the total number of children in each of the settings and calculating two summary statements based on the December 1st headcount. *Federal government requires that we include 5 year olds in Ktg. who have not turned 6 by December 1st. What stakeholders do you need to involve in analyzing and problem solving around this data? 31 How to Make Your Own Data Displays Using Real-Time Data Using the CECAS Analytics Tool Directions for the Preschool Least Restrictive Environment (LRE) Report Two (2) Items To Do Prior to using the CECAS Analytics Tool 1.Ask your LEA CECAS Contact/Manager to add permissions to use the tool under your CECAS Login. 2.Download Firefox and Silverlight. (Analytics works best with Firefox and requires a Silverlight plugin) Getting Started Login to CECAS Next.... Click on the Reports Tab Click on Analytics Click on the OSEP Count tab Drag the OSEP Count Period dimension over to the left and place it in the top filter bar where the text says Drop Filter Fields Here. Click on the Filter Icon on the Code Tab Unselect All and scroll down to the Count Period you wish to select. Then select the desired count for your report. Dec 2015 is the most current. Drag the Entity dimension over and place it next to your Count (Code) filter. Click the filter icon, click the arrow down and unselect All. Click the down arrow next to your Region and select your LEA. Click OK. Open the OSEP Periodic Count dimension on the right and drag Is Active to the filter bar. Click the filter next to Is Active and click the checkbox next to False so that only True is selected. Click OK. Open the OSEP Grade dimension and drag over the Code filter and place it onto the filter bar next to Is Active. Click the filter icon, click the arrow to face down and unselect All. Select only PK. Open the OSEP Periodic Count dimension on the left and drag Age over and drop it into the space that says Drop Row Fields Here. Click the filter icon, click the arrow to face down, and unselect All. Select ages 3, 4, & 5. Click the down arrow on the OSEP Settings dimension and select either Code or Settings Description depending on your preference. Drop the selection in to the space that says Drop Column Fields Here. The settings will automatically adjust to the ages and grades you have filtered. There are 9 PK settings but only the ones where data exists will appear in your window. Drag Measures over and drop it where it says Drop Data Items here You now have an aggregate report of your data. You may export this table into excel or drill down to see the students represented in the table. Drill down to see the students represented in the table. Once the drill is complete, you may export the results to excel. Click Export to Excel in the bottom right corner. PK and K Exported and Added to One Excel Document The exported data is not easy to use so to reformat, highlight the data, copy it and paste it into a new sheet using the 123 paste option. The second part of this report looks at children aged 5 in K. To change the data in analytics, drop down the filter for age and uncheck age 3 &4. Click OK. Then drop down the filter for grade (Code) and unselect PK and select KI. Click OK. This will give you a table for 5 year olds in KI that you can export to excel and add to your data display. There are a few data displays available to you currently that will help you analyze your data.
