LCME Update, Dean Ray Curry: [Link Dean Curry’s presentation s/p]

1. Comment from Dean Kashima: request for Dean Curry’s background and qualifications1. Has been on survey teams previously, has participated in 20 (UC-Davis, Tufts, etc.)

2. Liaison Committee on Medical Education1. Liaison = AMA/AAMC double accreditation of medical schools in 40s, wanted to ensure

quality of education2. Recognized by national bodies (DOE, licensing boards); international bodies (WFME)3. Review must be conducted every 8 years

3. LCME Accreditation is required for:1. Federal Funds, board registration, etc.

4. Process:1. Self study begins 18 months before visit (AMQuIC here at UICOM)2. April 15th - 19th the visiting team arrives

1. M, Tu, W, Th campus visits1. C on Monday/Tuesday2. U, P, R on Wednesday

2. Including lunch with students, representative group3. Report from visiting team is just a “recommendation” for the LCME4. LCME will provide a decision in October 2018

1. Anything out of compliance will be assigned ‘monitoring’ status, where repair will be overseen and status reports are required

2. Any citation that persists >2 years, the institution must be disaccredited (per DOE)

1. Average status report time period must continue for 4 or so years

Page 4: UMSC Meeting Agenda - umsc.org.uic.eduumsc.org.uic.edu/assets/minutes09.16.2017.docx  · Web viewSelf study begins 18 months ... possibility that some clerkship evaluations are done

3. 12 standards are the criteria for citation5. Have issued adverse action:

1. SLU on probation; Louisville, Baylor have been on probation in past 5 years5. Institutional self-study

1. Data Collection Instrument (12 mo), Independent Study Analysis (student conducted), AAMC Grad Questionnaire, Summary

2. Self-study committees will conduct Town Halls and refine existing commentary1. Remainder of 2017

3. Self-Study Summary should be complete in November 2017, circulated for commentary4. Currently processing data from previous ISA; repeat administration of ISA in early 2018

1. Will help us also determine if we’ve made progress5. Must give a probationary period before disaccreditation

1. A cautionary tale, Oral Roberts: http://www.tulsaworld.com/archives/roberts-to-close-hospital-medical-school/article_c3f5b934-9e73-5ca2-89ef-db0962b5162a.html

6. In previous years, the Grad Questionnaire (GQ) has been below the national mean1. Ex. “Satisfied with the overall quality of my education” - numbers are in the low

80th percentile, usually2. Surveyors may bird-dog these data points - look fo unhappy students

6. Areas of Noncompliance (2010)1. Administrative

1. Strategic planning, affiliations, faculty appointments2. Firewall between student health and evaluation*

1. Meant to be completely separate from evaluating preceptors, tough on Chicago campus because of CampusCare; need student perspective on this as well

3. [Note: CMSC major concern is mental health/counseling specific. Non-stigmatized illnesses tend not to pose a conflict of interest for preceptor reviews. Being seen as having a mental health “issue” becomes sticky.]

4. Financial Guidance/Literacy for students1. Advisor in Chicago (Marcello Johnson), two new advisors in Peoria

(Kristina Peckmann and Dr. Daniel McCloud), working on an advisor in Rockford

2. Cross-campus comparability1. Coordinated and equal education across sites

1. Has been drastically improved in the process of 3 campus curriculum update

3. Education1. Active learning and narrative evaluation (M1/M2)2. Final clerkship evaluations are timely

1. Standard is 6 weeks; we have not yet met this standard and are having trouble achieving compliance

2. Comment from J. Jou: possibility that some clerkship evaluations are done “too quickly,” with possible correlation with pressure to complete and artificially lower scores

3. Best practices: Potentially electronic record that is accumulated slowly, over time, as opposed to a massive, end result evaluation

1. Avoid a last-minute rush to judgment/imperfection of memory

Page 5: UMSC Meeting Agenda - umsc.org.uic.eduumsc.org.uic.edu/assets/minutes09.16.2017.docx  · Web viewSelf study begins 18 months ... possibility that some clerkship evaluations are done

7. www.LCME.org for more information on the process8. Next steps for UMSC representatives at the campuses

1. Get everyone familiar with the process and help them understand the LCME standards2. Make sure people are aware of the visit dates (April 15th - 19th)3. Provide context for surveys, understand the implications for the accreditation4. Important for older students to recognize that many problems are likely to have been

fixed or changed

II. Approval of Minutes

Discussion:

Mistreatment Reporting: Review of Process (to be submitted to CCIA)Reporting Medical Student Mistreatment DraftDMSLE Report Flowchart

o Is the process for reporting clear and understandable?o Does the report follow-up section establish clear expectations for those who report

mistreatment or other learning environment concerns? Or, is there more that could be added or addressed in this section?

o In the report outcome section, do the examples help or are they too limiting?o Is the information about privacy of information shared with the Director of Medical

Student Learning Environment (DMSLE) office helpful? Is it too detailed?o Overall, does the process document provide sufficient information for students and

others to understand the process?o With regard to the flowchart:

Does this help simplify the information in the process document? Do you think the questions along the side are the most relevant, or is there

some other topic the DMSLE should be considering?o Goals: making this as user-friendly and accessible as possible, especially for M3s and

M4s Communicate as: 1. a resource that is there if you need it; 2. it is not a “thinness

of skin” or “frailty of ego” problem; 3. that it happens to everyone; 4. if something feels wrong, it is worth talking about

o Action Items: Representatives should distribute the two documents and questions to M3s and

M4s (with context on DSMLE) Request responses to above questions from student body, specifically student

representatives at campus government meetings

b. Vice President (Matthew Durst)Updates:

a. Urbana (Ari Pence, Petra Majdak, Olivia Cangellaris)Updates:

Page 12: UMSC Meeting Agenda - umsc.org.uic.eduumsc.org.uic.edu/assets/minutes09.16.2017.docx  · Web viewSelf study begins 18 months ... possibility that some clerkship evaluations are done

Given the smaller size of the government we are exploring options for Executive Leadershipo Considering the creation of one student-governing body in Urbana made up of elected USMG

representatives and elected MSPAC representatives Include language in constitution to address the Urbana closing. Proposed amendment:

o Urbana shall receive sufficient resources to ensure students receive an equal education and training to that received at the Peoria/Rockford/Chicago campuses, and resource allocation shall be addressed and revised annually.

We would like to define our role  in the UMSC given our smaller sizeo Urbana Representation to UMSC: We would like to maintain the voting representation as 3

representatives until the majority of MSP students have moved to the Chicago campus to complete their MD training. The representatives would be distributed such that there is 1 representative for the students in their medical years (a USMG member), 1 representative for the students in their graduate years (a MSPAC member), and the UMSG president. This is consistent with the representation model for Urbana in past years. The number of representatives can be revisited annually as the constitution is ratified.

o Question from Matt Durst: How many students currently on Urbana campus? 100 students

o Goal: to have continued representation of graduate student population in Urbana; should be revisited because the MSP exodus to Chicago is uncertain

o Question from Dean Kashima: Does UMSC control resources? Can we make that statement? Matt Durst: we can make the language “advocacy,” because we do not directly

control fundingo

Discussion:

b. Rockford (Stephanie Grach, Aisha Bhatti, Raj Kumar)Updates:

RMED has stolen half of our UMSC reps for mandatory team-building :( We have M1’s (and our new M2’s) and they are wonderful!

o Great initiatives being started by the new students from new organizations (dance and music as well as medical interest groups) to arranging blood drives for hurricane relief

M1 initiative for a Hurricane Irma fund - led by Raj; would be great to see intercampus collaboration

Outreach is the big ask; cash or in-kind donations from other campuses In conjunction with the leadership certificate and in similar style to the Leadership Retreat, we

have developed new leadership development sessions for students, and are arranging our first few Dialogue with the Deans sessions - to include research, curriculum updates, and continued “Coffee/Lunch with the Deans” day sessions.

Constitution updated, campus budget approved and organization budget request and comprehensive treasurer training upcoming, committee positions in process, M1 and M2 representative positions established and revamped to establish greater role in RMSC Exec compared to previous years

Campus talk with Mayor went well, Welcome picnic went well, hope every other event besides goes well!

Page 13: UMSC Meeting Agenda - umsc.org.uic.eduumsc.org.uic.edu/assets/minutes09.16.2017.docx  · Web viewSelf study begins 18 months ... possibility that some clerkship evaluations are done

o Casino Night campus fundraiser next Saturday evening: proceeds from this event will support the Medical Evaluation Response Initiative Team (MERIT), which works to identify child abuse and provide medical evaluations and treatment.

o Go med student softball teams!

Discussion:

Mainly just looking to establish what other committee positions we need to work on filling at the UMSC level as we work to solidify student representatives

Stealing from Peoria on this (spoiler), but also curious how best to address an increased need in student funds with the increase in students.

c. Chicago (Joe Geraghty, Absent; Olivia Lanser, VP Communications)Updates:

Recently rolled out a new quarterly newletter written by and for our students, The Medical Messenger, and our VP Communications (Olivia Lanser) serves as editor-in chief. Idea is to share and celebrate the accomplishments that our students have made.

Our website has been updated ( www.cmsc.org.uic.edu ) - “Looks really great now” Formed two new student-based committees to deal with current issues our students have

highlighted and develop channels for advocacy and change:o Student Wellness & Resilience Committee (Chair: Cory Reiter, G2/MSTP) - Worked with

Dean Kashima over past few months on bringing Farmer’s Fridge to COM for more healthy, affordable food options that fit students’ schedules, also have been working with Dean of Students and Director of Counseling Center to increase mechanisms and opportunities for accessing mental health services for Chicago health professional students

Cost for items is $8-10 for a salad, etc. No cost for installation

o Student Diversity & Inclusion Committee (Chair: Cristina Gonzalez, M2) - Just getting started, but has already identified administrative contacts including Dr. Gloria Elam (Assoc. Dean Diversity & Inclusion), Renee McCarthy (Director of Med Student Learning Environment), and Dr. Joanna Michel (Urban Medicine).

Changed the way our Peer Education Program (PEP) operates given the new Phase 1 curriculum. Peer tutors now host weekly open office hours (Thursdays 6-8 PM) in addition to more formal mid-block and end-of-block review sessions. Each block is assigned a Block Lead to help coordinate the materials, resources, and other tutors in addition to serving as a point-of-contact for students.

The Student Curricular Board (SCB) has two M2 students serving as the feedback representatives for the M1 Block 1 until M1 representatives have been appointed, which occurred this week. So far, the feedback has been highly informative and these reps have been meeting with our local block directors and curricular dean quite frequently.

d. Peoria (Victoria Lu, proxy)Updates:

Campus Happenings/News: UICOMP welcomed 58 new M1s and 58 new M2s to our Peoria campus this August! An open house

was held on July 27th, where community members, staff, and students were invited to explore the new campus facility upgrades including hi-tech classrooms, a new anatomy lab, and modern study spaces.

We created new seats for equal representation for the new M1 class based on our local constitution that was amended and ratified in February.

The Student Event Planning Committee and SGA also hosted a Welcome Party that was well-attended by members of all classes and offered students an opportunity to get to know each other in a friendly setting.

Many new interest groups were created to accommodate the growing interests of the new M1s and M2s. Events related to these groups, including volunteer and community health activities, are in full swing.

Strategic priorities: One of our goals this academic year is to consistently seek feedback from students and faculty alike

on the new curriculum and facility accommodations. To this end, the local M1 CIA reps are in contact with academic affairs to explore what kind of system will work in Peoria.

Another goal is to secure more funding for student activities. We had a 33% increase in students with only a 2% increase in student funds allocated to our campus.

o Dividing that funding among an increased number of student interest groups is cause for some sweat over funding

o Comment from J. Jou: Lean on HPSC

Discussion:

e. MSP- Urbana (Olivia Cangellaris, proxy for Lucy Mailing)Updates:

See Urbana section above - we are communicating with UMSG to determine how best to proceed to represent the needs and goals of both MSP and traditional students.

Discussion:

V. Committee Reports

a. CCSPUpdates:

Page 15: UMSC Meeting Agenda - umsc.org.uic.eduumsc.org.uic.edu/assets/minutes09.16.2017.docx  · Web viewSelf study begins 18 months ... possibility that some clerkship evaluations are done

CCSP is working towards finalizing Social Media Standards and Guidelines.  We’ve discussed changes to College of Medicine Academic Policies and Professional Standards.  Still in discussion on changing wording for students who’ve had to have remediation or take a leave of absence and how that reflects on students applying for residency.

Discussion:

b. CCIA (filled out by Joe Geraghty, Chicago)Updates:

Assessment, remediation, and attendance policies were review at the CCIA meeting on August 4 and approved pending further discussion following the Block 1 and 2 exams and opportunity to make changes in real time.

CCIA is also working on changing the curriculum management structure and will likely have new and different committees for which we will need student representation. More on that should be coming in the next few weeks.

There has also been a work group planning how clerkships will operate in the new curriculum that is planning to make formal recommendations to CCIA for further debate soon.

Discussion:

c. CCAUpdates:

From Alessandra Hirsch (Matt Durst Presenting) : We are not yet using Casper to make admissions decisions but will be following students' scores through the medical school process to look for correlations between Casper score and professionalism. In addition, the CCA is being restructured such that the group of interviewers is larger whereas the core executive committee has fewer members.

d. CCSASUpdates:

April 4th meeting was canceled. Committee members received ~20-30 applications to review and rank for Sweeney and Merit scholarships by the deadline of mid April. Unfortunately, we did not have a follow up meeting after the cancellation so, to my knowledge, we were not made aware how many of the ranked candidates ended up getting the scholarships and which applicants were voted to receive them.

o Matt Durst to send this to Dean Kashima in an email, to be communicated to Dr. Girotti

Question from Raj Kumar (R): How will the leadership certificate worko We want to not do any top-down mandating for what can and cannot serve as

leadership criteria - so instead individual campuses should alter language of the certificate to match this new concept (All-Campus Event)

Question from Dean Kashima/Olivia Cangellaris (U): can the treasurer be designated as the individual who manages event finances?

o Comment from J. Jou: UMSC Treasurer shall serve as liaisono Dean Kashima: want a central person to be making the decisions on fundingo Jonathan Jou: want to remove questions of student monetary contribution to

participate - should be free without strings attachedo Retreat leadership needs to get UMSC approval for topic and understand the logic of

planning General Comments:

o Comment from Dean Kashima: Faculty bylaws use the word campus - update all mention of “site” to “campus”
