GUIDE TO COMPLETION OF SELF-ASSESSMENT:
USING THE EXCEL MODEL CALCULATOR AND EVIDENCE LIST
This document explains how to utilise the skills matrix and skill definitions to perform a self-assessment of your knowledge and level of practice in a variety of core Occupational Hygiene skills. The matrix identifies the minimum level of skill and knowledge required for registration and certification at each recognised grade of Occupational Hygiene practice in Southern Africa. The Skills definition tables can be considered as a syllabus of learning, knowledge and practice required to be considered for registration at each of these levels. This document is a step by step guide to understanding the model, performing a self-assessment using the excel calculator and completing the evidence list required for registration purposes. The advantage of this model is the ability to use the model as a gap analysis to identify weaknesses and incomplete skills prior to application and examination. If major gaps are identified, in conjunction with your mentor, it is advised that you delay application and source additional skill, knowledge and practice in your recognised weak areas. This will increase the potential of successfully passing the examination and attaining registration.

1. THE EXCEL SELF- ASSESSMENT TOOL EXPLAINED
When you open up the self - assessment tool you will see three tabs
to open the levels of worksheet and instructions.
a. The skill level matrix lists the 17 key skills to be assessed
and will show the overall scores once you have populated
the self-assessment tables
b. The self-assessment tab is the main tool that you populate
as described in this guide
c. The instructions tab gives you information on guidance
documentation, plus a list of 15 examples of evidence that
you can list to support your assessment.
You are able to move between the tabs as you populate the model.

2. THE MATRIX EXPLAINED:
INDEX:
1. The 1st column lists 17 key skills which form the foundation for all
levels of Occupational Hygiene Practice. Detailed definitions for the level of knowledge and skill required at the different grades of registration are provided in Document Ref: Skills Definitions 01 DEF, and in the worksheet in the next tab which you populate as required.
2. The three Grades of practice and registration in the SAIOH
certification model. 3. The column below the registration grade is colour coded for the
level of knowledge and practice required for each topic at each skill level. Thus entry level for an OHT would be practice in each skill (as defined in Document ref: Skills Matrix and definitions 03 REG). Each percentage result self populates as you complete the assessment per skill in the worksheet on the next tab to give a total percentage overview.
4. Level of proficiency required for entry level at each grade as per
skill definitions. 5. Registration is set an entry level for each grade. Thus skill
development will continue once registered. The % shown is the minimum knowledge and skill level per set of definitions, and as self- assessed, that should ensure you are successfully REGISTERED at the required grade.

3. GRADE REQUIREMENTS EXPLAINED
6. OHA – At this grade the applicant does not undergo an oral assessment, and is for information only. No self-assessment submission is required for assistants. Awareness is assessed only by written assessment. The purpose of including assistant level in the Ref: Guide to Self-Assessment Calculator & Definitions 04 GUI document is to guide the candidate to the level of knowledge across the various skill definitions in preparation for the more advanced levels. The assistant has a basic knowledge and understanding of Occupational Hygiene practice. They are thus familiar with the profession and a minimum score of 60% identifies they are ready for assessment at this grade.
7. For registration at OHT level the same procedure occurs using the Practice set of definitions. By this stage the applicant should have practiced for two years and should score > 90% for the Familiar set of definitions and a minimum of 65% of the required knowledge for Practice for entry at OHT level.
OHT entry will also be dependent upon the provision of a Personal Learning portfolio as described in Document. Ref: 01 PLP.

8. At OH level the criteria is Proficiency – a full set of requirements to meet this criteria are provided in Document ref: 03 REG – Skills Matrix and definitions
An entrant for registration as an OH would have 5 years full
time practice in the field and will have increased their knowledge base to >95 % for the Familiar and >85% for the Practice criteria. They should score at least 70% for Proficiency at entry level.
A copy of the assessment calculator should be stored on your
system and updated as you learn new skills, thus improvement in the lower registration columns by an increase in scores should occur on an ongoing basis as well as starting to populate the column for the new level of registration you are preparing for. You do not need to start from scratch each time!
OH entry will also be dependent upon the provision of a
Personal Learning portfolio updated with additional evidence for practice at OH level as described in Document. Ref: 01 PLP.

4. UNDERSTANDING THE DEFINITION SET
(Doc Ref: 03 REG– Skills definitions)
9. The first column identifies and summarises the specific skill
set under evaluation.
10. The level of knowledge and skill required at each grade is
listed. As learning and experience increase so does the
extent and detail of the required knowledge and/ or
practice.
Thus a new entrant at Assistant level would require basic
familiarisation and awareness of each topic. The basic
educational entry requirements would ensure that people
applying for entry at this grade should easily meet the
criteria.
At OHT and OH the increased criteria is based around
practical application increased competence and a degree
of increased learning via further education, workshops and
seminars etc. Providing the applicant has practiced under
the supervision of an OH for the two years required for
OHT and 5 years for OH level the 65% and 70%
requirement for the required criteria rating should be met.
Definitions are also shown in the self-assessment form to
allow you to score against the individual statement /
requirement.

5. CALCULATING YOUR KNOWLEDGE LEVEL % USING THE
EXCEL SELF ASSESSMENT CALCULATOR TOOL
11. Each grade has a list of required skills and knowledge, e.g. OHT has four criteria for Design of OH programmes. Carefully study each requirement and self-assess your ability and knowledge. Mark yourself from 1 to 10 using the dropdown list in the excel self-assessment form (Doc Ref: 04 REG) for each criteria (See next page).
12. Individual criteria highlight in green, amber or red to identify
your main weaknesses in relation to the full skill set. This allows you to understand where additional improvement is required.
13. Your mark will be calculated automatically against
minimum requirements and your percentage for each skill category will be reflected in the bottom row total. Results above the minimum required score for each skill set will highlight in your category colour.
14. If you fall below the required % advised in the matrix the
total % box will not highlight, this identifies that you will probably fail the written and/ or oral examination for this skill set and identifies a need for additional learning or practice, especially in knowledge areas highlighted in amber and red.
15. OHA and OHT need only fill in columns for the grade
requested. The OH column may be filled in optionally on an ongoing basis as skills increase to save time when an upgrade is requested and to identify gaps in knowledge or practice.

16. For each of the 17 Skills identified perform the self-
assessment, e.g. for OHT you would need to mark yourself for Familiar and Practice. If you have some additional more advanced skills for some of the topics you may add your skill level into the more advanced columns as well. The calculator has each set one below the other for ease of application.
17. You need to read each individual criterion for your
required registration level. The score box next to the criterion description allows you to grade yourself from 0 to 10. If you are confident that you meet the criteria in full select 10, if you do not meet this requirement at all select 0. Partial knowledge or practice is marked by a self-defined level on the sliding scale 1 to 9. Marks may be typed in or selected from the drop down list.
18. The idea of this model is to allow you to identify your level
of knowledge and competence in the 17 key areas of normal OH practice – be realistic, this model is designed to allow you to understand areas of weakness and need for improvement to meet registration criteria.

6. PROVIDING EVIDENCE TO SUPPORT YOUR SELF-
ASSESSMENT RESULTS
E.g. of some evidence documentation (full list available as explained in point
20)
a. Copies of certificates identifying registration with other professional bodies and proof of attendance at meetings and workshops.
b. Copies of reports and related data for subject specific topics identifying
you as team member, author or co-author. c. Proof of lecturing, teaching, presentations and authorship of technical
articles.
d. Proof of your position as a Manager with documentation relating to
responsibilities and staff numbers under your control etc. See full list in excel model use guide tab.
19. A list of the various examples of proof you can show that
you do in fact have the listed level of skill, knowledge and practice should be listed in the evidence column next to the skill criteria requirement. There are 15 examples of acceptable data provided in the introduction tab of the worksheet for guidance as to acceptable evidence.
20. The column allows for long lists so various types of evidence for requirement can be listed.
21. Where a set of evidence covers several descriptions this
can simply be cut and pasted, or referred to in lower cells.
22. You need not detail formal educational qualifications in
each category as these are listed and considered in the main registration or upgrade application form.

7. TOTAL EVALUATION RESULTS AND DECISION TOOL
23. As you populate each skill in the assessment tool the
average score per skill transfers to the main matrix and
your average for the full skill set is automatically
calculated.
If your total result for the set exceeds the minimum %
required for your elected grade the result in the total
column highlights in your grade colour. This identifies
that you should be in a position to sit the required
assessment (written or oral) with a high probability of
successful outcome.
If your overall score is below the required pass rate for the
required registration category the Total % will not highlight
as will all of the various skill categories where your
weaknesses are and the need for additional learning and
practice is recommended before you consider assessment.
It is also recommended that if your result is positive but very
close to the required score, or greater than 40% of individual
skills remain below the required % score required for your
required grade you should consider some additional
intervention and learning prior to assessment to ensure
success.

8. FILLING IN THE APPLICATION FORM
Part 1 of the form (Doc Ref: 01 REG) remains the same as the previous
application method. Part 1 of the form requires all of your personal data,
employment records, qualification information etc. This is a separate word
document accessible on the SAIOH web site.
The new criteria required is the self- assessment against the skill definitions
described above. The self -assessment form is Doc Ref: 04 REG in the
application and registration document set. The form is an interactive excel
tool that can be downloaded from the SAIOH website and the use of this is
described in this guide in points 1 to 7 above.

8. FINALISATION OF APPLICATION DOCUMENTATION AND
FORMS:
6.1 You must complete and provide the following documentation:
The Application form part 1 (Doc Ref 01 REG):
a copy of your excel self-assessment data (Doc Ref 04 REG), saved under your name and present SAIOH Registration number where applicable;
Electronic scanned copies of the completed SAIOH Referee templates (Doc Ref 05 REG). Originals should be attached to the hard copy application forms where relevant.
Copies of all evidence documents should be kept in your Personal Learning Portfolio file.
6.2 These documents should be e-mailed to the SAIOH Administration office [email protected] or copied and posted in hard copy to: PO Box 50772, Randjesfontein, 1683.
6.3 Hard copy proof / documents and reports relating to practice as described in the Personal Learning Portfolio (PLP) Guide (Doc Ref: 01 PLP) should be produced and filed as required. These should be referenced in the evidence list on the excel self-assessment tool and available for review if requested.
