Formatting a Paper Using Word 2007

Spacing between Paragraphs To remove the extra space between paragraphs, click on Page Layout menu. Set spacing “Before” at 0 pt. and “After” at 0 pt.

Note: You also need to change the paragraph spacing to single or double spacing; do not use 1.15 spacing.

Page Numbers

1. Click on the Insert menu. Click on Header and choose Blank in the dropdown menu.

2. The Header &Footer Tools Design menu will appear; click on “Different First Page.”

Set the “Header from Top” at 0.75" and “Footer from Bottom” at 0.75".

3. On page one, place cursor in footer. Click on Page Number. Choose Bottom of Page and then Plain Number 2, which centers the page number.

4. On page two, place cursor in header. Click on Page Number. Choose Top of Page and then Plain Number 2, which centers the page number.

5. Highlight the page numbers, go back to the Home menu and change their font to Courier New, 12 point (in the Home menu).

Outlines

Note: If you have already typed your outline, highlight the outline before starting step 1.

2. Click on the second option under List Library. 3. Click on the “Multilevel List” icon. (See step 1.) 4. Click on Define new Multilevel list.

For level 1 (roman numerals): A. Under Click level to modify, select “1”. B. Under Number style for this level, choose “I, II, III, …”. C. Under Enter formatting for number, change “I)” to “I.” (Change parenthesis to

period after roman numeral.) D. For Number alignment, select “Right”. The field for Align at: should be 0.2",

and the field for Text indent at: should be 0.25".

For level 2 (capital letters):

A. Under Click level to modify, select “2”. B. Under Number style for this level, choose “A, B, C, …”. C. Under Enter formatting for number, change “A)” to “A.” (Change parenthesis

to period after letter.) D. The field for Number alignment should remain “Left”. The field for Align at:

should be 0.25", and the field for Text indent at: should be 0.5". For level 3 (Arabic numerals):

A. Under Click level to modify, select “3”. B. Under Number style for this level, choose “1, 2, 3, …”. C. Under Enter formatting for number, change “1)” to “1.” (Change parenthesis to

period after number.)

D. The field for Number alignment should remain “Left”. The field for Align at: should be 0.25", and the field for Text indent at: should be 0.5".

5. When finished formatting the outline levels, click OK in the Define new Multilevel list dialogue box.

6. When typing the outline, choose the appropriate level of the outline. In the Home menu, click on the Multilevel List icon. Click on Change List Level, and choose the appropriate level. To match the font to the rest of the document, highlight the outline and change the font to Courier New, 12 point (in the Home menu).

Page Number for Outline Page

1. After inserting the page number on the outline page, change the page number to “iii.” Open the footer on the outline page. The Header & Footer Tools Design menu will appear. Click on Page Number and select Format Page Numbers. When the Page Number Format dialogue box appears, select “i, ii, iii, …” for the Number format and type in “iii” for the Start at page numbering. Then click OK.

Automatic Endnotes

1. Place cursor in text where you want to insert a note. Click on References menu. Click on Insert Endnote. (The program will automatically insert the reference number in the text and send you to the end of the text.) Click on the arrow in the Footnotes box . When the Footnote and Endnote dialogue box appears, change Number Format to “1, 2, 3, …”. Click on Apply.

2. Type the endnote.

3. Return to the text to insert a new note. Repeat steps 1-2 for each endnote (You only need to format the endnote once).

Note: The endnotes (an example shown below) are not yet formatted properly. Format them

after all of the notes are typed. Notes Page

1. Add a section break at the end of the text. Click on Page Layout menu. Click on Breaks. Under “Section Breaks,” select Next Page.

2. To remove the line above the notes, click on View menu. Click on Draft.

3. Click on References menu. Click on Show Notes.

4. In the Endnotes drop-down menu, click on the arrow and select Endnote Separator. Highlight the line and delete it.

5. Click on View menu. Click on Print Layout.

6. Highlight the notes.

7. Click on Home page. Click on the arrow in the Font box. In the Font dialogue box, select for Font “Courier New” and for Size “12.” Under Effects, click on Superscript twice to uncheck the box. Click OK.

8. Add a period after each reference number. Add a blank line between the notes. Indent the first line of each note 1/2".

Works Cited Page

Because Word does not allow you to place pages after the Notes page, it is recommended that you type the Works Cited page in a separate file. See “Page Number for Outline Page” for how to change the page number.
