Opening Letter For the 2015-2016 School Year

Trinity Western University,

I have the privilege of being your Vice President of Finance this year and forming what I hope, is a student association budget that aims to serve the student body in the most effective and transparent way possible. I believe that money can be a blessing from God, and a venue in which we can glorify Him and serve him which is why I am super excited to see what God is going to do on our campus this upcoming year. I am a strong believer that “work becomes worship when you dedicate it to God and perform it with an awareness of his presence.” With that being said, I want this campus to be a campus where we can glorify and honor God in all that we do and do the very best of whatever we are doing in order to worship Him.

The AGM is used as a guideline in our expenditures as TWUSA, Mars Hill, and Pillar throughout the year. This year we did our very best to forecast what our expenditures will look like and this document is the result of that. We found that taking a conservative approach was the best option and also budgeting for possible revenue was an exciting new thing that we are hoping to try this year. I am fully confident in my team, and the people that were involved in creating this budget. We have put in a lot of prayer for financial discernment and I hope that this year we are able to use the student association budget to foster a positive community, offer up services, and advocate for the students.

Objectives

Outside of the budgeted amounts for leadership grants that follows in line with our bylaws, the Administrative Budget supplies the bulk of services the Association offers, including printing and our coffee bar. The goal of the administration budget is to adequately plan for the cost of providing services to the student body on a daily basis, including improvements and maintenance of the office space as a service in its self.

Rationale

Leadership GrantsAs a part of a Student Council Member’s learning experience a leadership grant is received to help them further their educational endeavor at Trinity Western University. The specific portion for each leadership role is defined within the Association bylaws.

Special EventsThe spring retreat is an essential part of creating unity throughout council. The spring retreat is both a time to rejuvenate and connect as a council. This practice is typical of all leadership groups at TWU.

Copy work and Printer RentalThe copy work and printer rental sections pay for paper and our printer rental including ink, respectively. This is an important part of our services to the student population and is the most significant draw to our office space.

Stationary and SuppliesThis section helps the office stay functional as an office. It includes items like staplers, hole punches and tape that essential. This is a prediction of running costs, maintenance and any necessary replacement of current services.

Coffee Bar SuppliesThis budget supplies our free coffee, tea, and hot chocolate service. This is the main draw of students to the TWUSA office. The improvement in quality of coffee and office atmosphere has caused a greater demand for this service in the past year.

Office ImprovementsThis budget is a continuation of office improvement that have already begun. The goal for this current year is to repaint the beige walls of the office, stain the coffee bar, recover the window seats and more. We’ve already bought new furniture for the office and that has changed the office atmosphere greatly.

MiscellaneousThis budget acts as a buffer for any unforeseen administrative expenses. This includes broken windows, replacement of computers and new equipment. Hopefully in the coming years this will not be included in the budget to increase the accountability of the administration budget.

The Communications Department is largely responsible for advertising and connecting with students about TWUSA’s services, events, partnership opportunities, and overall vision for the year. The allocations of these funds are for the purpose of fostering interest in TWUSA’s vision to create an informed and involved student body. This will be achieved by advertising, surveys, clothing, and partnership with other entities on campus.

Open Mic Nights

There will be a total of four Open Mic Nights planned for the upcoming year. Open Mic Nights serve as a creative platform, accessible by any student who wishes to express themselves creativity through music, poetry, comedy, and story-telling. The financial cost is to cover prizes, drinks, snacks as well as any required decorations. The hope that adding more incentives allow for the Open Mic Night to become a marquee social event during the school year.

Yearly Expenses

In communications, there are certain yearly costs that must be allocated in order for the department to properly fulfill its purpose. This includes the purchase of an account of Adobe Creative Cloud so that the department can produce high quality content for students, business cards so that students can contact key TWUSA members, and printing costs for event advertising over both semesters.

Events

TWUSA’s presence on Orientation Day is essential as it allows TWUSA members to meet and introduce themselves to incoming students- these costs include the purchase of candy, buttons, and prizes. Traditionally, TWUSA sponsors the purchase of TimBits in support of Fall Work Day, which is a school-wide event that focuses on serving others, this is a small way in which TWUSA can support those who serve on this day

We Are Vision

The We Are vision was started by TWUSA last year. This year’s council has decided to carry on this vision and to take it to greater heights- meaning that to truly get students on board with this vision, TWUSA needs to engrain the logo and its meaning with logo placement.

Printing

The major cost for the Communications department goes to printing. Printing posters and using paper as a method of getting the word out is a key aspect of our department. Through the library and IT, most of our printing would happen locally with a discounted cost.

Surveys

Student surveys are for the purpose of gathering student opinions and needs as tangible data that TWUSA can assess and analyze. The purchase of prizes, such as starbucks gift-cards, is an incentive for students to participate in these surveys.

The We Are Clothing Brand is another way in which to unify the student body under the We Are vision. We plan to make relevant and fashionable clothing for the student body.

Business Rep Alumni CaféThe Alumni Café gives each student a unique perspective on what life after Trinity Western is. They will learn how to apply concepts and techniques introduced by the University to the work force. They will also learn about the challenges some Alumni have faced and how to avoid them.

Christmas SkateThe SBA Christmas Skate is an event that all clubs in the business school join together to do for all students. Placed in December to allow students to escape for a couple hours from the busy exam week and enjoy the season.

Lets Talk BusinessA speaker from Wall Street will come and speak to the students to tell them how working on Wall Street is. He will also talk about how New York has challenged his faith.

Department OlympicsAn event to link the variety of departments with entertaining games challenging the intellect, physicality and sharp mindedness of each program.

Backpack to BriefcaseBackpack to Briefcase serves the purpose of facilitating the transition from the University life into the workforce.

Year-End BBQThis event serves the purpose of building community and as a celebration of finishing the semester. This is for business students to connect for one last time before parting ways.

Education Representative

Ice-Cream SocialThis event is designed to promote community within the Education faculty. More specifically to initiate friendships between first year and returning education students. Also

to advertise opportunities for involvement in the Future Teachers Society (the faculty of Education club).

Christmas Party Provide opportunity for Education students to relax and socialize before exams begin

Teacher Panel Q&AProvide students in the faculty of education and those interested in education an opportunity to ask teachers of varying levels of experience about the joys, struggles and challenges of teaching.

Backpacks to Briefcase This academic event will provide students in their fourth year with insight to enable their transition from school to work.

Department OlympicsThis event will provide an opportunity for students across various faculties to socialize with each other and to work as a team with students in their own faculty.

Year-End BBQEvery year the faculty of Education put on a Barbeque at the Strombeck building as a celebration of another successful year. Our objective is to assist them in set up and subsidize the food (not to pay for it entirely).

Human Kinetics Representative

Friendly Goal-Ball TournamentTo provide a friendly competition of goalball amongst the HKIN students to create an enjoyable and social atmosphere for the new and current HKIN students. To ease into midterm season.

Physio SessionTo provide HKIN students with an opportunity to gain insight of what to expect to the buildup of and after graduation.

Department OlympicsThis event is set up in collaboration with all the representatives to organize an event similar to the Olympics for the students to enjoy and relax amidst the stress of the semester. The money will go towards the events various needs, e.g. food, equipment.

Backpack to BriefcaseTo provide the students with an opportunity to engage and listen to a TWU alumni who has gone through Trinity and beyond

Annual HKIN Dodgeball Tournament

This is an annual event held by the HKIN department for the HKIN students. TWUSA has collaborated with the HKIN department over the years to support the HKIN students and the faculty.

Humanities Representative

HSS Welcome Back PartySince HSS is the biggest faculty on this campus, it is difficult for HSS students to get to know other students from other majors, so this event is to help students get to know other majors under HSS, and build a stronger HSS community.

Missionary Talk This event was requested by many people in HSS faculty. The experiences of the missionaries would be relevant to students from various majors, such as linguistics, religious studies, humanities, pre-medicine, etc. This event would be very meaningful for those who aspire to become missionaries in abroad or bible translators

Documentary NightSince the environmental study major is cross-listen between HSS and NATS, this event would be a great opportunity for the environmental study students to get to know both faculties. Also, this event provides students with an opportunity to learn about environmental issues occurring locally.

Break the Cycle Fundraiser Week More than 25% of college students are diagnosed with mental health issues, and this issue is not so irrelevant for TWU students either. This event provides students with an opportunity to learn about mental health issues, and how to cope with them.

Faculty OlympicsThis event would encourage TWU students to build stronger relationships across the campus.

Ice Cream SocialThe rational behind this event is for the NATS department to show support for the clubs, students, and professors under it. In doing so I created a friendly environment n which students could meet other peers and gain information about my role, and the NATS clubs. The money spent was on Ice Cream and the essentials for it.

Movie Night

The movie night is in collaboration with he importance of this event is set on the idea of a collaboration with the Biology club, and therefore creating stronger relationships. As well as giving students the opportunity to take a mental break if they choose to partake. The money spent will be on pizza and popcorn as it adds to the appeal of the event.

Missionary Doctor The event works to bring together the departments of HSS and NATS through the common interest of a speaker. The missionary doctor caters to both pre med, and humanities students. The money will be spent on snacks and a thank you gift for the speaker(s).

Fun Event The purpose of the event is much like that of the movie night. It will be to create a stronger relationship with the students and faculty of the NATS department. The purpose of the non-academic event, gives students more opportunities to get to know each other and professors outside of an academic mindset.

Faith and Science WeekAs a Christian University, faith is largely integrated into our studies, however many do not understand the connection between Faith and Science. Through the speakers and events hosted, Faith and Science week works to create an understanding between the two that students and staff will appreciate and acknowledge.

Pre-MedThe importance of this event is to create a relationship amongst the nursing and NATS department, although closely related the faculties are largely different. The event hopes to close the gap between the faculties.

Department OlympicsThe rational behind this event was to bring together all departments in a friendly competition in order to build a stronger community amongst Trinity.

Nursing Representative

Christmas BanquetTo give financial support to the SNA club in their annual Christmas banquet geared towards the nursing department.Ice Cream Social To introduce students to both the TWUSA and SNA reps for the following year and promote TWUSA and future events in the Nursing community.

Coffee House Study SessionTo give students an opportunity to foster community in the nursing department while being productive and accomplishing academic goals.

Mercy Ships Volunteer- Speaker

To give students an opportunity to learn more about the objectives and opportunities available through Mercy ships. This event will also aid in fostering TWU’s relationship with mercy ships.

Bonfire The rational behind this event is to provide the nursing faculty with a fun and relaxing event that can help create community and promote other TWUSA events.

Pre-MedTo combine the NATS and nursing departments to create community between the two faculties.

SAMC Representative

Whine and Cheese EventThis event is the very first event for SAMC to get together and mingle with others from other departments. There will be intriguing art activities to do while socializing and eating food. This event is to mimic and mock ‘Wine & Cheese’ art events done outside of TWU.

SAMC Movie Night (with CSA)This event is to build relationships between all the departments in a casual setting. It is a way for all departments of SAMC to take a break from their studies and relax with the other majors. I will be collaborating with the Communications Student Association for this event.

SAMC Game Night in TWUSAThis event is to bring the departments of SAMC together in a fun and friendly environment to socialize and mingle throughout the departments.

SAMC Instagram ContestsThese instagram contest giveaways are to encourage people within and outside the SAMC community to attend events, shows, and performances within the SAMC departments.

Department OlympicsThis event is one of the larger events for the year. The SAMC Olympics is a continuation of Darby’s event last year. This event is to help bring the departments of SAMC together as a whole community. The students will undertake in challenges and games in teams.

Backpack to BriefcaseIf this event ends up taking place again, it will be partnering with the other faculty representatives to bring academic speakers to the student body. This event will provide

an opportunity for students to gain knowledge from speakers on how to transition from school to the life after graduation.

Welcome Back BBQ

This BBQ is designed to welcome back students after the summer break. It is a traditional event that allows them to connect with peers along with sell/buy used textbooks.

Banana Challenge

Banana Challenge is another annual event that allow dorms to compete against one another and unite together while navigating through a series of obstacles. Often other teams are able to compete as well (Alumni, collegiums, etc.). This event encourages dorm bonding and a healthy competition against other dorms (a potential pre-cursor to Fort Week).

Dorm Skits

Similar to the Banana Challenge, this is yet another annual event that allows dorms to compete against one another and bond as they perform some sort of skit, dance, song, etc. There is a panel of judges who decide at the end which one is the best. The purpose of this event is also to encourage dorm bonding, specifically at the beginning of the year and it allows dorms to make themselves known on campus.

Late Night with TWUSA

This event is for both students and alumni to come together over Alumni Weekend and partake in carnival festivities. This event cultivates an atmosphere that allows student to engage with both staff and graduated Alumni on campus. Often students, staff and graduated Alumni lack an environment and an opportunity where they are likely and able to come together, so this event provides just that.

CanAm Soccer

CanAm Soccer is a legendary event for Trinity. It is a great way to initiate a little friendly competition between the Canadians and Americans on campus. Competition always draws people out and bonds them together as they cheer on their respective teams. The mixed teams create a great atmosphere for introducing people and allows them to form relationships over the love of the game.

Robson Underground

This event provides a great and safe way for students to get together in costume and have fun on Halloween. It is also requires the involvement of the Robson apartments, which helps the freshman experience and interact with upperclassman.

Christmas Gala

The Christmas Gala provides an opportunity for students to dress up, get off campus, and have a gourmet dessert/appetizer night at the end of the fall semester. This will be a special event where students can celebrate a semester of hard work and begin to enter into the Christmas season.

Throw Back Thursday

Similar to the Welcome Back BBQ, this event seeks to draw more people together and rekindle the community after spending a few weeks apart over Christmas break. It is also a great opportunity to buy/sell used textbooks.

Freshman Event

The purpose of this event is to create an occasion that is geared towards the Freshman class in a way of encouraging community within the incoming class. In the past a Sadie Hawkins dance has been done.

Hootenanny

During the spring semester, students will have the opportunity to showcase their whacky, comedic and artistic talent in front of the student body. Prizes will be awarded to the top 3 talents that perform. It also is held during Preview Weekend, which gives prospective students a quality event to attend.

Can Am Hockey

This event is annually hosted by TWUSA, which, historically, has the most attendance of any University event. As in the past, we hope to use Langley Events Center to help better integrate the student body into the venue. This is an event where the larger Langley community could become involved in, and more aware of, Trinity Western University. It is also a great opportunity to potentially partner with the Alumni office in order to reengage Alumni for an event.

Year End BBQ

This event is executed by the incoming council (2015-2016), it follows the same structure as the Kick-off BBQ.

Grad

The banquet of Trinity Western University’s 2015-2016 graduates will follow in the tradition of past years, focusing on celebrating the hard work and positive experiences of the last

four years of studies and the community built during that time. Possible venues will be considered, featuring a dinner and dance. The money is used for venue rental, food, entertainment etc. and helping to subsidize the grad tickets.

Equipment Upgrade

All events require extension cords and basic tools and equipment. The events team needs new equipment to help the productions of event runs more smoothly. Specifically a lot of our sound equipment is aging and needs updating.

CanAm Football

CanAm football is typically the most low-key event of the CanAm series. Since there are a lot of events on campus around that time, our goal is to provide an opportunity for people to compete and watch the continuation of the CanAm rivalry.

Rationale

We, as a council, believe it is necessary to inspire and address enthusiasm, creativity, and leadership efforts within the student body. For this reason, the proposal budget has been designed to provide such an opportunity. We believe these funds encourage students and clubs to pursue their own initiatives that further fulfill the mission of TWUSA. Students and clubs can make a proposal-funding request that will be brought to a vote before council. Following a successful approval by the TWUSA council, students are eligible to be disbursed a maximum of the amount that was approved at the Board of Governors meeting. Our council has allocated such a large amount because we believe providing students with this proposal opportunity is one of the major visions and goals we, as TWUSA, stand for.

Objectives

The purpose of Pillar is to photograph events and yearly activities with the goal of producing a final publication that is ready for students by the end of the year. Pillar also posts content from events on their Facebook page so that students are engaging with events after they have happened and to archive the moments that do not make it into the printed yearbook. These two functions create unity and excitement among students as they share in the process of remembering the year and what it meant to them. The yearbook also serves as a future tool for remembering faces, names and experiences in the many years to come.

have an Assistant Editor that will help produce the yearbook alongside the EIC so that Pillar is able to create a high quality publication in which this new position will aid in accomplishing. Our Managing Editor will oversee the efficiency and workflow of the office, putting systems in place as well as assisting with the design and publication of the yearbook. Our Lead Photographer will be in charge of organizing photographers for events and assisting with photo editing. Our Grad Coordinator will also assist with photo editing as well as be in charge of contacting parents about the baby grad fundraiser if we choose to include that in the yearbook. We have two Photographers who will be shooting events, dorm activities and general campus buzz throughout the year. Finally, we pay Scott Steward, the Spartans’ photographer for access to his photos when publishing the yearbook.

Publication CostsWe have been quoted for 1400 yearbooks at a price of just under $30 per book.

This includes packaging and shipping.

Camera EquipmentThis includes a new telephoto lens to help with events such as CanAm Soccer &

Hockey in order to achieve shots we are currently unable to. It also includes items like batteries, a new flash system for night events and film for monthly film projects and sections in the yearbook.

FurnishingsThese costs are all as part of the process of upgrading the workspace and

finishing renovations from previous years. This includes a new desk, chair, camera storage unit, coffee table and paint. All these items have helped to enhance the office and facilitate a creative and efficient space for this year and years to come.

Computer/Office EquipmentThis section is for costs that may incur in regards the computer and related

equipment, in order that the yearbook comes to publication.

Office SuppliesThese costs are for incidentals and supplies around the office. Posters & ads will

be for promoting yearbook giveaways as well as information needed for photo days and retakes.

Special Events/IncentivesPillar plans to have 4 planned team meals for bonding, brainstorming and

rewarding members for all their hard work. It also includes items such as snacks and food for late nights of editing or layout and design.

ACP MembershipThis is the membership fee of The Associated Collegiate Press, which is an

organization that Pillar is a member of.

Rationale

WagesAll of the team’s wages are set to match the bylaws. The wages of the Sports Editor have been increased from previous years in order to more accurately reflect the amount of work done by the position. The Advertising Manager stipend has been decreased by $200, as the stipend seemed exorbitantly high in light of the additional commission.

Advertising Manager CommissionCommission will be calculated as 15% of the print advertising income for the entire school year. It will be paid to the Advertising Manager before the end of the spring 2016 semester.

Printing and PublicationThis total reflects the cost of printing four full-colour issues, seven half-colour issues, and a single black-and-white issue.

Newspaper ExpansionThis total allows for the purchase of additional stands to be located off campus -- possibly in Langley Center, Fort Langley, and/or Walnut Grove.

ACP MembershipThese costs cover a Collegiate Press membership which provide us access to legal aid as well as media resources such as photos, stories, and other support.

Equipment UpgradesThese costs cover replacement of outdated equipment and addition of new equipment. Possible purchases may include an external monitor, a compact-flash USB card reader, a new compact-flash card, and a camera lens.

Contributor Gift CardsThis total allows us to give gift cards to our faithful contributors to encourage participation and engagement with the paper. These gift cards will be in increments of $20 and $40, and they will be distributed at the end of each semester to students who have contributed most invaluably to the paper.

Food CostsDuring times when deadlines need to be met, (including late nights editing for publication, and quick turn around for event photos) this budget allows us to feed our staff so they may work straight through until completion. In instances when the time of our staff is pressed, providing necessary meals increases our ability to make deadlines without overworking our team. We have budgeted $80 per production weekend for twelve production weekends.

Special EventsWe wish to create a strong team bond that carries through not only this year but into the future as well. This total reflects money to be put towards team-building events to help create a strong team this year, as well as money towards campus wide events intended to increase our brand presence, readership, and to ensure that our current members are able to get people thinking about joining the Mars’ Hill team in the future.
