This is my third year as Principal at Wexford Collegiate School for the Arts. Every day I am reminded of the Wexford tradition of excellence, dedication, and innovation among staff and students, and the generous support of parents and the community. Students will be overwhelmed by teachers who create a warm, caring, and inclusive atmosphere. Wexford CSA is recognized as one of the finest academic and artistic schools in the province of Ontario.

This handbook will keep you informed about school events, expectations and policies. I would like to welcome parents/guardians whose child is entering grade 9 to our Wexford family. It is my hope that this handbook is informative and it supports you and your child in their first year of high school.

Our School Council is very active in supporting our Parents. I look forward to meeting you in the near future at meetings.

The School Council, also sometimes referred to as an Advisory Council or Parent Council, provides a forum through which parents/guardians and other members of the school community, including staff and students, can contribute to improving student achievement and school performance. The School Council normally meets seven times during the school year. Each meeting includes the following:

• meet with Principal, Vice-Principals, staff and student representatives and guests, to learn what's happening at Wexford each month

• hear about the Toronto District School Board, Ministry of Education, curriculum issues, and other related matters of interest to parents/guardians

• obtain academic, strategic planning, educational, and valuable parenting tips and updates • learn about all the exciting co-curricular activities, leadership and student travel opportunities

available to Wexford students For parents/guardians who are interested in becoming elected members of the School Council, information sheet and candidate declaration forms have been included in the Parents’ Handbook mailing. These sheets are also available online at the Wexford website (www.wexfordcsa.ca). The School Council also maintains an E-mail list for the distribution of meeting agendas, minutes, and support documents, as well as for the distribution of information from the school, the Board and the Ministry that may be of interest to parents/guardians. Responsibilities Regular attendance and punctuality are essential for student success. Students are responsible and accountable for their attendance and justifying any absence. Excessive absences may result in disciplinary action and/or removal from their program. Absences When a student is absent, a phone call (416-396-6874 x1) is expected from the parent or guardian. Upon return, a note explaining the absence must be shown to and signed by all of their teachers and then returned to the office. Arriving Late or Leaving Early

• After 8:50 a.m. – students goes directly to first period. • After 9:25 a.m. – students must sign in at the Main Office with a note to explain the late arrival.

Students who must leave before 3:05 p.m. must sign out at the Main Office. If students are under 18 years old, they must present a note explaining the time and reason for the early dismissal. Students who skip classes or who repeatedly arrive to class late will receive a series of escalating consequences resulting in suspension and possible removal from Wexford CSA. Students who are absent for an extended period of time must provide documentation as follows:

• Illness: Students must produce medical documentation. Students may request that work be provided with a minimum of 48 hours’ notice to the teacher.

• Personal Reasons other than illness: Students and parents/guardians must complete the “Extended Absence” form prior to their departure. They will need to show this form to each of their teachers and then submit to their Vice-Principal.

Formal Exams: All students must write their final exams. Students will only be exempted from an exam upon an approved medical doctor’s note indicating why the student could not write the exam on the particular date/time.

Student Services: The Student Services office assistant can be reached at (416) 396-6874 ext. 20040. Student Services counsellors are available to discuss educational and career planning, personal planning and make referrals to community services and agencies. The counsellors’ appointment schedules are posted each morning at 8:15 a.m. A student who wants to see a counsellor fills out the appointment slip and signs the Appointment Schedule in the appropriate place. The appointment slip allows the student to leave class at the scheduled time. At the end of the appointment the counsellor signs the appointment slip, allowing the student back in class. The social worker is available, by appointment, to both students and/or parents/guardian for counseling. Referrals can be made by contacting your child’s guidance counsellor.

Counsellors are available to do the following:

• Help students with both academic and personal issues • Connect students to local community service programs • Consult with students on academic programs

Student Success: Offers group and individual support to students who are are struggling to succeed in their academic courses. Academic Resource Department: This team of teachers and educational assistants offers support for students who have an Individual Education Plan (IEP). Please see school website for more details. English Language Learners (ELL): Courses and support are provided for students whose first language is not English.

Remediation for all: Remediation is provided by teachers for students in their classes who need or want extra help.

At the beginning of each course, teachers will give each student the course outline that informs the students of the department evaluation policy as well as the course evaluation policy. For most courses, seventy percent (70%) of the final mark is comprised of the term work such as tests, projects, assignments, essays, etc. The remaining thirty percent (30%) is in the form of a formal evaluation such as an exam and/or final project. The term mark (70%) is typically divided into four achievement categories:

• Knowledge • Thinking • Communication • Application

or

• Reading and Literature • Writing • Oral Communication • Media Studies

Achievement categories have a different weight depending on the course, grade and level. Marks for most evaluations and tests are divided into these four achievement categories and provide for students, teachers and parents/guardians information about the areas on which students need to focus. For example, a student who received a test mark of 80% in the knowledge achievement category, but 50% in the communication achievement category must concentrate more on building his/her communication skills. In addition, students in many courses may receive pre-assessments. Pre-assessments do not count toward the final mark, but the results give teachers and students an indication of what the strengths and needs are. Homework: Homework is an integral part of student success at Wexford. Teachers assign homework to students so that they may practice independently the material covered. Homework may include the following:

• Daily assigned work for the following day • Reading in preparation for the following day • Reviewing the day’s work

The amount of homework assigned per subject varies. Students should develop good study skills by setting aside time to complete all of their homework. Homework should be completed thoroughly and on time. Suggestions for improving academic achievement:

• Speak to your course teacher for assistance • Find out when your teacher and subject department offer extra help

Due Dates / Late Assignments When assigning a project, test or other work to be submitted for evaluation, the teacher provides a due date which students are expected to meet. For major projects, the teacher monitors student progress to support students in completing work by the due date. Students do not have an automatic right to submit work late. They must discuss an extension to the due date with the teacher before the due date, at which point the teacher makes the decision about a possible revised due date. If seeing a marked assignment would give another student an academic advantage, then a late assignment may not be submitted after the marked work has been returned to the rest of the class.

Examples of situations where a late assignment is likely to result in loss of marks. 1. Other strategies to encourage on-time submissions have been tried and documented. 2. There has been a pattern of late submissions by the student in the course. 3. The student has not initiated a discussion to arrange for a revised due date.

Note: Students and/or their parents/guardians/caregivers must inform the school ahead of the due date if a request for accommodation of religious beliefs, practices and observances requires a rescheduled submission of student work. Final Cumulating Projects and Examinations: Students are informed at the start of their course if there is an examination and/or a final culminating activity that accounts for 30% of their mark. Students should start preparing for final evaluations the day the course begins. Examination schedules listing the date, the time and the room number of all exams and the examination policies are distributed to students approximately one week before the start of the examination period. Last minute studying or “cramming” is strongly discouraged. Exam Sign Up Protocol –Academic Resource Supported Students Wexford students that have an Individual Education Plan (IEP) are supported by the Academic Resource Department (ARD). One of the many ways in which the ARD supports our students is during the exam process. Most students with an IEP are entitled to extra time and an alternative space for writing evaluations. If the ARD student wants to access these accommodations they must sign up in Rm. 223 at least 2 weeks prior to the beginning of the exam schedule. The coaching towards independence and ownership begins in Grade 9. It is our expectation that all of our senior students will be accustomed to the process and will not miss their opportunity to benefit from all the department offers. Grade 9 and 1st semester grade 10 students are interviewed individually and given the choice and the chance to sign up for extra time to write their exams. Second semester grade 10 and grade 11 and 12 students are sent reminders by the ARD. These reminders are given to each ARD student. Students sign off verifying they have received the reminder. Specifics are outlined in the reminder regarding deadlines, reference sheets and computer availability. It is then the students’ responsibility to ensure that they make the necessary arrangements for their exam accommodations. Deadlines are approximately 2 weeks prior to the onset of the exam schedule. Major Evaluations – Attendance Policy Exemptions from examinations are NOT granted. Students must provide proper documentation for evaluations missed for medical or other valid reasons. Documentations may include a medical certificate, subpoena or equivalent. Students who miss an examination or major evaluation for any other reason will receive a zero.

Assessment, Evaluation and Reporting “The primary purpose of assessment and evaluation is to improve student learning” (Growing Success: Assessment, Evaluation and Reporting in Ontario Schools, Grade 1- 12, 2011, p.6). In the TDSB, there is an expectation of fair, consistent and transparent assessment, evaluation and reporting strategies. Assessments and evaluations are designed to provide students with multiple, positive opportunities to demonstrate their learning skills and work habits and their understanding of the curriculum expectations. All students in the Toronto District School Board are expected to submit their own work for evaluation. Cheating and plagiarism will not be tolerated. Examples of cheating are: using another student’s work on a test or any other evaluation, unauthorized use of electronic media to obtain answers during an evaluation or bringing unauthorized notes or notations into an evaluation. Plagiarism occurs when someone uses all or part of someone else’s work (e.g. written work, or oral presentation) and presents it to be his/her own. Examples include copying and pasting from the internet or other electronic sites without citing the source or omitting quotation marks for direct quotations even if the sources have been cited. To ensure a full understanding of academic honesty students are expected to do the following:

• seek clarification from teachers about actions that constitute plagiarism; • seek assistance when their research skills need improvement; • understand the penalties for academic dishonesty and plagiarism; • ensure that all their work is original and that they cite sources accurately and consistently. The

OWL website provides excellent examples on how to cite work using MLA Style (for Liberal Arts and Humanities), APA Style (for Social Science) and Chicago Manual Style (for footnotes/endnotes). http://owl.english.purdue.edu/owl/section/2/

Consequences of Academic Dishonesty When plagiarism/cheating is detected, it will be investigated. If plagiarism/cheating is confirmed by the teacher, they will inform the principal/vice principal, the student, and the parent/guardian (when the student is under the age of 18) of the specific details regarding the plagiarized assignment or the allegation of cheating and the resulting consequences. A consequence for cheating and plagiarism may be a mark of zero for the assignment / exam in question. If a student cheats or plagiarizes repeatedly, there will be an increase in the consequences. All students who face the consequences of plagiarism or cheating have the right to appeal the teacher’s decision to the principal/vice-principal.

Two report cards and two formal Markbook reports are issued each semester:

All reports are sent home with the students; however, students will pick up their semester two final report card the 1st and 2nd week of July.

Parent/Teacher meetings are held once each semester on dates indicated on the school calendar. We encourage you to come and meet teachers and discuss your child’s progress. If you have questions at other times, phone the school and ask the subject teacher to return your call. If you have questions about your child’s program, feel free to call student services. Parent Support Parents/guardians play a major role in the success of their child. We encourage you to take an active role in your child’s learning. Some ways that you can lend your support and be involved are:

• Contacting teachers at any time during the semester in order to be kept up-to-date with your child’s progress in a course

• Contacting Wexford or visiting the school website at any time in order to find out what is happening at school

• Attending Parent/Teacher interviews • Looking at your child’s agenda for upcoming events, homework assignments, etc. • Encouraging your child to study • Looking at your child’s notebooks regularly • Attending School Council meetings

Wexford is proud of our successful tradition of linking academic achievement to events. To ensure that this tradition continues and that the credibility of all co-curricular activities is maintained in the highest standing possible, Wexford’s co-curricular policy governs student participation in school activities outside class time. Co-Curricular Policy All students are expected to attend classes regularly and on time, and are expected to work to the best of their ability. Failure to comply will jeopardize the student’s active participation in co-curricular activities. Should a student be found failing in, or having failed, more than one subject in the past year, the student’s eligibility to participate in co-curricular activities will be challenged. This will involve a review of the student’s performance by the Eligibility Committee. The review could result in one or more of the following:

• Probationary removal from all co-curricular activities • Removal from all co-curricular activities • Other remediation deemed to satisfy all parties concerned

Academic Probation Students who have auditioned and been accepted into Performing Arts or Visual/Media Arts Program are expected to be successful in all of their classes. Students who are failing a course at the midterm or end of a semester will be placed on Academic Probation. In order to continue on in their respective program at Wexford CSA they must be successful in obtaining the credit(s) in question.

Attendance Call-Out System The TDSB has implemented a new telephone call-out system to inform parents/guardians about student absences, lates and other system messages. At the end of the message, parents/guardians must press 2 to confirm the message was received. If you do not press 2, the system will continue to call back at least 5 times until a confirmation is received. Change of address, telephone: It is essential, in the event of an emergency, that we have updated records for contacting parents/guardians. It is imperative to return the Student Information package no later that the 1st week of the school year. Please inform the office immediately of any change of address, home or business telephone numbers. Parking Lot Etiquette (Student Drop Off & Pick Up)

There is no room in our parking lot to safely allow for the drop off or pick up of students during parts of the school day. The signs at the entry of the parking lot clearly state the hours at which dropping off or picking up is NOT allowed (between 8:00 a.m. – 9:00 a.m. and 2:30 p.m. – 4:00 p.m.). Please respect the need to ensure the safety of our students while they are arriving or leaving school.

The map shows some nearby areas at which students can be dropped off. Use of Personal Electronic Devices by Students As a general rule personal electronic devices are not to be used in a classroom! However, they may be used during instructional class time for educational purposes only if prior permission is given by the teacher of the specific class. Misuse of personal electronic equipment will result in a consequence which may include but is not limited to confiscation of the device, a referral to the office, and/or the requirement for a parent to reclaim the item. Personal electronic devices may be used outside of instructional class time, so long as the use of these devices does not distract from instructional class time, extra-curricular activities or co-curricular activities. Student Agenda Each Wexford student is given a Student Agenda at the start of the school year. When used consistently, the Student Agenda can act as an efficient time management tool. Students should use the Agenda to keep track of daily work and extra-curricular activities. You will also find valuable information on study tips, the code of behaviour, evaluation policy, school safety, student extra-curricular activities and many other topics.

Study Tips Here are some suggestions for you to share with your son or daughter:

• Use your Student Agenda to record homework, tests, and projects. • Create a good working environment. Find a location where you are comfortable and free of

distractions. Turn off the television. • Keep all of your supplies (paper, pen, etc) in one area. • Use your Student Agenda to organize your homework time. If you have no assigned

homework, use the time to review or read. • Break your work into manageable pieces. Plan ten minute breaks every 40-45 minutes. • If you have a major assignment, set goals so that you do the work over time – not the night

before it is due. If you have questions, see your teacher for extra help. • Plan for regular review. Be sure that your notebooks are in good order and that your notes are

complete and legible.

There are additional tips for school success in the Student Agenda.

Each student is required to pay $50 Student Activity Fee. This covers the cost of the school agenda, the yearbook, as well as many of the numerous activities offered by the Student Activity Council. In addition, this covers many of the entry fees associated with our athletic teams. There is also a $30 Athletic Fee for students who join an interschool team (students are only required to pay once regardless of how many teams on which they play). This is to cover the cost of the Athletic Banquet which is held in June. If there are financial reasons that prevent students from paying any fees they must see their Vice Principal. There are no fees for Academic Resource, Business, English, Family Studies, Geography,

History, Math, Student Success or Tech. A school trip will have cost recovery fees attached, but it does not include teacher

replacement costs, which the school must absorb. Any student who has financial difficulty can speak to a VP and arrangements will be made to

support them. No one will ever be denied an opportunity to participate because of finances!

The purpose of the Markbook Printout is to provide students and their parents with information on how the student is achieving in the course as well as how marks are generated in the different categories/strands. Teachers have spent time in class going over this information with the students. Parents can review this information with their children and see where strengths and weaknesses are. One item to look for is missed assignments. Have your child speak to the teacher to see if missed work can still be handed in. This will encourage your child taking responsibility. The Printout allows you to see how well your child does on tests, quizzes, essays, projects, etc. Praise the strengths and encourage where work needs to be done. As always if you have questions or concerns please contact your child’s teacher.
