Is the purpose of this meeting clear to me? Too many meetings go ahead before the purpose has been defined. If there is doubt, seek further clarification ahead of the meeting. 2. Have I received an agenda and any necessary background papers? An agenda clearly states the purpose and objective of the meeting, guides the use of time and limits the meeting to the intended purpose. 3. Is my attendance at this meeting important to others to enable actions to be agreed? Each participant will have a role to play at meetings from a coordination role to a decision-making role, it is important that everyone understands why they are attending. 4. Is another member of my team in a better position to contribute? Making a call early about who is the best person to attend will mean they can get up to speed with the purpose of the meeting promptly. 5. Is attendance a priority for me or do I need to decline and explain why? If I can’t physically attend a meeting I may choose to email or phone with my contribution instead. Tips for not having a meeting You don’t need to hold a meeting when there is not enough information to discuss and there are still too many unknowns.
