Expect no less at our October meeting as our speaker Rob Webb shares his insight on challenges associated with eDiscovery and Data Governance. This will be a joint meeting – welcoming and liaising with the Tidewater Paralegal Association.

September Meeting Recap:

On September 19th, Dr. MaryJo Burchard, PhD, with the City of Virginia Beach led a fun and informative session explaining the benefits of play and how helpful it is to incorporate play into our workday.

An immediate benefit of play is to reduce stress and increase creativity. Those who can reshape a prob-lem as a challenge are more effective and successful in solving the problem and reducing their stress. Play can help change a problem into a challenge. Play can help reshape how people think of an issue. Play enables creativity and reduces criticism and fear of failure. It allows you to look at a situation from a different per-spective which can result in an improved response and creative solutions.

When things get really busy and hard, that is probably when you most need to play.

Tidewater ARMA Membership Meeting

Attendees: Darlene Barber, Sarah Quisenberry, Michele Trader, Susan Marziani. Cathy Edwards, Kim Wilson, Felishia Squires, Tammy Narde, Georgia McQuigg, Sarah Le, Angie Diggs, Monica Wilburn, Ginny Jones, Gabe Buckley. Guests: Dr. MaryJo Burchard and Erika Horton. President Darlene Barber called the meeting to order at 6:51 pm.

Old Business: Susan Marziani was installed as Secretary of the Chapter for the current year.

New Business: Michele Trader (Treasurer) reviewed the proposed budget which had the following changes from the one posted in the newsletter. 1) The Board decided to increase the attendance fee for the June and December meetings from $10 to $15 per person; 2) Line items were added/increased for potential new sponsorships. A new campaign was initiated to obtain sponsors for both monthly meetings and for the spring seminar; 3) A disbursement mistake was corrected in the April program; 4) Speaker expenses and Gifts for Speakers/Bosses have been broken into two separate line items. After review a vote was made to adopt the budget with no objections or further corrections being necessary.

Darlene Barber reminded everyone of the new look and format of our newsletter and thanked Sarah Quisenberry for taking on this task after Ginny Jones’ retirement. She added that Michele Trader is adding a calendar as well. Darlene also thanked Jonathan and Susan for their work on revising the website which has an entirely new, contemporary look….check it out! Lastly, Darlene mentioned she would like to compete this year for awards for both our newsletter and the website and asked that eve-ryone participate and send in articles.

Committee Report Outs were completed with updates on the following:

Audit (Darlene for Lori Newell): The annual audit was complete with no findings and the audit has been filed. By Laws (Darlene): Both the By Laws and Standing Rules are being reviewed and revised. Charitable (Darlene): November will remain our annual food drive when we have our joint meeting with the Richmond chapter. At this meeting the Angel Tree bags will be distributed for collection at the December meeting.

Member Care (Georgia): No reports at this time. She reiterated that if she is not contacted about a mem-ber’s needs, she won’t know to act. Please email her directly. Membership (Michele): We added six new members over the summer – way to go and thank you for join-ing. Programming (Sarah Q): The programs are all in place and the speakers and remaining details for the spring seminar are being finalized. Publications/Publicity (Sarah Q. and Susan): The newsletter deadline is September 27th for articles, etc. Please submit articles, etc., to Sarah Quisenberry. Susan reviewed the new marketing campaign under-way to obtain sponsors for both meetings and the seminar. This will continue throughout the year and begin targeting specific industries such as legal, medical, and education.

Darlene reminded members that volunteers are needed on all committees and asked everyone to step up and help when/where they could. Some commitments don’t require a lot of travel as we’re trying to have phone conferences when possible. Additionally, we currently do not have a Chair for the Education com-mittee, if you are interested, please let a Board member know as soon as possible. You can find details of the committees and their roles and responsibilities in the August newsletter.

If you’re not having fun, you’re doing it wrong! Did you know that humans are the only species that never outgrow the need for play? Dr. Burchard presented a laughter-filled, fun evening that had all of us step-ping outside of our comfort zone (just a little) and engaging with others in the room. Who knew we had so many unicorns, hummingbirds and amoebas among us? We learned the importance of play; that play in-creases learning and creativity; and that play bonds us socially and helps us grow, grieve and explore. Thank you Dr. Burchard for a great evening!

Raffle: The entire amount, $42 was deposited into the scholarship fund as Susan Marziani donat-ed her winnings.

Next Meeting: October 24, 2017 at the Norfolk Southern Tower, Norfolk, VA. Topic: eDiscovery and Data Governance. This will be a joint meeting with the Tidewater Paralegal Society.

No other business being presented, the meeting was adjourned at 8:00 p.m.

Mission Critical

The latest buzzword around the office lately is mission critical. Is that report, that process, that system mission critical? In other words, does what you are spending your time doing, and thereby dollars, enable the department, the company, or the organization to achieve its mission? Most organizations have a documented mission statement. It is a short sentence or two that tells in clear, concise language what the organization’s purpose is.

The failure or disruption of a mission critical activity, device, service or system will cause an overall failure in a business operation. For example, the communications system and connectivity is mission critical for an online vendor. The gas or electricity that runs the ovens in a bakery are mission critical; if that service fails then there is nothing to bake and nothing to sell.

Many electronic records and systems are mission critical. Emergency call centers, computerized hospital patient records, data storage centers and many other operations dependent on a computer and communication systems have to be protected against downtime or shutdowns due to the system's mission-critical functions. As records managers we think of our Vital Records and we work to protect them. We work with our Information Technology partners to ensure our organizations have disaster recovery plans and backups.

But it is always a good practice to review what you are doing to ensure it still supports the mission. Have you been creating the John Doe report for the last ten years because Vice President John Doe asked for it one year? Has John Doe retired? One month don’t distrib-ute the report and see if anyone misses it. If you can go a quarter without distributing that report then it is no longer mission critical. Stop creating it. Free up your resources to focus on what is really important.

Mission creep is the expansion of a project beyond its original goal. It happens so easily over time. The Ken Burns documentary on the Vietnam War recently played on the local PBS station and was very informative. One of the many lessons from Vietnam is mission creep and its dangers. Go back and look at that simple mission statement; have extra reports or processes been added to your workload that are nice to have but not mission critical?

Our bosses are looking for increased productivity. Many of us are taking on additional duties as positions are eliminated. And the volume of data and records to manage just keeps growing. Therefore, it is important to periodically think about your organization, its mission and your activities and make sure you are focusing your time and talents on mission critical

activities. Stop doing the rest of it. You will be more productive, more effective, and less stressed.

Committee Overview—The Charitable Committee:

Charity, the voluntary giving of help to those in need, can take many forms. The ARMA Tidewater Chapter’s Charitable Committee organizes two charitable events for chapter participation. Chapter President Darlene Barber, CRM, leads the committee and members help to organize one or both events.

The first charitable event occurs at the November chapter meeting. Food and funds are collected at the meeting and donated to a local food bank. Last year the chapter donated $30 and 53 pounds of food to the Foodbank of Southeastern Virginia and the Eastern Shore. The foodbank can convert 53 pounds of food into 44 meals and the $30 donation into 120 meals.

This year, the chapter will collect food and funds for the Virginia Peninsula Foodbank, which serves the cities of Hampton, Newport News, Poquoson and Williamsburg, and the counties of Glouces-ter, James City, Mathews, Surry and York. The Virginia Peninsula Foodbank partners with almost 160 member agencies and have provided over 147 million meals.

The estimated number of US households that were food insecure declined in 2015 to 12.7% of US households or 1 in 8 households. This is a decrease from the14.9% food insecure in 2011 which was the highest percentage ever recorded. But 2015 was still above the 2007 pre-recession level of 11.1%. The official poverty measure is published by the United States Census Bureau and shows that in 2015 there were 43.1 million people in poverty, 3.5 million less than in 2014. The official poverty rate in 2015 was 13.5 percent, down 1.2 percentage points from 14.8 percent in 2014. However, the 2015 poverty rate was 1.0 percentage point higher than in 2007, the year before the most recent recession. So while the country continues to slowly recover from the great recession, many Americans are still falling behind and a large number of children in America still go to bed hungry each night.

Quite simply, food banks provide food to people who might otherwise go hungry. You can help by participating in the food drive. Join the committee and take the collection over to the food bank. They run a very efficient operation and it is impressive to witness.

Are you a shopper? Then you are the perfect committee member to assist in the Angel Tree project for our December meeting. The chapter solicits names of children to help over the holiday period and the committee chooses the recipients. Bags identifying gifts and sizes are distributed at the November meeting and collected at the December meeting for distribution to the families of the children selected. Tidewater ARMA Board Meeting

Attendees: Lori Newell, Sarah Quisenberry, Michele Trader, Jonathan Tillman. Recorder: Susan Marziani

The meeting was called to order at 2:10 by Vice President Sarah Quisenberry.

Website Update Jonathan advised that the site has been converted to a platform called Weebly. He personally pur-chased a two year subscription that allows one administrator and others can have access to upload items, make revisions, etc. He advised that this is a very cost efficient application ($120) and has flexi-bility. His concern is about the layout as we don’t want to duplicate the former website in its entirety.

With the new look on Weebly, he is asking the Board to email him ideas of what pages are needed and pictures if we have them. He has very limited photos to use. He can also obtain stats from the site about the number of “hits” each page gets, but we won’t know actual user names or IDs.

He offered to have a demo of the site for the Board members and we will try to do this either before or after next month’s General Membership Meeting (October 24th).

Lastly, the Board recommended he be reimbursed for the subscription as we will need to know these costs going forward to incorporate into the annual budget.

Seminar Update Sarah reminded everyone of the theme (that will be announced in the October newsletter) which is Weather The Data Deluge. This was to expand on the 2017 theme of ESI. Comments from the 2017 seminar indicated that attendees wanted real world solutions – not just theory. Sarah has two individu-als in mind to serve as our Facilitator/Emcee for the day.

Sarah has secured two speakers thus far. One is from Concept Searching, Inc., who will discuss auto-classification. Can it really remove human intervention? The other speaker is Chris Whitaker from Iron Mountain who will have real world case studies and solutions. Susan will be approaching Glenn Smith at LVA to hopefully open the afternoon session with a big pic-ture look at RIM. Playing on this year’s Agents of Change theme at the national conference, what ex-actly do we need as records managers to move forward and stay current with our industry?

Lastly will be (hopefully) an interactive session with a trainer. Sarah will be contacting the lady in HR at NNSB as she has presented at the seminar in the past. All seemed to be in agreement and that we en-joyed her interactive exercises. This session will be on time management and project management.

Sponsorship Update Susan advised that she has not received any response yet from her first mailing. She is thinking of a follow-up with these organizations via email. She also calculated the number of members we have ac-cording to industry and will target those that have minimal participation, such as financial institutions, school districts and medical firms such as EVMS.

Committee Assignments/Activities Susan opened by saying that the majority of committee chairs are Board Members and what can we do to get more participation? Someone said “ask!” So she asked Jonathan if he would chair the Education Committee and he graciously agreed. He will reach out to Angie Diggs to get more details on contact-ing higher education facilities. Michele reminded the group that the Board agreed that members are now eligible for scholarships to assist with ICRM designations, etc.

To generate interest in committees, an idea was brought up to highlight a different committee each month in the newsletter. This would show the members what that committee is doing, who’s involved, the rewards, etc. Sarah agreed to write the article for November on the Charitable Committee since it will tie in to our November meeting and that initiative (Food Bank). Jonathan will write one about the Education Committee as soon as he squares on his role with Angie Diggs.

GOST Strategic Planning With Darlene’s absence at this meeting, we decided to table the discussion on strategic planning for our next Board meeting. However, a few things were mentioned:

Looking at membership – Sarah wondered why we didn’t have members from large organizations such as Stihl, Smithfield Foods, etc. Michele mentioned that they were included on mailing lists which has 1,400 plus names. Also mentioned was using EventBrite versus PayPal? Lori agreed to research this and see what the advantages/disadvantages are.

In closing, it was mentioned that the deadline for the next speaker grant is 12/31/2017 and that is the one we should apply for to offset costs for the spring seminar.

Adjournment Sarah adjourned the meeting at 3:00 p.m.

The Managing Government Records Directive requires all federal agencies to manage all per-manent electronic records in a digital format by the end of 2019. It is estimated each govern-ment agency handles 4 petabytes of data, most of which is unstructured. Joe Yankle’s Septem-ber 15th article “Making the 2019 records man-agement mandate...and beyond” is an informa-tive and thought-provoking discussion of a need-ed records ecosystem combining hardware, soft-ware, services and partners to best manage the volume and increase document security, effi-ciency and compliance. It’s worth the read.
