Management Conference

22nd November 2016

The Way We Work

“TW3”

TW3 is a great opportunity to:

• work flexibly

• embrace new technology

• design better processes

to enhance service delivery

For the majority of staff, our ‘home’ offices will either be in Colindale or in the Family Friendly Hub in the East.

Staff will also be able to use touchdown space across the borough

Some facts ……

• Colindale will be ready in late 2018

• NLBP or Barnet House => Colindale (w.

some FS staff to Family Friendly Hub in East)

• Office space will be reduced

• Current desk occupation => 58% average –

70% at busier times

What changes we will expect from our staff

• More use of transport other than cars to travel to work

• More work away from the main offices

• Use of touchdown offices, particularly for staff working with

residents in the areas around these spaces

• Use of new technology such as instant messenger, video

conferencing, soft phones, electronic document mgt.

• Less printing

We will need to work differently – all staff

What changes we need to make as managers

• Modelling new ways of working

• Shifting our assumption that if staff aren’t working in the

office, they aren’t working

We will need to work differently – managers

PLACE: We are building new offices

Key concerns

• Where will I be based?

• How will I get to work?

• Where is Family Friendly Hub in East?

TECHNOLOGY: We are investing in new tools

Unified Comms

Bring Your Own

Device

Peripherals

Mobile

devices

Key concerns

• Security

• Speed

• Useful & useable

TECHNOLOGY: Spotlight on Unified Comms

• “Unified Communications” is the

term for a set of tools that:

o Focus on Communication and

Collaboration

o Between staff and with partners;

o In or out of office locations –

access in Colindale and other

office locations, at home, while

out and about etc

o Removing restrictions – access

technology not just from

corporate laptops or BlackBerrys

Office 365 (web hosted)

Instant Messaging

Voice and Video

Conferencing

“Presence” (knowing

whether a colleague is

available or busy)

Screen sharing –

collaborating on

documents with

colleagues

TECHNOLOGY: Spotlight on EDMS

• An electronic document

management system (EDMS) is a

system to help users to organise

and store information which

enables collaborative working

• An EDMS helps manage

documents throughout their

lifecycle:

o Creation / capture

o Editing and versioning

o Using

o Keeping / destroying

Web hosted and integrated

with Office 365

Accessible in and out of

the office, from multiple

devices

Enabling sharing – not

restricted by access to

shared drives

“One version of the truth” –

collaborating on

documents with colleagues

Version control

PEOPLE: Results from the recent TW3 survey

77% of London Borough of Barnet Staff identified that they are currently able to work remotely

54% of those who are currently unable to work remotely said they would like to in the future

A high proportion of staff said that IT systems and equipment were unreliable (42%)

72% of staff said their work performance is currently assessed on outputs rather than hours works

Some concerns about team working and not feeling trusted by their manager if they work remotely
