A NOTE TO ALL READERS

EEI delivers stunning, multi-sensory experiences through a broad range of touch-points. From auto show and trade show events to outdoor events and ride & drives, we create experiences that move and inspire customers to action. We bring people together to do business, to learn, to inspire, and to build relationships with your brands.

With people at the heart of all we do, our top priority is the health and safety of our employees, clients, customers, and the consumers who attend our events. Reestablishing interactions where everyone feels at ease is a multi-faceted challenge today. For this reason, we’ve created The Playbook. It’s a resource of new operating practices, covering a wide range of scenarios. We offer it as a guide you can use to reference the protocols that apply for different types of events in various time horizons.

As experience builders, we understand the principles. People are social creatures – they do not want to seclude, they want to interact. And, nothing will connect your consumer to your brand more effectively and indelibly than experiences. But first and foremost, they must be safe.

Stay well,

Derek GentilePresident & CEOEEI Global, Inc.

The Activation Playbook provides general recommendations for use in a variety of settings. Because there may be circumstances unique to a location, there may be some cases in which an activation must adapt the recommendations of the Playbook to address those specific requirements. Additionally, all events and activations must comply with all applicable laws meaning that if there is a conflict between the recommendations in the Safe Activation Playbook and the applicable law, the facility must follow the applicable law.

STRATEGY HIGHLIGHTS

1 Pandemic Response Team (PRT)

Includes our corporate Pandemic Response Team, and designated individuals associated with each

event / activation. The PRT creates a framework for overall safety and develops site and event protocols.

2 Preventative Material Inventory

We have standards to address an adequate supply of soap, disinfection / sanitizing agents, hand

sanitizer, paper towels, tissues, and PPE based on activation conditions.

Guidelines for stock of face masks, face shields, gloves, and glasses on-site based on activation specifics; “non-touch” thermometers / isolation

protocol kits for on-site health screening as standard activation supplies.

3 Disinfection Measures & Deep Cleaning Protocols

Established General Disinfection Procedures & Deep Cleaning Protocols to address every element of the display / footprint / activation in alignment

with CDC recommendations; established schedules for disinfection measures prior to activation and

throughout event timelines; disinfection training and education addressed in our onboarding and

pre-event communications / training for all staff.

4 Transportation / Vehicles

We have developed a Disinfection Checklist and protocol for vehicles, including trucks, trailers, ride & drive vehicles, display vehicles, vehicles used for transport, and personal vehicles used in the course

of doing business.

5 Onsite Health Screening & Isolation Protocols & Coordinator Training

Personnel trained as health screeners and Isolation Coordinators, with protocols to identify and isolate

symptomatic persons.

10 STRATEGIES FOR SAFE ACTIVATIONS

DEEP CLEANING AND DISINFECTION PROTOCOL

ABOUT

The General Disinfection Measures Protocols should be followed regularly whereas the Deep-Cleaning / Disinfection Protocol may be triggered when an individual is identified as positive for COVID-19 by testing.

Deep cleaning should be performed as soon after the confirmation of a positive test as practical. If a delay is proposed or greater than a shift the site is to gain consensus from the PRT and take steps to perform an additional disinfection of potentially impacted common surfaces during the interim period.

While the scope of deep cleaning is presumed to be the full footprint, sites may reduce the footprint to be deep cleaned if there is sufficient rationale to do so, and they gain consensus of the PRT.

Deep Cleaning is carried out with the following guidelines / standards:

• Trained personnel execute the process of cleaning, disinfection and disposal of hazardous waste

• All necessary procedures and local authorizations or permits are in place to perform disinfection services and manage any wastes generated

• Use of approved COVID-19 disinfectant chemicals to perform this activity

• There is a specific plan and strategy to clean all areas of the site, machinery / equipment, common areas, work spaces, and any typical areas where people interact

• All team members use required proper / required PPE

• PPE is properly disposed at the end of the process

• Employees are made aware that the work areas have been disinfected

Note: For the company’s purpose, deep cleaning is defined as a more comprehensive cleaning using more aggressive cleaning solutions and/or advanced technologies that may be administered by an external 3rd party if required.

CORONA VIRUS COVID-19 DEEP CLEANING AND DISINFECTION

COVID-19 “deep-cleaning” is triggered when an active person is identified as being COVID-19 positive by testing.

Sites may opt to have a deep cleaning performed for presumed cases, at their discretion.

IN THE EVENT THAT THE PRT DETERMINES THE REQUIRED DEEP CLEANING MEASURES ARE BEYOND THE ABILITIES OF THE SANITATION TEAM, WE HAVE IDENTIFIED APPROVED EXTERNAL COMPANIES TO CARRY OUT THE DEEP CLEANING ACTIVITY.

ISOLATION PROTOCOL & THE ISOLATION COORDINATOR

Isolation Protocol for individuals who become ill at work or while visiting an activation:

If a person feels ill, or if someone observes that another person is exhibiting symptoms

of COVID-19, they are to contact an Isolation Coordinator

Telephone communications are preferable, so the Isolation Coordinator can wear the appropriate PPE prior to aiding an ill employee

If the Isolation Coordinator is directly contacted by a person with a suspected infection, they must ask the person to go directly to the designated Isolation Room / Area by the most direct route.Isolation Coordinators should be selected from the following employees, as appropriate:

• Event Manager / Assistant Event Manager / Supervisor Site Supervisor / Foremen

Page 27: THE PLAYBOOK · all events and activations must comply with all applicable laws meaning that if there is a conflict between the recommendations in the Safe Activation Playbook …

27July 24, 2020 v1.0

ISOLATION PROTOCOL PROCEDURE

LOCATION

Isolation Rooms / areas will be identified for each event / activation. An exterior room, building, or tent structure is preferred. An enclosed area away from the general population should be used.

TRANSPORTATION

If the infected person is well enough to drive their own vehicle, ask them to use it. If the person is transported home / off site, the driver must wear a mask and gloves and keep them on for the return trip for proper disposal. Once the transport is complete, the driver must sanitize the vehicle (seats, dashboards, door handles seatbelt etc). Gloves and a mask must be worn while cleaning the vehicle.

3

1

2

Once someone suspected of infection arrives in the Isolation Area, immediately provide them with a mask and nitrile gloves to help prevent the spread of a potential virus.

The Isolation Coordinator will complete an Isolation Case Form and call the local health authority or medical office to seek advice.

Anyone attending to a suspected ill person should wear PPE including a mask and nitrile gloves.

The Isolation Coordinator may direct the ill person to leave the site and go home or to the nearest health center as advised.4

5

6

7

The Isolation Coordinator and the PRT will identify persons who may have been in contact with the ill person. The name of the ill individual should not be provided.

A member of the PRT will advise employees who may have been in contact with a suspected infected individual. Exposed employees will be directed to carry out a self- screening check and share the screening results with HR. Employees may be advised to contact a physician to obtain medical clearance to return to work.

The Isolation Coordinator and PRT will ensure that the isolation area and any potentially contaminated work areas are thoroughly cleaned and disinfected. Persons conducing the cleaning must wear PPE including nitrile gloves, and all PPE should be appropriately discarded prior to resuming normal work functions to return to work.

ABOUT

Social distancing is a simple yet very effective mechanism to prevent potential infection, that relies on simple distance to avoid infection. We begin implementing social distancing practices at Pandemic Phase 3.

In practice this means:

• Staying 1 to 2 meters (3 to 6 feet) away from others as a normal practice

• Eliminating contact with others, such as handshakes or embracing coworkers, visitors, or friends

• Avoiding touching surfaces touched by others, to the extent feasible

• Avoiding anyone who appears to be sick, or who is coughing or sneezing

NOTE:

Upon entering Phase 3, action items will include:

• Avoiding / controlling gatherings of 10 or more individuals in an enclosed space

• Installing / posting / utilizing consumer control resources including barriers, decals, signage, guards, etc. in the footprint and in all activities associated with the activation

• Implementation of social distancing must be applied universally / to all aspects of the footprint and activation

SOCIAL DISTANCING PROTOCOL

30July 24, 2020 v1.0

Social distancing is intended to provide a safer environment by reducing the risk

of person-to-person infection.

GUIDELINE

• Maintain a social distance of 1 to 2 meters (3 to 6 feet) throughout the activation process and during event operations.

• Beginning at Pandemic Phase 3, where a minimum distance cannot be maintained due to workplace design, one or more mitigation strategies need to be considered / implemented including engineering, PPE and/or administrative controls as appropriate.

RECOMMENDED

STATIONS/STAFF PLACEMENT

• Whenever possible, stations should be arranged to allow separation of 1 meter (3 feet).

• Clear signage about the desired position of the staff and / or consumers may be placed in each station but is not required.

• Workers are strongly encouraged to disinfect their own work space multiple times during the day, giving special attention to common surfaces.

• Employees must be reminded to avoid touching their face and must wash thoroughly with soap and water several times during the work hours to reduce risk and prevent person to person potential infections.

WHAT TO DO IF THE STATIONS ARE LESS THAN THE RECOMMENDED SPACING?

Work designs should avoid face to face operations with less than the minimum requirement (1 meter or 3 feet), if this condition cannot be met, then employees should be provided with alternative measures to mitigate their exposure such as the following:

• Face Masks and/or Face Shields

• Body Orientation

• Physical barriers may also be installed where practical; the barriers must be cleaned multiple times a shift

PHYSICAL / SOCIAL DISTANCING

Page 31: THE PLAYBOOK · all events and activations must comply with all applicable laws meaning that if there is a conflict between the recommendations in the Safe Activation Playbook …

31July 24, 2020 v1.0

IN THE EVENT THAT THE PANDEMIC PHASE EVOLVES DURING AN ACTIVATION AND/OR IN SITUATIONS WHERE INCREASED PRECAUTIONS ARE WARRANTED:

• Establish maximum capacity for the footprint that allows for social distancing

• Post the maximum capacity

• Provide additional supplies for employees to clean up throughout the activation: wiping down

surfaces, screens, doors, etc.

• Increase cleaning intervals to ensure clean environment at all times

• Ensure social distancing is maintained / avoid non-essential gatherings

• Stations may have dividers when people are working in 1 meter (3 feet) of one another

• Meeting rooms should be organized to hold no more than 10 chairs with the appropriate spacing; sitting or standing positions should not exceed the minimum distance required.

• Interaction to exchange information or quick meetings should respect the Social Distancing of 1 to 2 meters (3 to 6 feet).

HEALTH SCREENINGS

GUIDELINE

The company will periodically update guidance on current recommendations from the Centers for Disease Control (CDC) and the World Health Organization (WHO).

To help prevent the spread of COVID-19 and reduce the potential risk of exposure to our employees and consumers, temperature and health screenings may be implemented in Pandemic Phase 5 or earlier if recommended.

On-site screening may cease to become mandatory when a site regresses to Pandemic Phase 4 or less, or as advised by the CDC and/or WHO. The PRT will advise teams when this has occurred, and they may cease mandatory on-site screening.

If temperature is 38ºC (100.4ºF) or higher, or the individual exhibits visible symptoms of illness consist with COVID-19, the person will be encouraged to seek medical attention, in accordance with the CDC recommendations/guidelines.

Employees returning to work from an approved medical leave should contact their HR representative and submit a medical certificate releasing them to return to work.

• If an individual does not accept the screening, they will not be granted access to the event / footprint.

• Communication of current protocol to all employees and individuals needs to be delivered with a preventive approach to avoid alarm.

NOTE:Please refer to the recommendations/guidelines to manage medical leaves due to COVID-19.

On-site screenings to be completed daily by site personnel of all incoming individuals before accessing event / footprint.

GUIDELINE

Employees directed to complete self-screening prior to leaving home / accommodations for work every day.

SELF-SCREENING QUESTIONS

1. Do one or more of the following common COVID-19 symptoms below currently apply to you?

• Temperature >100.4°F or higher• Frequent unexplained cough• Unexplained shortness of breath or difficulty breathing• Unexplained tiredness

If the answer is YES, you may have symptoms of COVID-19. DO NOT report to work. Contact the Site Manager immediately. Seek medical attention. Remain off company property until cleared to return.

2. Have you had direct / physical exposure to a person suffering from Coronavirus symptoms?

If the answer is YES, contact site manager prior to reporting to work. Site manager will provide direction, and will contact the project manager and Human Resources.

ADDITIONAL GUIDELINE

If the employee does not recognize symptoms in their Daily Self-Screening and:

• If the employee is deemed symptomatic upon reporting to work, reference the On-Site Health Screening Protocol.

• If the employee is deemed symptomatic during the employee’s shift or after the employee has spent any time in the facility (after the On-Site Health Screening), reference the Isolation Protocol.

• Reference the Self-Quarantine and Return to Work Protocol for employees who are confirmed positive for COVID-19 by a medical professional.

The Daily Self-Screening Protocol is in place to prevent sick or symptomatic employees from leaving their homes and thus decrease the likelihood of spreading infection.

SELF-QUARANTINING AND RETURN TO WORK PROTOCOL

GUIDANCE FOR SELF-QUARANTINING AND RETURN TO WORK: COVID-19

Clarification of “self-quarantine” requirement: Employees are requested to remain off the property for 14 days if COVID-19 symptoms are present (see the COVID-19 Self-Screening Information). Employees may also be asked to self-quarantine if they are directly exposed to the virus. Employees should avoid leaving their home if possible, but if necessary should practice exceedingly good hygiene and social distancing. While at home, work is expected to continue where possible.

ADDITIONAL GUIDANCE WHILE SELF-QUARANTINING

• Stay away from other people in your home as much as possible, staying in a separate room and using a separate bathroom if available.

• No visitors unless the person needs to be in your home.

• If you need medical attention, call ahead to ensure you’re going to the right place and taking the necessary precautions.

• Wear a face mask if you must be around other people, such as during a drive to the doctor’s office.

• When you cough/sneeze: cover your mouth and nose with a tissue; immediately throw tissues in garbage; wash your hands with soap and water for at least 20 seconds; if that’s not available, clean with hand sanitizer that has at least 60% alcohol.

• Avoid sharing household items, including drinking cups, eating utensils, towels or even bedding. Wash these items thoroughly after using.

• Clean high-touch surfaces daily using a household cleaner or wipe. These include: “counters, tabletops, doorknobs, bathroom fixtures, toilets, phones, keyboards, tablets and bedside tables,” the CDC says.

• Clean surfaces that may be contaminated with blood, stool or bodily fluids.

• Shared spaces in the home should have good airflow—use an air conditioner or open windows.

• Continue monitoring for any symptoms. If they worsen, such as you begin to have difficulty breathing, call your health care provider.

• Arrange to have groceries and toiletries delivered by local or state health departments. Also, make sure to inform health care providers of any medications you’ll need, so they can arrange drop-offs of prescriptions as well. In terms of getting laundry done for those without machines at home, ask healthcare providers about that as well.
