Chapter 3: Creating New Clients and Cases

The New Case Wizard

Create a New Case for an Existing Client

1. Click on New Case a Welcome Screen appears.

Note: This tool is available on all screens

2. Click Next a client list appears.

3. By default option 1 “Select and existing client for this matter” is selected.

4. Input a key search word in the Search box provided.

Tip: Use the Client’s surname.

5. Click Go the search results will appear in the client list below. See the following example for “Ireland”.

6. Select the client required.

7. Click Next the following matter screen will appear.

Input the following information:

DescriptionInput a matter description e.g. Purchase of 1 Main Street, Gorey

Old RefInput a old case reference from a old system if relevant.

8. Click Next to continue.

9. Select the Fee Earner and Partner assigned to this case.

10. Click Next to continue.

11. Select the department assigned to this case.

12. Click Next to continue.

13. Select a Work Type.

14. Click Next to continue.

15. Select a Case Plan for this matter. E.g. Purchase.

16. Click Next to continue.

17. To Print a Client or Matter Label put a tick in the tick boxes provided.

18. Click Finish. The matter is now created and available in the matter list in the Search Screen.

Create a New Client and Case

1. Click on the New Case tool this is available on the Task/Search or Case Diary toolbars a Welcome Screen will appear.

2. Click Next to continue.

3. Select option 2 “Client is not listed above. Create a new client for this new matter”.

Tip Always search to check if the client is setup on the system. (See the previous section for further details)

4. Input the following details

Client Code: Input the first three letters of the surname and the desktop will assign the remaining 3 digit code.

Client Name: Input the name Salutation: Input a salutation e.g. Mr

Blogs.Address: Input the address.Tel: Enter the main telephone

number.Fax: Enter the fax number.Mobile: Enter the mobile number.Email: Enter the email address.

5. Click Next a matter screen will appear.

Input the following information:

Description Input a matter description e.g. Purchase of 1 Main Street, Gorey.

Old Ref Input an old case reference from an old system. (Optional)

6. Click Next to continue.

Copy Case Details

Copy Case Details from one matter to another

1. Click on the Copy Case tool located on the Search Toolbar. The following wizard appears.

2. Click Next to continue.

3. By default “Matter/Case” is selected. I.e. copy case details based on a previous matter.

4. Select a source matter by clicking the …lookup button.

5. To search Input key search words in the search box provided.

6. Click Go.

7. Double click the required matter. You will return to the previous screen with the source matter code inputted. See the example below.

8. Click Next. The following screen will appear.

9. Using the tick boxes provided Tick the case details you want to copy.

10. Click Next the following screen will appear.

11. Using the tick boxes provided Tick the case associates you want to copy.

12. Click Next to continue.

13. Using the tick boxes provided Tick the Documents you want to copy.

14. Click Next to continue.

15. Select a destination matter by clicking the … lookup button. The following screen

will appear.

16. To search Input key search words in the search box provided.

17. Click Go.

18. Double click the required matter. You will return to the previous screen with the destination matter code inputted.

19. Click Next to continue.

20. Click Finish. The details copied will now appear in the destination case.
