Official Minutes of the September 2015 Dutchess County Dental Society Executive Board Meeting

DCDS Executive Board Meeting 9/1/15 Recording Secretary: Dr. Joseph Blondin Membership Committee – Dr. Rosenbloom reported there was no new news and no new members from last meeting. Dr. Rosen-bloom sent a condolence letter to the family of Dr. Monroe Weinstein. Dr. Schwartz recommended that speakers should get a follow up thank you card by the person who handles the meeting (possible program chair). Bulletin Committee – Dr. Prunty said she needs speakers in advance from Bo, Bo said he would send it to her. Dr. Riggins said we received a strongly worded letter from Dr. Manasar, he felt he was left off the list of past presidents and executive board (past 9th dis-trict president). There were no objections to him from the board to be listed as a 9th district past president. Dr. Rosenbloom recom-mended we add a link to the 9th district website to show who the past leaders were. Dr. Rosenbloom reported that the dues do not come up until December. He said the tax return was filed over the summer, the ac-countant was paid, and the payments were made over the summer. He reported that he changed the cd’s to a money-marketing fund with better interest The board discussed the new requirement from the 9th District that 80% membership for the DCDS must be 9th district members (used to be 100%). Our bylaws indicate you must be tri-partite (3rd or 9th district). The board considered changing the bylaws. To be an associate member you only have to live in Dutchess (not close to 20%) – the board asked if we should open it up to anyone if they’re in the tri-partite area, and asked if they can join the board? In that case we need to make sure we adhere to the 80% ninth district members on the board. The board asked if we should add these changes to the bylaws. Dr. Riggins recommended we clarify with the 9th District if they mean associate members or total membership can be part of the 20% prior to making any decisions. Dr. Smith was absent from the meeting; there were no other words from communication/membership committee. Dr. Bloom discussed new members and recommended we consider appointing an outreach committee to talk to outside Dutchess members to have them be associate members. He recommended we consider adding money in the budget for meetings for these people to attend before joining. He recommended we ask the 9th district for members from Dutchess County so we can see who isn’t a member. The board decided the first step was to decide exactly whom we could offer associate membership to. Dr. Riggins said he would speak with Dr. Smith about the 80% membership and what exactly that means. Bulletin Committee: Dr. Prunty reported that the deadline is Sept 9th. She said she needs information from Tamara and Bo and she needs the synopsis for October. The new bulletin went out and she had to contact advertisers, she said that Dent Serve wouldn’t be renewing. She asked if she could add bulletin ads online? The board decided that she can, Erin will send the jpegs to upload them online. Program committee: Dr. Paunovic reports we are good through January. Erin would also like the list; she reports we have the venues booked through February. Regarding Advertising space, the board decided on $375 with the meal. The board asked if we could publicize that in the bulletin? We decided that Yes we can (one line – this is sponsored by). We also discussed creating place cards for the sponsor (this meeting is sponsored by…). It was noted that if a company subsidizes the speaker we couldn’t bring in another advertiser. The board decided a sponsor would get 10 minutes before the meeting to speak. Dr. Paunovic made a note that the general meeting is the same time as the board of governors however the meeting was pre-approved Dr. Paunovic reported no changes in the codes Steward – The board decided that we are sticking with places that work for now – the Poughkeepsie Grand in September, the Lynx in October, Blue Fountain in November, and Joseph’s Steakhouse in December. The committee is looking for suggestions for Jan/Feb. Board members reported that Dutchess Golf Club was hard to work with; Dutchess Manor said they lost money and wont work with us, and Gusto was good but had no parking (it is a good choice for April). A recommendation was made to call Vassar and Marist Col-leges to check to see if they could have a meeting, a note was made that we need to be able to fit 40+. A recommendation was made to the board to think about locations for the winter Young Members Special Committee: Dr. Costello didn’t know why he was on that committee, and it was suggested this Committee may have been disbanded Audi-Visual/Media Issues: A recommendation was made from Dr. Blondin to see if we could found out what’s included at the meeting venues (speakers, projector, screen). Tamara said will call ahead and advised the new A/V director. Dr. Angiolilo said she would bring the equipment to the next meeting. The board decided that if the venue charges for equipment we would use our own equip-ment.

Member Benefit Committee – The board asked if we have someone to run it? Do we need it? Should we select a new chair? There were no decisions at this time. Nominating committee – no news at this time 2015 major CE events Committee – Dr. Bloom didn’t know he was on the committee; he didn’t talk with Dr. Smith. Mike said he was working with Cole and they should start planning soon. Helping hand partnership committee – no news at this time Community outreach and support committee – The first meeting is March next year, Dyson foundation never claimed their reward (we will try again). All payments were made to other companies. Dutchess County Dental society players – The board reported that the members are dwindling, and what’s missing is somebody to book the schools. Ed will have Lena discuss it at the next meeting and say that we are looking for volunteers and see if anyone has any interest in joining. Website Committee: Dr. Kroboth reports that the website is up and running, she is looking for any comments/concerns. The board re-ported they were very happy with the site. The board wondered if we should add a traveling Dentist section where people could send in photos to be displayed. School and national children’s dental Health Month Committee – Dr. Kaplan and Dr. Kroboth were in charge; Tammy didn’t know she was on the committee. The board decided at this time it is in the 9th district hands, and we will not discuss it until the state comes around Infection control courses and BLS/ALS Courses: The board reported the infection control course is online for members. Fluoridation Effort – The board reported that Colorado re-affirmed fluoride use in Denver, and the 9th District is handling disturbing in-formation about Fluoride to its members. DCDS Hall of Game Committee: 9th hall of fame – no news at this time Ninth District Executive Committee: No reports from Dr. Vigliotti Ninth District Board of Governors: The meeting is next week Ninth District ABFM committee – Dr. Baum reported that the major meeting was 1 month ago and they are running at a $30,000 deficit. He said the salaries are very high for the 4 workers and they are evaluating this. He said there ill be no dues increase at this time from the 9th district. Ninth District Nominating Committee – Dr. Bloom is on for the 9th and Bo will serve as the backup Ninth District Individuals with Disability Committee: No news at this time Ninth District Medal Committee: no news at this time Ninth District Bulletin Committee: no news at this time Ninth district claims committee: no news at this time Ninth district Spolzine Award: Dr. Riggins said we are looking for suggestions, Tom recommended we nominate Dr. Schwartz. Tom and Irving said the will write the nomination New Business: The boarded decided to table the all-day meeting till October. It was suggested that we may have undercharged at the culi-nary, and perhaps we should consider charging more. The board recommended thinking about options for the next meeting.
