Welcome

The Learning Institute HandbookFor 2010 to 2011

Introduction by Professor Simon Gaskell, Principal

I am pleased to have this opportunity to introduce the Handbook from our newly-formed Learning Institute.

During my months as Principal of the College, one of my first taskshas been the creation of our new Strategic Plan which sets out ourambitions for the future and a way forward with clear objectives andmilestones. In the current financial environment, more than ever, weneed to be sure that we are agile and effective in everything we do.The development of our staff and students will be crucial to oursuccess if we are to move forward as one of the elite research

universities in the UK, as judged by robust national and international criteria. I expect the work of the new Learning Institute to have a key role to play in enabling the College community fulfil its true potential. Our success can only be achieved through and by the people who work here.

I hope that staff from across the College will find the services of the new Learning Institute useful inenhancing institutional performance and ensuring that our students receive the best possible experiencewhilst with us. The Learning Institute is here to support us all in our work and the services offered willremain tightly aligned to our strategy through new lines made possible by the academic structure for theCollege which I have put in place this year.

On behalf of the Senior Executive, I commend this Handbook to you.

The Learning Institute at Queen Mary is a centre of expertise providing specialist services to promote and enhance learning and development across the College community.

We provide a range of services to support staff and student learning and development, designed to help you teach, research, work and study effectively at Queen Mary.

These consist of programmes, courses and events, individual and group consultancy, award andrecognition schemes, funding opportunities, tools and resources, and collaborative networks.

The Learning Institute is one of the College’s Professional Services and we offer services across four areas:

Professional Development (for all staff – includes leadership and management development)

Learning, Teaching and Assessment (including e-learning)

Researcher Development (for both postgraduate research students and all research staff)

Employability and Entrepreneurship (for staff supporting the employability agenda and all students)

On 1st September 2010, Educational and Staff Development became known as The Learning Institute, achange approved by the Queen Mary Senior Executive. The reason for this change was to reflect the factthat the name ‘ESD’ no longer accurately reflected what we do. At its creation ESD offered basic staffdevelopment, initial support for learning technology and the Postgraduate Certificate in Academic Practice. The growth in scope and complexity over the intervening years has been fuelled by the institutional needfor support across a range of new national and strategic initiatives.

The unifying theme across all our services in the new Institute is that they support staff and studentlearning. We are committed to supporting the development of all College staff, but now we increasinglywork as well with undergraduate and postgraduate students: our work to support e-learning impactsacross the College and on all campuses; many of the College’s postgraduate research students accessskills development activities in the Learning Institute; our Drapers’ Skills Award has now becomeestablished for undergraduate students and a Drapers’ Skills Certificate is to follow.

The challenge for the Learning Institute will be, in the current environment, to provide a range of qualityservices that meet the requirements of the three Faculties and the professional and support services, yet remain tightly aligned to College strategy.

This Handbook is the first publication you will receive from us as the Learning Institute. Inside you will finddetails of the range of services that the Institute offers to the College. We will hold a Learning Instituteevent on the 18th November in the Octagon at Mile End. We will transform our Teaching and LearningBulletin into a Learning Institute Journal which will encompass all aspects of academic practice. We willestablish new ways to engage with Schools and Institutes through a network of Learning InstituteAssociates and Senior Associates so that we can better understand they ways they would wish us tosupport them. These changes will be appearing over the coming months, with details on our new websiteat www.learninginstitute.ac.uk.

Support for Developing and EvaluatingTeaching StrategiesEach School has a local strategy for teaching and learning whichoperates within the broader context of the College’s Learning,Teaching and Assessment Strategy.

The publication this year of a new College strategy means that many Schools will be reviewing, evaluating and renewing their ownstrategies. We can offer advice and support for this process, in theform of one-on-one consultancy, developmental activities andthrough examples in other subjects. If you are involved in thedevelopment of strategy, or for particular strands (such as e-learningpolicy), do get in touch with us to explore how we can help you.

Using Learning TechnologiesOur E-Learning Unit offers services to support and promote effectivepractice in e-learning, whether for blended or distance learning, foronline or teaching room technologies, for platforms we run (such asthe College's VLE) or through the use of other tools.

We offer technologies that we support, expert advice for tools wedon't, consultancy for individuals or Schools, funding for e-learningproduction or for online tutoring, planned or bespoke courses andevents, online resources and collaborative networks within which toshare ideas and practice, and a studio space in which to develop ordemonstrate uses for learning technologies.

We work with individuals, groups, Schools or whole Faculties todevise and implement e-learning initiatives big or small. We're alsokeen to hear from anyone doing anything innovative, or justsomething simple that really works.

Areas in which we offer support:

Sharing practice: the E-Learning Practitioners' NetworkThis year we are launching an E-Learning Practitioners' Network. Thisis a space for anyone interested or involved in e-learning (or, indeed, learning) to share ideas and practice with others around the College. We also publish news (conferences, funding opportunities etc),organise seminars and speakers around interests expressed in theNetwork, and envisage it as the online and social hub of cross-College e-learning activity and information. Join us fromwww.learninginstitute.qmul.ac.uk/network.

Using the VLE to enhance learning and teachingWe run the College's Virtual Learning Environment, Blackboard, whichis used for e-learning on some 1500 Queen Mary courses, and isnow part of daily study for most of our students. This is the coretechnology for most course-based e-learning activity. We offertraining and advice on the practice and pedagogy of using iteffectively, as well as day-to-day user support for staff and students, and comprehensive online resources.

Q-Review: a lecture capture serviceA popular pilot project in its second year, offering a service wherebyyour lecture can be automatically recorded in different formats, and apodcast/RSS feed, download link, and a link from your VLE coursearea are immediately available.

E-Learning production serviceA scheme whereby we are able to fund pieces of e-learningdevelopment that an individual academic may not have the time orskills to do themselves. We talk over the planned work with you, andprovide a trained Postgraduate Student to work with you, and justask that you feed back about the development and its impactthrough our Practitioner Network. We can also help with setting uponline tutoring for e.g. your distance learning course.

Using teaching room technologiesWe can give you advice and demonstrations about usingtechnologies available during a teaching session, such as audienceresponse systems, tablets, interactive whiteboards, visualisers andother kit now available in QM's lecture rooms.

Using web-based technologies for teaching, work, studySocial software, software as a service, user-generated content, web conferencing, the staple tools of Web 2.0, the explosion ofpossibilities in the last few years means we can now all use externalsoftware to do interesting things (in our teaching, our learning, ourwork here), often freely or cheaply. We'll help you navigate the worldof unsupported but intensely useful web technologies, working fromthe opportunity/problem to the solution.

The E-Learning Studio: development and demonstrationThe Studio is a well-resourced area for staff and postgraduates touse for work on their own e-learning projects, and where we candemonstrate some of the latest learning technologies to interestedcolleagues. We also do our seminars and training sessions there(3rd Floor, Francis Bancroft Building, Mile End). The studio is now fouryears old, and will be refreshed in January 2011 to feature the latesttechnologies for learning. Do drop in – it’s a free facility for you to takeadvantage of.

Developing students as e-learnersThis year we are able to run a series of 'E-Learning Clinics' forstudents who are themselves increasingly learning through electronicmedia. We have a dedicated E-Learning Student Support Adviserwho can answer student queries about e-learning, such as: How do I use the Web effectively in my studies? How do I get the best out ofmy Blackboard course? How do I reference and search onlineacademic resources?

Online assignments, deterring and detecting plagiarismMany areas of Queen Mary are now using the VLE for electronicsubmission of coursework. We offer support for online submission inthe VLE, help for those using the TurnItIn software to detect and deterplagiarism, and online resources for students to inform them aboutthe issues surrounding plagiarism.

How to get involved:

Researcher Development

Researcher Development

The College is committed to supporting and developing itspostgraduate research students, research staff, independentlyfunded research fellows and academic staff, and recognises the vital role that this group plays in helping to achieve ourresearch goals. This is demonstrated by the College’scommitment to the principles enunciated in the Concordat to Support the Career Development of Researchers(http://www.researchconcordat.ac.uk/) and the RCUK ResearchSkills Statement(http://www.qaa.ac.uk/academicinfrastructure/codeOfPractice/section1/appendix.asp#append3) which is currently underreview.

All full-time PhD students at Queen Mary are encouraged to take partin two weeks (70 hours) of transferable skills development activitiesper academic year. This is a formal requirement for the ResearchCouncil-funded students. A training needs analysis and selection ofthe appropriate activities and courses should form part of a normalsupervisory process.

We offer services for research students and all types of research staff to develop in their role and to fulfill the above requirements.

Postgraduate Research StudentsPostgraduate Research Student Development Programme:This programme of workshops and courses runs throughout the year,to help research students develop the skills and attributes necessaryfor the effective management of their research and to aid planningand preparation for future careers. This rich and varied programmeincludes events designed to help with specific aspects of the PhD(e.g. ‘Writing your Thesis’, ‘The Viva’) as well as more widelyapplicable topics such as ‘Tackling Procrastination’ and ‘CriticalThinking’.

For added value, lively competition events are run to provide a moreintense development opportunity including:

‘Junk the Jargon’ Communication CompetitionThe ability to communicate research in clear and simple terms isessential for PhD students and indeed researchers at any level. This competition encourages researchers to practise this skill bypresenting their research in an exciting way to a non-specialistaudience.

Café ScientifiqueCafé Scientifique evenings are regular events for PhD researchersand research staff. The idea of the event is to create an informal, relaxed atmosphere where researchers from all disciplintes can meetand chat, and also present their work and ideas to a general, friendlyaudience. A typical evening would consist of three shortpresentations from researchers, refreshments, and other activitiessuch as a quiz, a debate or a creative challenge.

ResourcesDuring the academic year (2010 – 2011) we will be setting up acollaborative area for PhD Students and a PhD blog, links for whichwill be found via the new Learning Network area of the LearningInstitute website: www.learninginstitute.qmul.ac.uk/network.

Learning, Teaching and Assessment

Institutional and Practice-Based Research In order to support the implementation of the Learning and TeachingStrategy of the College, research is conducted within the Institute andwith colleagues in Schools. Institutional research such as theTransitions’ Research Project (which explored the experience ofundergraduate students moving from school to Queen Mary)provides an evidence base for the development of College policy and strategy. Our practice-based research explores and evaluatesdevelopments in learning, teaching and assessment practice and isdisseminated at internal events (such as our research seminars) andin publications, internal and external.

Such research is intended to inform the institution and its subjectareas in the development of both strategy and practice, and as suchmay be of interest to colleagues across the College. Similarly, do getin touch if you have an idea for a useful piece of research aboutpractice at QM.

Employability and Entrepreneurship

For Queen Mary students to compete in an increasinglycompetitive and unpredictable world they need to develop theiremployability alongside their subject and professional expertise.Enhancing the employability of our students is core to theCollege’s Strategic Plan and Learning, Teaching andAssessment Strategy. The Graduate Attributes Statement, launched in 2010, makes explicit the knowledge, skills, behaviours and values expected of our graduates. This providesa framework for developing student opportunities for learningthat are consistent with our academic programmes but are alsofocused on preparing graduates for their future careers.

Within this context we offer a range of services aimed at helpingCollege staff to support student learning for employability, throughcurricular and extra-curricular activities. We also deliver some services directly to students, including opportunities to obtain accreditation for development of their employability.

More detailed information, including online resources, is available inthe Employability and Entrepreneurship area of the Learning Institutewebsite at www.learninginstitute.qmul.ac.uk/ee.

Accrediting Students’ Development of EmployabilityUndergraduate students can have their learning for employabilityaccredited by registering on the Drapers’ Skills Award or the Drapers’Skills Certificate. To receive the Certificate, students complete anumber of activities which they choose from a list of on-campusopportunities such as careers workshops, Peer-Assisted StudySupport (PASS) mentoring and Language and Learning Unit courses.Students aiming to further develop their understanding ofemployability can apply to join the Drapers’ Skills Award, asupernumerary module that provides structured support to studentsto identify the learning achieved through study and engagement inextra-curricular activities. Incorporating Graduate Attributes in Curricula Curriculum change can ensure curricula remain relevant in acontinuously changing world and requires careful management byprogramme leaders. Curricula need to provide opportunities forlearners to acquire both subject knowledge and skills for employabilityand lifelong learning.

The Queen Mary Statement of Graduate Attributes describes theknowledge, skills values and behaviours expected of Queen Marygraduates. As such it provides a key reference point for the reviewand enhancement of curriculum provision as well as providing aframework for students’ personal development planning.

To assist with this process, we run a series of workshops and arange of support services to Schools through the Graduate AttributesCurriculum Enhancement Project (see Courses and Links below formore information about these).

Health and Safety

Well-being and StressStress can have significant health consequences on an individual as well as cost implication for the organisation. The impact can bereduced by increasing self-awareness and improving the stressmanagement skills of the individual and line managers, throughtraining and workshop activities. It is important to note that individualfactors can alter or modify the way we work and our exposure toworkplace stress. Each individual has his or her own personal stressthreshold. Line managers play a vital role in preventing stress. Theyare likely to see the problems causing the stress first hand and be inthe best position to notice changes in staff behaviour that mayindicate a stress-related problem.

There are two courses:

The Well-being and stress awareness training is open to all staffand the aim is to introduce staff to the area of wellbeing and stressand help them to develop and strengthen their resistance to stress.

The Stress management course is for line managers and the courseaim is provide managers with essential components of stress and itsmanagement. The course will help managers to identify workplacestressors and learn how to tackle them and improve their peoplemanagement skills.

Whatever your role at Queen Mary, freedom of information, dataprotection and records management will affect you and how you do your job. Everyone in Queen Mary creates, handles or otherwiseuses information and records, and requests for information can comein to any part of the College. For example, at some point, you mayneed to handle information about an individual; you may need toknow what to do when someone asks for information; or you may be asked to organise information so that you, or your colleagues, are able to find specific information quickly.

Data Protection relates to personal data, that is, information about an identifiable, living person, such as data in the Student InformationSystem and including expressions of opinion in emails. The DataProtection Act 1998 allows individuals access to any informationabout themselves held by Queen Mary and regulates its collectionand use of information about individuals.

Under the Freedom of Information Act 2000 any individual from anycountry has the right to access information held by Queen Mary. Thisinformation can be in any format, including paper files and electronicrecords and requests are purpose and applicant-blind. The Act alsorequires the College to manage its records in line with good recordsmanagement practice. If you receive a non-routine enquiry (forinformation that you would not normally provide), treat it as a freedomof information request. Even if the enquiry doesn’t mention freedomof information explicitly, Queen Mary is obliged to respond within 20working days of receiving it.

It is important that staff know their responsibilities in these areas andso the Records & Information Compliance Manager can offer courseswhich will give participants a basic understanding of the DataProtection Act and the Freedom of Information Act and their impacton Queen Mary. These cover the main points of the Acts and theirimplications for work areas including:

Thinking Writing Showcasing Activities

Thinking Writing

The Thinking Writing team is a valuable resource for departments andacademic staff. They may be particularly useful for those working todevelop Queen Mary’s Graduate Attributes, especially in relation to‘writing for learning and reflection’.

The Thinking Writing team can help:

• Explore ways of using writing to help students grasp theoreticalconcepts, generate research questions, make insightfulconnections…

• Investigate connections between reading the ideas of others and contributing one’s own

• Structure activities to stimulate students’ creative and criticalengagement

• Research students’ perspectives on and experiences of writing

• Address frustrations in setting and marking written assignments

• Evaluate alternative methods of assessing students’ writing

• Review the range of writing types that students experience.

The website www.thinkingwriting.qmul.ac.uk provides resources for staff, a pedagogical rationale and accounts of past and currentprojects. Thinking Writing is currently able to offer funding toindividuals and departments to support their work in writing-relatedenquiry and development.

Urban Writing Retreats for staff andpostgraduate research studentsThinking Writing runs retreats for writers wishing to make progress on a writing project. Examples to date are research articles, thesischapters, a professorial lecture. As well as providing a supportiveand focused environment for 2 days of productive writing, we aim tohelp participants develop writing habits they can continue to employin other contexts - and pass on to their students.

We are also pleased to help departments and faculties set up theirown retreats for themselves and/or for students.

Courses and Course Booking

LI course booking database

The Learning Institute at Queen Mary, University of London, has anonline system which is used for browsing and booking courses andevents offered both by the Learning Institute and by many otherCollege providers. The booking database is web-based and can be found at: www.learninginstitute.qmul.ac.uk/booking

RegistrationThe first time that you visit the site, you will be required to register.Registration is a simple process that takes a few minutes and you willreceive an email with your login details for future reference. Note thatwe will not use your registration details for any purpose other thanmanaging your course bookings, nor will we pass them on to anythird parties. Once registered you will just need to log in to beginbrowsing and making bookings on to courses.

Finding coursesBrowsing our programmes of courses is made simple with the inbuiltsearch facility. All the courses are listed chronologically, allowing youto browse through courses that are coming up. Courses that havealready been held, or that have been cancelled, are greyed out.

Alternatively you can search for a specific course, perhaps one that islisted in the index of courses in this handbook, by typing the coursecode or title in the ‘search’ box.

If you want to browse a particular programme of courses or type ofcourse, such as Personal Effectiveness or PGCAP courses, simplyselect the course type from the drop down menu in the course ‘type’box above the chronological list, then click ‘search’.

You can also search by date if you know the date of the courseyou’d like to attend.

Making BookingsOnce you’ve found the course you want to attend, securing yourplace is easy. Just click on the blue booking icon for the course, anda space will be reserved for you. You will receive an email confirmingyour place with details of the course time and location, as well as anypre-course preparation that may be required.

For some courses that have specific requirements you will receive a provisional place and booking and will be emailed instructions onwhat will happen next in order to confirm your booking.

If a course is full, you will be added to the waiting list and notified byemail as soon as a place becomes available.

Managing Your DevelopmentWhen you log in to the system, you can manage all your personaldetails in the ‘My Account’ area so, for example, if your email addressor telephone number changes you can keep it up to date and stillreceive important messages about your bookings.

The ‘My Training Record’ area allows you to review all of the coursesthat you have attended using our database. You can also see thecourses you are currently booked on to, or awaiting a place for. Fromhere you can also cancel your place or you can choose to removeyourself from a waiting list.

New Front PageIn October we will be introducing a new welcome screen for thecourse booking system. From the welcome screen you can; log in to the system as usual; find out who to contact regarding coursequeries; see some suggestions if you can’t find what you are lookingfor and quick links to ‘My Account’.

LI Short Courses Programme - Booking Arrangements

The Learning Institute

1. 1. The Learning Institute offers an open programme of courses, workshops and short programmes which are advertised through the Learning Institute website and in our Handbook (published each autumn). This programme is open to all staff members in the College and is planned taking account of budget available andtraining needs that have been identified by heads of departments and institutes, and others in the College.

2. The programme aims to provide activities for all categories of College staff, with many courses and workshops being targeted at specific groups of staff.

3. Bookings for courses offered by The Learning Institute may be made through our website, by email or by telephone. Foroperational reasons, some categories of staff will need to obtainpermission from their heads of departments or line managers in order to be released to attend staff development activities.

4. Bookings for courses are accepted on a first come, first served basis. The Learning Institute will normally acknowledge receipt of a booking within two working days by email (if possible) and we will confirm whether or not you have been booked onto a course or workshop.

5. Sometimes when courses are fully booked, a waiting list will beopened. You will be informed if your name is held on a waiting list and you will be offered a place if one becomes available.

6. Members of the College are not normally charged fees forattendance at courses, workshops or short programmes offered by The Learning Institute.

All others will be a charged course fee at the following rate:

Half day activity £90Full day activity £165Other course fees as advised

7. Exceptionally, staff may have to cancel places at courses because of illness or for operational reasons. Cancellations for other reasonsreceived less than two working days before the scheduled start of acourse may incur a cancellation fee equal to the full course fee givenabove. You may also incur a fee if you do not attend a course onwhich you have booked, and have not cancelled your bookingbeforehand. This is to minimise unnecessary wastage of resources. This fee will be charged to your head of department or institute.Departments are free to substitute names of staff attending courses.

8. Staff attending courses, workshops and short programmes canreceive a Certificate of Attendance to help them log their own record of continuing professional development.
