Folio – screen description

Projects and decks are a system of folders and sub-folders used to save and organise your queries/results (to find

out more, go to Projects and decks).

To create a NEW PROJECT or DECK:

Click on the ‘New Project’ or ‘New Deck’ button on the top of the page. A new window will open where you can

name and save your project/deck.

To find out more information about Folio and Projects and decks, please go to Projects and decks section.

Trends – screen description

Trends are a great tool to give you a quick overview of a selected brand, brand line, owner, distributor, as well as quality and country of origin. It also offers a snapshot of various categories and highlights main facts about specific

markets and/or major and minor regions.

There are 5 different predefined charts available, which can be modified according to your needs.

Let’s look at one of the charts in more detail.

Search within categories/filter results — a new dialogue box will open where you can refine your search.

HOW TO use the system

HOW TO change units for your query

To change units in which your data is displayed, you have several options:

In the ‘Modify search’ window, if it is an existing query (or in a ‘New search’ window if it is a new query), scroll down to the ‘Data dimensions’ section and do one of the following:

EITHER:

Select the relevant units by expanding one of the unit fields as shown below:

OR

Click on the ‘Advanced’ button and the following screen will appear:

1. Select the field you want to change the units for, e.g. volume(s), value(s), price(s), or per capita(s).

2. Now select the relevant units.

3. Press ‘OK’ to save and return to your query.

In the ‘Display results’ screen:

Click on the button in the left-hand side panel of your screen.

The following screen will appear:

1. Select the field you want to change the units for, e.g. volume(s), value(s), price(s), or per capita(s).

2. Now select the relevant units.

3. Press ‘OK’ to save and return to your query.

HOW TO change default units of measurements

Click on the ‘Settings’ button on the left-hand side banner.

The following screen will appear:

Change the units by selecting the relevant field as shown above.

To change the currency, please see HOW TO change default currency units.

Note: Units of measurements are in ‘000s 9-litre cases and the currency is set to US Dollars by default.

Click on the ‘Settings’ button on the left-hand side banner.

The following screen will appear:

Change the currency by selecting the relevant field as shown above.

HOW TO specify default settings for your query

1. To start a new query with specific fields and criteria already selected, you first need to create your query.

2. Then click on the icon at the top of your ‘New search’ screen. The default settings will be saved with

your new preferences. Every new query will then start with these fields preselected.

To clear your selection, click on the button at the bottom left of your screen. This will delete all the fields. If you would like to save these new preferences (i.e. blank selection) as a new default

screen, press the icon again.

HOW TO use Cognac Ageing qualities

To use Cognac Ageing, i.e. VSOP, VS, XO, XXX/VS, etc., instead of Premium, Super-Premium, Ultra-Premium, etc.,

select ‘Cognac Ageing’ by clicking on the button next to the ‘Quality’ field as shown below.

To use standard qualities, just untick the box next to the ‘Cognac Ageing’ field.

Query creation

HOW TO create a new query

Building a new query involves:

Choosing which fields (the more you choose the more detail you get).

Specifying criteria.

Adding any calculations you need – i.e. % Change, CAGRs.

To create a new query:

1. Click on the ‘Search Database’ button on the left-hand side of your screen. A ‘New search’ screen

will appear.

2. Select the fields and criteria you would like to have in your query. To include a particular field, click on the

button (once a field is selected, this button will be highlighted ). This will result in including

ALL data for the selected field, e.g. all categories, all brand names, all owners, etc.

To select ONLY e.g. brandy category, you need to filter the results. To do that, click on the button next to the category field. A new window will appear from where you can select the relevant data. (Please see

HOW TO specify criteria for your query for more details.)

Once done, you will see a short description of what is included next to each field as shown below.

To remove a field from your query, please click on the button next to the relevant field, which you can

see on the right-hand side of your screen.

3. Now you need to choose volume and/or value data and add years for your query. To do this, scroll down

to the ‘Data dimensions’ section and click on the button next to ‘Volume(s)’. All years will be

selected by default.

To MODIFY SELECTED YEARS you can do one of the following:

You can use the scroll bar/slider next to each field and drag it to expand/reduce the number of years.

Or, alternatively, click on the button. A new screen will appear from where you can

select the years you need. The selected years will then be highlighted in yellow.

You can add any years you want by ticking each one in turn. Alternatively, you can click on one of the options on the right-hand side, i.e. ‘Select every year’, ‘Select last 10 years’ and ‘Select last 5 years’.

You can also add forecast data, either by clicking on the ‘Select forecast years’ button on the left-hand side or

by clicking on each in turn to select the years you need.

To add value data, repeat the same process. (Please see HOW TO add value data to your query for more

details.)

4. You can also add calculations to your query. To do that, click on the ‘Add calculations’ button at the bottom of your screen. (Please see HOW TO add calculations to a new query for more details.)

HOW TO display your results

You have three options of how to display your results, i.e. either as a table, a map or as various charts.

Once you create your query, do one of the following:

1. Click on the button at the bottom right-hand side of your screen. Or, alternatively, click on

the ‘Show results’ button on the left-hand side banner.

2. The selected data will be displayed as a table by default.

3. To change the way your results are displayed, go to the ‘Display results’ tab on the left-hand side panel and select a chart type you would like to create from the menu in the ‘Display results as’ tab. (Please see

HOW TO create charts for more details.) 4. You can also show your results on a map to give an idea of geographical spread. (Please note that to be

able to use this option you need to have country data in your query. See HOW TO create maps for more

details.)

HOW TO add value data to your query

In a ‘New search’ or ‘Display results’ screen, scroll down to the ‘Data dimensions’ section and click on the

button next to ‘Value(s)’. The last five years will be selected by default.

To ADD MORE YEARS you can do one of the following:

Use the scroll bar/slider next to the ‘Value(s)’ field and drag it to expand/reduce the number of years.

Or, alternatively, click on the button. A new screen will appear from where you can select the years you need. The selected years will then be highlighted in yellow.

You can add any years you want by ticking each one in turn. Alternatively, you can click on one of the options on the right-hand side, i.e. ‘Select every year’, ‘Select last 10 years’ or ‘Select last 5 years’.

HOW TO specify criteria for your query

1. In a ‘New search’ window (or a ‘Modify search’ screen), click on the button next to the field you want to specify criteria for, e.g. ‘Category’.

2. The following screen will appear. The very top level is shown first, but you can get more details by clicking

on the top category, e.g. ‘Spirits’.

3. To select e.g. ‘Whisky’, click on the ‘Spirits’ field to get more detail and place a tick next to ‘Whisky’. Please see below:

HOW TO filter your results

To help you navigate your way through all the data you can display just part of it. Once your query is created, you can refine the results of the search you have made.

1. To do that, click on the filter button at the top of your query results table, e.g. . 2. Then click on ‘Add/Edit filter’.

3. Select your criteria.

Once your filter is applied, the field will change colour and will look like this .

To REMOVE your filter, click again on the field where the filter is applied and select either ‘Remove this filter’ or ‘Remove all filters’ (this will remove ALL filters in this query, i.e. for all columns).

HOW TO modify your query

To modify your query you can do one of the following:

From the ‘Display results’ screen via ‘Modify search’:

1. Click on the ‘Modify search’ button on the left-hand side of your screen. A ‘Modify search’ screen will appear.

2. Then you can add/remove fields, filter your results, add volume/value/per capita consumption/prices, as

well as add calculations and adjust your query accordingly.

3. Once done, click on the button at the bottom right-hand side of your screen to display the results.

From ‘Display results’ screen DIRECTLY:

To do that, please see below:

To add a field, click on an eye button (the selected field will be highlighted).

To remove a field, click on

an eye button to unselect the field.

You can change dimensions and units here (i.e. adjust years, add volume, value, prices or per capita data).

HOW TO sort your query

To sort your query:

1. Go to the ‘Search database’ tab on the left-hand side banner of your query display screen.

2. Adjust the order of how your results are displayed by manipulating fields under ‘Sort results by’. In the

example below our query will be sorted by brand name, major region and country, based on volumes 2012 in a descending order of size.

Here you can sort your query based on the fields selected.

HOW TO show only domestic or duty-free data

To select domestic or duty-free data only, do one of the following:

In a ‘New search’ window:

To select e.g. domestic data only, click on the ‘Search’ button next to ‘Domestic/Duty free’

to enable a search within domestic or duty free.

The following screen will appear:

In the ‘Display results’ window:

To select e.g. domestic data only, click on the ‘Search’ button next to ‘Domestic/Duty free’

in the ‘Selected fields and criteria’ section on the left-hand side banner.

The following screen will appear:

1. Click the box to select domestic only.

2. Click ‘OK’ to confirm.

HOW TO show the top 10 results

To show the top 10 results:

1. Go to the ‘Display results’ tab on the left-hand side banner of your query display screen.

2. Now select to show 10 results as demonstrated below.

Drag the slider to show the top 10 or, alternatively, type the number 10 in the box above.

You can save all your results/queries as: A table

To save your results:

1. Click on the button at the bottom left corner of your display screen.

2. Then you can name your table/chart and also save it to a particular project (folder) and deck (sub-folder). To see more about projects and decks, please see Projects and decks.

To download your queries or decks:

1. Go to the ‘Folio’ page by clicking on the button on the left-hand side banner.

2. Select the relevant queries you want to download.

3. Click on the arrow button on the menu at the top of your screen. 4. Select ‘Download selected deck’ to download your results.

Calculations

HOW TO add calculations to a new query

1. In a ‘New search’ window, select the fields and units you need for your query, e.g. wine by country showing

volumes for the last 10 years.

2. Go to the bottom of the page and click on the button. A new screen will appear

from where you can select relevant calculations.

3. The available calculations are listed on the left-hand side of the screen and include absolute and percentage changes, plus CAGRs. All can be calculated on volume, value, per capita and prices (where relevant).

4. Select the calculations you need. To do that, please see below:

1. Selected calculation: % change based on volume.

2. Click on a start year.

3. Click on an end year.

4. Click ‘ADD+’ to add your calculation. (This button will flash yellow.)

HOW TO create a stacked bar chart

To create a stacked bar chart: 1. Go to the ‘Display Results’ tab on the left-hand side banner of your query display screen.

2. Expand the selection under ‘Display results as’ to see all chart types.

3. Select ‘Bar’ or ‘Column’ chart. 4. Click on the ‘Advanced’ button on the left-hand side banner. A new window will appear where you can

select one of the options next to ‘Stacking’ as shown below.

You can create either a stacked bar chart or a 100% stacked bar chart.

HOW TO add labels and a legend to your chart

To add a legend and labels to your existing chart: 1. Go to the ‘Display results’ tab on the left-hand side banner of your query display screen.

2. Click on the ‘Advanced’ button on the left-hand side banner. A new window will appear where you can

select one of the options next to ‘Data labels’ including options for alignment, text direction, the legend and its position as shown below.

For data labels you can also select alignment (either at the bottom, middle or top of the column) and also text

direction (either horizontal or vertical).

Tick the box to include data labels for your chart.

Select the legend‘s position from the options shown.

HOW TO change the colour for your chart

To change a colour theme for your chart: 1. Go to the ‘Display results’ tab on the left-hand side banner of your query display screen.

2. Click on the ‘Advanced’ button on the left-hand side banner. A new window will appear where you can

select one of the options next to ‘Stacking’ as shown below. 3. Select one of the colour palette options from the ‘Palette’ menu as shown below.

HOW TO add value data to your chart on a secondary axis

To add value data to your existing volume consumption chart: 1. Go to the ‘Display results’ tab on the left-hand side banner of your query display screen.

2. Select retail values in the ‘Y Axis 2’ field on the left-hand side as shown below.

Note: To be able to add value data to your chart you need to have this information in your query first.

Select retail value for the secondary Y axis.

Value is depicted on a line chart in millions USD.

Projects and decks

HOW TO create projects and decks

Projects and decks are a system of folders and sub-folders used to save and organise your queries.

To create a new project or deck:

1. Go to the ‘Folio’ page by clicking on the button on the left-hand side banner. The following screen

will appear:

2. To create a NEW PROJECT, click on on the top of your screen. The following screen

will appear:

Here you can create your new project.

Tick to enable sharing.

Tick to make it a key project.

Click ‘OK’ to create.

To create a new deck, click on the button. The following screen will appear:

Note: All your queries need to be saved in a particular deck under the selected project. You cannot save queries

just under a project.

If you do not want to save your query in a project, then it will be saved on a clipboard.

Type a name for your new deck here.

Tick to enable sharing.

Select under what project will this deck belong.

Click ‘OK’ to create.

HOW TO edit, copy, move and delete your projects and decks

To edit/copy/move or delete your projects and decks:

1. Go to the ‘Folio’ page by clicking on the button on the left-hand side banner.

2. Select the relevant project or deck you want to edit, copy, move or delete.

3. Click on the arrow button on the menu at the top of your screen. The following menu will appear:

HOW TO work with trends

quality and country of origin. It also offers a snapshot of various categories and highlights main facts about specific markets and/or major and minor regions.

There are 5 different predefined charts available, which can be modified according to your needs.

You can add more charts, change the type of the chart, select to plot volume and value together on one chart, view only top 5/10 results and much more.

To use this tool:

1. Click on the ‘Trends’ button on the left-hand side of your screen. A new screen will appear. 2. Select the relevant field you would like to see a profile for. All available fields are shown below.

HOW TO create maps

To display your query as a map:

1. Go to the ‘Display results’ tab on the left-hand side banner. 2. Expand the selection under ‘Display results as’.

The following screen will appear:

4. Now your results will be shown on a map.

Examples

Example 1: Consumption of whisk(e)y by category in Asia-Pacific split by minor region: 2007-2012, volume

To do this, please see the steps below:

1. Click on the ‘Search database’ button on the left-hand side banner. A ‘New search’ screen will appear.

2. To select relevant fields, click on next to the each of the following: ‘Category’, ‘Major region’ and

‘Minor region’.

3. Filter the results to include the ‘Whisk(e)y’ category only. To do that, click on next to ‘Category’ as shown below:

A new window will appear where you can select ‘Whisky’ as shown below. The very top level is shown first, but you can get more detail by clicking on the top category field, i.e. ‘Spirits’.

Once done, click to save your selection.

Click to filter category.
