Facilities Services Workers Recognized for Great Work During Power Outage

Dave Irvin, associate vice chancellor of facilities services, recently extended a well-deserved thank you to the more than 80 members of his team who worked tirelessly during the June 29 power outage that impacted the SERF Building on the Hill.

“It was our team members’ extensive knowledge of our campus buildings and expertise that helped to save the research of more than 170 faculty members in SERF,” Irvin said.

The restoration of power to this critical research building was a team effort within Facilities Services, and everyone swung into action immediately.

“Our staff knows the buildings on campus better than anyone,” Irvin said. “As they worked to get power back up, they were able to anticipate setbacks and attempt different solutions in a way no outside company could.”

In addition to restoring power, many team members provided other essential services during the outage.

Locks were changed to ensure building safety, staff members escorted faculty into the building, miles of cable were run to temporary power equipment, emergency provisions were distributed to the team, and UT Alert was used to continually communicate with all those impacted by the emergency.

The employees worked around the clock during the 60 hours it took to restore power.

Irvin said his team members knew how to respond when both the main service and the building’s emergency systems were inoperable, and they knew where

critical equipment was located.

“We had key parts on hand so we did not have to wait for emergency equipment deliveries in order to begin repairs, and engineering and emergency contracts were in place so outside consultants could immediately provide any assistance needed,” he said.

Due to these efforts, all team members who worked to restore power and assist during the outage have been named the Facilities Services Exceptional Team for July.

The University of Tennessee, Knoxville will become a smoke-free campus Wednesday, August 1.

The Smoke-Free Campus initiative grew out of several years of widespread conversation and concern regarding smoking on campus. The initiative was specifically developed over time to address three concerns: protecting the health and safety of UT’s students, faculty, staff, and visitors; promoting a healthy and safe environment to learn, work, and live; and to ensure compliance with state law.

The policy prohibits the use of all combustible tobacco products—cigarettes, cigars, hookah, etc.—on campus, indoors and out. The use of electronic cigarettes—also known as e-cigs and vapes, among other names—are also prohibited on and in campus property. The full policy can be found at https://bewell.utk.edu/policy/.

University property includes all land, grounds, buildings, structures, and any other physical property owned or operated by the university. This policy applies to all university students, employees, contractors, and visitors.

Below is a campus map that indicates city- or state-owned streets on campus where smoking is not prohibited. These streets are indicated in orange.

While employees will be allowed to smoke on the streets indicated, they are asked to do so during their allotted breaks during the work day.

Facilities Services Break Time Procedure

In conjunction with the campus smoke-free policy Facilities Services is instituting a new procedure for break times during work hours for all employees and for smoking during these break times.

Effective August 1, 2018 employees must strictly adhere to the time assigned for breaks. This includes 15 minute breaks and allotted lunch breaks.

Employees taking longer breaks than allowed will be subject to two verbal warnings from their supervisor. Any break time that exceeds the time limit after these first two instances will result in further disciplinary action.

June Exceptional Team Congratulations to our June Exceptional Team - Mike Musselman, Randy Mathes, Mark Hensley, David Bryant, Dusten Gibson, Kyle Moffett, Doug Mickels, Michael Capps, Cody Strickland and Brian Riley.

This team is recognized for all of their hard work on construction projects that take place every summer.

They provide outstanding customer service and do a fantastic job on renovations.

In 2015 Facilities Services launched a series of DIY videos on its YouTube Channel.

To date, our teams have created 12 different videos featuring painting, landscape tips, tree care, plumbing projects, and recycling guides.

Topics include lawn care, sustainability tips, mulching, pruning, weed removal, dry wall preparation, basic painting techniques, painting products, and paint cleanup.

On-site Clinic Scheduled at Facilities Services Complex

Student Health Center to Offer Flu Vaccines & Second Dose Shingles Vaccine

UTK sponsored prescription insurance plan pays for the vaccines (i.e. $0.00 co-pay)

Flu Vaccines: Any Facilities Services Employee can receive a flu shot during this on-site clinic. Flu shots will be free to employees enrolled in the state’s health insurance plans and who bring a copy of their Caremark prescription card with them. Otherwise flu shots will cost $25 payable in cash or check.

Shingles Vaccines: The second dose of the Shingles Vaccine will be available to all employees who received their first dose in the 2 dose series during the on-site clinic at FSC on March 26.

Anyone who plans to be vaccinated during this on-site clinic at FSC is asked to bring their CVS/Caremark prescription insurance card (see example attached to this email) and to fill out the attached vaccine administration form (VAR) prior to the event. Employees must also complete the attached Shot-Waiver Form.

We have been asked to provide the pharmacy with an approximate head count for the on-site clinic. If you plan to receive a flu shot or the second dose of the shingles vaccine at this clinic, please email Brooke Krempa at [email protected] by Friday, September 7.

New Policy on Temporary Signage in EffectA new UT policy governs the use of temporary signs or displays on campus property. The goals of the policy are to ensure that the placement of temporary signage does not damage university property or interfere with normal operations, and to maintain the beauty of campus.

Examples of temporary signage are banners, directional signs, sandwich boards, feather flags, pennant streamers, and sidewalk stickers.

Here are some of the key points:

• A form must be submitted and approved at least two weeks before placing temporary signage on campus.

• The signage must promote or support a specific event or initiative.

• Signs must not be displayed more than two weeks before the event and must be removed within 24 hours of the event.

• Signage that requires the installation of a spike, post, or base in the ground must be installed and removed by Facilities Services to avoid damaging underground utilities.

This policy does not include the distribution of fliers, handbills, or posters on campus.

Want to prepare your home for the upcoming flu season? Facilities Services will host a campus workshop, “Facilities Fundamentals: Cleaning vs. Disinfecting,” from 11:30 a.m. to 12:30 p.m. Thursday, September 27, at the International House Great Room.

The event is free and open to UT faculty and staff. Lunch will be served and each attendee will receive a gift bag.

Building Services Supervisor Joe Suits and Facilities Services Training Specialist Ashley Savage Gilliam will discuss the difference between cleaning and disinfecting in your home to help protect against the spread of the flu. Topics will include the chemistry of cleaning, an overview of disinfecting products and their different uses, and cleaning and disinfecting of different surfaces.

2018 Chuck Thompson Award Eligibility List The Chuck Thompson Award is given annually to two non-exempt Facilities Services employees who have a minimum of ten years’ service with the University of Tennessee and have demonstrated extraordinary dedication/determination/results in the course of his or her daily work or in a "special project" situation.One award will be given to an employee in the crafts area and one to an employee in the service/clerical support area. Nominations will be accepted until 5 p.m., Friday, October 5th and can be given to Brooke Krempa in the Facilities Services Complex, [email protected]. Nomination forms are available from the clerk in your work area, from Brooke Krempa, and from the Associate Vice Chancellor’s office.
