TCCP OVERVIEW

Works to maximize the ability of our healthcare and education partners to meet needs for clinical experiences.

We help streamline the complex interactions between schools and clinical sites to schedule and track student clinical experiences.

Began in 2008 as a HEIP/HealthForce MN, MnSCU initiative fund pilot between 12 hospitals and 5 schools.

Today, member sustained, co-op like entity between 64 hospitals (clinical sites) and 55+ schools

WHAT WE FOUND: PRE-LICENSURE NURSING

WHAT WE DO: PRE-LICENSURE Make sense of the chaos: Standardized data language – everyone uses same data descriptors in a similar process Complete data – avoid fragmented information that requires follow-up Standardized timeline – all partners are on the same timeline for their clinical scheduling

activities – all partners understand who’s doing what, when Access to a centralized, online scheduling application Staffed customer service, communication, and training for all TCCP scheduling activities,

services and tools. Additionally, staffed partnership building and innovation development

Active Education and Clinical Partnership – partners connected to maintain services/tools and collaborate on needed initiatives

WHAT WE DO: EDUCATION PROGRAMS Make sense of the chaos: Identify the most up to date contact for scheduling Set and notify of standardized timeline for scheduling activity (who does what when) Train and provide support to provide all requests (repeated requests, new requests and

requests that are not longer needed) Ensure ALL submit their activity by designated deadlines Quality control to ensure standardized parameters are followed to ensure accurate data

for Clinical Site review Provide any customer services needed to submit clinical requests Provide centralized area to access system onboarding materials for students and faculty

WHAT WE DO: CLINICAL PARTNERS Make sense of the chaos: Contacts all schools, collects all requesting activity and quality controls activity – we take

care of the back and forth needed to get all clinical activity requests (from multiple schools) clean, standardized (data language) and in one place. Places requests into a centralized online scheduling application – allows partners to easily

download all school requests into a master schedule Provides excel based master schedule generating tools – allows clinical site coordinators

tools to easily email units request activity for decision Provides a centralized online scheduling application to input decisions for multiple schools

in one place. Additionally, decisions are automatically/instantly communicated to the respective school Provides tools to automatically place group request activity in a calendar format (useful

to inform units of activity) Provides tools to easily calculate student community benefit hours for tax purposes

Placement Process

CLINICAL PARTNER SAVINGS

Longstanding hospital members report an approximate 75% decrease in employee time spent scheduling, negotiating and tracking clinical activity data. Before TCCP involvement ,staff time expenditures were 60 minutes per clinical activity Most of these hospitals scheduled between 150 to 200+ rotations per semester

With TCCP involvement staff time expenditures were lowered to 15 minutes per clinical activity

Because of our detailed and complete data language, hospitals also report 99% decrease in time spent figuring out Community Benefit hours

EDUCATION PARTNER SAVINGS

We anecdotally know that TCCP also saves Education Partners time in task redundancy & confusion Currently no school has ALL of their clinical experiences run through TCCP (like clinical

partners do) which make evaluation difficult

Education Programs do report significant efficiencies when Working with many clinical sites in the partnership Keeping track of up-to-date onboarding policies

TCCP SOFTWARE APPLICATIONS

StudentLink: Pre-licensure – assists scheduling/tracking pre-licensure nursing, surg tech, rehab, ma Developed and maintained by TCCP for TCCP members 2013: helped place 14,000 clinical experiences Intuitive and user-friendly When appropriate, enhanced to further benefit TCCP members

StudentLink: Advanced Practice Professionals – assists scheduling/tracking NP and PA and others Developed and maintained by TCCP for TCCP members Used to actively schedule students and to track students Currently in pilot stages, working to enhance based on TCCP needs

Student Passport – assists with collecting/organizing required information and documents plus streamlining onboarding information In development; pilot Summer 2015 for Fall 2015 students in Duluth area
