DEAR SANDCASTLE ENTHUSIASTS, INTERESTED AND REGISTERED TEAMS: For 34 years, Leap has hosted the Sandcastle Classic, Northern California’s largest sandcastle competition benefiting Bay Area students by providing them with high-quality arts and architecture education programs. This unique sandcastle competition, nonprofit fundraiser, and community event brings over 3,000 people to San Francisco’s Ocean Beach every year to design and construct creative sand sculptures on an impressive scale, with local San Francisco students.
This year’s theme is “Makers & Movers” and our 34th annual Sandcastle Classic will be held on Saturday, October 15, 2016 from 11AM – 4PM at Ocean Beach in San Francisco.
Leap’s goal is to raise $300,000 this year to help provide meaningful arts education programs for over 6,000 Bay Area students. In 2015, the top team raised over $42,800, the highest team donation in Sandcastle Classic history. Your participation in this event will make a huge difference in the lives of Bay Area students!

ABOUT THE SANDCASTLE CLASSIC:
Teams of architects, engineers, contractors, designers,
corporations, and local elementary school students
work together to build giant sand sculptures. The funds
raised by teams and sponsors make it possible for
Leap to continue to provide arts programs to Bay Area
students.

Leap was established in 1979 in response to severe
budget cuts in arts programs in California schools.
These cuts continue to affect arts education in our
schools today, and the need for high-quality arts
programs is now greater than ever. Leap’s programs
place professional teaching artists in classrooms to
work with grades K-5. Every year, these educational
programs—in music, dance, theatre, creative writing,
visual arts, and architecture—serve over 6,000 students in
more than 25 elementary schools throughout the Bay Area.

HOW TO PARTICIPATE:
1. Complete the registration form at www.leapsandcastleclassic.org/teams by July 11, 2016.
2. Donate and/or raise a minimum of $4,000. Most teams are comprised of several companies working together
and normally exceed this amount. If you are looking to partner with other companies or find additional team
members, please contact Leap. We’re happy to help match you.
3. Choose a school to partner with. You will visit a class, and work directly with kids to design your sculpture,
which you will then build together on the beach. While Leap encourages you to work with students that we
serve, you are not limited to these schools. Should you have difficulty in identifying a school partner we are
happy to help match you. Contact us for more information.
4. Provide your own supplies/materials to build the sandcastle at the event.

ABOUT SANDCASTLE ONLINE & DONATION PROCESSINGSANDCASTLE ONLINELeap’s Sandcastle Online utilizes an online platform called DonorPages to provide a custom fundraising page
for each team. Each team’s fundraising page url will be emailed to the team’s captain(s) shortly after a team has
registered.
These customized team pages present the opportunity to list your team’s company partners, logos, a brief team
introduction, and any other images/text that you wish to include. If you would like to make changes or add content
to your team page, please contact Leap at [email protected].
DONATION PROCESSINGOn your team page, donors can simply click the “Donate Now” button and make a contribution. Major credit cards
(Visa, MasterCard, and American Express) and e-checks are accepted. Once the transaction is completed, the
donation will be instantly displayed on your team page. You can track your team’s fundraising progress 24/7 on
your team page, as well as compare the efforts of other teams.
CHECK DONATIONSFor check donations, use the Sandcastle Donation Form available on the fundraising tab at
www.leapsandcastleclassic.org/fundraising. When donors send checks, they should complete the form and send it
in to Leap along with their check. This way, your team will receive proper credit for the donation.

10 TIPS FOR BOOSTING YOUR TEAM’S FUNDRAISING
The below tips and tricks have been used successfully
by previous teams to support their fundraising
efforts. We encourage you to review and apply these
approaches as appropriate for your team.
1. LEVERAGE YOUR BUSINESS CONTACTS.Make a list of the vendors, subcontractors, companies
and individuals your company does business with,
and then mail or email pitch materials to your key
contacts. You can use or borrow from the sample
Team Donor Solicitation Letter available online at
www.leapsandcastleclassic.org/fundraising.
2. PERSONALIZE YOUR PITCH.Though a sample Team Donor Solicitation Letter is
available online, feel to create your own! Whenever
possible, add a personal touch to these pitch
letters. For example, one year a team mailed sample
sunscreen packets along with their donor outreach
letters to encourage people to join them at the beach!
3. EMPHASIZE DONOR BENEFITS.“What’s in it for me?” can be a common question in
the minds of potential donors, and here are some
potential answers:

more outlets are powerful fundraising tools, and help
make it possible to spread the word far and wide!
Share a link to your team’s fundraising page with your
social media circles, and encourage your employees
and colleagues to do the same.
8. THINK OUTSIDE THE BOX.Teams have held bake sales, car washes, benefit
concerts, and mini-fundraisers at local bars and
restaurants to raise money for the Sandcastle Classic.
The sky’s the limit—use your imagination and
have fun!
9. FOLLOW UP.Follow-up is the key to fundraising success! If you are
sending materials via email, a friendly check-in by
phone can be a very effective way to follow up and
further engage with potential donors.
10. GIVE THANKS AND RECOGNITION.A little gratitude goes a long way and helps to ensure
that donors feel appreciated. Some examples include
sending donors personalized thank-you letters,
photos from the event, or hand-drawn thank-you
cards from the students at your partner school.
FYI: DonorPages remits an automatic email
receipt for all online donations. Leap will send
out a thank-you letter to all donors following
the event in October, which serves as a donation
acknowledgement letter for tax purposes.
Individuals that donate at least $350 will receive
a commemorative Sandcastle Classic tote bag.

SANDCASTLE BUILD RULES
At 8AM, Leap staff and volunteers will be on the
beach to rope off the sites. Teams may bring rakes to
clear their own sites as early as 10AM. You may bring
tools, and set up your “staging area” but no building
or digging on the 20’ x 20’ site for your sandcastle is
allowed until the foghorn is blown at 11AM signaling the
start of the contest.
Building sites will be 20’ x 20’, and there will be 20 feet
between sites. You’ll also have a 20’ x 20’ “staging” or
team support area for any tents or lunch setup that
you might have. These spaces will be marked prior to
your arrival. Teams MUST NOT build beyond their site
parameters.
You may start raking and leveling your plot when your
arrive on site. Start your water trenches, install signage
& other support infrastructure.
There will be a central corridor between your staging
area and your sandcastle site for the public to view the
castles. It will be marked with orange cones on the side
closest to your support area. We appreciate your help
in keeping a clear lane for viewing.
Materials in the final sand structure are limited to:
water (in any form, including ice and dry ice), sand,
biodegradable materials found on Ocean Beach during
competition hours.
SANDCASTLE BUILD SCHEDULE: ® Judges will start touring sites at 1PM. ® The final tour of all sites will begin at 2PM.
® Building must stop at 3PM. ® Awards at 3:30PM.
YOUR TEAM WILL NEED:1. Rakes to clean your site
2. Shovels, pails and buckets
3. Tools for carving
4. Shoes that cover your feet securely (sneakers rather
than sandals)
5. A pop-up tent to provide shade over your staging
area plus sunscreen
6. Towels for drying off (more than you think)
7. An extra set of dry clothes and sneakers
8. Trash bags and compost bags (at least 10 each; 40
gallon size)
9. Plenty of drinking water
10. Team spirit!
DON’TS ® Absolutely NO digging or forming in your 20’ x 20’
plot until the siren rings and the competition starts.
® NO professional sandcastle consulting or assistance
is allowed. This is an amateur event that benefits
the kids. Any team using professional help will be
disqualified.
® Only handheld or human-powered tools are
acceptable during the build process. NO generators
are allowed.
® NO wooden forms or substructures are allowed to
support the structure/sand in the finished form.
® NO foreign objects are allowed on finished form. No
dyes, paints, glues, plasters, etc.

TEAM SETUP: 10AM
START TIME: 11AM at the sound of the foghorn
UNLOADING AND PARKINGDue to the large number of students and team
members who attend the event, we exceed the
available parking spaces in the lot at the foot of Balboa
Avenue. The cars and trucks coming to the beach with
the teams often fill up the parking lot so that there
isn’t space for teachers and student families. Therefore,
teams must limit the number of vehicles being driven to
the beach!
You may drop off your materials near the stairwell
where you access the beach. Then YOU MUST MOVE
YOUR VEHICLE so others have access to the stairwell.
Stairwells will be assigned in an email to team captains
closer to the event and will also be labeled onsite.
TEAM PARKING AND CARPOOLING ® We’ll provide parking spaces in the lot for team
members who carpool on a first-come, first-served
basis. Cars driven solo by team members may be
asked to park elsewhere once the lot is full.
STUDENT DROP-OFF: ENCOURAGE BUSING AND CARPOOLING!
® Please encourage your school to bring the students
to the beach via bus. If that isn’t possible, then
encourage parents or guardians who are dropping
off students to carpool.
® There will be a lane in the parking lot for parents
and guardians who are dropping off their students.
Students may be dropped off within this lane.
However, once the lot is full, the driver must then
leave the parking lot to find parking elsewhere.
PARENT/GUARDIAN CONSENT FORMSPlease turn in all permission slips from parents or
guardians prior to the event. Please mail or email them
to Leap. Consent forms are available online at
www.leapsandcastleclassic.org/schools.
TEAM SIGNTeams are responsible for creating a sign to display on
the beach. There will be an award for the best site sign.
Be creative! Signs should include:

so we can identify you easily on the beach. Your team t-shirt is a great opportunity
to get creative by connecting the design with this year’s theme, highlighting your
team sponsors, as well as your school and corporate partners. Download the Leap
Sandcastle Classic logo to include on your t-shirt at www.leapsandcastleclassic.org/
teams. There will be an award for best team t-shirt!
Please order one extra t-shirt in each size and ask a member of your team to bring
these additional shirts to the Registration Tent. We will sell these shirts to raise
additional funds for our programs in schools.

LUNCHEach team is responsible for providing lunch for your team, staff and students. You
may take a lunch break whenever you choose.
COMMUNITY CASTLESThe Community Castles are areas where families of team members, volunteers and
members of the public are invited to build their own sand structure. Participants
in this activity are encouraged to make a donation to support Leap’s art programs
in Bay Area schools. It’s an engaging, family-friendly activity in which people of all
ages have an opportunity to jump in and join the fun! These sites will have a Leap
designated facilitator to assist the community teams.

TEAM ROLESBy identifying a few members of your team to take on particular roles, your team will easily be to manage their
Sandcastle Classic experience. It’s best to assign these roles as soon as your team registers. Below are a few key
roles that we suggest you assign to team members:
TEAM CAPTAIN (1-2 people)You can equate the Team Captain role to
a supervisor or project manager position.
This person will be your team’s leader and
responsible for keeping your team on track.
Some teams opt to assign this position to
two people so they can work together. It is
recommended that each company on your
team also designates a point person within
their organization to relay information from
the Team Captain.
FUNDRAISING (1 person minimum)This person will keep track of your team’s
fundraising goals, tools, and progress
using your online fundraising page. They
will help coordinate any of your team’s
fundraising events. It is also recommended
that each company on your team assigns a
fundraising person to relay information from
the team’s fundraising lead.
PARTNER SCHOOL LIAISONS (1 team member and 1 teacher or parent from your partner school)Team member role: Identify one person
on your team who will be responsible for
communicating plans and logistics with
your partner school. This person will help
answer any questions from the partner
school or parents, work with the school
liaison to schedule the classroom visits, and
distribute parent consent forms.
Partner school role: Work with your
Sandcastle Classic team to communicate
key information to the school’s students and
parents like like dates for classroom visits
and the team’s site number on the beach.
This person will also help distribute and
collect parent consent forms on behalf of
your team.
GRAPHICS COORDINATOR: (1 person)This person will be responsible for
designing the managing logistics around
your team’s t-shirts, site sign, and any
graphic elements used for publicizing your
fundraising events.
DAY OF EVENT LOGISTICS: (1 person)This person is responsible for helping the
team captain keep track of all logistics
during beach day. Identify one person who
can help make sure all team members have
the correct site number, keep track of your
team’s lunch order, keep an eye on the event
schedule for the day so your team doesn’t
miss any important announcements, etc.
WATERGUARD (2 people - can be assigned the week of the event)Due to the riptides, we require that each
team designate at least one adult member
who is solely responsible for keeping your
team’s kids from swimming in the ocean.
Please designate at least two people on
your team well ahead of time so they can
rotate and take breaks during beach day.
Waterguards will be asked to meet at
approximately 10:30AM at the Registration
Tent to pick up their Waterguard t-shirt and
and receive final instructions.
GREEN MONSTER (1 suggested - can be assigned the week of the event)Each team must appoint a trash and
recycling monitor—aka the “Green Monster.”
This person will receive a Green Monster
t-shirt and will be in charge of their team’s
trash and recycling removal. Green Monsters
will be asked to come to the Registration
Tent at 11AM to pick up their t-shirt and
receive final instructions.
At this meeting the “Green Monster” for
each team will be REQUIRED to leave a
license or credit card with the Leap Staff.
This personal identification will be returned
at the end of the day, once your site is
inspected and Leap has verified that all
trash has been removed. We are subject
to rules and regulations from the Golden
Gate National Recreation Area and the SF
Recreation and Parks Department, who
require that all teams FILL IN holes and
smooth out the beach so that it is not
hazardous to the public.
We’ll provide receptacles for your team
to dispose of your compost, recycling and
trash for your convenience. However, please
provide compostable bags and trash bags
(40 gallon size), as well as staff to help your
Green Monster manage your site. Please use
“green” containers such as biodegradable
bags and cardboard boxes.
STUDENT REPRESENTATIVE (At least one student with a teacher or parent chaperone)During the day, each team will need to
send a student representative to the stage
to discuss their team’s sandcastle. Please
select a student and an adult chaperone
(teacher or parent) to be the representative.
The emcees will call your team to the stage
in numerical order by beach number.

LEAP SANDCASTLE CLASSIC SCHOOL VISIT GUIDELINESOne of the best parts about participating in the
Sandcastle Classic is the opportunity to work
closely with students. A series of 2 school visits
is recommended. During these visits, your team
will work with students to create a design for your
sandcastle around this year’s theme; capturing
the students’ creative voice and giving them a
unique chance to collaborate alongside working
professionals. Below is a general timeframe for
working with your partner school:
MAYIdentify which person on your team will be
responsible for communicating plans and logistics
with your school partner. This person should reach
out to your school of choice as soon as possible, at
the end of the previous school year in May to solidify
their partnership. Determine which teacher will be
your team’s contact at the school and schedule a first
meeting just before school starts in August. Exchange
all contact information—cell phone number, school
phone number, email, etc. Determine best times to
reach each other and best mode of communication.
AUGUST/SEPTEMBERHave your team representative meet with your
partner teacher one-on-one to discuss goals. If the
school isn’t a Leap partner school and they don’t
generally participate in a Leap residency, upon
request, Leap will send a special packet to the
principal’s office to inform him or her about our
programs. This is an opportunity for the school to
receive a “mini-program” through the team members
who provide an experience similar to a typical Leap
residency program, just on a much smaller scale.
Describe the Leap Sandcastle Classic participation
process if the teacher is not familiar with it. Teachers
should understand that teams are raising funds to
support Leap’s art education programs, and that
these funds might not necessarily be used for their
individual school.
