Dear Exhibitor: On behalf of the NEACC Board of Directors and Pat Hoey Productions, I would like to thank you for your participation in the 2021 Northeast Security Systems Contractors Expo on NEACC Island. We are sponsored by Assa Abloy, NMC, Urmet, Centralarm, Delta Payment Solutions, USA Central Station, and CE Pro this year. Since this is the first virtual event NEACC has put forth, every exhibitor and attendee will receive a list of registered attendees the week of the Expo that includes name, company, and title. Attendees on the island can be found via the navigation menu and this will assist in that process. The enclosed information package is a very important guide designed to help you plan and present your virtual display.

EXHIBIT BUILDING INFORMATION Since NEACC has purchased this robust virtual platform for the entire year, exhibitors will have the opportunity to begin building their exhibit as early as April 14th, 2021. Exhibits will stay up on the island through July 4, 2021. Exhibitor Orientation: Wednesday, April 14th 1pm- 2pm on NEACC Island This program will show exhibitors how to add the graphics to their booths. We will recommend adding a link to one of your graphics that links to a calendly, contact us page, or similar for visitors of the island that may see your booth during other events (4 New England State association’s board and member meetings will be taking place on the island this spring for example). Visitors can then contact you for more information about your company/ products when the booth is unmanned. Your company is welcome to utilize your booth space outside of the expo days to interact with your customers and show off your products for an interactive experience. Just have your customer’s register for the expo and they will receive access through their confirmation email! We will be hosting additional orientations as needed beyond this date. Check in with Pat Hoey Productions or visit Neacc.org for more information. TO GAIN ACCESS TO THE ISLAND AND RECEIVE “MODERATOR” ACCESS WHICH WILL ALLOW FOR BOOTH EDITING:

1. Register to attend the Northeast Security Systems Contractors Expo on www.neacc.org 2. Mark your registration as “Exhibitor”- this is important for the proper access for booth

editing. 3. Look for your registration confirmation email. Download the NEACC Island platform

powered by Virbela. Build your avatar and explore the island! This will make it much easier to get on the island quickly and seamlessly for any future meetings/ visits/ events. The download and avatar building can take a few moments.

4. Attend exhibitor orientation on April 14th for extra help in editing your booth. Note: NEACC Island is a different program than the Demo island we first ran tours on. Ours is a completely private platform. Therefore, if you took a tour on the Echo Event Farm Demo Island, you’ll want to delete that application now and just visit NEACC Island.

HARDWARE REQUIREMENTS FOR VIRTUAL PLATFORM *This program must be run on a computer. It is not compatible with a smartphone or tablet Operating Systems Supported

• Mac OS X 10.11 or newer with the exception of Mojave [10.14] users. Mojave users are recommended to upgrade to a newer version of Mac OS*

• Virbela is currently not compatible with Chromebooks or Linux based computers

Firewall & Antivirus Whitelist

As a social business platform, unimpeded connection to the internet is vital to a positive user experience. Firewalls, although necessary to protect networks from malicious attacks, may also interfere with Virbela’s ability to communicate with other users. To ease the transition for your employees into the virtual world, we recommend working with your IT team to help you with the next steps. Below is a list of destination domains, ports and application locations you may need to enable on your firewall and antivirus depending on the rules you have implemented for NEACC Island to work properly.

ATTENDEE RAFFLES The virtual platform allows for island wide announcements throughout the event:

Call for Exhibitor Raffles! We will be offering any exhibitor/ sponsor that donates two raffle prizes an island wide announcement during the 3 days of the event which prompts the attendees to visit your expo booth for a chance to win one of the prizes. The other prize will be raffled to EARLY REGISTRANTS/ VISITORS TO THE ISLAND. This will encourage attendees to register for the event, build their avatar and be ready for the Northeast Security Systems Contractors Expo! Email [email protected] with what you would like to donate to the raffle and we will arrange a time for your island wide announcement during exhibit hours. If you have multiple prizes, let us know, you will get an announcement for each donated to this promotion. Recommendations for Expo Hall overhead Logo space, Logo, and Icon space (podium)

Right-click on the right side of the logo space to change the Hex Color of the Booth Upload logos with a transparent background over the background color for the best looking results.

Recommendations for web board Web Board Graphics browser sizes have been noted below for the expo hall booths Web Boards can show your webcam, share your screen, show files (PDF, PPT, etc) and show websites and/ or play video links. You can bookmark these items on your booths screen if there are several items you may want to show potential attendees to your booth by clicking the “star” on the top right of the screen. Welcome to NEACC Island, the first configurable virtual event experiences solution that brings together VirBELA's powerful virtual world with Event Farm's event engagement. platform. This quick start guide is

intended to help you get familiar with using the software. To begin, we want you to get the full experience of our solution, including event registration. When you receive your confirmation email, you will receive a

download link.

Install & Launch

Once the download is complete, double click on the downloaded file (NEACCIsland.exe for Windows or NEACCIsland.dmg for Mac). Proceed to run the application. (Note: Depending on your device’s security, you might get one or two warnings – we recommend overwriting those to complete the process.) Virtual Campus Configuration

Upon launching the software a window will open up that provides some basic options for configuring your experience. Screen Resolution, Graphics Quality, and Select Monitor.

Screen Resolution: This allows you to change the size of the VirBELA client with an option to run in windowed mode or fullscreen mode.

Graphics Quality: This option allows you to change the overall quality of the virtual world. If the Virtual Campus is running slowly you will want to lower this setting.

After configuring your settings, click Play!

Logging In

Select Monitor: If you are on a computer with multiple monitors this will let you select the monitor the client is opened on.

There is also an additional tab under the NEACC Logo, Input: If you would like to change your in-world controls or just take a look at them you will find them on this tab.

When the NEACC Island client is launched you will be taken to the login page. If this is your first time using the Virtual Campus you may need to register an account.

To do this click Register.

To create a NEACC Island account you will need to register for the Northeast Security Systems Contractors Expo and then provide a password for logging into NEACC Island.

Once you have completed the form, click Register Now. After doing so, you will be redirected to the login screen. From here you will enter the email you provided and password you created, then click Login.

Note: Selecting the option ‘Remember Me’ will save your email for future logins

Avatar Creation

The first time you login you will be taken to the avatar creation screen. Here you will be able to choose how other people see you. This can be changed at any time.

Controlling the Avatar

Your Avatar will land on the Welcome Area

Movement by Keyboard By default, you can move around the world with either the keyboard or the mouse.

The up and down arrow will move you forward and backward.

The left and right arrow will turn the camera.

Movement by Mouse

W and S will move you forward and backward.

A and D will turn the camera.

When you hover your mouse over a place your avatar can walk to, an icon of a person will appear.

Left-click will move you where you clicked so long as the icon to the right shows up. If you click somewhere else on the ground mid-walk, your avatar will change paths and walk to the new point.

Note: There are many objects you can interact with by clicking. Some of these objects, like a door or chair, will quickly move you.

Looking Around

By default, the camera is locked behind the avatar and follows their movement. By unlocking the camera by hitting the Spacebar, you can use the mouse to look around. Your avatar’s head will tilt in the direction you are looking. A white icon will appear in the bottom of the screen to indicate the camera is unlocked

Communication

There are two main ways of communicating within the virtual campus, each managed in the lower left of the screen.

Voice Chat

The first and primary method of communication is Voice. After logging in, you will enter the world with your microphone muted. As seen above, the microphone is muted. As seen below, the microphone is not-muted.

Click the icon to toggle mute on or off.

If you would like to use push-to-talk you may press and hold 1 while muted. This is useful when you are in loud spaces. When you are speaking, a chat bubble will appear both above your head and above the icon.

Note: It is highly recommended to use headphones with a built-in microphone to reduce ambient noise and echoing. A headset with USB connection is preferable to one with auxiliary connection.

Text Chat The other method of communication is Chat. In the chat menu you can send messages, share files, and communicate with others privately.

To use the chat, compose your message then click send or press enter on your keyboard. Messages will only be viewable by users in the same room as the sender.

You may either choose to speak publicly or in the private volume, which only people in the same blue outline as you can hear. (Pictured to the left).

The smiley face provides emojis for adding flare to your messages.

To upload a file, click the up arrow on the right side of the chat box.

Navigation Menus

Context Menu In the upper left corner of the screen sits the context menu. Here you will find information about how many users are in the same area as you, names of people in the area, and the GO TO menu.

Gear Menu

Click the top of the menu to open sorting options for the list of users. Click your name to open a menu that lets you view your profile, edit your avatar, set your away status, raise your hand, emote, or place sticky notes.

Click GO TO, then any destination listed to instantly teleport to that location.

The gear menu houses many important tools.

Change Avatar: Allows you to customize your avatar.

Find Users: Allows you to locate other people within the Virtual Campus. Search the person’s name or display name and it will show you where they are located. Help: Opens the Echo Support page in the computer’s default web browser.

Mic Settings: Used to set microphone sensitivity, select the active mic, and quickly open your computer’s microphone settings.

Note: Low sensitivity is recommended for loud areas with lots of background noise. High sensitivity allows you to speak more quietly.

Preferences: Lets you change how your computer runs the Open Campus. Volume, notifications, username and minimap visibility, frame-rate , font scaling, draw distance, theme, and avatar complexity.

Adjust the volumes of the environmental sounds (water, birds, etc.) and sound effects.

You can also set target frame-rate. The default is sufficient for most setups, but the optimum depends on your computer/monitor.

Reinitialize Voice: This will reconnect you to the voice server if you are experiencing voice connection issues. Intended for MacOS users but may help on Windows.

Privacy Policy and Terms of Use: Standard software use agreement and privacy information.

Log Out: This will take you back to the login screen.

Quit: This will fully close the client.
