Tenders are invited under Two Bid systems for engagement of an Agency for supply

and installation GYM equipment to the National Council for Hotel Management & Catering Technology , A-34, Sector-62, Noida

1. Eligibility Criteria

The tendering Agency must fulfill the following conditions in order to be eligible for technical evaluation of the bid. Equipment's should be of leading brands, such as Star Trac, Nautilus, Life Fitness, Technogym, Precor, Freemotion or equivalent.

The tender shall be submitted in Two parts, viz., Technical bid and Financial bid. All the pages of bid being submitted must be sequentially numbered by the bidder irrespective of nature of content of the documents. The offers submitted by Telegram/ Fax/ email shall not be considered. No correspondence will be entertained in this matter.

Technical bid:

The following documents are to be submitted by the bidders alongwith the Technical Bid as per Annexure-I of the tender documents.

1) The agency/ bidder should have supply & Installation of GYM equipments to at least 5 Govt. Organizations/PSUs/Academics/Research Institutes/Reputed Organizations.

2) The firm should be having PAN (Permanent Account Number) allotted by the Income Tax

Department.

3) The firm/ agency should be registered under GST Act as applicable.

4) The annual turnover of the bidder for the past 3 years should not be less than Rs.5 crore per annum.

5) The Registered Office of the Agency should be located in Noida/Gr Noida/ Delhi/ NCR.

6) A Demand draft of Rs.500/- (Rupees Five hundred) in f/o NCHMCT payable at Noida should be accompanied with Technical Bid

Financial BID:

Financial bid is to be submitted as per format given in Annexure-II. Bidder shall not Tamper/ modify downloaded financial bid template in any manner. In case, if the same is found to be tampered/ modified in any manner, tender will be completely rejected and EMD would be forfeited .

3. Terms and conditions i. The rate quoted should be in rupees inclusive of all charges e.g. packing, forwarding local

taxes, railway freight, transit insurance, for outside firms and free delivery at NCHMCT. The total price should include all accessories required for final installation of the Gym Items.

ii. Detailed specifications with the mention of make and model/ Version of each item should be

clearly given supported by the illustrated pamphlets wherever possible. The accessories included in the equipment’s should also be clearly mentioned.

iii. The installation and operationalization of GYM equipment is the responsibility of the bidder.

iv. Only items having standard certified ISO/ ISI etc shall be accepted by NCHMCT.

v. The bidder has to quote the price for all the items as per enquiry strictly. Incomplete price bid will not be considered at all for financial evaluation.

vi. Terms of Payment- 100% payment will be made to the supplier on successful completion of delivery and installation/ commissioning of all the equipment’s at site as per the supply order placed by the respective units and certificate issued by NCHMCT’s Committee constituted for this purpose. The quality/ make, brand of equipments should be strictly as per financial quotation. No advance payment shall be released.

vii. Warranty- The vendor will provide one year onsite comprehensive warranty for the Gym equipment being supplied irrespective of manufacturer warranty. Any failure in the equipment or a subsystem thereof should be rectified within a maximum period of 10 days of lodging a complaint. Any defect attributable to poor workmanship or use of substandard quality material during manufacturing process must be replaced with new one free of cost at site by the supplier irrespective of the guarantee/ warrantee clauses between the supplier and his dealer OEM. No additional charges shall be paid to him by the Council. Warranty certificate against all the equipments developed defects covering warranty period, which commence from the date of installation, shall be given at the time of supply of the equipments.

viii. Failure to comply with all the terms and conditions mentioned herein would result in the tender

being summarily rejected. ix. Evaluation Criteria: The Technical bids will be scrutinized on the basis of Basic Eligibility Criteria

as detailed in the Tender Document. Financial bids will be opened only of the technically qualified bidder. The L-1 would be decided on the basis of total expenditure on GYM equipment and AMC charges taken together.

x. Earnest Money of Rs.1.00 lakh in shape of Demand Draft in f/o NCHMCT payable at Noida shall be accompanied with financial Bid. Earnest money of successful bidder shall be converted in Security deposit for one year period.

Annexure-I

Performa for Technical Evaluation

The agencies are requested to furnish the following information/ documents for technical evaluation. The documentary proof is required for each information.

1 Name of the proprietors/ Directors

Whether firm is registered under Sales Tax/

2 service tax

Whether the firm has a Permanent Account

3 Number (PAN/TAN) Whether any legal suit/criminal case pending or

4 contemplated or legal notice having being served

to this effect against the proprietor of the agency

or any of its Directors (in case of Pvt. Ltd Co.) on grounds of moral turpitude or for violation of any of the laws in-force and agency is not black listed by any Govt organization. List of clients with the copy of the work order for

5 supply & Installation of GYM equipments in Govt. Organization/ PSU/ Academic/ Research Institute/Reputed Organization. At least five (05) organisations. The annual turnover of the bidder for the past 3

6 years should not be less than Rs.50 lakh per

annum and proof of the same should be submitted in the form of IT return/ Audited Balance Sheet/ Work Order (At least 5.00 crore)
