Tips & Tricks | On the Calendar
As I write this message many of you are probably getting ready
for your summer vacation and hopefully planning some time off to
recharge your batteries.
We have had a busy spring working on many initiatives. Here’s a
quick update:
TELUS Health Ontario EMR User Conference It was a pleasure for me and our team to meet more than
300 customers at our TELUS Health Ontario EMR User Conference
at the beautiful Blue Mountain resort in early May. I would like to
thank those of you who invested your time to deepen your
understanding of your EMR.
It was an enriching experience to meet and hear from so many of
you as we learned about the latest tools and technologies to help
improve patient outcomes. I hope those who attended enjoyed the
conference and returned to your practice with new insights and
skills to share with your colleagues.
We are now planning to meet more users at a one-day EMR
Symposium in Sudbury in September. We hope to see you there!
TELUS Health and QHR Technologies to collaborate We recently announced our intention to collaborate with QHR
Technologies to improve communications between healthcare
providers across Canada. Together we intend to create a national,
secure, standards-based and open communication solution that
will help the more than 23,000 physicians who use the companies’
electronic medical records solutions to efficiently and effectively
care for their patients. Read more
EMR users in Fort McMurray Our thoughts are with the large number of TELUS customers who
have been impacted by the fires in Fort McMurray. TELUS team
members are available to offer any assistance our colleagues may
continue to need – including connectivity and remote access to the
EMR. We have also created a checklist for customers who need
assistance after a disaster such as this. Interestingly we also heard
that some of our Fort McMurray physicians used their EMR Mobile
app to access records during the disaster. It certainly brought home
the benefits of a remotely hosted SaaS solution – no patient records
stored in a TELUS EMR were lost in the fire.
We are so proud of the many heroes, including our own TELUS team
members, who have shown their support for Fort McMurray. We also
want thank our customers, team members and retirees who donated
more than $1.15 million to the Red Cross.
EMR MobileWe have hit an important milestone of more than 4500 users who
now use TELUS EMR Mobile. Many are enjoying the secure access
to upload photos directly to patient charts and to quickly view records
and encounter notes.
We are working on exciting enhancements that you will hear more
about later in 2016. Until then, I wish you and your families a safe
and fun summer!
Dr. Michael GuerriereChief Medical Officer, Vice President, Provider Solutions
Information for Life.

Look for new versions of PS Suite this summer, as we
continue the quest to get useful data at point of care. Some
highlights include:
Online Benefit Check will tell you, at the time of prescribing,
whether the patient has insurance coverage for the drug you
are currently prescribing. One insurer is already implemented
and more will come.
Patient Assistance Program will tell you, at the time of
prescribing, whether the name brand you are prescribing
has a program to subsidize the brand name dispense. If you
choose it, the numbers are added to the prescription. No
more searching for cards in the office. A number of companies
are signed up with more to come.
Both programs are optional – you will be asked if you want to
participate in each one.
Recently I heard about an unfortunate event that happened at a
clinic in Cambridge that uses another EMR, not PS Suite. We
understand that their large database got corrupted and an attempt
was made to restore from backup. Unfortunately all the backups
were corrupt going back three months. The team at the clinic
has been working overtime trying to recover all the labs, reports,
consultations and prescriptions done during those three months.
In addition, they are asking patients for information on when they
were last seen and what happened at the visits. As you can
imagine, this is a horrible, stressful and dangerous situation.
Those of you using TELUS ASP do not need to worry and can
stop reading, as you will not have this problem, since the ASP
data is backed up multiple times and is constantly monitored.
For those folks still using a local server, please keep reading.
No local EMR is immune from this type of event. To reduce
the risk, PS Suite uses Oracle, which is the world’s number one
enterprise database and is resistant to corruption. In addition,
we check your server every night to see if it is showing signs of
failure. We will also contact you if you haven’t done a backup
recently. We insist that you do a PS Suite backup as well, even
if you are told that you don’t need to.
My office does backups to multiple different media. We have
several hard drives that we backup daily in rotation and they are
taken off site by staff. If your office has a fire, you won’t be
allowed back in by the Fire Department for a long time.
If you use a tape drive for backups, buy a $150 hard drive and
backup to it also at least once a week. If you don’t know how to
do this, look in the online manual or call in for advice.

and commented on ideas in the PS Suite Community Portal, or who have suggested enhancements to us over the telephone
or in person at our user conferences.
We value your ideas and suggestions and we seriously consider the top ideas on the portal when prioritizing and planning our

V5.5.400 series Customized display of the patient profile in patient chartsEach user can customize how to display the cumulative patient profile (CPP) fields within
patient charts. You can display the profile to the left of the chart in a single or in multiple
columns. Or you can keep the profile at the top. You can also choose which fields to show.
Improvements to sending and managing letters awaiting printing, faxing, or emailingYou can now easily send and manage letters that are awaiting printing, faxing, or emailing.
Automatic download of lab results to the PS Suite serverYou can now configure PS Suite EMR to download lab results and medical reports directly
from the PS Suite server instead of to a dedicated computer. This removes the need to
dedicate a computer in your office to receiving electronic labs and reports.
Miscellaneous enhancements
Customize who is notified of failed faxes.
Show appointment schedules using a 24-hour clock.
Ability to hide the Everyone’s and Recently Archived tabs from non-administrators.

V5.5.100 series Email enhancementsWe greatly improved the emailing functionality within PS Suite EMR. Note that in Alberta,
emailing within PS Suite EMR is supported only for sending appointment reminders and
handouts, and not for sending EMR-related emails (such as letters or emailing from the
Patients file).
Saving sent emails in patient chartsWhen you send an email to a patient (including appointment reminders), you can now
choose to save a copy of the email within the patient’s chart.
Custom email footer for your disclaimer text You can now add a custom footer to all emails that are sent from within PS Suite
EMR. This is useful to automatically include your office’s disclaimer or other important
information within all email correspondence.
Choosing the provider for appointment remindersWhen you send appointment reminder emails, you can now choose for which provider.
Sent emails are now recorded in the transaction logAll emails sent from within PS Suite EMR are now recorded in the transaction log under
a new Email transaction type.
Emailing a handout creates a chart entryWhen you email a handout to patients, you can now choose to add a note to the
patient’s chart to record that the handout was emailed.
Default subject when sending emails from the Patients fileWhen you send an email from the Patients file, the default subject is now “Message
from your doctor’s office” instead of “Message from your doctor.” You can still
customize the subject.
“Needs Printing” flag is automatically cleared when emailing or faxing a letter to a patientAfter you email or fax a letter addressed directly to a patient, the Needs Printing flag is
now automatically cleared. You no longer have to manually clear it.
Customize the display of the “From” address for emailsYou can now customize the “From” name for emails sent from within PS Suite EMR.
Patient’s preferred name in salutationsLetters and emails sent to patients now use either the patient’s preferred name (if one is
entered) or first name, instead of only the first name.
Deleting users with active messages for an “any” groupUsers with the Administrator authority can now delete or deactivate users who have ac-
tive messages in their inbox for an “any” messaging group.
Non-clinical users can “break the glass” when in a different locationWhen using locations in PS Suite EMR, users who have non-clinical roles and who have
permissions to edit patient records can now “break the glass” to view a patient record
that was made private due to the user’s location.
Lab reports matched only to users who can prescribe Only users who can prescribe are now recognized as recipients of lab reports to avoid
incorrectly sending lab reports to users with the same initials.

What’s new in PS Suite EMR v5.4?
Since our last newsletter, the following new features and enhancements were delivered in PS Suite EMR v5.4.
VersionUser-
suggested idea
New feature or enhancement
V5.4.600 series Patient’s preferred pharmacyYou can now specify a patient’s preferred pharmacy so that physicians can easily select
it when prescribing.
Improvements to how charts are checked outPatient records are now automatically saved and checked in after 10 seconds of
inactivity, such as no typing and no mouse movements, and if no other window is open,
such as the prescription window. This enables other users to modify the patient chart if
it was left open on another workstation or if the workstation crashed, without having to
wait 30 seconds to override yourself or the other user. In addition, you now see whether
another user already has the chart checked out (or locked).
V5.4.500 series Easier selection of Resource Name in toolbar custom formsWhen designing toolbar custom forms, you can now easily choose from a list of existing
custom forms, stamps, diagrams, and searches when you specify the Resource Name for an action.
V5.4.600 series Patient’s preferred method of contactYou can now mark one phone number or the email address as the patient’s preferred
method of contact. In the Patients file, click the star to the left of the number or email to
set it as the preferred method of contact.
Showing toolbars when CPP is hiddenYou can now keep reminder-activated toolbar custom forms visible when you
hide the cumulative patient profile (CPP) section within patient records using the new
View > Cycle Toolbar menu option within the Records file.
Reduced need for permission codesTo save you time and reduce inconvenience, we have removed the need for you to
contact the PS Suite support team to obtain a permission code for the following actions.
Instead, users see a window with a warning appropriate to the action and must confirm
the action in order to proceed.
Deleting users
Accessing the transaction log
Writing off a range of bill
Ontario special processing of RA files

Tips & Tricks
Tip # 1: Creating buttons to fill out lab requisitions using event handlers & triggers
For those users that have completed our Designing Custom Forms course, here is an idea to enhance and
improve the usability of your custom lab requisitions forms. Filling out a lab requisition by clicking a checkbox for
each test that you need can be a very time consuming task. Especially if you order the same series of tests over
and over again. The following process will guide you through the creation of buttons to automatically select a
series of check boxes with one click on the mouse.
1 First, create a button on your custom form
using the tool. In this example, we’re
going to create a “Diabetes” button that will
automatically check off a series of checkboxes on
a lab requisition.
2 Next, set up your Event Trigger for your button by entering a
name for your Event Trigger in the “Event Triggered” field. In this
example, we’re giving it an Event Trigger name of “dm”.
3 You then need to set up your Event Handler(s).
i. Select all the checkboxes that you want to be checked off when the “DM” button is clicked.
ii. Click “Add” from within the “Event Handler” property which will bring up the Event Handler criteria window:
iii. Enter in the Event Trigger name “dm” that was entered in the previous step.
iv. Select “anything” within the “event value” drop down box and change the “value” of the item to “true”.
v. When finished, click “OK”.
vi. Now you can test your button.
