Team will gather twice every week throughout the trimester

1st group meeting: Tuesday, 1pm to 3pm every week

2nd group meeting: Thursday, 10am to 4pm every week

2. Preferred method of communication in order to inform each other of team

meetings, announcement, updates, reminders, problems:

Team members will keep in touch by using some communication tools as well as

the face to face meeting. The discussion will be mostly by emails. In case of

emergency, mobile phone is preferred.

Some ways to communicate:

Cell phone

After receiving the message, the receivers are required to answer within 24 hours. A

fine will be applied if violated. Multi-repeated violation will be applied according to

the crisis management.

3. Decision-making policy:

Team members will discuss and vote. Every single decision will be approved by

group consensus.

4. Method for setting and following meeting agendas

Justin will be in charge as a group leader with the mandatory tasks of setting up

the agenda and being the key contact person of the group.

The next week agenda of meeting will be discuss right after the last 5 minutes

ending of the last meeting.

Justin will also in charge of informing all members if there are any changes in the

schedule

5. Method of record keeping (Who will be responsible for recording & disseminating

minutes? How & when will the minutes be disseminated? Where will all agendas &

minutes be kept?):

Nga will be the secretary of the team and help do the meeting minute after each

meeting

Nga will be responsible for sending out the meeting minute by email and sms to

remind at the same time.

Nga also remind the progress one day prior the meeting.

We store the meeting minutes by email, dropbox.com and on private laptop.

After each meeting, the project leader will assign the task to most capable member.

In case the member is not capable in handling well the task, the project leader has

the right to re-assign the task accordingly.

maintenance):

Team members are encouraged to share the ideas by email or face to face

meeting. The team members are required to give the feedback of all ideas given to

show the attention of the one who contribute the idea.

3. Strategies for keeping on task (task maintenance):

Regular meeting and S$2 fine applied. Multi-repeated violation will be reviewed by

the team according to the crisis management document

4. Preferences for leadership (informal, formal, individual, shared):

Each one will be in charge of individual leadership and will be evaluated by the

team leader as well as the other members

Personal Accountability

1. Expected individual attendance, punctuality, and participation at all team meetings:

Each individual is accountable for his/her own tasks and will be reminded by Nga

one prior day by email.

2. Expected level of responsibility for fulfilling team assignments, timelines, and

deadlines:

Members are required to submit their own tasks on Saturday each week so that the

team will have time to discuss and fix it on Monday and Tuesday.

All members are encourage to interact with other members anytime to discuss

about the task by email, chatting or phone

4. Expected level of commitment to team decisions and tasks.

All members have to agree, confirm on the task. Else, the team has to consult for

the final decision

C. Consequences for Failing to Follow Procedures and Fulfill Expectations

Describe, as a group, you would handle infractions of any of the obligations of this

team contract:

First infraction will be warned by team members

Second violation will be fined S$2

Third violation will be reported to the supervisor
