It delivers tender materials and subcontractor packages pricing at the press of a button, it uniquely verifies subcontractor taxes and insurances and allows you to complete more PQQs and submit greater numbers of more competitive tenders. As a result, the tendering process is dramatically improved to increase the likelihood of contract wins through more accurate pricing and the ability to submit more tenders. The whole process is initiated by the Estimator’s Bill of Quantities. Say goodbye to outdated pricing catalogues and guesswork. Constructa™ integrates with a number of estimating software products (including MS Excel and Conquest), so it can publish or request information from multiple suppliers simultaneously, enabling you to get the best and most up-to-date pricing quickly and easily both from suppliers and subcontractors.

Setting everything up.At the outset of a contract, it’s important to ensure all the necessary information has been agreed and recorded. Constructa™ allows you to define and administer all vital contract details. It’s simple to record the project commercials, providing transparency across the whole organisation. Constructa™ keeps track of it all; site information, milestone dates, contact information, payment profiles, and budgets. The Bill of Quantities, which was uploaded to the system at the PQQ and Tendering phase can now be used to set and manage budgets by defining them for each phase of the contract. Sign-off and approval protocols can be set-up so that Commercial Managers and Finance Directors proactively control spend as part of the purchasing approval workflow.

Maximise margins and cashflow.A key objective of Constructa™ is to significantly reduce your procurement costs. The Constructa™ “Procurement Workbench™” allows the efficient purchase of materials, plant, labour and subcontractor packages. Its just-in-time call-off functionality maximises cash flow. The Procurement Workbench™ provides a consolidated view of all projects’ procurement requirements. This allows the company Buyer to achieve economies of scale by purchasing across multiple projects simultaneously, resulting in lower prices.

Presentation of pre-tender information is available in the project budget from the outset. This helps facilitate and audit the procurement process by comparing budgeted costs to committed, accrued and actual costs, proactively flagging up any over commitments or project overspend in real time.

Easy access to information both locally or from site allows better control and transparency of project management. Site staff can submit requisitions, call-off material, record goods received notes and submit subcontractor valuations. This contributes to a two-way flow of information between site and office. The subcontractor ledger adheres to Construction Industry Scheme (CIS) legislation (Construction Act 2009). It allows you to record subcontractor orders, applications, valuations and payments.

Stage 5: Project Summary

Constructa™ has a traffic-light system that enables auditing to ensure quality of subcontractor and supplier performance in accordance with ISO 9001 compliance. It also ensures the right subcontractor is delivering the right trade at the right time.

The Contract Sales Ledger manages applications for payment based on internal valuations. It also manages contract cash flow by providing information to support applications as well as monitoring applications, certificates and payments per contract. VAT is declared when an application is certified and payment is received.

The plant system keeps track of expected off-hire dates and emails reminders to site management to off-hire plant as per work schedule. It automates the passing of external invoices for authorised accrued plant costs. The internal plant is fully integrated with the fixed assets register. This allows you to keep track of plant costs and therefore produce a plant P&L.

Dynamics Pay™ is an integrated payroll system within Constructa™. It manages timesheets and allocates costs to projects and General Ledger. Constructa™ has a flexible Cost Value Reconciliation (CVR) which allows the project work in progress to be seen from various commercial perspectives. It provides a tailored view according to the various roles in the organisation.

Finishing up.Final Account: Constructa™ enables you to draw up a full set of accounts for each project, summarising associated purchases, sales applications and invoices, retentions, and Main Contractor Discount (MCD), in one summarised view.
