A GLOBAL VILLAGE GUIDE • INTRODUCTION1 Introduction

Congratulations on being selected to a Global Village (GV) team! If you haven’t already decided how to fund this adventure, now is the time to think about it. Many GV team members pay the trip cost and associated airfare using their own resources and engage in fund raising to generate additional donations for the team and the host-country affiliate; others pay the trip deposit using personal funds and solicit donations to finance the rest of the trip, including airfare.

If you plan to pay your airfare with solicited funds notify the GV coordinator beforehand, as sufficient funds must be available in your GV account before your airline tickets can be purchased. If planning to pay the entire trip cost, including the deposit, with donated funds, contact your GV coordinator for instructions.

Even if you have personal funds available, we suggest that you seek the financial involvement of others as well. Your fund-raising efforts will enlighten prospective donors to the work of Habitat for Humanity International (HFHI) and the awareness you create may eventually result in more houses for families in need.

The information in this guide will help you get started raising financial support and increasing awareness. It contains exciting new tools that are available to you, examples of successful fund-raising techniques and sample solicitation letters, which are now downloadable in Word format at www.habitat.org/gv/create.html.

This guide also furnishes general information about Global Village policies and procedures regarding the handling and tracking of donations. Please read this material thoroughly. Your team leader is your primary contact if you have questions; however, your Global Village coordinator will be glad to assist as well. Thank you for your participation on this Global Village work team. A rewarding adventure lies ahead!

2 SOLICITING SUPPORT • A GLOBAL VILLAGE GUIDE

Soliciting SupportMany people are nervous about the idea of fund raising; some are even downright intimidated by the thought of asking others for money. However, you are not asking for yourself, you are asking in the name of the worldwide mission of Habitat for Humanity, a very well-known and respected organization. By asking, you are raising awareness and encouraging others to get involved!

You will be a more successful fund-raiser if you are well informed and prepared to share the Habitat for Humanity story with everyone you meet. Being familiar with the mission and programs, and being able to clearly answer questions and communicate your involvement, will go a long way toward establishing credibility and obtaining sponsorships.

Two of the most commonly used techniques for generating financial support for Global Village trips are: direct solicitation and fund-raising projects. Depending upon your personality and creative talents, one might work better for you than the other; we encourage you to try both. Remember, raising funds for a Global Village trip is more than simply obtaining financial support. Get started today!

A GLOBAL VILLAGE GUIDE • DIRECT SOLICITATION3Direct Solicitation Asking another person for financial support is often uncomfortable for both the asker and the askee. The more you believe in the cause, the easier it becomes, but making a face-to-face appeal still creates anxiety.

We have developed new tools that will ease that pain, but first you must decide where to focus your efforts. Making Contact

As Millard Fuller writes in his book, Building Materials for Life, Volume II, “As president and CEO of Habitat for Humanity, I write and send out literally millions of fund-raising letters. I also travel and speak extensively throughout the country and in many other countries. Often, when I am on a speaking trip, someone will speak to me with a word of advice. It goes something like this, ‘Millard, I am a strong supporter of Habitat for Humanity, but you send out too many letters asking for money.’ My reply is always the same, ‘We’ve tried asking and not asking. We always get more when we ask!’”

Start by soliciting the people you know well; that inner circle will most likely be eager to support your efforts. Then move on to casual acquaintances, work or school associates, church members and local civic organizations. The truth is, almost everyone you ask will support you; many people will donate simply because you are asking!

New Fund-raising Tool—Build Your Own Web Page

Once you have been selected to a team and have secured your spot by submitting a non-refundable deposit, in just three minutes you can create a personalized fund-raising Web page. This tool will be a big help in raising funds for your adventure. The page even includes links where your supporters can donate online or by mail or telephone.

A GV team member to Guatemala shared her experience using the new personalized Web page: “It is easy and fun! I direct potential supporters to my page and they are able to learn more about the trip and even donate online.” Your Web page will take a lot of the work out of securing financial support for your trip.

Your Web page can be used in a variety of ways:• E-mail your friends and associates encouraging them to visit your Web page and donate online.Develop a PlanMake a list of the individuals and organizations you plan to solicit and divide it into categories based on each one’s probability of supporting your trip. Start with the category with the greatest potential for donating and note the contact information you have for eache-mail address, postal mail or telephone.

E-mail solicitation is the easiest (if you have convenient e-mail access) but face-to-face appeals are likely to generate better results.Organize the names and organizations by how you plan to solicit them—e-mail, postal mail, telephone, face-to-face or with a more formal presentation.

Before initiating your campaign, become familiar with the local HFH affiliate. As you solicit financial support in your community, it is a good idea to be knowledgeable about the local organization and their programs. If you have difficulty locating the nearest affiliate in the telephone directory, try the HFHI Web page www.habitat.org/local. If you need additional assistance, contact your GV coordinator.

4. DIRECT SOLICITATION • A GLOBAL VILLAGE GUIDE

• Write a note about your trip for a work or church newsletter and include your Web page address.• Mention your page’s address when making fund-raising presentations, display it on your visuals and have a handout that contains the address.• In the text of your fund-raising letters and fliers refer readers to the Web page for more information and an easy way to donate online.

Here’s how to create your personalized trip page, step-by-step:

Have your eight-digit Habitat ID number and GV event code handy before beginning.

Step 1: Point your Web browser to www.habitat.org/gv/create.html.Step 2: Enter your eight-digit Habitat ID number.Step 3: Create a password for your page and write it down in a secure location so you can later access and edit the page.Step 4: Enter the Global Village event code, your name and your e-mail address.Step 5: The system will provide a welcome message for your page, one that you can edit or even replace with a completely different message of your own.Step 6: Your page is now ready! We’ll give you the address at which your page is located (e.g. www.habitat.org/gv/mytrip/(your eight-digit Habitat ID number). Record the address so you can direct potential supporters to your page.

Solicitation Techniques

How you go about soliciting financial support for your house-building mission depends upon the available tools, the target audience and your personal preference. E-mail, postal mail, face-to-face and telephone solicitations are the most commonly used techniques. E-mail Appeal Combining e-mail solicitation and your personal Web page allows you to reach more people much quicker than waging a postal mail or telephone solicitation campaign. By including the address of your personalized trip Web page, potential donors simply click the link to learn more about your trip and to donate.

E-mail solicitations can be as brief or detailed as you desire. The most important element, however, is to urge potential donors to visit your personalized trip Web page and use the donate online option.E-mail with RestraintIn this age of “do not call” lists and Internet “spam,” it is important that fund-raisers exhibit a degree of restraint. In compliance with Habitat for Humanity International’s “Internet Spam Policy,” when fund raising via the Internet avoid sending “cold call” and “blanket” e-mail solicitations to strangers and e-lists containing persons you do not know. It is acceptable, however, to participate in“chaperoning”—someone you know prefaces your solicitation with an endorsement and sends it on to people they know.

Sample E-mail Message TextDear __________,This spring I have the opportunity to participate on a Habitat for Humanity International Global Village work team to (country or state). This is not a luxury trip. My fellow volunteers and I will work side by side with (country or state) families, building simple, decent places for them and their neighbors to live. I am excited about the opportunity to share with others by building homes, community and hope. Visit my personal Web page—www.habitat.org/gv/mytrip/(your eight-digit ID number)—to learn more about the adventure. From my page there are links that provide more information about Habitat for Humanity International, Global Village offerings and my trip, plus, you can even donate online using Visa, MasterCard, American Express and Discover. Take a look at it. I appreciate any support you can provide. In partnership,(your name)

Postal Mail

For prospective donors for whom you do not have e-mail addresses, craft a letter requesting financial support and send it via postal mail. Include a self-addressed, stamped envelope so the donor can return the check to you. Download one of the sample appeal letters found in the Appendix or create your own.Face-to-face or TelephoneA personal, face-to-face appeal for support may reap the best results. When appealing in person or by telephone, always follow a routine:

1. Begin by introducing yourself and, if you are not immediately recognized, explain to the potential donor how you know him/her or how s/he would know you—“I used to be your paperboy”; “My mother works with your daughter”; “You and my father are lodge brothers”; “You and I volunteered together on a Habitat for Humanity build.”

2. Explain that you are raising money to participate in a short-term house-building trip that will help low-income families escape poverty through homeownership. Tell the

potential donor about Global Village and your trip. When someone says they will donate, try to collect on the spot; this saves time for you both and guarantees that you’ll get the money.

3. If you don’t get a check or cash on the spot, leave potential donors with all the information they need to follow through with a donation. Give them a flier—could be a copy of your Web page—or 3”x5” card displaying: a. your nameb. your address in case they decide to send a checkc. your telephone number in case they need additional informationd. the GV telephone number: (800) 422-4828, Ext. 2549e. your eight-digit Habitat ID numberf. the GV event code so they can call and make a credit card donation on your behalfg. your personal Web page addressUrge potential donors to visit your Web page and donate online. Provide similar information when soliciting by telephone.

Creating an Appeal LetterPersonal appeal letters can be as brief or as long and detailed as you wish, as long as they get the necessary information.

Encourage Online Donations When donations are made online the donor receives a prompt e-mail confirmation and later an acknowledgment from HFHI through the mail. The honoree is notified via e-mail of the donor’s name and the amount of the donation. This automated process saves postage and processing time.

The second preference is a donation by personal check. The participant logs the check into his/her Donation and Payment Ledger and forwards it to the Global Village coordinator. Here again, the participant has an immediate record, and the donor is later acknowledged by HFHI through the mail. Donors contacting the Global Village customer service coordinator by telephone to make a credit card donation is the least efficient and most labor-intensive option. Urge your financial supporters to donate online whenever possible.

To get the point across. Different techniques and styles can be mixed and matched to fit the target audience. You might use one technique for certain potential donors and another for others. It is important that appeal letters provide the potential donor with an understanding of what you are participating in and why, and that you are seeking their involvement. Depending on the knowledge level of the audience, your letter may need to educate the reader about Habitat for Humanity International, Global Village and your particular trip. Regardless, the letter should instill a sense of need and leave the reader eager to help.

Following are examples of the types of information that are commonly used in Global Village solicitation letters. Except for brief e-mail appeals, every solicitation letter should contain some form of each of these six elements.

1. Ensure that the reader knows the “when,” “where” and “why”; about the concept of “sweat equity”; and that Habitat houses are not “given away.” Here is one way to accomplish that:

My team is currently raising funds for building materials, and then, on (date), we will go to (region/country) to help families in (town/village) build their own homes. These families are presently living in substandard and often unhealthy conditions, and they really need a simple, decent place to live. They earn an income, but not enough to qualify for a conventional bank loan. As part of the partnership agreement, each family—with the help of volunteers like my team—spends hundreds of hours building their home through what is referred to as “sweat equity.” Once the house is ready, they move in and begin paying for it through a no-interest loan from Habitat for Humanity. These mortgage payments then “roll over” and help finance houses for other families. Having families contribute to the building of their homes and those of their neighbors, and then pay for them with reasonable terms, instills self-esteem and the pride of homeownership. Habitat for Humanity refers to this as a “hand up, not a handout.”

2. Always tell the reader about donating online; as in: “Visit my personal Web page— www.habitat.org/gv/mytrip/(your eight-digit ID number) to learn more about the trip. From my Web page there are links that provide additional information about Habitat for Humanity International, Global Village and my trip, plus, you can even donate online using Visa, MasterCard, American Express and Discover.”

3. Donors who prefer not to donate online can call GV and donate over the telephone. “You also can donate using a credit card by calling Habitat for Humanity International’s Global Village department at (800) 422-4828, Ext.2549. So that my team gets credited with your contribution you will need to provide my Habitat for Humanity ID number—(xxxx-xxxx)—and the GV event code (xxxx). Please have both numbers and your credit card handy when you call.”

4. Some donors would rather write a check; provide instructions for all the options. “If you prefer to write a check, make it payable to Habitat for Humanity International, fill out and staple to the check the coupon located at the bottom of this letter and use the enclosed addressed and stamped envelope to return them to me. You will receive a letter from Habitat for Humanity International acknowledging your donation.”

5. Always mention follow up. “I will be following-up with an e-mail or telephone call to confirm that you received my letter and to answer any questions you may have.”

6. Each hardcopy appeal letter should contain a tear-off Donation Coupon across the bottom.

When writing the letter fill in your name, Habitat ID number and GV event code in the space provided on the coupon. Donors responding by mail should staple the coupon to their check, ensuring that if the check is erroneously sent directly to HFHI, the donation still will be credited to you and your team.Sample Donation Coupon- - - - - - - - - - - - - - - - - - - - - - - - - - - - - - - - - - - - DETACH HERE - - - - - - - - - - - - - - - - - - - - - - - - - - - - - - - - - - - - Global Village Donation CouponPlease staple this coupon to your donation check and return to: (your name) ________________________________ (street address) ______________________________ (city/state/ZIP code) __________________________Participant: (your name) Habitat ID Number: (your eight-digit Habitat ID number)GV event code: (the event code of your trip)Telephone: (your contact number)Make check payable to: Habitat for Humanity International

Different Approaches

Some participants use the Invest in Me approach. They set a “$ goal” that covers all the costs of the trip—international airfare, in-country expenses, travel insurance and a donation to the host affiliate—and express it as an “average cost per day” (e.g. $100/day). They then ask potential donors to sponsor a day or a half-day. Participants whose immediate goal is to acquire funding to cover their trip expenses often use this approach.

Other fund-raisers take a Team approach. They acknowledge that they are paying their own trip expenses, and ask potential donors to assist in meeting the team’s commitment to raise funds for building materials. The letter stresses that donations are tax-deductible.

Sample Invest in Me Text

I am currently raising funds through a variety of fund-raising projects, and I am planning others. So far I have raised and submitted my $350 deposit to reserve a place on the team, but I still have a long way to go. I hope that you will “join” this team by “investing” in me. Any amount will be put to good use. My average cost per day will be about $ . Please consider sponsoring a half-day, a day or more.

Sample Team Text

There will be (# of team members) volunteers participating with the (country/state) affiliate in (country/state). I would like to be part of that Global Village work team.I am paying my own airfare and expenses for the trip (approximately $ _________) but my team needs to raise an additional $ _______ per person that will be used for building materials. I am asking for your support in this endeavor. Any amount

would be appreciated. This is a tax-deductible donation and you will receive a receipt from Habitat for Humanity International.

The Alternative Gift appeal letter asks for financial support in lieu of material gifts that traditionally would accompany the occasion. The letter sets a “$ goal” and asks supporters to donate accordingly. The alternative gift fund-raising technique can be used for any occasion for which someone normally would receive a gift—birthday, Christmas, wedding, anniversary, graduation, etc.

A totally different approach to soliciting financial support is the Quiz.Found to be most effective when sent to friends and family, the front page is a series of multiple-choice questions—including correct answers—that gives the quiz taker an idea of what is happening and piques their interest to learn more. The reverse side of the quiz provides the details of the upcoming GV trip and appeals for financial support. Any of the solicitation approaches previously described can be used on the reverse side of the quiz.

Sample Alternative Gift Text

Well, it has been an expensive and arduous struggle, but I have finally made it. I’ll be graduating in June!Although a graduation gift might be in order, I would like to propose an alternative. Instead of buying me a gift, how about donating to a worthy cause—Habitat for Humanity? In a roundabout way you are giving me a gift, it’s just that others will benefit and appreciate it as well. Let me explain.

As you may know, Habitat for Humanity International sends work teams all over the world to help build houses in partnership with people in need. I’ve been selected to participate in one of these short-term home-building trips to (country/state)!I am taking two weeks of my vacation in pursuit of these goals. To participate on the team, I will need to raise approximately $_______ ($______ for my expenses and $______ to meet the donation challenge each team member has taken on for building supplies). Your tax-deductible donation will be acknowledged with a letter from Habitat for Humanity International.

Downloadable Sample LettersSample letters that include the various solicitation techniques and the six common elements are found in the Appendix and can be downloaded in Word format from www.habitat.org/gv/create.html. Use the letters as they appear in the file, personalize them or write your own from scratch. Regardless of the technique you choose, always include the six common elements and consider asking for a specific dollar amount. Avoid second-guessing how much a person can afford to donate; present options and let them

decide. Try selling sponsorships or challenging the potential donor to “take you over the top.”

Follow-up Tips:

Regardless of how you obtain donations, always follow up with a thank-you note or telephone call, in addition to the official donation acknowledgment sent by HFHI. While soliciting, always promise—and live up to that promise—that you will keep donors updated on the progress of the mission.

Create a newsletter with editions coming out before and after the trip or send postcards from the road. Send donors a photo of the partner family in front of their new house or one of you and your team. Throw a picture party for donors after you return or create a Web page containing photos from your trip. For major donors, consider bringing a small gift of appreciation from the country you visit. Anything you can do to get donors involved and create a sense of participation and ownership in the work project will enhance your fund-raising efforts, both now and in the future.

Important!

Donor checks should be made payable to: Habitat for Humanity International and returned to the participant.

A GLOBAL VILLAGE GUIDE • FUND-RAISING PROJECTS Fund-raising ProjectsDirect solicitation is a good way to appeal to family and friends for financial support of your Global Village mission; however, creative fund-raising projects allow you to go far beyond that inner circle and expose your trip and Habitat for Humanity to a larger, more diverse audience. Following are types of fund-raising projects that have been used successfully.Yard or Craft SalePick a Saturday and have a yard sale. Ask friends and neighbors to donate items for the sale and be sure to clearly advertise that the proceeds go to support your Habitat for Humanity International GV work team. One approach that has had positive results is to let the buyer decide how much to “donate” for the item, since it is for a charitable cause. You may be surprised by people’s generosity. If you receive a quantity of valuable items to sell, consider holding a well-advertised auction; you may receive more money than in a yard sale.Alternative Gift GivingOne seasoned volunteer and Global Village team member felt that turning 60 was a birthday that deserved extra attention; so she decided to go global by joining a GV team to Hungary. Paying her trip costs from personal funds, she set out to raise additional money for the Hungarian affiliate with which she would be working. She asked friends and family, and

anyone willing to listen to her appeal, to donate rather than give her a birthday gift. With it being her 60th, she asked for contributions of $6 to $600, or any amount, as long as it included a “6” (if not a “60”!). Many who might otherwise have written checks for $10 donated $16. Lots of people wrote checks for $60; a few made them out for $60.60, or $66. All told, four dozen people—individuals, couples and families—participated in this very successful and satisfying alternative birthday celebration. The alternative gift giving fund-raising technique can be used for any occasion that traditionally warrants a gift—graduation, birthday, anniversary, wedding, etc.

Use Your Athletic AbilityTurn your athletic endeavors into financial support for your GV team. If you’re a runner, cyclist, swimmer, hiker or any type of athlete, solicit sponsorship for an upcoming event. Ask friends, family,

FUND-RAISING PROJECTS • A GLOBAL VILLAGE GUIDEand work, church and civic group acquaintances to donate based on your own accomplishments—run a marathon, cycle 100K, swim a body of water or hike a mountain. It doesn’t need to be the Ironman Competition, English Channel or Mt. Everest. If you don’t have a sanctioned event planned, just set a date, time and goal, and seek sponsors. By the mile, minute, hour or set, every attempt to raise funds also increases the awareness of the Habitat mission and the GV program.

Take a Coffee BreakHere is a novel fund-raising option. The Global Village department at Habitat for Humanity International is partnering with Café Campesino, a fair-trade coffee company based in Americus, Ga., to provide GV team participants a rewarding fund-raising opportunity. An idea conceived during a GV work trip, Café Campesino was founded to help disadvantaged coffee farmers in developing countries earn a living wage through equitable trade partnerships.Fund-raisers pay $6 per bag for regular coffee and $6.50 for decaf—House Blend, House Blend Vanilla or House Blend Decaf—and sell it for $10; shipping is free. The minimum initial order is 40 bags and order forms, promotional materials (banners, brochures and posters) and a free sample bag of coffee are included. Market the coffee any way you want, to anyone you want. You can even take pre-orders, like the Girl Scouts do, and deliver the coffee when it arrives.Café Campesino offers a socially conscious fund-raising opportunity that generates funds for your team and at the same time helps struggling coffee growers receive an equitable return for the fruits of their labor. For more information or a start-up kit contact Café Campesino toll-free at (888) 890-7999 or visit www.cafecampesino.com/hfh/.

Work-A-ThonDesign a work-a-thon in your area. Work-a-thons provide a service to the community, especially to the elderly and those with limited free time. Brainstorm tasks that others would appreciate having done—raking leaves, washing cars, cleaning, trimming, shoveling snow, etc.

Ask friends to take on a task or two on your behalf. Solicit sponsors for you and your helpers, in addition to what the recipient might donate. Be creative; plan non-traditional “a-thons.”

Make Speaking PresentationsAsk anyone and everyone you know if you may make a presentation to their group (churches, civic organizations, clubs, classes, etc.). Build your presentation around the new Global Village video (see GV Resources). Share with them information about Habitat for Humanity International, Global Village and your upcoming trip. Appeal for financial support and collect as many donations on the spot as you can. Then leave them with your Web page address, emphasizing that they can donate online. Offer to do a follow-up presentation—preferably with visuals of your adventure—to share with them how their donations were put to work.

14Dinners Host a dinner party. Invite the public for a big feed or target a specific group—friends and family—for a smaller dinner party. Either way, clearly advertise that the proceeds go to support your Habitat for Humanity International GV work team. Charge a set fee for the meal or ask guests to contribute whatever they feel comfortable giving. Don’t miss the opportunity to distribute your personal Web page address and explain that they can donate online.

Involve Your Company, Organization or Campus There are countless opportunities to obtain support where you work and from other local organizations. Perhaps your company would be willing to sponsor you or match the funds you raise elsewhere. You might place a donation box in a prominent location with a poster tracking the amount folks have contributed toward your goal. The company might assist you in conducting fund-raising events—golf tournament, a lunch or dinner, a party/dance, a donation campaign. You don’t know till you ask.Foodservice workers have held “tip nights” to collect donations for their teams. The restaurant and your co-workers may be willing to donate all or a portion of one night’s tips to support your GV mission. Placing a donation jar near the cashier’s station or on the bar provides patrons an opportunity to get involved. Use the company, organization or campus newsletter to publicize your upcoming Global Village trip. Offer to write a series of articles about Habitat for Humanity, GV and your particular trip, possibly one before, during and after. Ask for financial support for your trip. Publicize your Web page address and how donors can contribute online. Get the word out anyway you can. Remember Millard Fuller’s words: “We’ve tried asking and not asking. We always get more when we ask!”

Spread the WordUse whatever forms of media are available: newspapers, television and radio stations, and community bulletin boards. Very often the media will jump at the chance to cover captivating stories about someone reaching out to make a positive difference in the world. When providing information to the media, always mention the local HFH affiliate, whose

mission it is to eliminate poverty housing locally. Keeping in mind the HFHI spam policy, don’t forget e-lists and electronic bulletin boards to which you might belong. Don’t miss any opportunity to solicit financial support for your trip, Habitat for Humanity International and Global Village. Always highlight your personal Web page and how supporters can donate online.Churches Often Support Missions

Most of the fund-raising ideas described for companies, organizations and schools apply to your church as well. Coordinating your efforts with a Sunday school class, prayer group or the entire congregation might increase your effectiveness. In addition to sweat and hard work, Global Village trips—commonly referred to as short-term mission projects—are missions of love and caring. You may find members of your church eager to support your efforts. In fact, many churches already participate in GV trips designed specifically for their groups.

A GLOBAL VILLAGE GUIDE • HANDLING AND TRACKING DONATIONS AND PAYMENTSHandling and Tracking Donations and PaymentsFinancial support comes in many forms—cash, money orders and personal check donations, online and telephone credit card pledges, donated goods and services to be sold or auctioned. As a conscientious fund-raiser it is your responsibility to maintain good and faithful stewardship over these donations; every one must be recorded and accounted for.Coding Payments For you to receive proper credit, your personal eight-digit Habitat ID number and GV event code MUST be included on all correspondence and every donation you submit to your Global Village coordinator. The Habitat ID number and GV event code should be written on each check and money order, and anyone making a telephone or online credit card donation on your behalf must know and provide your Habitat ID number and GV event code or your account will not be properly credited. On personal checks, write the eight-digit Habitat ID number above the name and address in the upper-left corner of the check; write the GV event code on the “memo” line located in the lower-left corner. If you are uncertain of your eight-digit Habitat ID number or the GV event code, please call your team leader or the Global Village department at (800) 422-4828, Ext. 2549.Important!

We take seriously our responsibility to contributors, to those counting on our help, and to God, to be wise stewards of funds entrusted to us.

HANDLING AND TRACKING DONATIONS AND PAYMENTS • A GLOBAL VILLAGE GUIDE

Cash and Check DonationsAlthough we encourage use of the online donation Web page, many of the donations you receive will be in the form of cash and checks. All checks should be made payable to: Habitat for Humanity International. Cash should be converted into a money order or personal check before being submitted to Global Village. It is imperative that you keep an accurate record of all donations received. To facilitate this process we have included a Donation and Payment Ledger form in the back of this guide. As you receive funds from supporters, immediately complete a line on the form for each cash and check donation. Hold these donations in safekeeping until you are ready to submit a payment/donation to your Global Village coordinator.

Credit Card DonationsTo streamline processing and record keeping, we urge you to have your supporters donate online via your personalized trip Web page, using a credit card. This page is pre-printed with the participant’s Habitat ID number and the GV event code. When donations are received via this link, you (the participant) receive an e-mail message containing the donor’s name and the amount donated. The donor receives an immediate e-mail confirmation and later a written donation acknowledgment from HFHI.When a participant is notified that a donation has been made on his/her behalf, this information should be recorded on the Donation and Payment Ledger the same as is done for cash and check donations. If you do not have an e-mail address, you will not automatically be notified when credit card donations are made on your behalf. Your team leader and GV coordinator receive periodic updates and will make that information available to you upon request.Supporters donating in the name of a particular GV team member and event are discouraged from using the Donate Online to Global Village link from the GV home page (www.habitat.org/gv). Via this link, the donor must enter the participant’s Habitat ID number and the event code for the donation to be properly credited, and even then the participant is not automatically notified of the donation. Donating via the personalized Web page is easier, more efficient and provides prompt notification to both the donor and the participant.

Donors and participants without Internet access can make credit card donations and payments by calling the Global Village department at (800) 422-4828, Ext. 2549. The GV customer service coordinator enters the credit card information and donation/payment amount, but the participant does not receive online notification.

Tracking FundsThe Donation and Payment Ledger found in the back of this guide is a convenient tool for tracking donations received and payments made toward your trip. The first entry on the ledger will most likely be the $350 deposit that confirms and reserves your spot on the team. Enter the date, amount and how paid. Use a new line to record information for each donation received: date, donor’s name and address, amount and type—cash, check, money order or credit card. You will not have address information for online donors. The far-right column is used to maintain a running balance of the funds you have raised. You will be able to maintain a running balance of all check, cash and money order donations that supporters send directly to you and online donations made through your personalized trip

Web page. You must contact your team leader for information about all other donations—checks and money orders sent directly to HFHI and online credit card donations made on your behalf via the Donate Online to Global Village link from the GV home page (www.habitat.org/gv). Don’t expect your team leader to have the most up-to-date donation information on hand; s/he may need to request it from the GV coordinator. When you send accumulated donations and/or submit a payment to Global Village, check off on the ledger those donations you forward and use a new line to enter the date and amount of the payment made. Retain the original ledger and send a copy to Global Village with each mailing of donations/payments.

Submitting Payments and DonationsWhen applicants are selected for a Global Village team they must confirm by submitting a non-refundable deposit in the amount of $350. The balance of the trip fee is due 30 to 60 days prior to departure; however, each team leader establishes the payment schedule for his/her team and notifies participants accordingly. Payments may be made by

personal check or money order mailed to the GV coordinator, or via MasterCard, Visa, American Express or Discover, either online or by telephone.Participants are encouraged to make trip payments online using a credit card. Access the Global Village secure donation connection at http://secure.habitat.org/giving/gv.html (the Donate Online to Global Village link from the Global Village home page www.habitat.org/gv) and enter the requested information, including your Habitat ID number and GV event code. Credit card payments may also be made by calling the Global Village customer service coordinator at (800) 422-4828, Ext. 2549. Have your credit card, eight-digit Habitat ID number and GV event code available when calling.Your supporters are encouraged to donate on your behalf via your personalized fund-raising Web page (e.g. www.habitat.org/gv/mytrip/(your eight-digit Habitat ID number). All payments and donations must be in U.S. dollars. Checks and money orders should be made payable to Habitat for Humanity International. Participants should forward checks and money orders to: Habitat for Humanity International, Global Village Department, P.O. Box 369, Americus, GA 31709-0369. Be sure all checks and money orders are coded with your eight-digit Habitat ID number and the GV event code, and leave the donor’s Donation Coupon attached, if applicable. Your deposit, any payments you make and the donations you raise go toward satisfying your financial obligation to the team. All funds submitted over and above the amount of the trip fee are applied to the construction program of the host country affiliate and toward the support of your team and the GV program. Payments and donations are transferable but not refundable.

Matching Gifts We have found that quite often “matching gifts” cannot be applied to Global Village work trips. The matching gift policies of many companies do not allow for the matching of participation fees. Contact your company’s matching gift officer prior to submitting a matching gift form, or contact the Global Village department. We can put you in contact with Habitat for Humanity’s matching gift administrators.

A GLOBAL VILLAGE GUIDE • TAX DEDUCTIBILITYTax DeductibilityGlobal Village trip participation fees are based on defraying the cost to feed, house and transport team participants from place to place during the trip. Only a portion of the required participation fee is a donation. For U.S. citizens the fee is usually tax deductible as an “Out-of-Pocket Expense in the Pursuit of Charitable Work.” When the participant pays the fee from his or her own funds and itemizes year-end taxes, if there was no significant element of pleasure in the trip, the entire fee can be deducted. U.S. donors may claim a deduction if their donation is in support of Habitat for Humanity International and the Global Village team and not to a particular individual. They are advised to consult a tax adviser concerning their specific situation. For citizens of other nations (e.g. Canada), the donation portion of the fee may be deductible while travel expenses may not be. In such situations, to qualify for tax deductions, it may be possible to submit the host-country donation portion of the participation fee to Habitat for Humanity in your country while submitting funds to cover the expenses associated with the trip to Habitat for Humanity International. Consult with

your Global Village coordinator for more information about procedures and tax advantages.

MISCELLANEOUS • A GLOBAL VILLAGE GUIDEMiscellaneousAcknowledging DonationsAll supporters who write a check or money order payable to Habitat for Humanity International, or make a credit card donation on behalf of you and your team, are sent an acknowledgment letter by HFHI, which contains tax deductibility information. Those who donate online via a participant’s personalized Web page also receive a prompt e-mail confirmation that the donation was received. Supporters are discouraged from donating cash, as Habitat for Humanity International cannot acknowledge cash donations.

RefundsAll funds—both donations and payments—received by Global Village on behalf of you and your team become the property of Global Village and Habitat for Humanity International. Personal refunds and overpayments cannot be claimed. As explained in the Cancellation Policy, no refunds are offered if you cancel.

Cancellation Policy If you must cancel…If you cancel more than 60 days prior to departure, we will transfer all of your payments and donations to another trip of your choice, minus a $50.00 cancellation fee. Cancellation within 60 days of departure will result in half of your payments and donations being retained by HFHI to meet current obligations, with the remainder being transferred to another trip of your choice. Cancellation within 30 days of departure results in all of your payments and donations being retained by HFHI to meet current obligations. No refunds are offered if you cancel.

If Habitat for Humanity must cancel…We will make every attempt to conduct the trip as scheduled, however, if Habitat for Humanity International cancels, we will attempt to place you on another team or you may receive a full refund. We cannot compensate you for the cost of unusable airfare or any other expenses resulting from the cancellation.Delays en route…If delays en route—missed or cancelled flights, etc.—cause you to miss your rendezvous with the team, Global Village will do everything possible to assist you in connecting with the team. However, we cannot be responsible for any expenses incurred. If en route and find yourself in a bind, please call us and we will do what we can at this end.

SAMPLE APPEAL LETTER • APPENDIX 2 Sample Appeal Letter(Can be downloaded in Word format from www.habitat.org/gv/create.html)Date: _____________________Dear _____________________,Greetings from (state), I would like to share with you something wonderful and exciting that could happen to me. I’ve been selected to participate in a short-term house-building trip this (season or month). As you may know, Habitat for Humanity International sends work teams all over the world to help build houses in partnership with people in need. The trip I hope to take is to (country/state)!

My team is currently raising funds for building materials, and then, on (date), we will go to (region/country) to help families in (town/village) build their own homes. These families are presently living in substandard and often unhealthy conditions, and they really need a simple, decent place to live. They earn an income, but not enough to qualify for a conventional bank loan.As part of the partnership agreement, each family—with the help of volunteers like my team—spends hundreds of hours building their home through what is referred to as “sweat equity.” Once the house is ready, they move in and begin paying for it through a no-interest loan from Habitat for Humanity.

I am paying my own airfare and expenses for the trip (approximately $ _________) but my team needs to raise an additional $ _______ per person that will be used for building materials. I am asking for your support in this endeavor. Any amount would be appreciated. This is a tax-deductible donation and you will receive a receipt from Habitat for Humanity International.

Visit my personal Web page—www.habitat.org/gv/mytrip/(your eight-digit ID number)—to learn more about the trip. From my Web page there are links that provide additional information about Habitat for Humanity International, Global Village programs and my trip, plus, you can even donate online using Visa, MasterCard, American Express and Discover. Take a look at it; it is fun and easy to navigate. You also can donate using a credit card by calling Habitat for Humanity International’s Global Village department at (800) 422-4828, Ext.2549. So that my team gets credited with your contribution, you will need to provide my Habitat for Humanity ID number—(xxxx-xxxx)—and the GV event code (xxxx). Please have both numbers and your credit card handy when you call.

If you prefer to write a check, make it payable to Habitat for Humanity International, staple the coupon below and use the enclosed addressed and stamped envelope to send them to me. You will receive a letter from Habitat for Humanity International acknowledging your donation.

I hope you will invest in my team and those in (country or state) who are in desperate need of a simple, decent place to live and a renewed chance at life. I will be following up with a telephone call to confirm that you received my letter and to answer any questions you may have.Following the trip I will write all contributors updating them about the trip, what we accomplished and how the donations were put to good use.
