SECTION I- INTERFACING WITH ZIP CODE TABLES OVERVIEW- WORKING WITH CITY, STATE AND ZIP TABLES INTERFACING WITH ZIP CODE TABLES With the installation of your Next Generation Software system, you received a pre-loaded valid zip code table, a valid country table, and a valid state table for your use. These tables will help prevent errors that could occur during the shipment of goods. Carriers will penalize the shipping company with fines when the city, state, and zip code is inconsistent. This table will help minimize your errors and keep your files in sync with the U.S. Postal Service to avoid those costly fines. Once these tables are loaded onto your system, and the proper ACF options are turned on, you can begin taking advantage of this feature. The zip code table includes various information about the Postal Code, such as: City, State, Country (US), Preferred Indicator, Sort Group (if multiple entities exist for a zip code, the preferred will appear before the approved and before the not approved), Full City (up to 30 characters), City Abbreviation (up to 13 characters if full city exceeds 13 characters), and a few more internal fields. These tables are normally loaded during the upgrade to a new release. For the Zip Code Table, the ASCII file will be provided for the product ZIPList5 Max™ from www.zipinfo.com. If you want an update of the file more frequently, you can get a subscription through zipinfo.com and use the import option of the ZIPM program. The following logic applies to programs PM/CM/STM/VM/VRTM/QUOTE/ORDER/SHIP/BILL. When adding records, the system will prompt the zip code prior to the city, state and country (must have ACF option sys003 and/or sys003a set to a "1" to activate this feature). If no records are found, the user will be alerted to this but will be able to continue. If a single record is found for the zip code entered, the system will replace the city, state and country based on the zip code automatically. If multiple records are found (i.e. multiple cities are found with the same zip code), a window will appear allowing the user to select one of the records. The system will always verify whether the city/state/postal code combination is valid prior to the user accepting the record. If there is not a matching record, the following message will be displayed: "City/State/Postal Code Combination is Invalid - Press <Return>". There is a report in the ZIPM program (Exception View Format) that will assist you with synchronizing the data within several of the files on the system. This report will select records from the specified maintenance tables below where the city, state, zip code and country combination does not exist in the zip code table and allow you to make any necessary changes. • Customer Master Table (CM). • Ship To Table (STM). • Prospect Master Table (PM). • Vendor Master Table (VM) – main address plus remit to address. • Vendor Remit To Table (VRTM). Note that country will be used in the above exception selection based on ACF option sys009 being set to 1. If the ACF option is set to 0, the country will not be validated.

CNTRYM- COUNTRY CODE TABLE Introduction The country table contains valid country codes as maintained by the US Postal Service. The table name is "country" and contains the country id, the country description, an alias and two flags. The first flag "SELECTION" controls whether or not to show the country in the control "G" look list. The second flag "Validate" controls whether or not that the postal code should be validated in the zipc table using the Alias country ID. Procedure From the menu, enter "CNTRYM":

SELECTION If this field is set to 'Y' this country id will appear in the ctrl g country selection window. Programs that currently use this feature are PM, CM, STM, VM, VRTM, QUOTE, ORDER, SHIP, BILL.

VALIDATE If this field is set to 'Y' it will indicate that the postal code should be validated in the zipc table using the Alias country id. This feature would only be active in the following programs: PM, CM, STM, VM, VRTM, QUOTE, ORDER, SHIP, BILL.

ALIAS This field contains the country id that should be used when accessing the zipc table for postal code validation. Example: If "U.S.A." is in the country id, and if the alias is 'US' Then "US" will be used to validate the postal code.

FMCNTRY- COUNTRY CODE TABLE Introduction This maintenance program will relate any country code set up in the Next Generation™ System, to the country code that the shipping carrier maintains as their standard country code. The table has both the Next Generation™ country code and the carrier's country code. For example, if FEDEX uses the country code of CA for CANADA, you could still maintain CANADA in the country field in the CM table (Customer Master Table). All you would need to do is create a record in this table for FEDEX and in the "Our Country Code" field enter CANADA and in the "Carrier Country Code" field, enter CA. Procedure From the menu, enter "FMCNTRY":

CARRIER Enter a valid Carrier ID or use the drop down window for lookup. Carrier codes are

SECTION II- INTERFACING WITH CARRIERS OVERVIEW- WORKING WITH UPS, FEDEX, DHL CARRIER SYSTEMS Munics Information Systems, Inc. offers two solutions to distributors who are looking to automate the freight processing for their business. The options that are available include: 1.Option one is an interface to a third party package such as the Clippership system provided by Evcor Distribution Plus or the Pitney Bowes System. These systems use a "screen scraper" concept and is designed to support multiple shippers and has the ability to handle "rate shopping" for the user. This system is a real time update of the freight costs back to our system. 2.The Second Option is for clients who wish to use a particular CARRIER's system (such as UPS, DHL, FedEx, etc.) for a majority of their shipments. Information is passed between the CARRIER's system and the Next Generation™ system on an order by order basis. The order information sent to the Carrier's system includes customer name and address, order number, etc. The information received from the CARRIER's system includes the tracking number, shipment weights, freight costs, etc. All manifest reporting is done under the CARRIER's system. The e-mailing of shipping confirmations can be accommodated if email address are captured in the Next Generation™ database. There are two methods of maintaining the e-mail shipping confirmation address. They may be built ahead of time by entering them into your system via a maintenance program or they can be entered during the entry of an order when speaking to your customer on the phone. The addresses, once entered, are then automatically sent to the CARRIER's system when you finish entering the order. Address can be stored permanently or they may be overridden on an order-by-order basis. When the CARRIER's PC system transmits the manifest to CARRIERS's mainframe, (usually at the end of the day), their program will read the e-mail address and automatically alert your customers of incoming shipments by sending them an E-mail Ship Notification. Other important fields have also been added to the data base, such as the customer's CARRIERS account number and third party billing account numbers which automatically get passed along to WorldShip. : •Acquire the CARRIER's system directly from them. This includes: a. Stand alone PC b. PC software. •Install a dedicated phone line for use with the CARRIER's system. This phone line is used by the CARRIER's PC system to upload shipping and manifest information to their mainframe computers. •Network card and applicable network software for the CARRIER's hardware. This network card is used to connect the PC to the Next Generation™. Server in a network environment. The CARRIER will generally supplies the network card. NOTE: The clients must have their own internal LAN to make this connection. •Network card for the Next Generation Server, if needed. •Cabling from the CARRIER's system to the Next Generation server or via the client's hub. •Installation of the CARRIER's hardware to the Next Generation hardware or via the client's hub by a certified network administrator. •A copy for each PC of IBM Informix ODBC client

Munics Responsibilities •Installation of the Informix ODBC client software (InformixODBC 2.81 TC3) •Supply and install visual basic script (mis_ups.vbs, mis_fedex..vbs). The script is called in when the UPS button is click. It is used to activate and populate the carriers import window with the order reference number.

•Supply and install the FTP server on the PC. The FTP Server is what transfers the data between the Munics' database and the carriers shipping software.

FLOW- INTEGRATED SYSTEM OPERATION FLOW At the start of each day do the following 1. On the Carrier's System (i.e. UPS, FedEx, DHL), power on the computer if it isn't already turned

on. After the computer has "booted", and Windows completes loading, double click on the ICON that has been set up for the Carrier's software. For UPS Worldship, click on the OnLine Connect, point to Keyed Import, then click on NextGen CSV Import.

2. On the Next Generation system, double click on the Munics ICON. Log in as ups, ups1, etc. for

UPS, fedex, fedex1, etc. for FedEx and dhl, dhl1, etc. for DHL. Enter the password. Then call up the program "SSFMI" or "SHIP".

Note: The following will run either out of the "SHIP" confirmation program or as a Stand alone system using the "SSFMI" program. During the day do the following for each order 1. On the Next Generation system, using "SHIP" or "SSFMI", scan or enter the order number that is

being shipped and hit the escape key. If in SSFMI, you will be entering a U for (U)pdate, if in SHIP you will be entering an "A" for (A)dd. If in the SHIP program, you will enter the information as you normally do, then "SSFMI" will be called automatically and bring you to the prompt for the number of packages in this shipment. Enter the number of packages and hit the "Enter" key then hit the "F12" key which will automatically switch you from the Next Generation system to the Carrier's shipping system.

2. On the Carrier's System (i.e. UPS, FedEx, DHL), verify the ship to name and address. Make any

changes as needed. Click the options folder as required. Verify the declared value. Verify the COD amount if applicable. Make changes as needed. Click the shipping folder. When done, hit 'F10'. Apply the shipping labels to the boxes. Switch back to Nextgen with Alt Tab. (Hold the Alt key down; hit the Tab key)

3. On the Next Generation system, enter 'S' to save the data. Repeat the above process for each

order you are shipping. Voiding a shipment 1. On the Carrier's System (i.e. UPS, FedEx, DHL), void the package(s) . 2. On the Next Generation system, run the program "SSFMI". Scan or enter the order number. Hit

the escape (Esc) key. Enter 'R' at 'Enter (U)pdate, (R)emove Shipment, …' Enter 'S' to select each tracking number or 'A' to select all tracking numbers. Enter 'R' to remove the selected tracking numbers.

CFPM- CUSTOMER FREIGHT PAYMENT INFORMATION Introduction This program is used to maintain or view the customer's freight collect or third party carrier account numbers; the carrier account number is used when the customer or a third party gets billed for the freight charges of a shipment. Procedure From the menu, enter "CFPM":

FMCM- FREIGHT MANAGEMENT CARRIER MASTER MAINTENANCE Introduction This program is used to maintain basic carrier information. For systems that maintain tracking numbers from various carriers, and have internet access, this is the table that stores the URL where the carrier keeps their detailed tracking information. The ship via code can be linked to this table via the carrier id field, which in turn has the carrier's URL defined in the "Tracking URL" field. When the user clicks on the tracking number within the Next Generation system, the program uses this field to retrieve the tracking information from the proper carrier. Procedure From the menu, enter "FMCM"

Fields that may be entered: CARRIER ID Enter the unique Carrier ID.

An example of the carrier ID would be "UPS" for United Parcel Service.

NAME Description of the Carrier ID.

ADDRESS 1,2,3 Address for the Carrier ID.

CITY City where the Carrier is located.

TRACKING URL To set up the tacking feature, you must first associate a ship via code with a carrier code by using the SVC program (carrier field). Then in the FMCM (Freight Management Carrier Master Maintenance Table) program, using that same carrier code, you must maintain the carriers URL and the entire string that needs to be passed. Within the string, where the tracking number or pro number would normally go, you will need to replace that with a variable called $1. The programs that retrieve the tracking information will then read the invoice reference number, check in the shipfm table for valid records, get the carrier and the tracking or pro number from that table, then replace the $1 variable with the actual tracking or pro number and retrieve the information from the carriers website. NOTE: If no carrier exists in the FMCM table, or if the URL field is blank for the three original carriers, UPS, FEDEX or DHL, the program will still use the hard coded logic. Some Examples of the LTL carriers URL that may be set up in the FMCM program are: A. SSFMI- FREIGHT MANAGEMENT INTERFACE Introduction: The purpose of the freight management interface program is to provide the ability to pass data between the Next Generation Software and either the UPS Worldship System, Evcor Clippership or the Federal Express system. This module is used in conjunction with our standard ORDER, SHIP or BILL programs. Shipping related information is passed to either of these systems. Actual weight, costs, tracking related information is passed back to the Next Generation system. This program would be used by customers who prefer a "real time" transfer of orders between the two systems. Procedure: Depending upon the individual customer's needs, the SSFMI program can be automatically invoked from the standard ORDER, SHIP or BILL programs. When the user presses the "S" key from one of these programs the SSFMI program is called. When the "S" key is pressed from ORDER, BILL or SHIP, this screen is displayed.

The operator would enter the number of packages to be shipped, then click on the "UPS" button. At this point the operator would then go to the carrier shipping system. The operator would use those systems to perform all of the actual shipping functions.

The operator optionally presses the "R" key to refresh the screen. The system updates the freight, weight and tracking number fields from the carrier shipping system. The operator then presses the "S" key to save the information. The system now reverts back to the summary screen of the SHIP program. The operator completes the transaction as they normally would. ACF options fmi030 is used to set how COD amount will be entered on to the Sales Order. ACF option fmi051 and fmi052 will populate the shipment notification memo columns with a fixed description of 150 characters. ACF option fmi050 controls where the "ship from" information comes from. ACF option fmi056 controls the positioning of the cursor when acf option fm1024 = 1 and fmi031=1.

Processing SWOG shipments - (Ship With Other Goods) SWOG allows multiple orders to be shipped in the same package. The user needs to tell the program which secondary orders are going to be shipped with the primary order. The shipf rows for the primary order are propagated to the secondary orders. To begin associating secondary orders with the primary order, click on the SWOG button. This window is available from the standalone SSFMI or when called from the SHIP or BILL programs. A window will appear allow you to begin entering the secondary orders and click the OK button when finished. A lookup button is available. Orders will be rejected under the following conditions: Reject the order if it is the primary order. Reject the order if it is not in the orderb table. Reject the order if the sold to ID and ship to ID for the secondary order doesn't match the sold to ID and ship to ID for the primary order. To begin entering the secondary orders and associating them with the primary order, click on the SWOG button.

File (FMCM), to capture information about the carrier and tracking numbers that are written out to the shipfm table. You must enter a valid carrier in this field. To set up the tracking feature, you must first associate a ship via code with a carrier code by using the sVC program (carrier field). Then in the FMCM (Freight Management Carrier Master Maintenance Table) program, using that same carrier code, you must maintain that carrier's URL and the entire string that needs to be passed. Within the string, where the tracking number or pro number would normally go, you will need to replace that with a variable called $1. The programs that retrieve the tracking information will then read the invoice reference number, check in the shipfm table for valid records, get the carrier and the tracking or pro number from that table, then replace the $1 variable with the actual tracking or pro number and retrieve the information from the carrier's website. SECTION III- USING THE FREIGHT ESTIMATOR OVERVIEW- OVERVIEW OF THE FREIGHT ESTIMATOR` The purpose of the Freight Estimate (FMFE) program is to provide the user with an estimate of the total freight charges for a transaction; note that this is an estimate and not the actual freight charge. Normally, the estimate is provided during the summary phase of order entry, based on the Freight Estimator program being executed as a subroutine. Periodically, UPS rate tables may be loaded into the Next Generation System from UPS to provide the program with the proper rate information to use. When executed from Order Entry, prior to the summary screen being displayed for the order being processed, the Freight Estimate screen will appear. The system will display the shipper id and shipper postal code and the destination postal code, city and state (based on the order's ship to name and address), the carrier id and service id (based on the order's ship via code), the total shipment weight and value for the order (based on the quantity ordered, item weights and the value of the order). The user can indicate whether the shipment will be COD and whether COD will be calculated on each package as well as override the Shipper ID, number of cartons, weight, etc. Once the entry is completed, the estimator will return the shipping charges. While this program provides a quick means to estimating the freight charge, this estimate may vary from the actual freight charge. THERE IS NO INTERFACE TO CARRIERS WITH THIS ESTIMATOR SYSTEM. SEE SECTION II IF YOU DESIRE TO HAVE AUTOMATIC INTERFACING OCCUR.

NOTE: To set up the tracking feature, you must first associate a ship via code with a carrier code by using the SVC program (carrier field). Then in the FMCM (Freight Management Carrier Master Maintenance Table) program, using that same carrier code, you must maintain the carriers URL and the entire string that needs to be passed. Within the string, where the tracking number or pro number would normally go, you will need to replace that with a variable called $1. The programs that retrieve the tracking information will then read the invoice reference number, check in the shipfm table for valid records, get the carrier and the tracking or pro number from that table, then replace the $1 variable with the actual tracking or pro number and retrieve the information from the carriers website. NOTE: If no carrier exists in the FMCM table, or if the URL field is blank for the three original carriers, UPS, FEDEX or DHL, the program will still use the hard coded logic. FMLOAD UPLOAD UPS DATA Introduction UPS revises their rates yearly. They post the data onto their website about one month before the rates become effective. Munics can download the data from the UPS website and format it so it can be easily loaded into NextGen. FMLOAD is the program that is used to load the data formatted by Munics. FMSHM SHIPPER MAINTENANCE Introduction This program maintains basic information about the shipper. There is usually a one to one correspondence between the shipper and the branch. Procedure From the menu, enter "FMSHM":

SHIPPER ID Enter a unique shipper id. BRANCH Enter a valid Branch Code for this Shipper.

Branches are maintained using program BRM. When you enter a Branch Code, the program will automatically display the Name and Address details from the Branch.
