DOCUMENT REQUEST

* Requests for documents, information, study plans, publications, or draftmanuscripts that result from activities of the DOE or its contractors.

* Can be made at meetings or in writing.

* In order to track the requests and ensure a timely and accurateresponse, document requests made by the NWTRB during technicalmeetings will also be formally stated at the conclusion of a meeting andin a written request to OSC.

* The DOE and contractor personnel will comply by providing, in a timelymanner, all documents requested by the NWTRB.

ACTION REQUESTS

* May require further consideration on the part of the DOE and may benarrow or broad in scope.

* May be for technical presentation meetings or technical informationmeetings, or for tours of facilities or field trips.

* May require significant expenditure of resources by the DOE.

* Will be made in writing from the NWTRB to the Associate Director for',,OSC.

* Document and action requests should be coordinated through OSC toensure that requests are tracked and responses are made in a timelyand efficient manner, and that closure is obtained.

* Upon receipt of a list of action or document requests, the AssociateDirector for OSC, or his or her designee, will be the contact point withinOCRWM for 'responding to document or action requests.

SCHEDULING AND PLANNING OF TECHNICAL MEETINGS

* The Associate Director for OSC, or his or her designee, is the point ofinitial contact for the scheduling and planning of meetings with theNWTRB.

TECHNICAL POINT OF CONTACT

* Upon agreement on a meeting scope and dates, OSC will identify aTechnical Point of Contact who will be responsible for interactions withthe NWTRB regarding the technical substance of the meeting.

* The Technical Point of Contact will be responsible for interacting with theNWTRB concerning the preparation of the presentations, including thevisual aids and handout materials for technical meetings.

PREPARATION FOR TECHNICAL MEETIG

* The DOE will provide to the NWTRB a list of DOE personnel expected toparticipate in the meeting.

* When preparation of meeting materials are complete, all handouts will beprovided from the Technical Point of Contact to the NWTRB ExecutiveDirector.

CONDUCT OF MEETINGS

* NWrRB discussions with DOE Staff and contractor personnel will be forthe purpose of full and open information exchange, but are not intendedfor making program decisions.
