Welcome to HFA’s annual educational Symposium being held in Providence, Rhode Island from April 6-9. This is an incredible opportunity to interact and share information with more than
1,200 individuals including participant adults and children, speakers, staff, and exhibitors. This meet-ing offers two-and-a-half days full of community-centric education and breakout sessions, special fo-rums, industry updates, and receptions. Educational topics include relationship building, physical and mental healthcare, and community advocacy leadership. Your participation and attendance are welcome in general sessions. PROGRAM TRACK SPONSORSHIPS
One representative from your company will be invited to at-tend all sessions within the sponsored track, excluding Rap Sessions, and will have the opportunity to offer a 5-minute presentation at the beginning. CONFERENCE NOTEPADS $1,500Attendees appreciate having a place to take notes during sessions to bring back information they can rely on for post-conference reference. Notepads will be distributed inside the conference bag to all attendees. REGISTRATION Exhibitor registration for Symposium 2017 will open October 15, 2016.

ADDITIONAL REGISTRATIONSAdditional exhibitor registrations are available. Early Bird registration (prior to January 31, 2017) is $595 per registrant. After January 31, 2017, registration is $895 per registrant.
The maximum number of registrations per exhibitor is 40 provided with sponsorships and exhibitor booths.

SPACE ASSIGNMENTS AND DESIGNHFA reserves the right to determine the eligibility of any company that submits an exhibit application. EXHIBITOR GUIDELINES RULES & REGULATIONS
Hemophilia Federation of America is a national non-profit charitable organization founded to assist and advocate for families with bleeding disorders. The annual educational Symposium conference is designed as a community meet-ing for patients and families to obtain information and re-ceive education. It is not a corporate trade show or a medical conference. In keeping with the meeting intent, the following Rules & Regulations are outlined.
These rules provide guidance to exhibitors and offer param-eters to maintain a family atmosphere wherein comfort and benefits to attending community families are first and fore-most. All applicable fire and safety rules of the event locale and jurisdiction shall be strictly adhered to and the following shall also apply, without exception. Violation of the rules and/or applicable laws herein, may result in HFA’s cancellation of the Exhibitor’s space without further notice and without obligation to refund monies previously paid. HFA further re-serves the right to reject Exhibitor’s application to exhibit in future events of HFA. Further, HFA in its absolute discretion, shall have the right at any time to enter and inspect the area occupied by Exhibitor. Exhibitors and their representatives shall at all times conduct themselves in a professional and ethical manner.
PROTECTION OF FACILITY AND LIABILITY
Any repair costs due to vendor damage will be billed to and paid by the vendor. HFA is not responsible for the safety of exhibits against theft, accident, fire, acts of God, vandalism, or any other cause. Insurance on all exhibits is encouraged and is at the vendor’s expense.
EXHIBITOR SOLICITATION POLICY
Displaying in the Exhibit Hall is restricted to qualified reg-istered exhibitors. Raffles are not allowed in booths, though exhibitors are encouraged to donate prizes to HFA that will be raffled off on their behalf during general sessions and/or meals. Prizes, which are tax-deductible, should be deliv-ered to HFA’s on-site office and be clearly marked as such. You may promote your donation at your booth. Participants are allowed to request additional information or items from exhibitors that are to be provided after Symposium. Exhibi-tors may provide a voluntary sign-up sheet to facilitate con-sumer requests. The information provided by the participant should be for specific purposes and may not be tied to any prize or inducement from the exhibitor (e.g., if the exhibitor
establishes a “mailing list” for post-Symposium informa-tional contact, the purpose of the list must be clearly stated). Exhibitor/Participant contact should be conducted at exhibit hall booths during exhibit hours, thus encouraging partici-pants to concentrate on attending Symposium sessions dur-ing session hours.
INDUSTRY MEETINGS WITH COMMUNITY
HFA includes all registered attendees in meal and program planning. Exhibitors shall reserve non-event scheduled time with symposium attendees during evening hours after all HFA events and programs have ended for the day. Exhibi-tors shall not entertain community members during active Symposium sessions or events. HFA reserves the right to prohibit any conduct and activity that it deems inconsistent with its policies and purpose.
SUITCASING
Suitcasing is a strictly prohibited unethical business practice. Suitcasing occurs when someone who has not purchased a sponsorship or exhibit space distributes promotional materi-als or solicits business. For example, a company represen-tative registers as an attendee or community member and then works the exhibit floor, passing out promotional items and information in the aisles. Or, a company rents a confer-ence room at the event location and then directs attendees away from the exhibit hall to their own space. Those found to be suitcasing will be asked to leave and will be prohibited from participating in future HFA events. Persons employed by companies who are not registered exhibitors shall be pro-hibited from wearing company clothing or company logos at the HFA event.
PHOTOS
No photos or videos are allowed during Symposium without prior consent from the adult participant. Photographs and videos taken of children during Symposium are prohibited and may not be used in any form without written consent from the child’s parent or legal guardian. Please use good judgment when taking photographs and/or video during Symposium. HFA staff reserves the right to view signed con-sent forms at any time.
HEIGHT RESTRICTIONS
The highest point of a booth or signage shall not exceed 14’. All booth renderings must be submitted for approval by March 1, 2017. Send to Pat Brown, HFA’s Director of Meet-ings, at [email protected].

EMERGENCY EXITS
Emergency exit doors and signs shall remain accessible at all times. No exhibit, display, or drape shall obstruct, impede or otherwise hinder access to fire exit doors, fire strobes, fire speakers, fire department access cabinets, or fire alarm pulls.
BOOTH CLEANING
A daily cleaning of the common areas throughout the exhibit hall will be provided. This cleaning will include vacuuming of the aisles and emptying of centrally located waste recep-tacles. Any additional cleaning required by exhibitors must be ordered through the convention center at the exhibitor’s expense.
BALLOONS
Balloons are prohibited within the facility.
LIGHTING
Lighting fixtures, lighting trusses or overhead lighting are prohibited outside the boundaries of the exhibit space.
EXHIBITOR OPERATION AND CONDUCT IN EXHIBIT HALL & DURING SYMPOSIUM
Any activities inside booths shall not interfere with any neighboring booth, including but not limited to excessive noise or flashing lights. If found to be obtrusive, you will be asked to discontinue the activity.
All promotional activities shall be carried on within exhibi-tor’s booth space.
Exhibitors may not use strolling entertainment, nor distrib-ute samples, magazines, or advertising materials in any area outside their exhibit booth.
Food and beverages may be dispensed from exhibitor’s booth within the following guidelines:
• Distribution area must be kept clean and attractive.
• All attendees must have the opportunity to receive samples.
• Any food and beverage distributed must be arranged through catering at the facility where the event is held.
Exhibitors shall not schedule private functions or events that conflict with officially scheduled HFA events.
EXHIBITING CODES AND AGREEMENTS
Exhibitor shall construct its displays to comply with the Americans with Disabilities Act. Exhibitor shall not, nor shall exhibitor permit others to, do anything to its exhibit space or do anything in the event facility which would cause a differ-ence in conditions from those previously approved.
LISTING AND PROMOTIONAL MATERIALS
Exhibitor grants HFA a fully paid, perpetual, non-exclusive license to use, display, and reproduce the name of the exhibi-tor in any directory or listing of the event exhibitors and to use such names in promotional materials. HFA shall not be liable for any errors in any listing or for omitting any exhibi-tor from any directory or listing pertaining to the event.
BOOKS AND BOOK SIGNINGS
Exhibitors shall not distribute books or have a book signing event in their booth without receiving advance written per-mission from HFA.
LIABILITY AND INSURANCE
This agreement shall not constitute or be considered a part-nership, employer-employee relationship, joint venture, or agency between HFA and exhibitor. Exhibitor hereby agrees to and does indemnify, hold harmless, and defend HFA, its officers, directors, employees, agents, affiliates, and subsid-iaries (collectively, “Indemnified Party”), from and against any and all liability, responsibility, loss, damage, cost, or expense of any kind whatsoever (including but not limited to cost, interest, and attorney’s fees) which any Indemnified Party may incur, suffer, be put to, pay, or be required to pay, incident to or arising directly or indirectly from any act or omission by Exhibitor or any of its employees, servants, or agents. Exhibitor further agrees that the Indemnified Party, shall not be responsible in any way for damage, loss, or de-struction of any property of exhibitor or injury to exhibitor or its representatives, agents, employees, licensees, or invitees. Exhibitors shall obtain insurance policies covering exhibit materials at the HFA event. Exhibitors shall have public li-ability, bodily injury, and property damage insurance. Such insurance shall name the event facility, HFA, and the Offi-cial General Contractor as additional named insureds. Upon request, exhibitor shall provide a certificate of insurance to HFA.

LIMITATION OF DAMAGES
Any Indemnified Party shall not be liable to Exhibitor, whether in contract or tort, for any amount in excess of the exhibit space rental fee in relation to any damages, includ-ing lost profits, arising out of or relating to the HFA event, the rental of exhibit space, the conduct of HFA, any breach of this Agreement, or any other act, omission, or occurrence.
PROTECTION OF EXHIBIT FACILITY
Exhibitor is expressly bound, at its expense, to pay promptly for or repair any and all damage to the exhibit facility, booth equipment, or the property of others caused by the Exhibi-tor or any of its employees, agents, contractors, or represen-tatives.
GENERAL PROVISIONS
HFA has full power to interpret and enforce all regulations for the event and the power to make amendments and/or further regulations that are considered necessary for the proper conduct of the event. Such decisions shall be bind-ing on all event exhibitors. Failure to comply with any rule or regulation may be sufficient cause for HFA to require the immediate removal of the offending exhibitor, and may result in forfeiture of all further rights to exhibit at future events sponsored by HFA, together with all fees paid. HFA may lease any space so forfeited to another exhibitor.
The HFA Symposium is a family event where children and minors are present. HFA reserves the right, at any time and for any reasonable cause, to require the provision of infor-mation and/or submission to background checks of any per-son working with and/or exposed to children and minors at the event. Failure to comply with such a request shall result in expulsion from the event and premises.

AIRPORT & TRANSPORTATION
Q. What is the closest airport to the event and what ground transportation is available?
A. T.F. Green Airport (PVD) is the closest airport to the Omni Providence Hotel, approximately 15 minutes away. Boston’s Logan International Airport is approximately 45 minutes north of Providence. Exhibitors and sponsors in need of ground transpor-tation have a wide selection of affordable options.

A. HFA does not provide a pre- or post-show attendee list.

SERVICE CONTRACTOR
Q. Who is the official service contractor?
A. Paramount Convention Services, Inc. If you do not use Paramount, you are responsible for your own arrangements with the conference site and shipping. We highly recommend that you utilize Paramount for your shipping and exhibit booth needs.
COSTS
Q. What other costs can I expect in addition to my booth space?
A. HFA will provide a 6' table, one (1) trash can, two (2) chairs, and a small identification sign, which are all included in the booth fee. All other items including material handling, shipping, booth furnishings, electricity, phone, and internet connections will need to be contracted through the service provider.
