On the upside, a business that can demonstrate the resilience of its supply and value chains – and force this discipline down the chain – not only protects its operations but also that of its customers and to some degree its suppliers. Therefore it can be a positive, unique selling point in business development.

Reaching the level of understanding that satisfies your requirements can be a painful process in terms of the time and/or money required to visit or sift through your supplier’s processes and BC plans.

So a process that strikes the right balance between time and money spent assessing vendors and value of the output, can be achieved with SunGard’s Vendor Assessment tool which is an online assessment process that automates, improves and simplifies the assessment of vendors from a continuity perspective. The findings of which can then be incorporated into SunGard’s Continuity Management Solution (CMS) BCM Software planning tool.

How it works

The Vendor Assessment module comes ready to input vendor(s) details, publish the survey, and produce quality reports to help you understand their BCM programme(s). Vendor Assessment will save both you and suppliers time and money in meeting your vendor BCM programme requirements.

A powerful vendor survey

The Vendor Assessment starts with a powerful survey that addresses all of the key elements within an effective BCM programme. The survey assists in evaluating the vendor’s BCM programme. Questions are written in easy to understand terminology to improve the quality of vendor responses.

Each question response carries a specific weighted value, selected based on best BCM practices for the issue the question addresses. Values are used to compute scores by question, topic, and the overall questionnaire.

With the Vendor Assessment module, customers can either: use the survey questionnaire as it’s designed; customise specific question(s); or even add new topic area(s) with additional questions. Users can then adjust scoring formulae to match the changes made to the survey.

Measuring your vendor’s BCM programme

Asking lots of questions of a large number of vendors will generate a large volume of information. An effective Vendor Assessment product should offer a way to help you comprehend all the data gathered.

SunGard’s Vendor Assessment module will do this for you. As a vendor provides a response to a question, the system selects a value for that response. Some questions will only have one value, such as ‘Yes/No’ or a single answer from a list of responses. Some multiple choice questions will accumulate values from all of the selections the vendor makes.

Each question and topic area will have a score, whilst the overall survey will provide a summary score. The objective is to provide information to enable you to make your decision about a given vendor, or compare one vendor’s rating against an alternative vendor that could provide the same goods or services. This feature will make it possible to strengthen the vendor portion of your BCM programme. Scoring values are based on recognised industry good practice.

Standard reports to help you see the big picture

Vendor Assessment includes powerful standard reports that help you understand the information you’ve collected, and relate vendors and identified issues so you can make better vendor decisions.

With more than 40 reports available, you can drill down to specific scored vendor survey responses. You can also track the status of your Vendor Assessment by specific vendors. These reports allow you to measure suppliers within a specific service group (that you can control), and rank some or all vendors by computed summary ratings.

Vendor Assessment integrates smoothly with other CMS modules

One of the most important design concepts behind SunGard’s Continuity Management Solution (CMS) is the integration of data between component modules like Business Impact Assessment (BIA), LDRPS®, NotiFind®, and Vendor Assessment.

It’s tough to keep vendor information up to date in a BC plan. Typically, an organisation’s vendor process involves more than one department; and supplier information is often maintained in more than one place. However, with an annual Vendor Assessment refresh policy, your vendor information can be reviewed and updated by the vendor, and that information can be entered directly into your plans within the CMS dictionary structure, reducing keying and timing errors.

Information shared within the CMS platform includes vendor addresses, contacts, vendor ratings, vendor group categories, and other key data elements.

Updated information can also be used in next year’s BIA, to verify the continued criticality of the supplier for specific organisational areas and strategies.

No need to mail requested documents

Part of a Vendor Assessment can be requests by the organisation for copies of the vendor’s plan, test, policy, or other documentation. In the past, the vendor would be given instructions on where the documents should be mailed, faxed, or couriered, but those days are gone. With Vendor Assessment, vendors can directly attach documents to the survey, and when the survey is closed the documents are made available to BCM administration for review and inclusion in the documents library – all within CMS.

No more waiting for documents to arrive at your desk; no more documents lost as they make their way through an internal mail system. The documents come back with the completed survey – a great timesaver.
