Introduction

About Rosetta Stone Rosetta Stone offers a powerful method for fast and effective languagelearning. Using the recorded voices of native speakers and thousands ofreal-life photographs, Rosetta Stone recreates the natural process of learninglanguage. Words rapidly become associated with objects and ideas in acontext where meaning is clear and reinforcement is immediate. Innovativemultimedia technology and proven teaching methods make this possible.

About the Student Management System The Student Management System (SMS) allows Instructors to control andmonitor student study of Rosetta Stone. Instructors design the course ofstudy for students, and students are guided through that work automatically.Through the SMS, the Instructor can create lessons that focus on individualskills or combinations of different skills as needed. The SMS records theirprogress and can generate reports based on that information.

Features • A simplified installation process automatically connects the SMS to

Rosetta Stone, and runs the SMS in the background.

• A pre-built database provides model Instructors and Classes.

• An easy-to-use Wizard guides the Administrator through the process ofsetting up Instructors, Classes, and Students.

• Instructors can use the Wizard to create their own Classes and enrolltheir own Students.

• Students use Administrator-assigned IDs and passwords to log into the system.

• Students can be enrolled in multiple Classes. When they log in, theychoose which Class to study.

• Students’ preferences for settings, like volume and sound effects, arerestored each time they log in.

• Instructors and students can work on the SMS at the same time. TheSMS protects any records from being changed while they are in use.

• Instructors can control the activities that present and test the material.

About This Manual This manual describes installation, usage and the functionality of the SMS.

If you want to jump right in and practice setting up a sample Class afterdoing the installation, you can start with the section entitled Use the SetupWizard to quickly go through the entire process of creating Instructors,Classes, and Students.

The instructions for operating the SMS are identical for both PC andMacintosh operating systems unless otherwise noted.

This manual is also available online at http://www.rosettastone.com/support/downloads under SMS Manuals & Instructions.

For information on the Rosetta Stone Application (the interactive clientprogram that students use to study), refer to the Rosetta Stone User’s Guide.

Installation Overview

Setting up the Student Management System (SMS) for Rosetta Stone requiresseveral installations. This section provides an overview of the components thatwill be installed and the computers you will install them on.

Detailed steps for installation are given in the next sections for Windows(pages 8–13) and Mac OS (pages 14–19). Depending on your system, youmay need to use part of each section. For example, you might have a serverthat is running on Windows and some client computers that run on Mac OS.

Components of the Student Management System

The SMS Server The SMS Server manages the connections between the Rosetta Stoneapplication and the central SMS database of Instructors, Classes, and studentusage. The SMS Server must remain running so that the SMS Administratoror Rosetta Stone application can connect to the SMS.

The SMS DatabaseThe SMS Database is installed as part of the SMS Server. SMS v3.x or higherprovides a pre-populated database with model Instructors and Classes thatyou can copy. If you are using a previous version of the SMS, you may wantto retain your existing database. See the instructions in Previous Versions of SMS on page 6.

The SMS Administrator A copy of the SMS Administrator is included on the SMS Server. The SMSAdministrator allows users with administrative privileges to add Instructors,Classes, and Students. Instructors can use the SMS Administrator to managetheir own Classes, enroll Students into their Classes, and report on studentprogress. The SMS Administrator can be installed on multiple workstationsto facilitate Instructor access.

The Rosetta Stone Network ApplicationThe network edition of the Rosetta Stone application can be installed eitheras a Floating License (connected to a server) or a Node-Locked License(installed on each workstation).

The Rosetta Stone Application This is the interactive client program students use to study the languagematerial. It runs on each student workstation. Instructors can optionally run the Rosetta Stone application.

Language Data The Language Data CD-ROM contains the actual language lessons studentswill learn. In a networked installation, you may want to store the LanguageData on a single server that the client workstations can access, or studentscan run the language lessons from a local CD-ROM. To run Rosetta Stone ona stand-alone computer, you must run the Language Data from the CD drive.

The SMS on a Single Computer To run the SMS and Rosetta Stone on a single computer, install allcomponents on the same computer. You must have the Language Data CD-ROM in the CD drive to run Rosetta Stone.

The SMS on a Network To work with the SMS on a network, install the appropriate components oneach computer.

Server ComputerInstall the following components on one computer that is connected to allthe workstations on the network. This computer should be running all thetime that you want to access the SMS.

• The SMS Server

• The SMS Administrator

• The Rosetta Stone Network Application

• The Language Data (optional)

Instructor Workstations• The SMS Administrator

• The Rosetta Stone Application (optional)

Student Workstations• The Rosetta Stone Application

The SMS Installer automatically connects all components of the SMS on the network.

Previous Versions of SMS

SMS version 3.0 or higher provides a preloaded database with modelInstructors and Classes you can copy. You can either use our preloadeddatabase or move your existing database into the new SMS installation.

Create a Database BackupImportant: To retain your existing database, you must first create a databasebackup using the previous version of the SMS. Otherwise you will lose allyour SMS data, including Instructors, Classes, and student progress, whenyou uninstall the previous version of the SMS.

If you are NOT running the SMS as a Service:• First make sure no one is using the SMS.

• From the SMS Server window, click Command on the Menu Bar.

• Select Create Database Backup from the list of options. This will create abackup of the database within the smsdata\database-backup directory,located within the SMS folder (default location is C:\Program Files\Rosetta Stone\SMS 2.x.x on Windows, and Applications/SMS 2.x.x onMac OS). The backup will be in a date and time-stamped sub-directoryso you can easily tell when the backup was made.

• Move all database files from the time-stamped folder within thedatabase-backup folder to a new location such as a new folder on your desktop.

If you are running the SMS as a Service:• First make sure no one is using the SMS.

• Start the SMS Administrator.

• Log in to the SMS Administrator as a user with administrator privileges.

• From the SMS Administrator window, click File on the Menu Bar.

• Select Create Database Backup from the list of options to create abackup of the database on the server within the smsdata\database-backup directory, located within the SMS folder (default location isC:\Program Files\Rosetta Stone\SMS 2.x.x on Windows).The backup will be in a date and time-stamped sub-directory so you can easily tellwhen the backup was made.

• Move all database files from the time-stamped folder within thedatabase-backup folder to a new location such as a new folder on your desktop.

Uninstall the Previous Version of the SMS

If you are NOT running the SMS as a Service:Uninstall the Student Management System.

Windows:

Click Start � Programs � Rosetta Stone � Student Management System �Uninstall the Student Management System.

Macintosh:

Remove the SMS folder.

If you are running the SMS as a Service:Windows only:

• Click Start � Settings � Control Panel. In the Control Panel window,double-click on Administrative Tools, and then double-click on Services.

• Highlight SMSv2.x.x in the Services list.

• Click Stop the service. The Service will stop running.

• Click Start � Programs � Rosetta Stone � Student Management System � Uninstall the Student Management System.

After you install the Student Management System, you will copy yourbackup database files into the database folder to use with the new SMS.

Installation for WindowsPlease read all installation instructions before starting the installation process.

Important: If you have already been using the SMS, first see PreviousVersions of SMS beginning on page 6 for instructions on how to retain yourexisting database. Otherwise you may lose your existing data, including allInstructor, Class, and Student information.

Install the Student Management SystemInstall the SMS Server and/or SMS Administrator on each computer as needed:

1. Insert the disc labeled Student Management System CD-ROM intoyour CD-ROM drive.

2. If the installation begins automatically, follow the on-screen promptsand instructions to complete the installation. If the installation does not begin automatically, follow these steps:

• Double-click on the My Computer icon on your desktop, or clickStart, then click My Computer.

• Double-click on the CD-ROM drive where you inserted the SMS CD-ROM.

• Double-click on Setup.exe.

• Follow the on-screen prompts and instructions to complete theinstallation.

3. Select the Setup Type for the computer onto which you are installingthe SMS.

To install the SMS Server and the SMS Administrator, select one option:

• Run SMS as Service – Recommended in most cases for continuousavailability, either on a single computer or on a network. The SMSServer will run continuously in the background. The SMSAdministrator and the Rosetta Stone application will always haveaccess to the SMS Server.

• Run SMS Manually – You will need to start the SMS Server manually,and keep the SMS Server window open to keep the SMS Server running.

Choose Administrator Only to install the SMS Administrator on a work-station where an Instructor will connect to the SMS.

The installation finishes, and the SMS is automatically set up to work withyour computer.

If you see another screen or error message, or you need to migrate yourexisting database before running the SMS, see Additional Installation Stepsin the next section.

When your installation is complete, leave the box checked to Run the SMSAdministrator. See Run the SMS Administrator (page 11) for further instructions.

Note: If you do not have the Java Runtime Environment 1.4.1 or higher(required) installed on your computer, the SMS Installer program installs it.

If you install Run SMS as Service, menu options are added to the SMS Programsmenu to Restart, Start, and Stop the service. See Start � Programs � RosettaStone � Student Management System v3.x � SMS Service v3.x for thefollowing submenu:

The installation program creates a group of menus forthe SMS application in the Windows Start � Programsmenu and prompts you to create a desktop icon for theSMS Administrator.

If you install Run SMS Manually, the installer alsocreates a desktop icon for the SMS Server.

Additional Installation StepsIf you have additional steps to take after installation, see the following sections:

• Install SMS with Multiple IP Addresses: if a screen prompts you to selectan IP address, follow the instructions in the next section below.

• Migrate Your Existing Database to the New SMS: if you copied a databasefrom a previous version of the SMS, follow the instructions below.

• Configuration Overview: if the installation did not connect automaticallyto your IP address and port, you may need to configure the computermanually. See the Configuration section beginning on page 20 for details.

Install SMS with Multiple IP AddressesIf you have more than one IP address on your computer, the following screenappears during installation:

Migrate Your Existing Database to the New SMSFor users of previous versions of the SMS only.

1. Stop the SMS Service or Server.If you are running SMS as a service, select Start � Programs � RosettaStone � Student Management System v3.x � SMS Service v3.x � StopSMS Service.

If you are running the SMS manually, close the SMS Server Window.

2. Locate the time-stamped folder within the database-backup folder you moved to another location, such as the desktop, as described inPrevious Versions of SMS beginning on page 6.

3. Copy all of the files in the database-backup folder into the newSMSv3.x\smsdata\database\ folder.

4. Run the compactor:

• In Windows Explorer, navigate to the directory where the SMSCompactor is installed (default location is c:\Program Files\Rosetta Stone\SMS).

• Double-click on the file compactor.exe.

Select an IP address fromthe pull-down menu todirect the SMS Installer to run the SMS Server onthat IP address.

Run the SMS AdministratorWhen the installation is finished, leave the box checked to Run the SMSAdministrator. The Rosetta Stone SMS Administrator screen opens:

A screen prompts you to back up the database:

Click No to skip creating a backup of the database the first time you install.Later as you are using the SMS, you will need to create backups of thedatabase regularly.

The next screen informs you that Write access is granted to you. This indicatesthat you can perform all actions allowed using administrative privileges inthe SMS.

Log in for the first time usingthe default username andpassword:

Username: admin

Password: password

You may want to change thepassword later. See page 50for instructions.

If you chose to create a backup of the database, the following screen informsyou that the database backup was successful and indicates the location of thebackup file.

Install the Rosetta Stone Application After you have installed the SMS Server, install the Rosetta Stone applicationon each student workstation.

1. Insert the disc labeled Application CD-ROM into the CD-ROM drive.

2. If the installation begins automatically, follow the on-screen promptsand instructions to complete the installation.

If the installation does not begin automatically, follow these steps:

• Double-click on the My Computer icon on your desktop, or click Start, then click My Computer.

• Double-click on the CD-ROM drive where you inserted the RosettaStone Application CD-ROM.

• Double-click on Setup.exe.

3. If you are installing a new version of Rosetta Stone (version 2.1.4.2Asmsor higher), the following screen opens:

• Click Find SMS Server(s) to list the servers available.

• If you do not see any servers listed, make sure a server is running and then click Find SMS Server(s) again.

• Choose the correct SMS Server.

• Click Select SMS Server.

If no server is found, or if you are running an older version of Rosetta Stone,you may need to configure the application to connect to the SMS Server. SeeConfigure the Rosetta Stone Application on page 25.

The Rosetta Stone application will install Apple QuickTime for Windows andyou may need to install Adobe Acrobat Reader. QuickTime is used to viewvideo clips on select Level 2 lessons. Acrobat Reader is provided to read theUser’s Guides and Texts provided on the application CD-ROM.

Install the Language Data on the Server (Network Only) If you purchased a Network version of Rosetta Stone, you can install thelanguage data onto a central server hard drive and share the data folderswith the student workstations. Refer to the Network Installation Guide thataccompanied your Network Application CD-ROM, or go to http://www.rosettastone.com/support/downloads and click Network Guides todownload the instructions.

Uninstall the Student Management SystemTo uninstall the Student Management System:

1. Stop the SMS Service or close the SMS Server window.

2. Select Start � Programs � Rosetta Stone � Student ManagementSystem v3.x � UnInstall Student Management System v3.x .

Installation for Mac OS

Please read all installation instructions before starting the installation process.

Important:: If you have already been using the SMS, first see PreviousVersions of SMS beginning on page 6 for instructions on how to retain yourexisting database. Otherwise you may lose your existing data, including allInstructor, Class, and student information.

Note:: In order to run both the Student Management System and the RosettaStone Application on the same computer, you must have Mac OS 10.2 or higher.

Install the Student Management SystemInstall the SMS Server and/or SMS Administrator on each computer as needed:

1. Insert the disc labeled Student Management System CD-ROM into theCD-ROM drive.

2. If the CD opens, double-click SMS Installer and enter your Mac OSadministrator password. Follow the on-screen prompts and instrutionsto complete the installation.

If the CD does not open, follow the directions below:

• Double-click the CD-ROM drive icon RS SMS on your desktop.

• Double-click the SMS Installer icon and enter your Mac OSadministrator password.

3. Select the Setup Type for the computer onto which you are installingthe SMS:

A screen prompts you to back up the database:

Click No to skip creating a backup of the database the first time you install.Later as you are using the SMS, you will need to create backups of thedatabase regularly.

The next screen informs you that Write access is granted to you. This indicatesthat you can perform all actions allowed using administrative privileges inthe SMS.

If you chose to create a backup database, the database files are copied to theSMS 3.x\smsdata\database_backup folder with the current date and time.

Install the Rosetta Stone Application After you have installed the SMS Server, install the Rosetta Stone applicationon each student workstation.

1. Insert the disc labeled Application CD-ROM into your CD-ROM drive.

2. If the CD opens, double-click Rosetta Stone Installer OSX for Mac OS10.x and higher or Rosetta Stone Installer for Mac OS 9 and below.Follow the on-screen prompts and instructions to complete theinstallation.

If the CD does not open, follow these steps:

• Double-click the RS Application CD-ROM drive icon on your desktop.

• Double-click double-click Rosetta Stone Installer OSX for Mac OS10.x and higher or Rosetta Stone Installer for Mac OS 9 and below.

• Click the Install button.

3. If you are installing a new version of Rosetta Stone (version2.1.4.2Asms or higher), the following screen opens:

• Click Find SMS Server(s) to list theservers available.

• If you do not see any servers listed,make sure a server is running andthen click Find SMS Server(s) again.

• Choose the correct SMS Server.

• Click Select SMS Server.

Install the Language Data on the Server (Network Only) If you purchased a Network version of Rosetta Stone, you can install thelanguage data onto a central server hard drive and share the data folderswith the student workstations. Refer to the Network Installation Guide that accompanied your Network Application CD-ROM, or go to http://www. rosettastone.com/support/downloads and click Network Guides to download the instructions.

Uninstall the Student Management SystemTo uninstall the Student Management System and the SMS Service:

1. Stop the SMS Service or close the SMS Server window.

2. Remove the SMS 3.x or the SMS 3.xhs folder from the Applicationsfolder (default location) and place it in the trash.

3. If you installed the SMS Service, also remove the SMS_Service_3.x or SMS_Service_3.xhs from Library � StartupItems folder.

Configuration Overview

The automatic detection mechanisms of the SMS Installer are designed toconfigure all computers to connect to the SMS Server. In some instances, you may need or want to configure a computer manually.

The SMS Server uses messages over TCP/IP and requires a dedicated port onthe server computer. By default, it will use port 8080, which is commonlyused for Web servers.

The SMS Server acts like a Web server when interacting with the RosettaStone Application and with the SMS Administrator. The SMS Installerautomatically detects the IP address and port number on which to install the SMS Server.

If configuration is required or you choose to customize your configuration,follow the configuration instructions below as needed.

Technical Note: The SMS Server contains a discovery request server thataccomplishes the auto-detection. The discovery request server listens on a UDP port (using the first available port in the range 50001-50020) forrequests from the discovery tool. The discovery tool searches for the SMSServer whenever the SMS Administrator or the Rosetta Stone Application(SMS-enabled version 2.1.4.2.Asms or higher) is installed on a new workstation.The discovery tool itself uses the first available port in the range of 50021–50040 to receive responses from the SMS Server. You can have a maximum of 20 SMS Servers running concurrently on the same IP address because ofthe range of ports available to the discovery request server.

Configure the SMS Server After a successful installation, your SMS Server is set up to run on the IPaddress on your computer and the default port 8080, or to the IP addressyou selected during installation if you have more than one available.

In some cases, you may need to take additional steps to configure the SMS Server:

• If you are already running a Web server where you want to run theSMS Server, you can reassign the SMS Server to a different port.

1. Stop the SMS Service or quit the SMS Server before attempting tochange the port.

The Friendly Name shows the name of your computer on the network.The Friendly Name appears in the Find SMS Servers list when youinstall the SMS Administrator or Rosetta Stone application on aworkstation. You can change the Friendly Name to make it easier tofind the SMS Server from the workstations.

7. Click Set.

8. Restart the SMS Service or Server.

• If the SMS configuration was not completed, the following screen may appear:

This screen displays the IP address and port where the Installer attemptedto configure the SMS Server. This shows you what IP address and port you will need to configure manually.

To configure the SMS Server, select Start � Programs � Rosetta Stone �Student Management System (SMS) v3.x � SMS Configuration.

Note: Port numbers range from 1 to 65535. Make sure the port youchoose does not conflict with any other services you have running.

Run the SMS Server Manually

Newer versions of the SMS provide the option to install the SMS Server sothat it runs as a service continuously in the background. Previous versions ofthe SMS did not have the option to run as a service readily available, so theSMS Server was run “manually,” meaning that the SMS Server had to bestarted by double-clicking on the icon, and a window was displayed to showthat the SMS Server was running.

In most cases, new installations of the SMS will choose to run the SMS Serveras a service for convenience. However, there may be some cases where youwill want to the SMS Server manually.

The SMS Server WindowIf you installed Run SMS Manually, you will need to start the SMS Servereach time you want to run the SMS. To run the SMS Server manually, double-click the SMS Server icon that was installed on your desktop.

The SMS Server should be run on a protected computer that is not shutdown, logged out or disconnected from the network regularly. If the SMSServer is not running, no interactions from students using the Applicationor from Instructors using the SMS Administrator are possible.

The SMS Server MenuThe commands you can issue from the SMS Server window are:

• Import SMS 1.3.8 Database

• Create Database Backup

• Rebuild Database

• Timeout Settings

• Shutdown SMS Server

Import SMS 1.3.8 Database If you have just purchased SMS 3.x you do not need to select the Import SMS 1.3.8 Database menu option. This option allows users with existingstudent data to import this information for use within SMS 3.x. ContactProduct Support if you need the conversion instructions.

Create Database Backup The Create Database Backup menu option creates a backup in thesmsdata\database_backup directory, located within the SMS folder. Thebackup will be a date and time stamped sub-directory so you can easily tell when the backup was made.

Note: Be sure to create backups when no one is using the system. 34

Rebuild Database The Rebuild Database menu option fixes some database issues that existedprior to SMS version 2.0.9. If you have an existing database and haveinstalled version 2.0.9 or higher, we recommended that you make a backupcopy of the database, and then run this option. The database will beupdated in the following ways:

• Changes to the names and descriptions of existing Activity Sets.

• New Activity Sets added.

• Language names changed (for example, English is changed to English 1-2, Traveler French is changed to French Traveler).

• A defect is fixed where SMS did not associate student results with all the fields necessary for all reports.

• Out-of-order Lesson Plans are renumbered correctly.

It is usually not necessary to run this command again. However, it can be run again in the future if necessary.

Timeout Settings Click the Timeout Settings menu option to open the window below:

Disconnected Timeout

If a client loses communicationwith the server for the durationof time set for this timeout, theSMS will consider the sessionimproperly disconnected and willautomatically log that user outof the system.

Idle Timeout

The Idle Timeout applies only to an Administrator user with Write access.The Administrator’s account releases Write access when the account is idlefor a predetermined time. If the specified time passes with no activity fromthat Administrator, the SMS automatically restores Write access for theInstructor accounts and sets the Administrator back to Read-only access. This insures that all other users will never be permanently locked out if anAdministrator forgets to release Write access (see Use Read and WriteAccess, page 40).

Shutdown SMS Server Select the Shutdown SMS Server menu option to interrupt all student andInstructor sessions interacting with the database at the time.

Server messages are displayed to the SMS Server window. In the case of aproblem, these messages may be of use to Product Support.

Use the SMS Administrator

The Student Management System (SMS) Administrator allows Instructors tostructure courses of study, or Lesson Plans, for students using Rosetta Stone.Students may work at their own pace, and Instructors may viewcomprehensive reports of their students’ progress.

In the SMS you may set up two types of users: Administrators and Instructors.While Instructors may have administrative access, the two basic types ofusers perform different functions.

• Administrators add Instructors and students.

• Instructors set up Classes, create or select Lesson Plans, and enrollstudents.

Administrator AccessYou will first log in to the SMS as an Administrator. You will then addInstructors. You may or may not grant Administrator access. Administratorsmay perform Instructor functions, but you should grant administrator accesssparingly to Instructors.

An indicator in the upper right portion of the SMS screen will indicatewhether a user has Read or Write access. Read access will allow users towork in the SMS, but will not allow users to save information. Write accessallows users to save information or changes in the SMS. To switch to Read orWrite access, click the appropriate indicator. For more on Read and Writeaccess, see page 40.

Building ClassesInstructors will use the SMS to set up Classes. If you use the Wizard to createClasses, the SMS provides predefined Classes with various Tracks that may becopied, then modified. You may use these Classes, or enter the SMSAdministrator to create your own. This guide will show you how to do both.

You can choose the course of study that is best for each student. When youenroll a student, add him or her to a Class and choose the default Track forthe Class, or choose a different Track for that student. Not all students in aClass must be on the same Track.

We recommend you use the Wizard to set up Instructors, Classes, andStudents using the predefined Classes. If you prefer to create your ownTracks, skip the Wizard and follow instructions starting on page 57. Lateryou may use the Wizard to enroll students, and your new Lesson Plans willappear as an option for enrollment.

Use the Set Up Wizard

The Setup Wizard offers a quick and simple way to set up the StudentManagement System (SMS).

The Wizard allows Administrators to:

• add Instructors and Students

• edit Instructor and student information

• create Classes by copying from predefined Classes

• select predefined Tracks for Classes. Customized Tracks will also appearin the Wizard once created through the SMS Administrator.

The Wizard allows Instructors to:

• create their own Classes by copying from predefined Classes

• select Tracks for their Classes

• enroll and unenroll Students into their Classes

The Wizard does not create Lesson Plans. The Wizard simply allowsAdministrators to assign predefined and custom Tracks to Classes and enrollstudents in the Classes.

Predefined Tracks are templates that are installed when you install the SMS.Rosetta Stone has provided these templates that you may use if you do notwish to create customized Tracks.

Custom Tracks are created by Administrators or Instructors using the SMSAdministrator. These may be customized to individual students or Classes.

Enter the WizardSelect File from the Menu Bar, then Setup Wizard.

The Wizard guides Administrators through three basic functions: Set Up Instructors, Set Up Classes, and Set Up Students.

Note: Instructors will only see Set Up Classes and Set Up Students whenthey enter the Wizard.

Use Read and Write AccessAdministrators are granted Write access by default upon login. Instructorsare granted Read only access by default when an Administrator has Writeaccess. Use the Read and Write icons in the upper right portion of thescreen to switch to Write access.

Only one Administrator may have Write access at any given time. Severalinstructors may have Write access, but only to their own Classes. Instructorswill be notified when they lose Write access and revert to Read only (Thismay occur when an Administrator clicks Write access). Instructors maycontinue to manipulate information, but are not be allowed to Save untilthe Administrator logs off or clicks Read only. Instructors may then clickWrite access to complete their actions.

Choose Set Up Instructorsto create or edit Instructoraccounts.

Choose Set Up Classes toskip the Instructor function.Proceed to create or editClasses and continuethrough Set Up Students.

Enter the SMS Administrator

If you choose to create your own Lesson Plans, do not use the Wizard.Instead, go directly into the SMS Administrator. You may also use thisinterface to add Instructors, Students, and create Classes. However, werecommend you use the Wizard. If you choose to use the SMS Administratorto create customized Lesson Plans, these will appear in the Wizard.

Move through the InterfaceThe SMS interface has four main components. The Menu Bar allows you tonavigate between screens and the Current Location shows the path to yourcurrent location. The Directory Panel, located on the left, shows thestructure of information in the SMS and allows you to navigate through thisinformation. The Information Panel on the right changes depending on theitem selected in the Directory Panel and may show specific settings for thehighlighted item.

To manipulate information in the SMS, find the appropriate folder or recordin the Directory Panel, select it, and perform some action (view/modifyinformation or use a menu command) using the Menu Bar.

Change Information in the SMSThere are three top-level folders in the Directory Panel:

• Instructors: contains all Instructor and Class information, includingwhich students are assigned to courses, and student results for eachcourse. In the screen on page 48 you can see the structure of datawithin the Instructors folder.

• All Students: contains the basic student records, information that iscommon to a student that could be in several Classes. The All StudentsFolder contains no folders, just individual student records of all studentsthat exist in the SMS regardless of Class enrollment.

• Activity Sets: contains all the predefined and custom Activity Sets thatcan be assigned to students in Lesson Plans. The Activity Sets foldercontains no folders, just individual Activity Set records. Activity Setsdetermine the types and sequences of exercises students do in eachlesson of the Lesson Plan.

As you change the context of the Directory and Infor-mation Panels, the availableitems in the Menu Bar changeas well.

You can also simply startmodifying fields in the Infor-mation Panel by placing yourcursor in them, or selectingavailable options from thepull-down menus located inthe Menu Bar.

Once you make changes, two buttons appear along the bottom of theInformation Panel: Update Record and Cancel.

To save changes, click Update Record. Click Cancel to exit the record without saving.

Setup WizardThe Setup Wizard option gives you a simple way to create and edit Instructors,Classes, and Students. See Use the Setup Wizard, pages 39–47.

Set Administrator Password

Use the Set Administrator Password option to change the password for theuser “admin” that you use to log in as the Administrator. Use a password thatis easy for you to remember.

Create Database Backup

The Create Database Backup option creates a backup of the database on theserver within the smsdata\databasebackup directory, located within the SMSdirectory. The backup will be in a date and time-stamped sub-directory so youcan easily tell when the backup was made.

Note: Be sure to create backups when no one is using the system.

Rebuild Database

The Rebuild Database option fixes some database issues that existed prior to SMS version 2.0.9. If you have an existing database and have installedversion 2.0.9 or higher, we recommended that you make a backup copy ofthe database, and then run this option. The database will be updated in thefollowing ways:

• Changes to the names and descriptions of existing Activity Sets.

• New Activity Sets added.

• Language names changed (for example, English is changed to English 1-2, Traveler French is changed to French Traveler).

• A defect is fixed where SMS did not associate student results with allthe fields necessary for all reports.

• Out-of-order Lesson Plans are renumbered correctly.

It is usually not necessary to run this command again. However, it can be run again in the future if necessary.

About the SMS

The About the SMS option gives you the version number of the SMS you are running.

InstructorsThe Instructors folder at the top of the Directory Panel contains all Instructorsusing the SMS. Each Instructor has his or her own set of Classes and EnrolledStudents. All information is contained within an Instructor folder, which isrepresented by an Instructor icon followed by the Instructor’s name.

When logged in as an Administrator (or as an Instructor with administrativeprivileges), all Instructors appear under the Instructors folder. When loggedin as an individual Instructor without administrative privileges, only thelogged in Instructor appears. Demo and Placement Instructors are alwaysdisplayed. When the Instructors folder or an individual Instructor icon isselected, the Instructors menu becomes available.

To disable an Instructor account without deleting the entire contents,select Disable Account.

Import Instructor Information from an external text file. The format forthis text file is Tab Delimited with the following fields in this order: LastName, First Name, Middle Initial, Username, Password, either “I” or “A”(for Instructor or Administrator), and either “E” or “D” (for Enabled or Disabled).

Edit Instructor Select Edit Instructor in the Menu Bar to change information for theInstructor highlighted in the Directory Panel. Update Instructorinformation on the Information panel.

Remove InstructorSelect Remove Instructor from the Menu Bar to delete an Instructorfrom the system.

WARNING: Removing an Instructor removes ALL materials associatedwith that Instructor, including all Classes, Lesson Plans, and Studentresults. There is no way to undo this operation, other than reverting to a back-up version of the database.

The only associated materials that are not removed are the basic studentinformation (under Students) and the Activity Sets (under Activity Sets),but all Student records for that Instructor are destroyed.

ClassesClass folders appear under individual Instructor folders. Administrators andInstructors create Classes and enroll students. Students enrolled in a Classmay work on different material. This is known as the Track. The defaulttrack is assigned to each student as he or she is enrolled. The Classes menubecomes available when you select a Class within the Directory Panel.

Edit ClassSelect the Class from the Directory Panel, then change the options inthe Information Panel to modify the Class. If you change the defaultTrack, it does not change the Track assignment of existing students; itonly affects the default Track for new students that you enroll.

Copy ClassWhen you copy a Class, the SMS copies all Tracks, Lesson Plans withinthe Tracks, and all Enrolled Students (optional) associated with theClass. The default Language and Track for the Class is also copied to the new Class.

If you are an Administrator, the SMS asks you to select an Instructor towhom you would like to copy the selected Class data. If you are not anAdministrator, you can only copy the Class to your own Instructor folder.

A Class may not be copied to an existing Class. To copy elements fromone existing Class to another, see Copy Track (page 59) or Copy EnrolledStudents (page 67).

Remove ClassTo remove a Class, including all associated Tracks and Enrolled Students,select Remove Class.

WARNING: Removing a Class removes ALL materials associated withthat Class. The records are exported one student per line, with each student’scomplete information in a tab-separated list. Test results are notexported.

Report: Class ResultsTo generate a report on all Enrolled Students in a Class, select Report: Class Results. See Reports (page 69) for more information.

Select the Instructor to whomyou want to copy the new Class.

Enter a name for the new Class.

The Class name must be aunique Class name for theInstructor.

Click yes to enroll students from the copied Class, or noif you wish to enroll studentsstudents later.

TracksA Track defines the course of study for a group of students in a Class. A Trackcontains a sequence of Lesson Plans. Most students follow the default Trackassigned to each Class; however, you may create additional Tracks forstudents in the same Class who need to study differently.

Edit TrackSelect Tracks on the Menu Bar, then Edit Track. You can change the name of the Track. To edit Lesson Plans within a Track, select Lesson Plans individually.

Copy TrackAdministrators can copy Tracks to a selected Instructor and Class. AnInstructor may only copy Tracks to his or her own Classes.

Set the Track as the Default Track (optional) for the selected Class. Enter a name for the new Track. It must be a unique Track name for the Class.

When you copy a Track, the SMS copies all Lesson Plans within the Track.When you copy a Class, the SMS copies all Tracks, Lesson Plans within theTracks, and all Enrolled Students (optional) associated with the Class.

Individual Lesson Plans may not be copied. If you wish to copy part of theTrack (some Lesson Plans, but not all), copy the Track and remove theLesson Plans that you do not want to be part of the Track.

Remove TrackTo delete a Track from a Class, select Remove Track. Do not delete a Trackwhile students are working within a Track’s Lesson Plans. Select eachLesson Plan to view Lesson Plans in use.

Lesson PlansOnce Tracks have been created, Lesson Plans are added to each Track. Asequence of Lesson Plans makes up the Track or course of study. A LessonPlan specifies the exercises and tests (through the Activity Set setting), therange of lessons, and the minimum test score needed to advance. Studentsstudy the first Lesson Plan in the assigned Track, then move automatically tosubsequent Lesson Plans.

The Activity Set can be any of the predefined or Instructor customizedActivity Sets. The default Activity Set is 01 Beginning Listening andReading 1, but predefined and Instructor customized Activity Sets alsoappear in the pull-down menu.

The proficiency level indicates the test score (0 – 100) needed to proceedto the next lesson. The Starting and Ending Units and Lessons set therange of material for this Lesson Plan, inclusive of the Starting andEnding values.

If you use a predefined Class or Track, the SMS assigns a default proficiencyscore based on the type of exercise. Typing exercises have a lowerproficiency score. You may change the default proficiency level, but it isnot recommended.

Insert Lesson PlanTo add a new Lesson Plan above the currently selected Lesson Plan, selectInsert Lesson Plan from the pull-down menu under Lesson Plans on theMenu Bar.

Edit Lesson PlanSelect Lesson Plans on the Menu Bar, then Edit Lesson Plan to changeLesson Plan information. To edit Lesson Plans within a Track, select themindividually.

WARNING: Do not edit Lesson Plans once a student has started exercises in the Lesson Plan. This option should only be used if students have notbegun the Lesson Plan you wish to edit. Once students begin working ina Lesson Plan, the plan can not be edited without affecting the studentrecord and their ability to proceed.

Import Student(s) from FileIf you have an external text file with student information in it, you canimport this list to create the enrollment for a Class. The format for thistext file is Tab Delimited with the following fields in this order: LastName, First Name, Middle Initial, School ID, Username, and Password.

Note: Since the Password field is optional, if left blank the leading tabmust exist before the return for the data to be read correctly.

Once the file is selected, student names appear and you may choosewhich students to add.

Edit StudentThis allows you to modify student information.

Remove StudentSelect Remove Student from the pull-down menu to remove thestudent record from complete list of available students.

WARNING: Removing a student removes ALL materials associated withthat student. This includes all of this student’s results in all current andpast Classes. There is no way to undo this operation, other thanreverting to a previously backed up version of the database.

Report: Student ResultsThis function generates a report on this student. It presents all resultsthat pertain to this student, even across multiple Classes. See theReports section on page 69 for more information.

Enroll Student(s) from File [Administrator Only]You can import a list of Students that are already in the SMS under AllStudents. Import students from an external text file to enroll them in aClass. Once the list contains the students to enroll, select the Import Listbutton. Only students that already exist in the SMS are enrolled. Please see instruction on page 63 to Import Student(s) from File.

Selected students (from the imported file) that do not exist in the SMS are included in a text file saved to the SMS (the original file namefollowed by _unfoundUsers). Use the Add Students function to importstudents from this file , then enroll the unfound students in the Class.

Copy Enrolled StudentsAll students enrolled in the Class are copied to the new Class andassigned to the default Track.

The SMS asks Administrators to select an Instructor to whom theselected enrolled students will be copied. Select an Instructor or cancelthe action. Instructors can only copy the Class to their own instructor folder.Enrolled students cannot be copied to an Instructor with no classes.

Instructors should have at least two Classes (or create a new Class)before attempting to copy enrolled students. Administrators may copyenrolled students to any Instructor’s Class.

If enrolled students are copied to a Class with no default Track, enrolledstudents are set to Track Unassigned. If enrolled students are copied toa Class with a default Track, but no Lesson Plans, enrolled students areset to the default Track, but have no work to do since there are nolessons. If enrolled students are copied to a Class with a default Trackand existing Lesson Plans, enrolled students are set to the default Trackand to the first lesson in the Track.

Select the EnrolledStudents folder to copy from the Directory Panel.

Select EnrolledStudents on the Menu Bar. Select CopyEnrolled Students tocopy the students fromone Class to another.

The original EnrolledStudents folder remainsunchanged.

To copy most of the enrolled students from one Class to another, copythe enrolled students and delete the ones you did not want to copy.

If students are duplicated in the original and new Class, the SMSpresents a list showing the students that were already enrolled in theClass. These students are neither changed nor re-enrolled.

Edit Enrolled StudentUse Edit Enrolled Student to change the Track for a specific student. TheTrack can be changed at any time, but if students are removed from aTrack, they lose their bookmark in that Track. If you return them to thatTrack at a later time, they will start again at the beginning of the Track.

To begin a student at a location other than the beginning of the Track,select Set Position in Active Track. This button allows you to set theparticular Lesson Plan as well as the starting Unit and Lesson that thestudent should begin when he/she continues his/her work.

Remove Enrolled StudentSelect Remove Enrolled Student to remove an enrolled student from aClass. The student’s results for the Class are deleted.

Report: Enrolled Student ResultsSelect Report: Enrolled Student Results to generate a report on theselected enrolled student. If the student is in multiple Classes, the reportpresents only results that pertain to the selected Class.

Reports

OverviewReports allow Instructors to view, print, or export student results. All reportshave the same options (selecting ranges, sorting, printing, exporting), butyou can select from different sets of results.

Types of Reports

Class ReportA Class Report contains all records of all students in a particular Class. Itwill include all Tracks and all Enrolled Students.

Run a Class Report:

• Select the Class on which you want to run the report from the DirectoryPanel (the Class name is highlighted in the Directory).

• Select the Classes menu. Select Report: Class Results.

Track ReportA Track Report contains only the records of the Enrolled Students thatcurrently have that Track selected as their course of study.

Run a Track Report:

• Select the Track on which you want to run the report from the DirectoryPanel (the Track name will be highlighted in the Directory).

• Select the Track menu. Select Report: Track Results.

Enrolled Student ReportAn Enrolled Student Report selects all records for a single student enrolled inthe Class. The report presents all Class records for the student.

Run an Enrolled Student report:

• Select the Enrolled Student on whom you want to run the report from theDirectory Panel. (the student name will be highlighted in the Directory).

• Select the Enrolled Students menu. Select Report: Enrolled Student Results.

Student ReportA Student Report contains all records for a single student. These records canspan multiple Tracks, Classes, and Instructors.

Date RangeYou can limit the results to those that occurred within a particular daterange. This can be useful for showing all the results for a particular semester. Enter a start date and an end date in the format Month/Day/Year(e.g., 1/23/2005 or 12/10/05).

Lesson RangeYou can limit the results to those that involved a particular range of lessons.This can be useful if you want to see all results for the Class for a particularUnit of lessons. Select starting Unit and Lesson numbers from the pull-downlists. Select ending Unit and Lesson numbers.

When you have the ranges set, select the OK button to view the report.

If there are no results that match your criteria, you will be notified, and youcan alter the ranges given. You probably don’t want to select a Date Rangeand a Lesson Range at the same time.

View ReportsThe Reports window shows the results you selected. You can view andmanipulate them on screen, print them out, or export them for use inanother program. The results are shown in a table, as illustrated. Theinformation is presented as one line per result. The columns will varydepending on which report you are running.

Student Name: This is the full student name, presented as Last, First,

Middle.

Username: The student’s username.

School ID: The student’s school ID.

Track: The assigned Track for the test.

Date and Time: The date and time the test was completed.

Language: The language studied.

Lesson: The Unit and Lesson of the result, displayed as Unit-Lesson (e.g., 01-05 is Unit 1, Lesson 5).

Score: The score for this result, shown as points correct out of the total possible score of 100 (0 – 100).

Status: The status of this lesson. Based on the proficiency setting, studentscan Pass or Fail the final test in an Activity Set. If the student is still workingon this lesson, status will be set to In Progress. If an Instructor reassigns astudent to a different Track while they are working on a lesson, that lessonwill be marked Cancelled.

Elapsed Time: The time on task for this lesson in the Lesson Plan. Dependingon your choice of report type, this will be the time taken to complete anypractice exercises, the final test, or the total of the two.

Activity Set: The Activity Set used for this result. Scroll up and down to lookthrough the complete table. The program will automatically set the columnwidths to reasonable sizes. However, depending on the window width andthe data presented, some information may not display completely. You canmake the window bigger (use the standard window resizing method foryour operating system), which should allow you to view more information.You can also adjust the column widths manually.

Adjust the column widthsPlace the cursor on the vertical divider between the column headings. Thecursor should change to a two-way arrow icon. Click and drag the columndivider until the column is the size you want.

Move columnsDrag the columns into a different order by clicking and dragging the columnheaders. If you change this order, they will print this way, but it will notchange the order for future reports.

SortSort by any of the columns in ascending or descending order. Select acolumn heading and the results will be resorted in ascending order based onthat column. Shift-click to sort them in descending order.

Print ReportsYou can print the on-screen reports exactly as they appear on the screen. Ifyou sort, or rearrange columns, or resize the window, all those changes willbe present in the printed form.

Use the Print Preview button, to view the number of pages that will print, andwhether width (all the columns across) will fit on a single page. If one ormore columns are printing on a second page, press Cancel and return to theon-screen view. You can then reduce the width of the window. Return toPrint Preview to show whether the report is now less than one page wide.

There are also options under Page Setup that allow you to change theheader and footer text, or switch from landscape to portrait mode.

The Print button simply takes you directly to the print dialog window foryour operating system.

Export ResultsYou can also export the results you have selected. Exported results will notfollow any table rearranging you have done, and they will contain allinformation about each result on each line. For a single exported studentresult, the Class, Track, language, etc. are all exported as well.

This type of export is useful if you have an external database or spreadsheetthat you want to use for your own reports.

Activity SetsOverviewAn Activity Set defines a sequence of Activities: Previews and Exercisesfollowed by a Test. In the SMS, Activity Sets are used in the creation ofLesson Plans. A Track is a series of Lesson Plans used within a Class. See Tracks, page 57, for more information.

Activity Sets within each Lesson Plan determine the sequence of Previewsand Exercises and the type of Test the students will be given for each Rosetta Stone Lesson in that plan.

Example: An Activity Set directs the student to do exercises A1, B1, C2, E4,then take a Test using A2. The Activity Set is then added to a Lesson Plan,which determines the number of lessons students will do using this ActivitySet. See the Rosetta Stone User’s Guide for a full description of the Preview,Exercises, and the Delay option for Tests.

The following options will appear when you select the Activity Sets folder or an individual Activity Set :

Menu Commands for Activity Sets

Add Activity SetAdd a new Activity Set to the system. See page 81 for more informationabout the options for creating a new Activity Set.

Edit Activity SetModify a user-created Activity Set. You cannot edit the Activity Sets that come with the system, but you can duplicate these and then make changes.

Duplicate Activity SetCopy an existing Activity Set. This function is useful when you have an Activity Set that is close to what you want, but needs a few smallchanges. Instructors can make a copy of an Activity Set and modify it for their own needs.

Remove Activity SetDeletes the Activity Set from the system. You cannot delete an ActivitySet that is in use. To delete an Activity Set that is in use, first delete theTrack that uses the Activity Set, or change the Lesson Plans that utilizethe Activity Set.

Predefined Activity SetsTwenty-seven predefined Activity Sets come with the Student ManagementSystem.

The first nine Activity Sets deal with Listening and Reading skills while thenext seven deal with Listening Comprehension. The following seven ActivitySets work with Reading Comprehension and the final four Activity Sets dealwith Writing/Dictation skills. In each of these four sections there are specificActivity Sets that deal with beginning and standard exercises followed byplacement Activity Sets that will assess a student’s language proficiency.

In order to use the voice recognition portion of the program, a student mustdisconnect from the SMS to work directly in Rosetta Stone, and be guidedby the Instructor in which Units and Lessons to study.

Note: Activity Sets using the Speaking Activities (Activity D) are not currentlyavailable under the SMS since this type activity can not be gradedobjectively.

Activity Set InformationActivity Set Name: The Activity Set Name identifies new or existing

Activity Sets.

Activity Sequence: The Activity Sequence determines the order in which theStudent Management System runs the Previews or Exercises you setup. The Preview or Exercise marked “1st” starts first, followed bythe others in order. If a Preview is used, it would normally appear inthe 1st position.

Activity: The Activity refers to the specific Preview or Exercise you select in each position. Refer to Appendix B for the letter and numberabbreviations which correspond to Previews, Exercises and Tests inRosetta Stone. (See the Rosetta Stone User’s Guide for a descriptionof the Preview, Exercises and Tests.)

Note: You cannot assign Speech Recognition Exercises in an Activity Set.

Starting Position in Cycle: The Starting Position refers to the number ofscreens that have been studied in a previous Activity before thenext Activity begins.

Starting Screen: Each lesson in Rosetta Stone has 10 screens. The StartingScreen determines the first screen which a designated Preview orExercise actually shows. In Beginning Listening and Reading 1, forexample, Exercise A1 begins with Screen 1. You may select anynumber from 1 to 10 in the Starting Screen.

In Beginning Listening and Reading 1, for example,Exercise A1 begins after apreview screen. Anotherpreview screen and lessonappear, followed by onlyexercises until the test. Youmay select any of the 10screens in a chapter tobegin a designated Previewor Exercise.

Ending Screen: Each Preview or Exercise presents screens, in order, from the Starting Screen to the designated Ending Screen. In BeginningListening and Reading 1, for example, Preview PA in the 1st positionruns in only the first two screens: it starts with Screen 1 and endswith Screen 2. Exercise A1 runs in all 10 screens, starting with Screen 1 and ending with Screen 10. You may enter any numberfrom 1 to 10 in the Ending Screen, but the Ending Screen must begreater than or equal to the Starting Screen. Each screen covers four words or phrases for a total of 40 words/phrases covered ineach lesson.

If the Use Delay Feature? box is checked, the Delay option is employed whenrunning that Exercise. This feature removes the prompt in any screen beforepresenting the four possible answers, making the Exercise more challenging.See the User’s Guide for details. The Delay feature does not apply to a Preview.

If the Requiz Incorrect Answers? box is checked, any screen in which a wronganswer was given will be re-inserted into the sequence again. The Requizfeature does not apply to a Preview.

If the Allow Preview? box is checked, students can activate a Preview forreference during that Exercise. This feature is independent of assigning a Preview as part of the Activity Set. An assigned Preview comes upautomatically, while the Allow Preview feature simply allows students access to the Preview.

Assign a TestAfter the Previews and Exercises selected for the Activity Set have run, a Test begins. The Test proceeds through all 10 screens in order. Choose the Activity you want to use for the Test from the Activity pull-down list.Previews are not available during a Test. If the Use Delay Feature? box ischecked, the Delay option is employed when running the Test.

When you have completed changes:

• Click Update Record to save your changes..

• Or click Cancel to cancel the changes and not modify the Activity Set.

Speaking and Voice RecognitionSpeaking activities, including voice recognition, are not currently availablein the SMS. However, they are an integral part of language learning success.Encourage students to pronounce the words aloud as they progress throughthe normal exercises and to replay the sounds they hear while trying toimitate the native speaker.

To utilize the voice recognition portion of the program, students mustdisconnect from SMS. Log into Rosetta Stone as a student and selectSettings (lower right corner) and then Logout. To resume work assignmentsin SMS, select Settings again and Login and be guided by the Instructor inwhich Units and Lessons to study. Emphasis should be placed on studentsmimicking the voice of the native speaker as closely as possible. Thevoiceprint and meter are tools that can be used to further improvepronunciation. See the Rosetta Stone User’s Guide for details.

Create A New Activity SetInstructors can create entirely new Activity Sets by selecting the Activity Setsfolder and Add Activity Section the Menu Bar.

• Enter an Activity Set Name.

• Modify any Field as described in the Activity Set Information sectionand select Save Record to save the new Activity Set.

• Select the Cancel button to discard the new Activity Set.

Examples:

A: In most cases, you will want the Previews and Exercises you select to run parallel through all 10 screens. To do this, enter the Preview letters, Exercise letter and number you select in the Activity field and accept the default settings for the Starting Position in Cycle, Starting Screen, and Ending Screen fields. For all new Activity Sets, the default settings are as follows:

Use the Rosetta Stone Program

OverviewStudents access their lessons by running the Rosetta Stone Application. Formore information about the Rosetta Stone applications, please see theRosetta Stone User’s Guide. This document contains information that will beuseful to the students about how navigation in the program works, how toget help, and how to change user preferences.

Overview of the student experience:

• Students log in and select a Class if they have more than one available.

• Students work through a Lesson using Activities assigned by theInstructor.

• Students must pass a Test with the level of proficiency designated bythe Instructor before they can proceed to new material.

• At the end of a Lesson, after passing the Test with the designated levelof proficiency, students automatically proceed to the next Lesson in theassigned sequence.

• When students exit the program their places are saved. When they login for the next session, they are taken to the beginning of the Lessonthey last studied.

• A record is saved for each run through a Lesson, storing informationabout the student’s progress. No information is saved for studentsworking in Rosetta Stone ouside the SMS.

Rosetta Stone Application CD-ROMThe Rosetta Stone Application CD-ROM must be installed and configured towork with the SMS on each student workstation. See the Installation sectionfor more information about this process (pages 8–13 for Windows users,pages 14–19 for Mac users).

Once students launch Rosetta Stone, they are presented with the LoginScreen. The students enter their assigned User Name and Password. Oncelogged into Rosetta Stone connected to the SMS, it is possible to log out

If students have work assigned in one Class, they will immediately begin the course of study. If they have work assigned in multiple Classes, theCourse screen will appear, and they can choose the Class they want to study from the list.

Note: If no work isassigned in a Class, or if students havecompleted work in aClass, that Class willnot display in theCourse list.

Appendix AInformation About Level 3

In Level 3, Units 1, 4, 7, and 10 are the traditional picture units. Units 2, 5, 8,and 11 contain Video Lessons, and Units 3, 6, 9, and 12 contain Text Lessons.The available Preview, Skills, and Exercises in these Units are slightly differentthan Units 1, 4, 7, and 10. This means that the Activity students encounterwhen in a Video or Text Unit may not match exactly what is specified in theActivity Set. See the following examples for how Activity Sets can beimpacted. Consult Appendix C for a breakdown of the Activities availablefor use with SMS.

Example 1. A student is assigned the Activity Set ‘Beginning Listening &Reading 1,’ from Unit 1, Lesson 1, through Unit 3, Lesson 8.Because the Skills and Activities in Unit 1 match what is setup in this Activity Set, the student experience will match theActivity Set. However, when the student moves into Unit 2(Video), they will not see a Preview in Skill A (PA) becausethe Preview function is not supported in the SMS program.The system will simply skip the Preview and go right intoExercise A1. The same will happen when going into aSupplemental Text Unit.

Example 2. A student is assigned the Activity Set ‘Standard Listening &Reading 3’ from Unit 1, Lesson 1, through Unit 3, Lesson 8.No differences will be encountered while the student is in Units 1 and 2. When the student moves into Unit 3(Supplemental Text), even though the Activity Set is set upto give a Test in Skill A, Exercise 4 (A4), the actual Test givenwill be Skill A, Exercise 1 (A1), because this Unit does notcontain Skill A, Exercise 4.

Example 3. A student is assigned the Activity Set ‘Standard Writing 1’from Unit 1, Lesson 1, through Unit 3, Lesson 8. Nodifferences will be encountered while the student is in Unit 1. When the student moves into Unit 2 or 3, eventhough the Activity Set is set up to give an Exercise andthen a Test in Skill E, Exercise 2 (E2), the actual Exercise and Test given will be in Skill A, Exercise 1 (A1), becausethese Units do not contain Skill E (Dictation).
