Conquer the Paper Pile!Whether you filed your taxes early in January, recently, or filed for an extension there is likely to be a paper pile. Regardless of what you call it, a stack, heap, or pile it can become monstrous. Filing your tax return and gather-ing all the information needed, forces us to get familiar with our finances.

There are many good reasons to keep important papers and documents. It’s a great time to get organized and sort out what to keep and for how long. It’s a good feeling to know if an emergency happens you could locate essential documents quickly. And, on an everyday basis, good record keeping makes it easier to pay bills, find receipts and takes a lot of the anxiety out of next years tax season.

Financial records can be put into five categories.

Reconcile, Then Keep Or Shred• Keep deposit and ATM receipts until you reconcile them with your monthly statements.• Keep paid credit card statements, unless needed to support a tax deduction. In this case file the statement with your current-year tax records. Also, if an item you’ve charged is under warranty staple the credit-card bill to the warranty document and keep it in addition to the actual bill. The statement might come in handy if the purchased item needs repair or breaks.

Papers Needed For The Current Calendar Year Or Less• Keep monthly checking and savings statements. After you do your taxes, file any statements needed to prove deductions with you tax records.• Keep insurance policies that you renew each year until you get new policies.• Keep pay stubs for the calendar year until you reconcile them with your annual W-2 form.• Receipts can be kept in an envelope until your credit card bill comes in, or if you think you might return something. • Place receipts for itemizing deductions with your current tax records.

Keep As Long As Owned• Investment statements from brokerage, 401(k), IRA, Keogh, and other investment accounts can be shredded as new ones arrive. But keep annual statements until you sell the investments. • Keep any investment purchase confirmations to establish your cost basis and holding period for when you sell, unless this information appears on your annual statements.• Keep records relating to any real estate or property until the period of limitations expires for the year in which you sell or dispose of the property. You need these records to figure any depreciation, amortization, or depletion deduction and to figure the gain or loss when you sell or otherwise dispose of the property.• Keep receipts, warranties, and instruction booklets for major appliances and electronics. You can get rid of a warranty when the period it covers has passed, and the rest of the material when you no longer own the item. • Keep closing documents for mortgage, vehicle, and other loans until they are paid in full.• Savings bonds should be kept in a secure place until you cash them in. You can convert them to electronic form using the Treasury’s Smart Exchange program at www.treasurydirect.gov.

Hold These For Seven Years• Personal federal and state tax returns and their supporting records must be kept because your returns can be randomly audited up to three years after the date you filed the return. After seven years, you may want to keep just the tax returns if you’d like to track your income over the years.

Do Not Toss• Essential records such as birth and death certificates, marriage licenses, divorce decrees, Social Security cards, and military discharge papers should be kept indefinitely. • Keep pension-plan documents from your current and former employers. • Keep copies of wills, trusts, and powers of attorney. You should also make sure your attorney and executor have copies. • If you own life insurance policies that have cash value or investment components keep these documents and a list of the issuing com- panies and their phone numbers together.• Keep your term life policy documents until the term is over.

Keep The Pile SmallSet up a place you can keep your bills until you pay them. When a bill comes in, put it in a folder labeled bills to pay. Set a day and time when you’re going to sit down and pay them. If you haven’t already signed up for our online bill pay now may be the perfect time. With online bill pay you can schedule your payments in advance and even set up monthly payments for amounts that don’t change, like your mortgage, cable bill, and other services; so you’ll never be late!
