Executive Summary

BMC Group is putting together a platform where the most influential

people from an elite group of executives in the world of arts, which

comprise of art gallery directors, music and entertainment CEO’s and

senior executives from leading hotel and restaurant groups, will

gather. The name of the event is “The Production Resource Group

(PRG) Arts & Business Conference” and its theme is ‘Promoting the

arts, travel and entertainment in the Post GFC World’. This document

will aim to provide you with all the relevant information regarding

the attendees at the conference, sponsorship guidelines/ fees,

sponsorship benefits, venue details, and any other facts needed to

come to a decision regarding the sponsorship of ‘The Production

Resource Group (PRG) Arts & Business Conference’.

Company Profile

BMC Group’s head office is located in Sydney, Australia, with offices

in both London and New York.

BMC Group is an event company that has been working in the

industry for over 10 years, creating and organising a range of events

at an international level. With highly qualified and capable staff, BMC

Group aims to meet all needs of the events itself and it’s sponsors.

With a large number of clients originating from both the business and

arts sector, it can be assured that ‘The Production Resource Group

(PRG) Arts & Business Conference’ will be the most influential and

most of the inaugural events held by BMC Group, the hope is that this

conference will be held again in years that follow.

History of Event

In its inaugural year ‘The Production Resource Group (PRG) Arts &

Business Conference’ will be held over two days in May 2013 (08/05

– 09/05) at the International College of Management Sydney (ICMS).

Over the two days BMC Group is expecting over 150 attendees, all

whom of which are international and local, senior and influential

executives with financial and business decision making power. The

keynote speaker, whom will deliver a presentation during the

plenary session, is UK citizen Paul Kerr, CEO of Small Luxury Hotels

of the World (LSH).

The purpose of the conference is to generate new and exciting

developments in the rapidly evolving world of the arts, through an

elite group of company executives, thus providing a platform to

promote the arts, travel and entertainment in the post GFC world.

Target Audience

The target audience has very specific demographics and

psychographics, with a spread in the geographical sector. Most of the

150+ attendees are elite company executives in the world of the arts

and comprise of art gallery directors, music and entertainment

company CEOs and senior executives from leading hotel and

restaurant groups.

Attendees will come from several countries internationally, with a

large numbers of attendees already in Australia. Their age will range

anywhere from 25 – 55 and will be predominately male. Because of

their interest in subject of the conference, the target audience is

perfectly aligned to the targeted consumers of Leeuwin Estate wines,

as both are associated with the arts and a higher class.

Attendees at the conference will have both personal and business

decision making power.

Exclusivity

As viewable in the above Sponsorship types, there is complete

exclusivity to the type of sponsorship chosen (Plenary session for

Leeuwin Estate), meaning that once both parties have agreed upon

the sponsorship contract, no other competitive company in your

industry may sponsor the event. Along with this if you chose to

sponsor the plenary session only your company will have the

sponsorship rights and the benefits they provide, to that facet of the

conference.

Signage

If Leeuwin Estate chooses to become the Plenary Session sponsor for

‘The Production Resource Group (PRG) Arts & Business Conference’,

internally the company logo will be viewable on every presentation

slides in the corner with the other three sponsors logos. Along with

this every time during the various sessions at the conference all

sponsor logos will be projected on blank walls, with the principal

sponsor of that session commanding the largest area. For Leeuwin

Estate, the logo will be projected on surrounding walls of the plenary

session, as well as on the front of plinth.

Externally Leeuwin Estate’s logo will be on all personal mail sent to

potential attendees as well as all promotional tools used in the lead

up to the conference.

Contracts

As ‘The Production Resource Group (PRG) Arts & Business

Conference’ is in its inaugural year (with many more to come), there

is a unique opportunity to begin partnerships with the conference

and first year sponsors. In the contract that will be provided there is

an optional clause to renew the sponsorship for up to 5 years to

ensure a fruitful partnership. Built into the clause will also be an

agreement that allows the sponsor to terminate the sponsorship

renewal if the benefits promised are not met.

Venue

The Production Resource Group (PRG) Arts & Business Conference’

will be held at the International College of Management Sydney

(ICMS). As the college will be on term break at the time of the

Conference, the event will have access to a majority of the venue with

no chance of students present. Please find below a map of ICMS:

By sponsoring the conference, your company will have unlimited

access to event-generated database(s) for direct marketing follow up

with the most powerful and influential people in the arts, travel and

entertainment industries.

Public Relations

Press releases and other media activities will be kept to a minimum

as The Production Resource Group (PRG) Arts & Business

Conference’ is mainly a business-to-business conference. This

ensures that there will be no excess fees that will provide no return

to the conference or the sponsors. In saying this, press releases and

other media activities that will be partaken will focus around

Australian attendees, for example any press release will be

forwarded to the Australian Financial Review. This is because

although the Financial Review readers are business leaders and

senior executives or professionals they are also avid lovers of culture

and the arts. The Australian Financial Review features highly

respected arts coverage in Arts & Salesroom and Arts & Review in the

Weekend Edition and because of this the Australian Financial Review

has been chosen as the conferences main media outlet.

Sponsorship Investment

As the Plenary Session sponsor, Leeuwin Estate is asked to provide

sponsorship in the form of several cases of wine from the ‘art series’

collection. This wine will be used to service the alcoholic choice of

beverages for both the Opening dinner and the Closing lunch. The

cases that will be required are as follows (prices in Appendix 2):

2012 Art Series Riesling x 3 cases = $774.00

2008 Art Series Chardonnay x 3 cases = $3060.00

2008 Art Series Cabernet Sauvignon x 3 cases = $2196.00

2009 Art Series Shiraz x 3 cases = $1260.00

2011 Art Series Sauvignon Blanc x 3 cases = $1044.00

Total = $8334.00

Sponsorship Benefits

In becoming the plenary session sponsor Leeuwin Estate will receive

several benefits, which in turn will see financial return to the

company. In providing sponsorship in the form of alcohol (contra), all

returns received from the sponsorship of the conference will be

profit. Along with this the company in particular the ‘Art Series’ line

of wine will gain great exposure to 150+ people with the potential to

buy and influence friends to buy, providing they enjoy the product.

Along with this Leeuwin Estate will gain access to a client base

(international) that they would otherwise have to spend large sums

of money to gain the same exposure. Along with this Leeuwin Estate

will have the opportunity to sell product at the conference.

Servicing the Sponsor

Leeuwin Estate will be given 5 free 2-day passes to ensure the

company has appropriate representatives. A percentage of the

sponsorship fee (RRP $8334.00 contra) has been put aside to service

every need that Leeuwin Estate may have while sponsoring the

conference. This money will be put towards servicing the most

luxurious time for the company’s representatives while attending the

conference. All travel arrangements will be taken care of, as well as

the finest accommodation Manly has to offer.

In conjunction with this all attendees from Leeuwin Estate will have

the chance to have meet and greets with all guest speakers at the

conference. Leeuwin Estates logo will be printed on all promotional

materials.
