I. INTRODUCTION

Purpose

The purpose of this (SOP) is to provide information necessary for an effective deterrence during normal operations, but also in the event of an emergency that could potentially affect our clients as well as us. This SOP is written in conjunction with GuardsMark’s’ GOR&I Manual. The concepts and procedures specified by this SOP are directed at obtaining the following goals:

1. Reducing the vulnerability of all GuardsMark and client personnel. Also reducing risk to facilities from the loss of life, injury, or damage and loss of property resulting from events beyond our control.

2. Preparing for prompt and efficient response and recovery activities by utilizing all materials, forms and procedures provided in the SOP as well as our GOR&I booklet.

3. Providing timely detailed reports of events using the designated forms for the rapid and orderly implementation of assigned duties.

4. Assisting in anticipation, recognition, prevention, and mitigation of events that may be caused or aggravated by inadequate planning, and inadequate regulation of, GuardsMark and the client that it serves.

Plan Maintenance The GuardsMark Management Team will review these Standard Operating Procedures annually. It will be revised periodically in accordance with guidelines set forth by Tennessee and Shelby County Office of Emergency Management.

III. MANAGEMENT TITLES AND DESCRIPTIONS REGIONAL MANAGER

o The Regional Manager is the official in charge of a Region to which several offices are assigned.

The Regional Manager is charged with the responsibility of all operations and sales in assigned region.

MANAGER IN CHARGE

o The Regional Manager Is the head of the office to which you are assigned and is charged with

the responsibility of managing specific security operations and instructing all uninformed personnel assigned to those operations. The Manager in Charge reports to the Regional Manager.

MANAGERS, ACCOUNT MANAGERS, PROTECTION SERVICES MANAGERS, AND MANAGER TRAINEES

o Assist the Manager in Charge in managing security operations and the security officer learning

and development program. These officials report to the manager in Charge, and they are responsible for managing all details of operations assigned to them.

o The following position titles are of supervisory positions of uniformed employees. These

individuals supervise and also perform security officer duties as required by the circumstances of their operations.

SENIOR SUPERVISOR OR CAPTAIN

o The senior supervisor or captain’s is the senior field rank. The senior supervisor or captain’s

duties are to keep informed of and supervise all activities, to inspect posts frequently to ensure proper performance of duty, and to prepare assignment schedules when necessary.

V. EMERGENCY PHONE NUMBERS Nike Winchester - Officer Responsibilities List Gazebo (Jumper)

Officers will ensure that they have their GOR&I Manual and Security License with them at all

times when working

Officers will secure all equipment and paperwork needed before starting their shift

Officers will call in and out at the start and finish of each round or assignment

Officers will use proper codes and radio edquite when transmitting

Officers will record all start times, end times and activities in their daily reports

Responsibilities:

Emergency!

Seek shelter – Pulsating Tone. The Gazebo Officer will secure the entry door; get a Nike

and GuardsMark radio and report to the Training Room

Evacuation – Steady Tone. The Gazebo Officer will get a GuardsMark radio and a Nike

radio (channel1). Put on a vest and go to the end of the side walk and direct employee’s to

the second row parking on the employee lot.

First Contact

The Gazebo Officer will be pleasant and greet all visitors and employees

The Gazebo Officer will monitor the CCTV requesting that all show there Id before opening

the gate. This will be done until the Main Gate Officer is posted and set. All new employees

or visitors must have proper paperwork and/or approval from the contact person before they

can enter. Most will be previously approved through pass-down, and email conformation.

Badges

The Gazebo Officer will ensure that badges are visible and scanned before employees can

enter the warehouse area and must be visible at all times while on the property

The Gazebo Officer will politely challenge any employee not wearing a badge and explain

that badges should be worn and visible at all times

Sign in Logs – The Gazebo Officer will be aware of all logs and ensure that employees and visitors sign in and out on the correct log/s.

Inspections – It is important that the Gazebo Officer is focused on who is entering and exiting the building; and what is, or not allowed.

Phones – The Gazebo Officer will be personable, knowledgeable and pleasant when answering the phones. Phones should be answered using set procedures and greetings.

Alarm/Alert Panel – The alarm panel will sound if there are issues with fire, flood, open doors, pump houses, water flow etc. Gazebo officer will know how to respond to all. Radio Communications - The Gazebo Officer is the life line of GuardsMark and our client. They should know all radio frequencies and procedures. Pat-Downs - All employees, visitors and contractors will perform a self performed pat-down before exiting the Gazebo

Alarms - The Gazebo Officer will monitor all alarms/alerts, and CCTV; and send a rover to investigate before silencing (more in Detailed Procedures)

GAZEBO (POST BREAK-DOWN) First Contact (Inspections) – The Gazebo Officer will greet all employees with a smile and will visually inspect all employees as they enter; while looking for the following:

1. Employee Id (Simos employees gray shirts and Id’s) 2. Nike shoes or apparel. (No Nike shoes or apparel allowed) 3. Hats, or any other head gear, must be removed

Badges – The Gazebo Officer will ensure that all badges scan.

1. If the badge does not scan, the officer will manually enter the badge number. 2. If that does not work, they will notify a supervisor and will check the termination book to

ensure that the employee has not been fired or EOA. 3. The officer will then ask who their manager is for confirmation 4. Upon confirmation they will have the employee sign the first day log, issue them a temporary

badge (correct date please) and have them wait to be signed in by their supervisor 5. (If their badge was lost or stolen, the employee will sign the lost or stolen log and follow the

same procedure) 6. (New employees will present the proper paperwork, or the officer will have a pre-confirmed

email. ( follow the same procedure) 7. (Gazebo Officers may at times be required to make badges)

First Contact (Visitors/Contractors) – The Gazebo officer will check emails phone messages and letters for preapproved entry. After confirmation, all guest, visitors and contractors entering the warehouse must sign in on the visitor log. Gazebo officer will record:

1. Time they arrived 2. Name of person/s visiting 3. Purpose of the visit. (Meeting, delivery, pickup etc) 4. Name of contact person and authorization 5. Issue visitor pass (correct date please) and request its return upon exit 6. Time visitor signs out

Sign in/out Logs

1. The Gazebo Officer will ensure that all visitors sign in on the visitor‘s log, call the contact

person, and after approval, issue a visitor badge and have them standby for escort. Weekend

visitors must sign the weekend visitor slog

2. The Gazebo Officer will ensure that all new employees’ show proper paperwork, sign in on

the first day log, will call their manager, issue a temporary badge until a badge is made and

have them wait for their manager to sign them in.

3. The Gazebo Officer will ensure that employees that left or lost their badge sign in on the left,

lost , or stolen log book

4. The Gazebo Officer will make sure that all Kelly employees and guest with computers sign

the computer log and visually verify the Serial Number’

5. The Gazebo Officer will ensure that all Service Master employees sign in and out on their log

book before entry

6. The Gazebo Officer will make sure that all radios are signed in and out (on the radio log) by

the person who’s name is on the requested radio

7. The Gazebo Officer will make themselves aware of all the employees who are no longer

employed, fired, or are listed in the EOA (end of assignment ) Log

Signing out equipment

Radios – Only employees that have been assigned a radio can sign out a radio, on the radio log.

If the person making the request is not the person the radio was assigned to, they cannot get that

radio. (Individual names are on each radio)

Communications

1. The Gazebo Officer will maintain radio contact with all officers ensuring that all times, information,

logs, daily reports, incident reports, reported activity etc. are consistent with their Post Report.

The Gazebo Officer will know communication channels:

a. Nike Emergency - Channel (1)

b. GuardsMark Channel - (6)

c. Simos Channel - (4)

2. Maintenance Channel - (3)

a. The Gazebo Officer will know designated 10 codes and phonetic alphabet as directed by

Supervisor/Captains

Phone Procedures Incoming Calls: Phone edquite is the most important facet of answering calls. Your personality, professionalism and level of knowledge, directly impacts the callers impression of not only GuardsMark, but Nike as well. When answering phones:

1. The Gazebo Officer will have a pen a paper ready 2. The Gazebo officer will answer with the following statement (Thank you for calling Nike

Winchester. This is (Your Name) with security. How may I help you)? 3. The Gazebo officer will speak confidently and professionally 4. The Gazebo officer will answer promptly 5. No Personal calls Please! (Officers Contractors or Visitors) 6. No officer to officer calls, unless relaying business related information

Alarm – Response Procedures

1. The Gazebo officer will respond to all alarms 2. The Gazebo officer will dispatch an officer to location in alarm, and notify a supervisor 3. The Gazebo officer will not silence an alarm until the all clear is given by the responding

officer 4. The Gazebo Officer will note in the post report, location of alarm, time of alarm, responding

officer, time cleared and time silenced.

Pat-Downs Objective: To inspect all persons exiting the Warehouse/Gazebo ensuring that no unauthorized product or other items are brought in or taken out.

1. Officers will not touch any person or reach into pockets, bags, purses etc.

2. Officers will watch as employees perform their own pat-downs

3. Will have them remove all hats bandanas or head gear upon entering and leaving the

warehouse

4. Officers will have employees remove all items from pockets, for inspection

5. Employees found to have items that are deemed unauthorized or suspicious, will have to

stand by while a supervisor and their manager is contacted and can clear or verify that items

are authorized, unauthorized, or stolen. (These items can be anything from product, to items

that can be considered as weapons).

6. Officers will have employees remove all Coats, Jackets or Sweaters and physically pat them

down. If any items need to been seen, officers will ask the employee to remove them.

7. If any person becomes hostel, or simply refuses to comply, and decides to leave; notify your

supervisor, record their information and allow them do so. All officers have the right to protect

themselves or others if they feel that their life is in danger or imminent bodily harm. (This

would be considered self-defense, but should be avoided at all cost. (You can be sued or

even prosecuted for assault, if your case is found to be unjustified in a court of law).

Pat-Down (Procedure)

1. Face the officer and extend to the front 2. Starting with the right hand, slide over left arm, then repeat the same movements with the left

hand 3. Take both hands and slide down front of body while pulling clothing tight 4. Loose fitting pants will be pulled tightly around the legs. 5. Employees will be asked to lift pants above ankles, only if there is evidence of concealed

items. 6. Employees, visitors and contractors will be asked to remove hats upon exiting facility

D.C. Rover: (Cameo)

Officers will ensure that they have their GOR&I Manual and Security License with them at all

times when working

Officers will secure all equipment and paperwork needed before starting their shift

Officers will call in and out at the start and finish of each round or assignment

Officers will use proper codes and radio edquite when transmitting

Officers will record all start times, end times and activities in their daily reports

Responsibilities:

Officers will make rounds in the warehouses (at least 10 minutes per warehouse) and relieve

the Gazebo officer as needed

Officers will start with door and warehouse checks. (1 warehouse at a time)

Officers will call in doors, roll-up doors and restrooms, starting at door 1 or 20 (Initial round)

Officers will open each door and check the lock from the outside latch to ensure that it is

secure

Officers will call in each door that is checked so that the Gazebo Officer can check it off on

the door check form and acknowledge that the sensors are working properly.

Officers will check deadbolt locks on Shipping and Receiving doors to ensure that they are

locked and secure

Officer will check for leaks, overflows and hazards in each restroom

Officers will call in any issues before taking action.

Officers will after calling it in, take appropriate action to ensure that reported area and/or

hazard is safe and secured

Officers will check all locations whenever warehouse is active

Officers will request name and number of personnel in unauthorized areas and call Gazebo

for confirmation that he or she should or should not be in the area.

Officers will request that employees’ show Identification and keep it visible if not visible

Officers will call in and make note of any unusual or suspicious activity by any personnel

Officers will Call in and log any lights that are broken or out

Officers will make rounds every hour, checking doors randomly (after initial rounds) and call

in Data Temp

D.C. ROVER (POST BREAK-DOWN) Warehouse/Door Checks (Initial Round) – the initial round is done with the main purpose of checking each exit and doc door in the warehouse.

1. Officers will start a door 1 in Warehouse A8, or door 20 in the administration area. 2. When opening doors, officers will trigger sensors at the Gazebo. The Gazebo Officer will call

confirming that the open door is being checked and has not been opened by unauthorized personnel

3. Officers will listen, before opening doors to ensure that there are no unseen dangers, such as thieves, animals, maintenance workers, or even officers checking doors from the outside.

4. Officers will open the door and turn the lock from the outside to see if the knob will turn. 5. If secure, officers response to the Gazebo Officer will be (Door 20 Secure) 6. If the knob turns, the officer will make sure that the door is locked and secured and verify

(Unlocked but Secured) with the Gazebo Officer 7. If the door cannot be secured, notify the Gazebo Officer who will contact a supervisor. The

supervisor will give instructions as to what actions will be taken. After taking action and after being cleared by the supervisor, the officer will continue to the next door

8. Some doors will not be opened:

a. 18, 19, and 20 should simply get a push from the inside to see if they will open, if not, and there is no glass or signs of tampering, the door is considered secure

b. Shipping and receiving doors are secured with locks that should be physically checked with a tug to ensure that they are secure (Shipping door 11 is secured with a bar) (Receiving doors 47 and 51 are never unlocked unless requested

Rest Rooms – While on patrol, officers will check rest rooms in each warehouse

1. Officers will be aware that rest rooms may be occupied at times and will enter slowly as to not hit anyone with the door

2. Men, before entering the ladies room, should knock and clearly say security before entering 3. Women, before entering the men’s room, should knock and clearly say security before entering 4. Toilets should be flushed to ensure that they are working properly 5. If in the event one of them overflows, or is damaged in any way, officers will notify the gazebo

and wait for instructions 6. If all goes well, officers will call in (Warehouse name or number – secure).

Example – inside rover to Gazebo C1 restrooms secure.

7. Officers will also be mindful of their surroundings while doing door checks looking for anything out of the ordinary.

Warehouse (Patrols) – During warehouse checks

1. Officers will start their patrols by calling in to the Gazebo, letting the officer know which warehouse they are starting in.

Example – Inside rover to Gazebo; 10-36 warehouse-E5

2. The Gazebo Officer will give you a start time. 3. Officers will start by looking for

1. Product that is not secure (Not in a box or package)

a. If product is not secure, the officer will call the gazebo, giving the location and description

of the product. b. The officer will then take the product to stock relocate, c. If no one is there, the officer will leave the product on one of the desk d. The officer will then assume duties from their last location

4. Officers will look for obvious hazards such as:

a. Speeding lift drivers, b. Dangerous lift operations c. Obstructions or persons in drive lanes, d. Obstructions in walking lanes e. Hoses, cords or ropes crossing walking or drive lanes f. Over head product, machinery, lights etc. that appear unstable or un-secure g. Lights that are broken or out h. Exposed wiring

5. Officers will also look for other hazards such as:

a. Exit doors that are blocked or obstructed b. Product that is near or outside of exit doors c. Employees hanging out/around near exit doors d. Unusual odors, noises

6. Employees badges;

a. Officers will look for employees visitors or contractors that are not wearing a badge b. Everyone in the warehouse is required to have a badge on at all times c. If officers notice an individual in the warehouse that does not have a visible badge,

officers will (politely) explain that badges must be visible while in the warehouse d. If the individual refuses to show or display his/her badge, the officer will keep a visual on

the individual while notifying the gazebo and a supervisor.

7. Areas off limit – officers have the right to question any employee believed to be in off- limit locations

a. Officer will ask for employees Id and explain that they will have to verify that they are

authorized to be there b. Officers will then call the gazebo with the location, employees name, employee number

and supervisors name c. Officers will then stand by for confirmation and further advisement

will notify Nike Security Management.

First Contact

The Truck Gate Officer’s primary responsibility is to log all incoming and outgoing

trucks/trailers; both on the log and in the computer.

TRUCK GATE (LOG BREAK-DOWN)

Carrier - Driver Information

Officers will record the drivers first and last name and ID/ license number Officers will validate drivers information Officers will get badge information for designated venders (Fedex – UPS)

Truck & Tag Numbers Officers will log the truck number located on the front driver side of the vehicle The tag will be on the front lower left of the vehicle.

Time - In Officers will record the time the truck arrived on property along with the officer’s initials

Trailer

Officers will log trailer numbers usually located on the front drivers side corner of the trailer

a. If the truck is not pulling a trailer enter BT (Bobtail) b. If the trailer is pulling a container, include the letters above the numbers on the

container. c. If the vehicle entering is a step van. Please enter SV (Step Van)

SEAL

Officers will log the seal number located on the seal attached to the back of the trailer’s door

latch If there is no seal, and the trailer is loaded, Write N

a. This information should be logged on the discrepancy log and the supervisor should

be notified. Entry should be denied if the receiving department is closed and the trailer should be treated as a (Live Unload)

If the trailer is empty, Write empty If the trailer is a city pick up, write (CP) If the trailer is a delivery write (DEL)

Shipping/Receiving Officers must designate where the driver is reporting to (SHP) or (REC)

Time - Out

Officers will log all trucks, venders and trailers before they exit the property on the out section of the log

a. Time out and officers initial b. Seal number (Seal attached at the time of exit). Loaded trailers must have a seal

before they can exit. Contact supervisor and hold the driver until trailer is properly sealed.

c. If the trailer is empty, Write empty d. If the trailer is a city pick up, write (CP) e. If the trailer is a delivery write (DEL) f. Log person authorizing the release of the trailer and perform ASN scan

Shipping Office – Closed – The following steps must be completed before BOL’s can be released Start IBM scan Type CP then press enter User name – (truckga) Pass Word – (truckga9) Press enter Type G then press enter Type 12 then presenter Type 16 then press enter Ensure that the number 4 is in the slot titled (Warehouse) Click on line titled BOL # Scan BOL Press ( R ) then press enter Ensure that the BOL the computer screens count matches Then press F3 Delete all numbers on BOL line Scan next BOL and repeat steps 10-14

If you get message tiled Restricted (highlighted in red), you can still scan normally as long as underneath the ST column the letters ST, RE, or RL appear

Discrepancy Log – (Detailed description of the issue)

The following information must be entered into the discrepancy log:

a. The date and time that the discrepancy occurred b. The page number of the log the trailer was logged on (1 of 2,3,4,) c. The entry number (listed on the side of the page) d. Authorized by – Name of employee who authorized the driver to pick up or drop off trailer e. Scheduled – If the trailer was scheduled, write the drop time

Deliveries

1. When delivery drivers arrive (Fedex and UPS) Officers need make sure they have proper Id 2. The Gazebo and supervisor must be notified so that an escort can be dispatched for escort.

Access Control – This is a truck entrance and only delivery trucks entering the property will be admitted. Venders and maintenance personnel wishing to enter the property from this gate will coordinate with the appropriate Nike management prior to gaining admittance. Unauthorized Activity – The security officer will notify the Gazebo and supervisor if unauthorized activity is suspected and annotate it in their daily report.

Truck Gate Rover: (Wolf)

Officers will ensure that they have their GOR&I Manual and Security License with them at all

times when working

Officers will secure all equipment and paperwork needed before starting their shift

Officers will call in and out at the start and finish of each round or assignment

Officers will use proper codes and radio edquite when transmitting

Officers will record all start times, end times and activities in their daily reports

Responsibilities: will make no less than 2 rounds per hour and will sit-in for the Truck Gate officer as needed

Will log all trailers in the drive and Receiving Lot (start and mid-shift)

will check doors 4,5 and 10 from the outside, along with the Diesel Pump House (1st round)

Will check doors and Diesel Pump as requested by the Gazebo Officer

Will make sure that all trailers are properly sealed, zipped and bumped

Will call in all trailers that are not secure, bumped or properly sealed before taking action ;

giving the location, issue, trailer number and seal number. ( All closed trailers on the yard,

must have a seal or a Zip-Tie

Will be aware of trailer slot numbers and companies represented

Will check the fence line for damage, cuts , breaks or other openings that will allow

unauthorized entry or allow merchandise to be taken off of the property

Will call in and log any lights that are broken or out

Will call in any hazards, issues or discrepancies; be it present or potential

Will make rounds on the employee parking lot during their shift.

PMV’s (Personal Motor Vehicles) should be stopped immediately and employees directed to

the second row parking.

Entry Protocol

Employees

The Main Gate Officer will ensure that all employees show badges before entry If an employee does not have his/her badge, the Main Gate officer will have the employee

move to the side, as to not hinder the flow of traffic of other employees, contact the Gazebo and check the termination list to ensure that the employee has not been fired or EOA

Upon approval, entry will be allowed

(If their badge was simply left at home or misplaced, they will sign the first day log and follow the aforementioned procedure.

New Employees

New employees will present the proper paperwork, or the officer will have a pre-confirmed

email. (If the new employee does not have the proper paperwork, the Main Gate officer will have the employee move to the side, as to not hinder the flow of traffic of other employees, contact the Gazebo and check the termination list to ensure that the person in question has not been fired or EOA

(Upon approval, entry will be allowed)

Visitors and Vendors Officers will ensure that visitors and vendors have previous approval by email confirmation, or

by verbal confirmation from the Gazebo officer or supervisor Officers will then direct them to the Gazebo for sign in and escort

Damaged or Defective Gate

If by chance the gate is damaged or not functioning properly, the Main Gate officer will a

supervisor and the Gazebo to see if they can get it to work properly and contact maintenance. In the meantime, the Main Gate officer will open the exit gate and request that a rover be dispatched to help with traffic control.
