Central to BTs growth ambitions isBTID - responsible or building all

the systems and networks used byBT. These systems are built by end toend project teams that have adoptedthe agile development methodology.Collectively these teams areresponsible or development thatenables BT to drive towards itsstrategic goal o being Number Oneor Customer Service.

The adoption o agile developmentpractices requires a new type oenvironment, especially as the teams

are geographically dispersed acrossthe UK, India, China, USA and CentralEurope. BTID realised that it neededa new environment where bothlayout and technology supports agiledelivery.

The challenge

O2s business case is built aroundrealising eiciencies, improving timeto market and reducing costs or thebusiness. The company has multipleoices throughout the UK andheadquarters in Slough where it also

has two other oices. With requenttravel between the Slough and Leedslocations, the company realised thesetup had to change.

We decided to amalgamate thethree Slough oices into one locationaccommodating 2,200 people,explains Alan Parkin, programmemanager, inrastructure design anddelivery. We recognised that unitingdisparate teams and improving inter-departmental collaboration wascentral to delivering an outstandingcustomer experience. And theinrastructure to support this wouldbe critical to success.

Previously, all meeting roomscontained a conerence phone andlip chart, but projectors had to bebooked through reception and agreat deal o time was wasted simplysetting up. With only 47 meetingrooms - hal the number previously

available - the new Slough sitedemanded a more productive andcollaborative working environment.A smooth and timely transitionbetween meetings would be essentialto ensure that the new oice has themeeting room capacity to supportoperational needs.

O2 decided to investigate interactivetechnologies The decision wastaken to trial SMART Technologiescollaboration solutions and iveSMART Board interactivewhiteboards were installed across

the Leeds and Slough sites. TheSMART Boards network usingBridgit conerencing sotware,allowing people in any location tojoin a data conerence, use touchscreen commands, write in digital inkover any application, generate andintegrate data, share desktops andwrite and save notes immediately.

We can set up a conerence in lessthan three minutes and SMARTscollaboration technology its perectlywith our mantras o walk up anduse and three touches and go,says Alan. It really is that simple.

The pilot was so successul thatalmost all o the 47 meeting roomsin the new Slough oice will have aSMART Board and the boardroomwill have two SMART Podiums(ormerly the Sympodium interactivepen display). Every loor will alsohave one or more SMART Boards

in Our Space areas or impromptumeetings. Road shows are plannedto demonstrate the capabilities o thetechnology and designated shapersrom each directorate will cascadeoutput rom monthly meetings.Supported by user-guide booklets, asel-help intranet portal has also beendeveloped to help users get the mostrom the new technology.

The results

It has been estimated that i 25% oO2 sta used SMART solutions toconduct meetings, the company couldsave up to 15,000 a week. Thesavings would be realised throughreduced travel between their Leedsand Slough oices.

Alans own inrastructure designand delivery team o more than 30people use the SMART technology togenerate signiicant eiciencies rom

their monthly meetings. Previously,the meeting had to take place on twoseparate days - one in the North andone in the South - with presenterstravelling to both meetings and teammembers to their respective areas.This meeting is now conducted onone day, involving the entire teamsimultaneously via the SMART Board.

The reduction in travel, time andassociated costs is quite staggering,

says Alan. The senior team hasgained a day a month in time and,as no one has to travel, the overallproductivity o the team is greatlyenhanced. Its a win-win situation oreveryone.

Location is no longer a barrier tocollaboration and a similar pattern isbeing adopted by teams across theO2 business. For three weeks, oneproject team o eight people had

been trying to meet to approve adesign spec but diaries simply wouldnot coordinate. Using the SMARTsolutions to collaborate betweenLeeds and Slough, the work wascompleted within hal an hour, notonly saving time and money butalso enabling the team to completethe project three months ahead oschedule.

The future

The impact o SMARTs collaborationtechnology has been so signiicantthat we plan to install SMART Boardsin our Leeds, Bury, Preston Brook

and Glasgow call centres, as wellas rolling it out to oices across theUK, concludes Alan. Our trainingdepartment also recognises thepotential to train sta using theSMART Boards, reducing travel andcosts whilst improving productivity.I have no doubt that embracingSMARTs technology to drive changein our meeting and training culturewill prove transormational or the O2business.

that the meeting room itsel couldnot be used during this time as allthe inormation was still on the dryerase boards.

Improving meeting efficiency

Microsot wanted to improve theproductivity and eectiveness othese meetings and decided to installa new meeting room solution romSMART Technologies to achieve theseaims. They installed a meeting room

system that combines SMART Boardinteractive whiteboards, SMARTMeeting Pro Premium sotware,SMART Bridgit conerencingsotware, ultra-short-throw projectors

and multimedia speakers.
