ANNOUNCEMENT

SHIVALIK HILL DRIVE will run in the Time/Speed/Distance (TSD) format.

Any modifications, amendments and/or changes to these SUPPLEMENTARY RULES can be made before the start or during the running of the DRIVE as required, and the same will be announced only by numbered and dated Participants Information Bulletins (CIB), issued by the Organizers, Officials and Marshals of the DRIVE.

ACQUAINTANCE WITH & SUBMISSION TO RULESEvery person or group of persons, organizing or officiating in the competition or taking part therein:

- Shall voluntarily sign the indemnity and declaration before being allowed to take part (enclosed with the Entry form).

- Shall abide by and be bound by the conditions precedent attached to the submission of entries and taking part in the DRIVE, and all participants participating in the meet shall be bound by them and also the rules and regulations hereinafter set out or amendments made thereto.

- Shall undertake to submit themselves without reserve to the above and to the decisions and the consequences resulting there from.

Rights and Obligations of the Organizers are detailed below.

2.4.Rights And Obligations Of The Organisers

The Organizing Committee and the Marshals of the Meet can review the present SUPPLEMENTARY RULES (SRs) and amend or alter their guidelines according to any circumstances or situations which may arise during the course of the DRIVE. Any changes or additions to the current SRs will be communicated to the participants via Participant Information Bulletins (CIBs) with approval and signatures of the Steward and Officials of the DRIVE. Each CIB will be sequentially numbered with dates and will be signed by all participants as proof of receipt review, and all CIBs will have the same legal force as the SRs during the running of the DRIVE. It will be the responsibility of the participants/participants to acquaint themselves with any CIBs or instructions posted at official notice boards.

If any situation or unique case may arise which is not covered in entirety by the current SRs, the Organizers and Marshals of the DRIVE are empowered to take decisions in such cases. The decision of these Officials will be final.

During the running of the DRIVE, circumstances may require modification, cancellation or abandoning of all or parts of the DRIVE due to any unforeseen circumstances. The Organizers and the Marshals of the DRIVE may take collective decision on this and their decision will be final.

Any unforeseen circumstances or situations arising due to Force Majeure may require the elimination or modification of the route as prescribed in the official Road Book of the DRIVE. The Organizers and the Marshals of the DRIVE may take collective decision on this and their decision will be final.

The Organizers reserve the right to refuse entry of any participant or participant to the DRIVE with sufficient reason for their decision. The entry fee, if has been deposited, will be refunded in full if the participant is not flagged off at the Start of the DRIVE.

If certain unforeseen circumstances or situations arise which require further review and interpretation beyond the articles covered by the current SRs, the Organizers and/or the Clerk of the Course are authorized to appoint Judges of Fact for review of such circumstances. The names of such Judges of Fact will be announced in relation to the existing situation via CIBs and the decision of such Judges will be reviewed by the Marshals of the Meet for final implementation.

Any discussion about interpretation or doubt about the meaning of the rules and regulations in these SRs will be referred to the Organizers and the Steward of the DRIVE, and their decision in this regard will be final. The Marshals of the DRIVE are empowered to take decisions in any case not covered by the present SRs.

ARTICLE 3: GENERAL CONDITIONS

3.1 ENTRY FEE Standard entry (with mandatory advertising by organisers)

10. Cars/Jeeps Rs 5000.00 (Max of 2 Crew Members per Vehicle) 11. Cars/Jeeps Rs 6500.00 (Max of 3 Crew Members per Vehicle) 12. Cars/Jeeps Rs 8000.00 (Max of 4 Crew Members per Vehicle)

Note: - Children between ages 7-12 will be charged Rs. 1,000/- extra and Children upto 7 years are exempted.

13. Entry fee will include drive registration charges, 1 bed room (Twin sharing basis), and dinner for night of 21st September 2019.Entry fee will be refunded in full: (i) To prospective participants whose entry has not been accepted (ii) In the event the DRIVE does not take place.

3.2Road BookThe Participants will be provided a Road Book containing instructions regarding the route of the DRIVE which they have to follow. This will be in the form of standardized diagrams indicating relevant landmarks vide instruction numbers, with distances between these instructions, and relevant total distances. The Road Book will NOT disclose the location of the Marshals or Time Control points on the Route of the DRIVE. Only ONE Road Book will be provided to each Competing Team or Participant at the start of each Leg of the DRIVE.

The distances mentioned in the Road Book, and running times calculated in relation to these distances will be taken as ideal for the running of the DRIVE. They will be understood to be correct and NO DISCUSSION or PROTEST will be entertained regarding this matter. Any unforeseen detours or changes in the route due to road works, repairs or other circumstances will be managed as required during the running of the DRIVE, and these will apply to all participants universally. Participants are to follow the distances and maintain time as per provided speed chart between instructions as per distances mentioned in the Road Book provided. In case of significant changes in the route that may require the Participants to drive at speeds faster than safe limits, the Organizers, Marshals or Marshals may choose to define a Penalty Free Zone for the safety of all concerned, between defined instructions on the Road Book.

3.3 Speeds The maximum average speed during the DRIVE will not exceed 45 kmph for any section in the DRIVE. On National express & highways speed can be increased till 10% less than the Government specified speed limit during the DRIVE subject to that these sections till 500 meters after will be treated as mandatory no check zones. The Organizers will ensure that the given speeds can be easily achievable

under normal driving conditions for any part of the DRIVE. In the mountain and Ghats sections, speed in all such sections, in all conditions shall be restricted to 40 kmph.The Participants will have to report to each Time Control in the direction of the running of the DRIVE. Failure to do so will entail penalties as detailed below.

3.4 Vehicle EligibilitySHIVALIK HILL DRIVE will run all vehicles in one group. There will be no distinction based on vehicle, year of manufacture, manufacturer’s make and model, engine cubic capacity and/or wheel rim size and ground clearance.

All vehicles entered in the DRIVE will have the following minimal requirements: 1. The vehicle must be roadworthy 2. The vehicle must be registered with the Indian Government as per rules and regulations of the Motor Vehicles

Act. 3. The vehicle must run only on commercially available fuels which are on sale in public fuel stations/ petrol

pumps.4. Seat belts should be available in the vehicle for all passengers at all times, front and rear seats. 5. First aid kit is mandatory 6. Basic functions of the vehicle like electrical, doors etc should be in order, and tires should be in good

condition.

It is suggested to all participants that some form of rations with water, fruit juices and snacks are carried in the vehicle at all times. A detailed checklist for vehicle scrutiny will be provided.

3.5. ScrutinyThe Scrutiny will be of a general nature to ensure that the Vehicle is roadworthy and carries the relevant documentation Stickering/advertising as mentioned in these SRs. A scrutiny and examination of the Participant Vehicle will be conducted before the DRIVE. All vehicles will compulsorily have to undergo Scrutiny or they will not be allowed to start at Flag Off.

ARTICLE 4: Entrant’s Eligibility & Obligations

4.1 Document SubmissionParticipants are required to bring

- Vehicle Registration Book.- Tax Book.- Insurance Cover Note.- Driving License.- Authority letter from owner of the car if First Driver / Second Driver are not the owner of the car used in

DRIVE.- Pollution Under Control Certificate (PUC)- The Participants are required to carry all the above documents throughout the DRIVE.

4.2. Any person holding a valid driving license may enter in this event. 4.3. A Letter of Authority for the use of the vehicle must be produced from the owner of the vehicle in case the

owner is not a member of the crew.4.4. Under the laws of the country, it is mandatory that any accident out of which a claim may arise be reported to

the nearest police station.

4.5. SafetySEAT BELTS standard Factory Fitment FOR DRIVER, CO-DRIVER AND ALL PASSENGERS ARE MANDATORY as per RTO regulations. The seat validity is 20 years and seat belt validity extended to 10 years depending on visual verification of the same. Open top vehicles are not allowed. The Clerk of the Course or his nominated officials may at their sole discretion exclude a participant who is deemed unfit for REASONS OF HEALTH or CONSUMPTION OF/UNDER THE INFLUENCE OF ALCOHOL OR DRUGS

ARTICLE 5: SCRUTINY & BRIEFING MEETING

5.1 The Pre event scrutiny of the vehicles will be carried out on - 0700 hrs to 0800 Hrs 21st September 2017 at Manohar Infrastructures & Constructions-Mullanpur, Near Chandigarh-Punjab Barrier, Mullanpur Garibdas, Punjab 140901. Non-attendees may not be allowed to start.

5.2 The briefing meeting will be carried out on 0800 hrs 22nd September 2017at Manohar Infrastructures & Constructions-Mullanpur, Near Chandigarh-Punjab Barrier, Mullanpur Garibdas, Punjab 140901. Non-attendees may not be allowed to start.

ARTICLE 6: TIME CARD

6.1.1. Time CardEach Competing Team will be issued an official Time Card which be validated by the Organizers and will carry

a. The Participant Number of that team.b. Name of the Driver c. Make of the Vehicled. Registration Number of the Vehiclee. Relevant space for entry of TC time, PC verification, Dead Time and any other comments to be noted by the

Marshals/Organizers or Marshals during the running of the DRIVE. All relevant entries of Time during the running of the DRIVE will be made ONLY on this Time Card. It is mandatory for all Participants to take care of this Card and to ensure correct entries are validated as required by both the Participants and the Marshals of the DRIVE. Signatures at appropriate places on the Time Card by both the Marshal and the Participant should be verified by the Participant. If there is any discrepancy regarding the

entry of time on the Time Card, the time entered in the Marshal Tracking Sheet will be considered as final, and no further discussion will be entertained regarding this matter.

6.1.2. The Time Card is the property of the Organizers of the DRIVE and it will have to be handed back to the Officials of the DRIVE at the end of Leg.

6.1.3. Loss of Time Card during the running of the DRIVE will lead to Exclusion from the DRIVE. Any evidence of tampering with any entries done on the Time Card will lead to Exclusion from the DRIVE.

ARTICLE 7: INDEMNITY

All Entrants must sign the Indemnity Declaration along with the Entry Form.

ARTICLE 8: INSURANCE

Only during the running of the event, all Participants having valid civil driving license are insured for i) Personal Accident Insurance: Rs.2,00,000/=ii) Hospitalization benefits: Rs.1,00,000/=

However, it is strongly advised that all Drivers / Co-Drivers and crew take necessary and adequate additional insurance covers on their own including hospitalization benefits.

All vehicles are recommended to have minimum third party insurance and Special DRIVE cover (with hospitalization benefit), valid for the period of the DRIVE.

ARTICLE 9: ADVERTISING AND STICKERING OF VEHICLES

9.1 Advertising and Stickering: The organizers will supply DRIVE stickers for four wheelers. The DRIVE stickers must be fixed to the front, rear and sides of the vehicles. These stickers must not cover the vehicle's license plate.

9.2 Stickering as directed by the Organisers is MANDATORY. Failure to comply with organiser’s instructions on sticker placements may result in exclusion. Loss of all the DRIVE stickers will result in exclusion.Any Stickering / advertising which are in direct conflict with the event sponsors MUST be removed before scrutiny. Organizers’ decision in this would be final. Failure to comply may result in exclusion.

9.3 Advertising of any products can be carried on the vehicle provided that it does not cause conflict with the DRIVE stickers and sponsors, is not likely to cause offence to anybody and is not political or religious in nature.

9.4 If there is any doubt regarding this issue, it will be referred to the Chief Scrutineer. The decision of the Chief Scrutineer and the Organizers in regards to advertising and Stickering of vehicles will be final.

ARTICLE 10: CONTROLS & CONTROL PROCEDURE

10.1.1. Time Control At any given point along the DRIVE route, a specified Time Control or TC will be established. There may be multiple

TCs along the route of the DRIVE. The minimum distance between two successive TCs will be 500m. Time Control will be indicated by a RED banner or placard with a Clock Face printed on it. Kindly note that for reasons of visibility and access for the participants, the TC marker may be placed on the LEFT side of the road.

10.1.2. The name, identifying number, relation of the TC to the instructions given in the Road Book or the distance from the previous TC MAY BE DISCLOSED at the TC for the convenience of the Participants’ calculations and orientation. However, this IS NOT MANDATORY.

10.1.3.The point at which the vehicle will be timed will be considered as a parallel imaginary line to thr TC Board.. It is mandatory that the participant should drive across this line at the TC with the first two tires of the vehicle for the timing to be noted.

10.1.4. Time at a TC will be noted in the 24 hour HH:MM:SS format i.e. at 11 am, 32 min and 24 seconds it will be noted as 11:32:24.

10.1.5. The time will be entered in the Time card with the participant in the appropriate space of the TC as per number, and be duly signed by the Marshal at that TC and counter signed by the Participant. It may be noted that for convenience during the running of the DRIVE, all counter-signatures are made by the Navigator. It will be preferred that all signatures are made by the same team member to avoid any misunderstanding at a later period. The timing will also be entered into the Marshal Tracking Sheet which has to be counter signed by the Participant. It is understood that it is the job of the participant to note that the correct and same time has been noted in both the Time card and the Tracking Sheet at each TC. Any error in this matter will be referred to the Marshal of that TC, and the time entered into the Marshal Tracking Sheet will be considered as final. No further discussion will be entertained on this point by the Organizers.

10.1.6. Each Time Control will be ready to function 30 minutes before the expected ideal time of arrival of the first vehicle flagged off, and will cease to function 30 minutes plus maximum permitted lateness after the expected ideal time of the arrival of the last vehicle.

ARTICLE 11: PENALTIES

Penalties for any other offence which is not covered in these SRs shall be decided by the Marshals.

ARTICLE 12: PROTEST AND APPEALS

12.1 The time limit for protest against Provisional Results is within 30 minutes after the results are declared on the Official Notice board at the finish venue.

12.2 Any protest must be made in writing and submitted to the COC along with the protest fee.12.3 Protest fee is Rs 6000/-. If the protest is unfounded this amount will not be given back.12.4 Any ruling by the Marshals shall be final.

ARTICLE 13: RANKING & PRIZES

13.1 Ranking13.1.1 Participants will be ranked in ascending order of penalty points incurred by them i.e. person with the least

penalty points would be ranked first.13.1.2 In case of a tie between the participants who have tied in total Penalties, the same will be resolved as follows:

- The participant with MAX NUMBER OF ZERO penalties will be declared as the winner. - In spite of this if the TIE is not resolved the participant with MAX ONE penalty will be declared as the winner. - In spite of this if the TIE is not resolved the participant with MAX TWO penalty will be declared as the winner. .- AND SO ON In spite of this, if the tie is not resolved, the tie will be resolved by a draw of lots and the winner

will be awarded the Trophy, however the cash prize, if any, will be equally distributed amongst the tied Participants.

13.3 The organizers reserve their right to add any number of prizes for this event, till the time of closing of entries. Any such additions shall be informed by way of a bulletin.

ARTICLE 14: NON-LIABILITY OF & INDEMNITY TO THE ORGANISERS

The Organizers and Sponsors, their Officials, Agents, Representatives, Employees and all persons assisting the during the DRIVE, relevant State Governments, Government of India, decline liability for any accident caused by or to the Participants, Passengers or a Third Party and competing vehicles before, after or during the DRIVE. The Organizers and Sponsors, their Officials, Agents, Representatives, Employees and all persons assisting the during the

DRIVE, relevant State Governments, Government of India, also decline any liability for breach of any law in which the participants may be included and the participant shall declare to the duly authorized Officials or Organizers or Sponsors particulars of any accident or any accident from which liability may arise and shall indemnify the Organizers and Sponsors, their Officials, Agents, Representatives, Employees and all persons assisting the during the DRIVE, relevant State Governments, Government of India in regard to all liability. The Entrants, Drivers, Participants, Participants, Crew Members, Agents and their Heirs, Executors, Administrators, and their Legal Representatives/ Nominees, shall not have claims whatsoever against the Organizers and Sponsors, their Officials, Agents, Representatives, Employees and all persons assisting the during the DRIVE, relevant State Governments, Government of India, arising out of any act of omission and commission on the part of the Organizers and Sponsors, their Officials, Agents, Representatives, Employees and all persons assisting the during the DRIVE, relevant State Governments, Government of India, either before, after or during the DRIVE.

Each entrant and each member of the Crew of a Vehicle shall execute and deliver an Indemnity Declaration and Undertaking in the prescribed form attached hereto and forward it to the organizers with the Entry.

All permission and information to the local and state all revlent government authorities will be done by the OCA India Northern Chapter, the Drive agency Team Chandigarh Adventure Sports & XTREME OFFROADERS& XTREME OFFROADERS& XTREME OFFROADERS& XTREME OFFROADERSwill be responsible for the making the road book and the conduct of the event solely .
