1. Introduction
The current document offers a user guide for the SHERPA Capitalization set of toolkits
available at: https://sherpanet.eu/.
This part of the SHERPA Capitalization Platform serves as a “hub” of useful information,
available for Regions, Municipalities and other stakeholders interested in buildings’ energy
renovation (ERB). It is divided into 4 thematic categories corresponding to the principle
value-chain Axes for planning, implementing and monitoring energy renovation projects
mainly for public buildings, namely:
Governance-Policy
Technical information
Financing
Awareness-training
Each category represents a thematic toolkit by means of a repository of deliverables, best
practices, methodologies, experiences and results from the SHERPA project as well as from
other related MED/EU projects and initiatives on the energy efficiency of buildings. Each
toolkit contains useful information clustered based on the most relevant filtering criteria
thus facilitating the user to search for information oriented to his/her preferences. In
addition, the utility offers the possibility for users to import new information (e.g.
deliverables, reports, best practices, etc.) regarding the energy renovation of buildings
provided that they match their input to specific searching criteria; hence, they can use this
platform to communicate other material similar to SHERPA topics.
The main functionalities of the Capitalization toolkits are the following:
Information repository: A library of information related to ERB projects in the form
of criteria-based search “engine” for each thematic toolkit.
Information feed: A utility allowing users to provide and share new information
related to ERB projects categorized into each thematic toolkit.
Review domain: A utility only for SHERPA administrators to review any new
information imported by users, including notifications to users of the status of
review until its publication in the 1st field above.
All visitors can visualize the existing content, filter and search information in the toolkits.
However, it is highlighted that submission of new information is prohibited for simple
(unregistered) visitors. Only registered members can submit new information to the toolkits
and they can also provide new information regarding ERB projects (released after the review
of SHERPA Administrators).

The rest of this document is structured as follows:
Section 2 describes functionalities for the visitors,
Section 3 demonstrates functionalities for the registered members,
Section 4 presents functionalities for moderators/admins (partners only),

2. Functionalities for the visitors

The landing page of the https://sherpanet.eu/ web page is shown in Figure 1. As shown in
the middle the visitor can select the “Capitalization set of toolkits” to enter the

corresponding section. In addition, in this page the visitor can read information about the
content of set of toolkits.
Selecting the toolkits the visitor is then transferred to the individual thematic toolkits
(thematic categories) shown in Figure 2. Those are the following
Policy: Governance-policy issues concerning the energy renovation of public
buildings
Technical: Toolkit: Technical information (tools, method, etc.) concerning the energy
renovation of public buildings
Financial: Financial issues (programmes, schemes, etc.) concerning the energy
renovation of public buildings
Awareness: Awareness-training information (structures, programmes, etc.)
concerning the energy renovation of public buildings

Then the user can select the toolkit of interest for searching deliverables, best practices,
methodologies, experiences and results from the SHERPA project as well as from other
related MED/EU projects and initiatives on the energy efficiency of buildings. Selecting a
toolkit a list of relevant resources is shown as presented in Figure 3. In addition,
announcements might be active and might be shown at the top of the list.

The user is able to filter the documents presented based on the following filters as shown in
Figure 4:

Selecting a filter condition and applying this (by pressing the “Go” button) filters out the
corresponding resources, enabling the active and rapid exploration of the content. Have in
mind that each thematic category has its own category, field of application and context
applicable elements.

Besides filtering based on user choices, sorting is also possible based on various elements
such as subject, last post, author, creation time, rating, number of ratings, replies and view
whereas pure textual search is also supported by an inline search engine at the bottom of
the page as shown in Figure 5. All these functionalities significantly uplift user experience in
exploring the resources of interest.

By selecting a single resource, more information is presented to the visitor such as the title
of the context/framework, the category, the field of application, the context, the country,
the principle stakeholders, the responsible organization(s), the URL of the resource and
other potential useful information regarding this resource.
3. Functionalities for the registered members
Registered members enjoy additional functionalities. For example, they can submit new
information by selecting the appropriate button shown in Figure 7.

For submitting a new information item the form shown in Figure 8 is presented to the user.
The following two messages provide more information about the whole submission procees.
“Please note that new information items in the capitalization toolkits must be approved by a
moderator before becoming visible.”
“Submit new information
This webpage allows the user to upload and share with other members of the SHERPA
Capitalization Platform new useful information to a SHERPA toolkit/Axis regarding the
energy renovation of public buildings. Any information should be inserted by means of
selecting – or defining new - most appropriate keyword for each available criteria (selected
from the available dropdown menus) and finally insert the source of the information i.e. the
url leading to the information material or upload the related documentation (pdf, doc, or any
compressed file e.g. zip or rar).
Important notification: Please note that any information inserted will be treated as public
by means that it will be accessible by other members of the SHERPA Capitalization Platform.
Please also note that any new information referring to brand-new contributions or
innovations e.g. technologies, methods, new policies, financial instruments, etc., will be
accepted provided that they have been already published in official sources or websites
which certify their validity, e.g. for a scientific article that it is already published in a
recognized journal or conference, for a policy instrument that it is already a regulation, for a
training seminar that it has been already completed, etc. Especially, for articles published in

Journals or Magazines, the url leading only to the publicly available part of the article will be
accepted. No private information will be allowed.”
Then the user should fill-in the following form elements

In addition the user can propose (if needed) additional categories if those available are not fully
covering his submission.
Moreover, the user should subscribe to this information item to receive as PM notifications any
comments by the admin and other users by selecting “Subscribe and receive PM notification of new
replies”.
Finally the user is able to preview his submission or to save it as a draft for future submission by
pressing the corresponding buttons at the end of the page.

As soon as the information item is submitted for approval it is shown highlighted in the list
with the other items, reporting its status as shown in Figure 9 and an email is sent to the
administrator.

The user can visualize the elements of the information item and as soon as some comments
are left by the administrator they are shown in the discussion bellow the information item
(refer to Figure 10). When an administrator updates the status of the submitted item or adds
some comments the corresponding notifications are sent to the user.
The user is also able to modify his submitted element at any time, however this would
require again the approval of the item by the administrator.

4. Functionalities for the Administrators
As long as a new submission is accepted, an appropriate notification is shown to the admin
(refer to Figure 11). The administrator can see the corresponding message and be
transferred to the corresponding toolkit to check the submitted items.

Then the administrator can visualize the submitted information and either delete, update or
comment the submitted information selecting the corresponding icons as shown in Figure
13. Among others the following functionalities are supportedQ
Send an email to the user
Send a private message to the user
Find all posts by this user
Edit this submission
Delete this submission
Report this submission
Warn the author
In addition the administrator can use the quick reply box at the bottom of the page to add
comments directly to the submission. As soon as some comments are left, the user is
directly notified and a further discussion is enabled.
Note: The administrator should delete (if needed) the discussion of the information item
before finally publishing the information item, as it will be otherwise visible to all upon
approval.

Besides the afforementiond method for viewing the submitted items, the administrator can
also visualize the submitted items through the Moderator control panel from the top-level
menu as shown in Figure 14.

As soon as the moderator control panel is selected the following page is shown in Figure 15.
Then the admin can select the moderation queue to visualize the items pending for
approval.

The various items are presented, as shown in Figure 16 and the administrator can select to
approve, delete or ignore them. In addition the administrator can select the individual items
to examine their full content.
