These Achievemnets and Non-achievements have been a learning experience throughout its because of these what i am today. I have seen a substantial growth within me as a member, Leader and as a person. I have become more matured with my AIESEC experience.

5. Summarise your AIESEC experience, especially covering your biggest take-backs from the organisation.

When i see a few months back i see a normal guy who was frustated being in DAV College doing loads of degrees just because his parents want him to do so. Nothing productive happening with me but with great ideas to change the world, to create an impact in the world to work towards the development of the society. My AIESEC journey so far has been legendary events happening day after day in my life. I dont remember how it startd when it started and how its gonna end all i know is its one of the most crucial part of my life for now. I learnt how to lead a team, time management, project management and most imortant i learnt some values which has changed me and helped be come a mature person.

2. What are your three most substantial personal accomplishments (could be inside or outside AIESEC), and why do you view them as such? Provide a candid assessment of your strengths and weaknesses.

• Becoming Director of Cultural Events and Deputy Director of public relations in the first year of joining college itself which never happened before.

• My members coming up to me and saying “Thanks shalya you are a very good leader you helped us a lot”.

• Getting the Best Goal Keeper award in District level Hockey Tournament and becoming a good dancer and a guitarist.

I consider them as such because they came to me when I least expected it and wanted it the most. These were the times when I was totally broken in self-confidence and motivation but these things motivated me a lot.

Strengths:

• Determination: I am determined enough whatever responsibility I take I tend to compete it. I never give up until I succeed.

• Dedication: I have shown full dedication towards AIESEC till date I have been present mostly in all the forums organised by AIESEC. I feel that I have also shown full dedication to my work till now and hope to do so in future as well.

• Realistic: I have been working on realistic grounds and not in imaginary situations. I always anticipate for expected losses/risk while doing a project.

• Invite Change: I always invite change and innovative ideas.

Weaknesses:

• Over-excitement: As my friends describe I get overexcited pretty much but I have been trying hard to work on it and I see results coming slowly and gradually.

• Emotional: I get emotionally attached with people very soon but since joining AIESEC I have learnt how to keep my personal and professional life separate.

• Lazy: I am in doing something’s but that depends on situations and kind of work. I mostly ignore all those things, which I really don’t like to do…

• Reactive: I react to situations easily this is both a strength and a weakness as mostly it has helped me overcoming some critical situations in my personal as well as professional life.

3. How would your friends/team-mates describe your communication style?

According to my friends my communication skills are aggressive and expressive. I sell my ideas argumentatively I cannot let any person over rule me until he has solids facts. I always ask the question who and why. I like applause, Feedbacks and Recognition.

4. Why have you decided to apply for the position of Executive Body for AIESEC in JALANDHAR? If you do not get selected as a Vice-President, what do you plan to do further?

i believe that i have gained enough knowledge to apply for this position. The reason for applying for this position is simillar to why i am sticking to AIESEC till now i want to create an impact in the society. I believe that being in EB would enable me to create more and a much bigger impact in the society.

If i dont become a Vice-President i would stick with AIESEC as long as possible ill keep working like i am working today and i have also planned that i may go on GIP Exchange after the month of june.

5. What makes you believe that you are prepared to make strategic decisions at an EB Level?

For LCVP F&L: I have taken this decision to apply for EB level in AIESEC in Jalandhar because i have appropriate knowledge in Finance and all other related matter i believe that ill be able to take this department further and hope to take it to the next level.

For LCVP GCDP Projects: i have carried out all te activities from raising of form to handelling the project thus i belive ill be able to manage this department pretty well.

I have realized my mistakes and worked over them and now i feel compitent enough to apply for this position.

6. Describe your leadership style. Is it necessary to be a good follower in order to be a good leader?

I would define my leadership style as directive. I like to give the subordinates specific orders and make it clear what is expected of them. My main focus is always planning, organizing controlling and coordenating the activities of my members.

Yes i truelly belive that in order to be a good leade you need to be a good follower leadership is not a quality wich is present in everyone but which can be developed with the passage of time by following good leaders and not only good leader one can also follow good leadership books, blogs, etc.

7. Describe your future short-term and long-term career and personal goals. How do you expect a VP term to help you achieve these goals and why now?

According to me a leader doesn’t have time specifications, if you are a leader then you have to be available for your team 24*7. And I am ready for such commitment. In addition working in an organization such as AIESEC I have learnt how to manage my time well. Apart from that if I require some time for my personal stuff then it would be…

2) What does the role of an EB Member of AIESEC JALANDHAR entail? Explain in detail.

Executive Body is that strategic organ of this organization which shapes the vision and Mission of the LC; which sets out a way for the whole LC to be run effectively and efficiently, gives the tools on how to reach the personal as well as professional goals. This is a team of experienced people on whom the whole LC put their blind faith and this set of people have to carry the faith of there members with them and lead them towards abetter future of the members as well as the environment around us. An EB member is solely responsible and accountable for all he work done by his members.

3) What would be the identity that you would want the EB 2012 for AIESEC in JALANDHAR to have and why?

I believe the next EB is going to set grounds for the 2015 vision so its important to have all the above things in the EB to create LEGACY.

4) What will be your unique contribution to the Executive Body team of 2012?

I would like to initiate all the Finance related matters if i am selected to be LCVP F&L. Moreover ill be always available for the team in allthe aspects i would also i would put in my greatest efforts to create a Bond between the team. I ill be always obliged if any EB members wants my

assistance in any kind of job. But one thing i have learnt over a period of time is to stick to your Job Role and let others do what they want to do.

5) Please outline your understanding of the current reality of AIESEC in JALANDHAR. What is the way forward according to you?

Realities of AIESEC in Jalandhar and way outs:

Realization of EPs in Ludhiana is a problem that can be solved by getting a intern house in ludhiana but that should be ccomponied with regular flow of EPs in ludhiana

Need to create to Goodwill with the interns

Still we have not capatlized on the whole market of jalandhar

We need better membership in ludhiana and that will come by doing proper full flege recuitments and that cannot be done pocket recruitments

Matching is still a problem and that can be solved by better international relations.

7) Which role(s) (on the EB) are you interested in the most? (See EB structure for reference) Describe how your current experience supports your choice?

I am most interested in LCVP Finance and logistics although my direct contact with finance of the LC is negligable but still i think i am ready to take up this role as i am from Finance backgrounds i have excelent knowledge of accounting ,Cost accounting, Financial Managemnet, Management Accounting and bookkeeping. Also i have good knowledge regarding Other various laws which srounds our environment such as Income tax act, contract act, companies act, Society registration act and various other general and commercial laws. I am also doing CS and CA which has given me appropriate knowledge of Internal as well as external auditing and also of compliances. Also as mentioned in my CV i have had professional trainig in various Financial Institutions.

My second prefrence goes to LCVP GCDP Projects. I have worked in this department till now known as PIR (projects and international relations). I have organized various projects till date and have created a balance betwen member learning, realistic approch towords a projrct and Client management. Till date i have more than 40 raise, 10 matches and 9 realizations also i have got CEEders in the LC and had partnership contracts.

8) Identify five key trends that are influencing your city and university (politically, socially, economically or otherwise) and explain in a few words how these trends will influence AIESEC’s services and contributions.

The students of Jalandhar, Ludhiana are financially more sound with better global exposure. Thus, they can be tapped for GEP and WAP more easily.

The new students taking admissions in the LPU are increasingly from diverse backgrounds. They readily associate themselves with the idea of AIESEC. Thus, both the quality & strength of the students available to be recruited will be good in coming years.

Ludhiana is a good market for ER as it is Financially vey strong and people are ready to invest in it.

The area near jalandhar is relativelly backword and uneducated and thus we can have many projects considering these facts.

Socially people of jalandhar excepting change so its not difficult to have exchange here plus the area of jalandhar is very safe and forigeners are generally invited.

Vice President- Finance and Logistics.

1) Review the LCs performance in Finances in 2011.

The situation of finace of our LC in the past year is a bit questionable. We ended up doing conferences in loss, there were late receipt of income, Dues not collected from the members, Loss incureed on bookings for NLDS, etc. But if we look at the fact that it was the first full functional year of the LC it cannot be considered a disaster. The only infrence i have from it is it could have been better but its a good start if not a perfect start.

2) Critically analyze the current state of financial systems in the LC. How do you see the financial systems evolving in the coming year, what would be the changes you would want to bring about in the approach towards the current thought behind the system.

The financial system of LC is weak we lack knowledge of proper accounting and department wise budgeting members need to taught proper system of accounting and proper techniques.

I would like to introduce double system of accounting also i would also introduce least one monthly session on finance which will be compulsory for MB to attend. Frequent internal audits and also inventory check.

3) What would be the top five areas of investment and why? How will they justify the effective financial investments’ focus area?

Areas of Investment Justification

International Relations Moderate investment is needed to be made in this. Good international relations will ensure that regular flow of interns is there resultant the TNs wont backout, First Choice partners, Promise = Delivery.

Fixed Deposits For becoming a permanant member in AIESEC in India this is one of the criteria and if we want to follow 2015 goals for LC made at NSC 2011 this has to be done.

Office Equipments In any professional organization an office is a must thing it gives credibility to the organization as well as it provides as a base.

Intern House Facilities The core of AIESEC is exchange so it is very important to keep our interns happy and its important to invest on them.

Projector We need a better projector as we have so many professional forums and with the increase in the number of members there would be an increase in the number of GBMs, etc

These are the top priority investments needed a part from this there are various small investments that should be made such as AIESEC promotional material, Posters of some case studies, etc these can be helpful in creating a better brand.

4) How can a VPF evolve the AIESEC Experience in the LC? What role do you see yourself playing for the membership at each stage?

A VP F can educate members regarding financial knowledge and how to make and control a budget. He can also educate the members on how to manage quality with quantity.

To increase the membership the best tool a VP F have is RNR and providing subsidies to the efficient members.

5) In the middle of your term you realize that your budget and actual are on opposite tracks, the fixed expenses have to be incurred and the income is not as per budgeted. National conference is coming up; subsidy needs to be given to the EB. What would be your immediate plan of action, state in point form?

• The first action step should be to revise the budget according to the current situation.

• Collect all the dues from clients if any.

• Stop unnessary expenditure and investment plans.

• Collect due from members if any.

• Merchandising is one way of earning some cash.

6) Define VPF’s role in each of these stages of finance culture implementation and defines strategies for improved performance in the following area :-

Ownership- A VP F is responsible for tracking all the assets available with the LC. Inventory checking is the only way of controling it.

Reporting- It is the duty of VP F to report all the financial statements of the LC and

give the required level of transperacy to the members. Knowledge/Understanding- A VP F should be through with knowledge as lack of

knowledge on his part mmay result into invitation of unwanted legal problems as well as resulting into closing down of LC. This should be tought to every member of the LC

Transparency- A VP F is responsible to share true and fair reports should be given to

each and every user of financial statements but every document can not be given. I will make sure there is a quaterlly review least which is given to the whole LC.

7) Critically analyze the logistical management in the LC for year 2011 and what plans do you have in mind to improve the situation in the year 2012?

Logistical management in the LC was not up to the mark in the last year there is a huge space improvement in that field. New clients being looked up for manythings whenever there is need.

What ill do is-

• Market research

• Logistics contrats for good quality product in cheaper price.

• Partnership with T-shirt manufacturer for non stop supply in cheap prices.

• EP logistical handbook

• (See the structure) that will help in better management.

8) Give a plan on how to manage logistics in the peak realisations months of July and August, keeping in mind that the members would be on leave.

• Increase in membership from Jalandhar Colleges in order to facilitate smooth functioning of the departments at the time when not much members are present.

• Introduction of Tools where we can detect in advance on the the realization of EPs.

• Contracting with Indo-Canadian Bus agency

9) A VP F is supposed to work in synergy with which other portfolio’s? Rank them in the order of priority and mention the grounds of synergy as well with the respective portfolio.

External Relations It should be checked that we are having some early partnership and also the major ER money comes during the event it should be checked that we just dont raise in-kind stuff but we are also raising money so that we can end up in atlast 40% of cash in hand of total cost in an event.

GCDP ICX Proper Budgetig needs to happen so that Logistical and financial issues do not arise. Also Client based internships should also be promoted.

OGX (GCDP & GIP) Promotional matrerial required, Money to be spent on building up Internationa Relations by sending members on CEEDs, International Conferencees, etc and giving subsidies to them.

GIP (ICX) Mentainance of a proper tracker of clients regarding financial matters.

This is the total amount of earnings will make by the end of the year even in the worst senerio. I have applied accounting principals and anticipated for maximum losses and minimum income.

Net cash income is taken that means recon fee have been deducted from it before hand.

I ahve not calculated the earnings from events as it is opperating profits and if we include that we will have a very high margin.

Food charges are also not present as they depend from TN to TN and is highly unstable.

According to 2012 plans made at NSC if we work like this and finances are properlly managed we will end up getting a FD of minimum 3,00,000 and more than 1,00,000 as working capital that is cash in bank.

b. An event budget template that should be used for all events of the LC.

In any organization Labour (in technical terms) or manforce used to pull-off an event is huge and the aggerigate cost of hiring such powerfull workforce is about minimum 50%-60% of the total cost incured to run the event. But in an organization like AIESEC where we dont pay anythig to the members working in an event so ideally if in any event we save about 70% of the raised money then only we can consider ourselves landing in profits. But looking at the past one year and the outcome of all the years held we should save least 30%-40% of the total Money raised (includes cash and in-kind both except venue).

GCDP Projects earlier known as PIR. The department have shown substantial growth by becoming the second best department in terms of exchange numbers with having least number of membership in the maximum part of the year. The department initiated a lot projects some new and self-innovated projects are about to start. Also the department is leaving a pipeline of about 30 X.

• In the month of march and April the department is not planning to do much on the project front mainly due to two reasons this is the time when most of us would be having exams thus it is difficult to be functional at this point of time and the second reason is that at this time the new members would be coming in the department so at this time the main focus would be to equip them with AIESEC culture and teach them RMR main focus would be to do raising part with these members.

• In June with increased membership in Ludhiana we start some proper projects there till then we will be focusing on Raising for Q3 and the existing members would become a part of matching team.

• The department would focus on self-sustaining Projects.

• In September again the students have exams so not a wide scope of projects at that time and that time will be the raising time same as point 1.

• Most Of the projects would be based CSR.

• Help from ER can also be taken so as to increase more funds from a project.

• A small event can also be done with most of the projects, which will increase the impact and also help in raising more funds.

• November – December is left for innovation of new projects also we will start raising for Q1. As there are very less realizations at this point of time.

• Looking at all this and considering there may be a flaw in the plans the department will do.

5) A VP GCDP Projects is supposed to work in synergy with which other portfolio’s? Rank them in the order of priority and mention the grounds of synergy as well with the respective portfolio.

External Relations Both ER and Projects can be benifited with help of each other. There is a scope to pull-off some money on small single day events that may be included in the project. Also projects can be initiated on the money raised by the ER team.

CIM Showcasing the impact can be truelly shown through projects and Communication can take huge benifit from it

GIP ICX There clients can fund us for some projects based on CSR

Our captured clients can also become there TN later.

Finance If proper marketing done then a project can also earn profits which will help in improving the financial conditions of the LC.
